World Wide Moving Systems has the background and experience moving libraries

On an ongoing basis Saint Vrain School Districts contracts with us on the renovation of the districts schools. The scope of work is very similar to the Pitkin County Library project. Worldwide Moving removes from the school all the equipment, furniture, desks, classroom materials, and if the school has one the library. When a Middle school is renovated the library is significant in volume. We provide and adapt to the needs of the project, however and whenever things arise. Upon completion of the renovation we return, from where the goods are stored, the furniture, equipment, desks classroom materials and work with the teachers in the classrooms if desired. If new installtions are needed we provide those services. Finally, the returning library collection materials are placed where required. Worldwide Moving has completed reinstallation work on a very tight time line for having the school ready opening day.

The Longmont Museum & Culture Center moved its entire collection, dating back to the early 1900’s from the old Longmont Newspaper, to the Longmont Museum during the summer of 2014 with Worldwide Moving Systems

The Air Force Academy Cadet graduation move is part of the primer public function of the Academy. Worldwide Moving is literally in a fish bowl as we process and pack the Cadets for moving there personal items and gear that is being moved and stored for deployment. The Cadets are housed in two different dorms. Worldwide Moving sets up a moving location at each dorm. At each location three staging stations are set up along with a check in area for paper work pickup. The three stations have a table used to record the items being moved and a place for a pallet that is used for moving the Gaylord box that is placed on the pallet. The inventory is recorded by a Worldwide moving clerk, 3 crew members box and pack the Cadets goods. Upon completion of boxing and packing the pallet is moved to area for banning and sealing the shipment. A copy of the inventory is given to the Cadet, one is placed in the shipment, and one goes into the cadets file. The shipment is banned and seals are attached that the Cadet signs. After banning the shipment is loaded into a trailer for moving into storage at Worldwide Moving warehouse. When the trailer is full It is moved to an onsite location for transportation to Longmont and an empty trailer is brought back. There are two trailers at each location so that continues loading can occur. 6 packing location with 3 man crews at each 6 Inventory locations with 2 clerks at each 2 Cadet check in stations with one clerk each 2 banning locations with two man crews 2 trailer loading locations with two man crews 2 Box assembly locations with one man crew 2 trailer locations with two Drivers moving and staging trailers onsite 2 Drivers Moving Trailer to and empty from Longmont. 1 onsite computer and printer for Cadet Order Changes and additional Cadets Moving This is a very complex move that requires 47 personal to complete

Worldwide Moving has the ability to put 8 moving crews out daily. Military shipments are based on our acceptance of the offer, so we plan way ahead for those. We also have our Interstate Drivers all over the county. As a policy we won’t over book, it doesn’t pay to so. Project Team

Survey of Existing Items: For Library moves Worldwide Moving Systems uses NetMove software developed for North American agents as a tool for Identifying, Inventorying, measuring and labeling items to be moved. The Software Program will be set up after the premove meeting with Pitkin County Project Manager and Invested Personal that occurs three weeks prior to move. The Software will material identify the Library’s material types to be inventoried and either tagged or labeled. This Library material types consists of at least the following. 1.Print 2.Books 3.DVDs 4.CDs 5.LPs 6.Cassettes 7.Scores, Magazines & MAA programs 8. Other types. The software will develop folders for crew team leaders to be able to record and tag or label items for tracking. By having the onsite Computer – Printer system in place PCL staff can assistance in making sure of an accurate move accounting of library collection materials and controlling the Move

Tab 5 – Design Move Plan Move Method - Control the Move Don’t Let the Move Control You

A meeting with Pitkin County Project Manager, PCL supervisors and other Personal Representatives will be set three weeks prior to move. Worldwide Moving move method involves three man crews for identifying and moving the items. Two man crews for disassembly and assembly. Two man crews for truck loading and unloading, and drivers for transportation. At this meeting Gary & Jeannie will have the goal of setting the complete schedule, discuss and affirm the Identified Work Process we propose a 3 day disassembly and reassembly of materials and good being moved to temporary Library location using all 22 Worldwide Moving personal, and address any concerns. Finally, to achieve our goal we need to make sure we have communicated and educated ourselves and those involved about the move process and expectations. Best move practices for moving a library of this size and scope will be discussed. Gary & Jeannie will visit the three locations. In Moving The Library collection materials Worldwide Moving proposes using 30 library carts, and trucks with lift gates, for moving books from the Library location to the Temporary Library location. This system of moving books from point A to point B has worked well before when no storage time is involved. The books that are going to storage will be boxed. Periodicals will be boxed if not going to Temporary Library location. CDs DVDs LPs and Cassetts are best moved, even if going to storage, using plastic move totes known as E-crate. Magazines, Scores & MMA programs, and Newspapers are best moved by E-crate and not boxed. All of the library collection materials, except books that are being moved using library carts, will be moved using pallets and loaded into the trucks using the trucks lift gates. All library collection materials will be shrink wrapped on the pallet for safety and damage prevention during the moves and while in storage

Immediately after the initial meeting the setup of the Software will be completed and the materials needed for inventory and the move ordered. Two weeks prior to move the system inventory setup will be send to PCL supervisors for review and input

Immediately after the meeting Worldwide Moving will place the move on the schedule and allocate 4 straight trucks with lift gates 2 Supervisors, 1 data clerk, 6 Team leaders, 3 drivers, 10 labors for the move dates

One Week Prior To Move Worldwide Moving will deliver all materials needed for Pitkin County Library personal and vendors for Move. Gary will meet with the Project Manager and PC Library’s staff to discuss move, educate on what to expect, listen to and receive feedback from PCL staff and address concerns.

