Welcome to Starfish @ Carroll CC

Introduction

Starfish gives you a convenient way to keep track of your students. Raising flags when you observe a of behavior that concerns you ensures that the people on campus who can intervene are aware. You’ll also have the ability to quickly offer important positive feedback, via kudos and messages.

Getting started is easy. You can access Carroll’s Starfish system via the C3 portal, Canvas, and the My Carroll tab on the website. Starfish will automatically provide you access to all students that you have been assigned or are enrolled in your courses. From there, you can raise flags about students, review flags that have been raised about your students, and provide additional information.

Some faculty like to add a statement into their syllabus regarding the use of Starfish at Carroll. Here’s an example syllabus statement:

We Care About Your Success! This course is part of a Carroll CC initiative that utilizes the Starfish Student Success Network. It is designed to promote student success through coordination and communication between students, instructors, and support staff. Throughout the term, you may receive emails regarding your attendance, course grades or academic performance. To benefit, it is important that you check your Carroll email regularly and take the recommended actions. You may also be contacted directly by an advisor or a student services professional.

Getting Started

When you are a new Starfish user, there is a little bit of set up needed to be able to take full advantage of the features offered. The next few pages will walk you through setting up these areas step-by-step.

- Institutional Profile: Setting up your profile allows students to put a face with your name and learn a little bit about you before interacting with you. It also ensures that your contact information is accurate and that you will receive your system notifications at the email address you prefer.

- Appointment Preferences: This area allows you to set the parameters for your minimum appointment length and scheduling deadline, your meeting locations, and permissions for others who can schedule appointments for you (front desk or office manager).

- Email Notifications: This area allows you to set the frequency and time of day for appointment notifications and summary emails.

- Office Hours: Setting up Office Hours allows students to make appointments with you online using Starfish. It also allows you to easily schedule appointments with students on your schedule that will send the student an email with the appointment details.

All of these features are accessed by clicking on the three-lined “hamburger” menu icon in the upper left corner of the Starfish page.

Setup your Institutional Profile Some of your profile, such as your contact information, is imported from Colleague.

- Click on the three-lined menu icon at the top of the page then click on your name in the Top Navigation bar. Select the Institutional Profile tab.

- Help students put a face to your name by using the Upload Institutional Profile Photo link beneath your existing photo or placeholder to upload a photo. Browse to a photo file (.jpg, Appointment Preferences .png, or .gif), and then click the Upload Now button to update your photo. Set up your Appointment Preferences

This area allows you to set your default appointment settings.

- Access the Appointment Preferences tab by Starfish clicking on the tab at the top of the page next to Institutional Profile or by clicking on the Institutional Profile Appointment Preferences Email Notifications “hamburger” menu icon, then your name, then Appointment Preferences.

Your Instructions should be short as there is a 100 character limit but should provide the essential information. For example, “Email me your phone number and a password you choose. Have your computer on and be logged in”

My Locations

Enter locations for your meetings with students. Meetings can be in an office, online, over th e phone, or anywhere else you like.

Create as many locations as needed. Typically, this will be office, phone, and online (if offering a Teams/Zoom option).

- If you have another person who can make appointments for you such as a front desk, office manager, or coworker, you can add Add Calendar Manager permission for them to access your calendar under Calendar managers. Click on + Add Calendar Manager. Begin typing the person’s * Req uired fields I Never Mind name in the drop down. A list of potential options will start to populate. Select the person you are trying to add and click Submit.

Setup your Email Notifications

This area allows you to set up the frequency of your email notifications and the integration between your Starfish calendar and your Outlook calendar.

- Access the Email Notifications tab by Starfish clicking on the tab at the top of the page = next to Appointment Preferences or by Institutional Profile Appointment Preferences Email Notifications clicking on the “hamburger” menu icon, then your name, then Email Notifications.

- Under Appointment Notifications, you can set the types and frequency of the notification you receive in your email for appointments that are scheduled with you.

- Check the box next to “Read busy times from my external Exchange calendar.” This will allow appointments and busy times from your Outlook calendar to import into Starfish and automatically remove them from being available appointment times when scheduling online. You will need to share your calendar with [email protected] for this to take effect. Follow the link in Starfish for directions if you need help sharing your calendar.

- The list of tracking items at the bottom of the page are those that will override your set preferences and send you an immediate email regardless of the frequency you set in the above steps. These are critical flags that may require immediate attention and outreach.

- Click Submit at the top of the page to save your changes. 9

Setup your first Office Hours block

The first time you log in to Starfish, Starfish will provide a ‘wizard’ to walk you through setting up your office hours. If you do not wish to complete the wizard yet, check the box labeled “Show me this Office Hours Setup Page again next time I login if I don’t have any Office Hours”, and then click Close.

If your office hours are different week to week, follow the “If your office hours don’t repeat weekly, click here” link.

