St. Patrick’s Episcopal Church Vestry Regular Monthly Meeting Minutes March 24, 2021

This virtual meeting was conducted via Zoom.

Those who were in attendance: Greg McIntyre-Rector, Cady Warner-Senior Warden, Ginger Missert-Junior Warden, Hollis Adams, Scott Laughinghouse, Jay Maddocks, Jennifer Shubert, Denise Watson, Bob Berini-Treasurer, and Mary Bilmanis-Clerk to the Vestry. Those who were absent: Charley Patterson and Emily Privette.

This meeting was opened with prayer led by Fr. Greg at 6:33 PM.

I. Rector’s Report • Fr. Greg gave thanks for the St. Patrick’s Day Celebration service and music. He gave special thanks to Jayne and Randall Sprinkle, accompanists Musically Yours, and Joe Konen. Attendance at the Sidewalk Communion was the highest to date. • Highlighting the closing of his sermon on March 21 he expressed his desire that our congregation’s members and leaders embrace our differences and work together to effectively and efficiently create a safe space to serve our community. • With improving Covid statistics, St. Patrick’s can return to Phase 2 of the Diocesan Covid Safety Guidelines. Under these guidelines twenty-five people (including service participants) can meet in-person indoors and fifty can meet outdoors. The regathering committee is working on how to safely proceed. • The schedule of services is: All indoor in-person services are limited to twenty-five in attendance. However, for Sunday services the Bishops will allow larger in-person indoor and outdoor attendance. o 8:00 AM indoor in-person worship March 28 palm will be filmed and inserted into 10:30 live streamed service 10:30 AM indoor in-person and live streamed with music. Sidewalk Communion will follow. o 7:00 PM in-person traditional Maundy April 1 Thursday worship service 8:00 PM-8:00 AM Night Watch vigil, in-person and live streamed o Noon in-person and live streamed April 2 Stations of the Cross 7:00 PM in-person and live streamed Good Friday Liturgy

o Easter Sunday 8:00 AM indoor in-person worship Attendance limited to 40 persons 10:30 AM indoor in-person worship (limited to 40 persons) and live streamed. Sidewalk communion will follow this service. Noon outdoor in-person worship Easter will follow this service. A later service may be added if needed. • A video and instructions for holding an in-home Seder meal will be provided to anyone interested. Please see the March 25 Weekly News for information. • Current Diocesan Covid safety guidelines do not allow for nursery/childcare during church services. • The roles of acolytes and lay readers are being restored to services on a limited basis, based on guidelines from the Diocese.

II. Finance Report The Finance Committee met on March 23. Please see the Finance report attached. They also discussed the Building and Grounds Committee’s report on the roof replacement. (See Section III below.)

III. Roof Replacement Report Jay reported on the progress of replacement of the flat portion of the church’s roof which is above the narthex and offices. The Building and Grounds Committee requested bids for this project from five vendors. Two companies returned bids for consideration. These bids were reviewed and presented to the Finance Committee. B&G suggested that the bid from Race City Roofing be accepted and the Finance Committee concurred. Ginger reported that the Finance Committee recommended that a 10% contingency be added to the total price of the bid. Ginger moved to accept the bid from Race City Roofing with a 10% contingency added. Jennifer seconded the motion. During discussion it was suggested that the contingency addition be raised to $2500. Ginger stated that the Finance Committee’s contingency recommendation was actually $2000. Ginger amended her motion to accept the Race City Roofing bid with a $2000 contingency available. Denise seconded this motion and the motion was unanimously approved. Jay hopes to have the work begin at a time that would not interfere with Easter celebrations and anticipates the work will be completed in one day.

IV. Vestry Retreat The Vestry Retreat will be held March 27 from 9 AM – 3 PM. The plan is to meet in-person following Covid precautions. A Zoom option will be available. The meeting is scheduled to include two sessions and a lunch break. Cady is working on an agenda with input from Vestry members and Fr. Greg. Agenda items will include a discussion, facilitated by Elizabeth Pierce, of rewriting the Vestry Covenant, a second look at last year’s goals, and strategic planning for the year ahead.