The move will have 3 man teams for moving Library collection materials, 4-2 man crews for disassembly and assembly of shelving, equipment and furnishing, 2- 2 Driver and 2 loaders for two trucks at library site, 2 - 2 man unloaders at Temporary site

Goal one is to disassembly any shelving needed at temporary location and reassembly at temporary location, move furnishing and equipment needed at temporary site location, and move to temporary library the identified material that are needed. Communication and coordination of crew teams using best practices needs to happen to get the collection from here (the Library) to there (The Temporary Library ) Supervisor coordination of crew teams utilizing the help of PCL staff is critical to obtain best practice result. Worldwide Moving would like to use Library carts for moving books to temporary Library location. All other materials and items will be boxed

Move Pitkin County Library remaining furnishing, equipment and Library collection items to storage. – 3 days

The process and methods will be much the same for when the renovation is completed with modifications for lessions learned during first relocation and discussed at the three week premove meeting in the fall. Tab 5 - Pre- Move Preparations - Planning for Success

A Three Weeks Prior – Meet with Pitkin County Project Manager and Invested Personal Identify and obtain permits necessary for move equipment Set Work Schedule Order materials needed B Two Weeks Prior - Print Labels, tags and files for move C One Week Prior - Delivery of moving materials for staff Gary will meeting with Project Manager and Library Staff D One Day Prior - Monday delivery of set up equipment, materials and computer system. Gary will meet with Library Staff communicating the move process, describe the different crew types they will be seeing, who will be Worldwide Moving onsite supervisors at the two locations, and roles the PCL staff have in the move. Answer any questions that arise. Prep both sites for wall, floor, and railing damage prevention. Stage boxes, tape and E-crates materials for Library Collection . Make sure sites are ready for Move

Tab 5 – On- Site Supervision Gary – Jeannie Team Coordination Critical

A Each site location will be manned by a supervisor which will be Gary Buchholtz at the move to location and Jeannie at the move from location as the move progress B Each of the two move locations will have 3 man crews for accurate recording of the library collection and identifying location of Library collection items. The crew consists of a Team Leader and two labors. Each Team Leader is experienced on this type of move, will recognize problems if they should arise, and will be knowledgeable in how to ask library staff for their guidance. There will be at least 5 three man crews at all times C Each of the two move locations will have two man crews for disassembly and reassembly. D Each location will have 2- 2 man truck crews for loading and unloading E Each location will have 2 trucks that will be staged at the Library location and 2 located offsite close to the Library at the start. F Team coordination is critical on a multi-level building move of this scope. Crew allocation and job description for each segment of the move is a must. Adapting to the different situations that arise requires being able to have enough experienced personal that can be reassigned to deal with problems that can arise.

Tab 5 – Post Move Consultation NetMove Software Worldwide Moving Systems software is a vertical system where all applications of the software work together. Therefore, we can provide all parts of the Moves cost, charges, segment areas and invoices. Vanliner Insurance Company is who Worldwide Moving Systems is covered by, and there protocol is that any potential claim must be reported within 48 hours. There are only 36 present North American Agents that qualify and are in the Gold Risk Group. Worldwide Moving Systems is one of them.

Tab 5 – Tracking Adaptable Moving Approach Worldwide Moving Systems was contracted by Ameristar Casino Resort Spa to install the box springs and mattress as part of the installation for the 26 story Resort prior to opening. The Mattress installation had to be done between 6:00 pm and 7:00 am using only one freight elevator and one dock. Communication and coordination between the dock and hotel floor being delivered to with the one freight elevator was challenging. Getting the right size and type of box springs and mattress to the different type of rooms required accurate crew allocations to utilize the small dock space and time constraint to unload the trailer, load the elevator and unload the elevator. Worldwide Moving Systems has learned that each project has to have a planned approach to be able to control the move. Having an adaptable move method is an important part of doing a library move of this scope

Tab 5 – Current Workload Love The Project Worldwide Moving Systems has once again been honored with the contract to pack and move into Worldwide Moving storage until their deployment the graduating class of the Air Force Academy May 18 thru May 21 Currently provide Colorado State University football team game day equipment moving at home and away Fall 2015

Tab 5 - Schedule and Budget Who you going to call The last 10 projects we have done have all been completed on time. 8 of our last 10 projects were by contract. St Vrain School District is by a set hourly rate. Air Force Academy is buy contracted weight rates and storage rates. CSU football team equipment can’t be late and hasn’t been for the last six years that we have been doing there moves. Same with the Air Force Academy. We are JPPSO go to provider when they need something done right away and done right.

Tab 5 PCL Assistance Can they box just kidding Input on what PCL staff need at the premove meeting is key to our success. How the inventory tracking system is set up needs to match what the Library Staff uses and can assist us in making sure we are keeping track of everything properly. The Air Force Academy has two onsite QA people that is huge in helping us stay on track. Worldwide Moving Systems will not be using any affiliates, partners or sub-contractors in the execution of the contract. The Project will be done completely by Worldwide Moving Systems personal.

Hi. I wanted to nominate worldwide Agerrcy code 1861 for, the power of blue. r driver left a few items at their warehouse by mir;take and they went above and beyo to get the items to the customer with no charge back to driver. The customer realiy nted the bird bath because it was sentimental. I am so glad to work for Norlh Americ-an with agencies like Worldwide.

As a small token of our appreciation, we have enclosed a "pay it forward" gift box. we encourage you to take a few items for yourself and hand out the remaining items to rs that have helped you along the way, to continue the culture of "pay it forward".-