- To setup additional office hours or make any changes, go to your Home or Appointments page and click Office Hours or use the Scheduling Wizard.

Student Appointments One of the benefits of Starfish is the ability for students to make appointments with individuals and services on campus online. Once the basic set up of your Appointment Preferences and Office Hours is complete, students you are connected to in the system as their instructor or dedicated advisor or who find you through a service like Advising or Disability Support have direct access to your available appointment options to schedule an appointment.

When a student schedules an appointment with you, both you and the student will receive an email with the details.

If you have linked your Starfish calendar and your Outlook calendar, the appointment will appear on your Starfish Agenda page and you will receive an appointment invitation to accept in your Outlook email.

Scheduling an Appointment

As the calendar owner (your own Starfish Agenda) or as a calendar manager for someone else, you can schedule appointments with students. There are a few options for how to do this:

- Click on the +Appointment button at the top of the Appointments screen or on your Home page.

- Click on the +Appointment button within a Student Folder. This will pre-populate the student’s information in the Create Appointment window.

Once you have opened the Add Appointment window, enter the following information:

- With: Begin typing the students name in the Student drop down. Students will begin to populate to choose from or enter the student’s full name and click on them to select. - When: Enter the date and estimated start and end times for the meeting - Where: Select a meeting location from those in your drop-down list. This list is generated by the locations you set up in your Appointment Preferences. - Reason: Select an appointment reason from the drop-down. This list is generated by the system based on the role you have been assigned (instructor, general advisor, etc.). - Course: This is an optional field. You can select from a list of courses you are teaching if it applies to the meeting. - Sharing: This should be left as Shared unless it is a confidential meeting such as Disability Support or Title IX. - Detailed Description: This is an optional field where you can enter more information about what the meeting is regarding.

- Once you have brought a student back to your office from the waiting room, click on “Start Meeting”. Do this after you have gone to get the student so that two people are not trying to start a meeting with the same student.

Appointment Notes

When a student comes to an appointment with you, you will need to take notes in that appointment in Starfish and close the appointment. You can start the appointment in a few different ways.

- Take the student out of a kiosk waiting room using the previous instructions.

- Go to your Home page in Starfish and hover over the calendar icon next to the student’s appointment in the Appointment box of the dashboard. Click Outcomes.

Interacting with students

The most important role Starfish plays for faculty is the ability for instructors to raise tracking items. These flags, kudos, and referrals send a pre-written email with your comments included to the student. The also notify the student’s dedicated advisor and/or other relevant people on campus. This allows for more streamlined inter-office communication and outreach as well as transparency for the student.

- Flags: raise these when you have a concern about a student such as non-attendance or being in danger of failing.

- Kudos: raise these when you want to praise or encourage a student

- Referrals: raise these when you think a student would benefit from visiting another office on campus such as tutoring or Disability Support Services.

In addition to these tracking items, you can also add notes to a student’s record, send them a message, or assign a student a To-Do.

- Notes: use notes to add comments to a student’s record that are not sent to the student but are visible to other individuals and offices on campus

- Message: send one or more students an email through Starfish. The message is saved in the Notes area of the student’s record but is only visible to you not other people on campus just like your personal email

- To-Do: assign these to let students know they have a task to complete to be successful in school

Progress Reports are pre-selected flags and kudos are sent at important points in the semester for you to raise on the students on your course roster all at one time. This grid allows you to give critical feedback to students quickly without needing to go to each student’s record individually. It also allows Advising to do necessary outreach to keep students on track at pivotal moments in the semester or help them make difficult decisions about whether to remain in the course where they are struggling.

Raise a tracking item for one of your students

When you have feedback for a student, raise a flag, kudo, or referral to communicate your observations. The appropriate individuals will be automatically notified when you save the item.

- Click on the Students navigation item from the hamburger menu to see your list of students.

Respond to a Progress Report for students in your courses

You will receive an email reminder when there is a new report for you to complete. Each individual report presents a student roster for one course section on whom you can raise flags.

Sending a Message to a Student

Sending a Message to a student in Starfish is just like sending an email from your personal email. An email written by you will be sent to the student and only you will be able to see the message’s content in the Notes tab in the Student’s Starfish record.

- Find the student you want to message by searching for them on the Student page. You can also send the same message to several students either by checking the box in front of the individual students you want to message or by clicking the box at the top of the column of check boxes to select all students (if you want to send the same message to your entire course roster, for example).

Using Filters to Find Specific Students

There might come a time when you want to find a certain population of students within the whole group. Filters can help you narrow down which students you are seeing to a specific population.

1. Click on the Students navigation item in the menu to see your list of students.

2. Under Connection, select which group of students you would like to filter. For example, if you want to see all of the students in all of your courses, select Instructor. If you want to just look at students in one of your courses, select that course.

3. Once you have selected your Connection, click on the blue Add Filters button.

Checking the Sections or Organizations boxes allows you find rosters of students in those specific groups.