V. Other Business • Ginger reported that St. Patrick’s application for a second Paycheck Protection Plan loan has been approved. This loan will help to reopen the Preschool. Loan forgiveness for the first PPP loan has not yet been received but is expected. • Cady shared that planning for the reopening of the Preschool is underway. • Jennifer suggested that the Church’s annual calendar be opened to start scheduling church events.

VI. Next Meeting / Adjournment The next Vestry Meeting will be April 14 at 6:30 PM. This meeting was adjourned at 7:27 PM.

Children, Youth and Family Ministry Report

Recap and what’s upcoming: February/March: • Children • K-5th is meeting on Sunday afternoons at 1:00 pm outside at the church for Sunday School and participating in the Superbook series. • Looking ahead: Planning is almost done for when we are able to gather for in person worship. More to come on those guidelines. • Youth • 6-8th is meeting on Sundays at 5 pm and Tuesdays at 7 pm via Zoom. • Working through the Bible Project series. • 9th-12th is meeting on Sundays at 6 pm and Wednesdays at 7 pm via Zoom. • Working through the Bible Project series and continuing to learn about the Episcopal Church. • Looking ahead: Andrew is working on planning what kind of activities the Youth could entertain and get involved in once we are able to volunteer under the diocesan COVID guidelines. • Family • Bible Study Monday nights at 8:00 via Zoom – all are welcome! • Looking ahead: Andrew is finalizing some different ways we can gather while following COVID guidelines.

Preschool Update: • We are open for summer and fall enrollment! • Preparing to work on reopening plan for the preschool.

• Assisted Kat Sykes with Weekly News articles, on the Labyrinth and Stations of the Cross. Worked with Father Greg McIntyre and Kat Sykes on the Outdoor Offerings in Lent video. • Currently working on the Easter postcard. • Steve Messick continues to update and refresh our website.

Finance

Finance Report – March 24, 2021 February financials show the church $4,847 below budget. $8,950 decrease is due to pledges/regular contributions down from February budget. This appears to be due to timing of pledge payments but needs to be monitored closely. Committee expenses are running behind budget which appears to be a timing issue at this time. This results in a positive variance of $3,190. Jay Maddocks, representing Building and Grounds, presented a project proposal for the flat portion of the roof to the Finance Committee. The Finance Committee agreed with this proposal of $19,640 and suggested $2,000 additional for project contingencies. This should be funded with capital asset reserve funds. The church has been approved for a second PPP loan. The funds should be received soon. Parish Life

Due to Covid restrictions, we have been unable to meet in person. This has resulted in no activities for Parish Life.

With vaccinations in process, we look forward to creative ways to begin meeting in person.

March 24, 2021 Parish Life Ministry Report

We distributed St Patrick’s Day cookies during Outdoor Communion on Sunday March 14th. We ordered 50 cookies and distributed approximately 35-40. The remainder was provided to the Youth Group that evening. This was funded by the St Patricks Day designated funds.

We have ordered 200 Hot Cross Buns for distribution on Easter Sunday. This will be funded by the Parish Life Ministry.

With vaccinations in process, we look forward to creative ways to begin meeting in person.

Stewardship March 24, 2021

Stewardship Report

The language for the anonymous gift announcement was reviewed by the Stewardship committee and the Vestry members. Recommended edits were made to the document, and the vestry approved the final document on 10Mar2021. The announcement was sent out via mail to St. Patrick’s parishioners the week of 15Mar2021.

Emily met with the former Stewardship chair, Pat Patterson, in early March for debriefing.

The second “60 Seconds of Gratitude” video clip will air after the Facebook Live service on 28Mar2021.

In April, Stewardship will hold its first book giveaway in collaboration with the Communications team. The featured book will be “The Book of Joy” by the Dalai Lama and Desmond Tutu.
