3. GETTTING STARTED

Welcome to the world of PostMaster Enterprise™, a streamlined ‘Internet Productivity Suite’, that enables you to set up, monitor and refine the processes in your organization, that use the Internet as a medium of communication.

PostMaster EnterpriseTM works over any type of Internet connection, even a dial-up connection. It can be installed on any one computer on your LAN.

 If you are using dial-up access for the Internet, the modem should also be connected to this computer.

3.1 Logging into PostMaster Enterprise™

PostMaster Enterprise™ is a browser-based application. The user needs to login to PostMaster Enterprise™ to setup, configure and manage all the Internet productivity features provided by it.

To login to PostMaster Enterprise™:

1. Invoke the browser. You can use any one of the browsers listed in to work with PostMaster Enterprise™.

2. Type the IP Address of the computer on which PostMaster Enterprise™ is installed.

 If PostMaster Enterprise™ is running on a machine with an IP address of 192.168.0.1, type 192.168.0.1 in the address bar of the browser.

 If the IP address of the PostMaster Enterprise™ computer were 192.168.0.1 and the HTTP Server of PostMaster Enterprise™ is running on port other than 80 (the default HTTP port) say 8000, you would type http:// 192.168.0.10:8000.

 You can login to PostMaster Enterprise from the same machine on which PostMaster Enterprise™ is running or any other machine in the LAN. This facilitates remote administration of PostMaster Enterprise.

3. Click Go or press . The PostMaster Enterprise™ login page is displayed.

4. Type the Username and Password.

5. Click Login. The PostMaster Enterprise™ Console is displayed.

3.2 The PostMaster Enterprise™ Home Page - Console

After the user has logged in, the PostMaster Enterprise™ home page is displayed.

The Header Pane of the PostMaster Enterprise™ home page has links the user can select to navigate to the desired interface.

 WebMail Clicking WebMail takes the user to the Inbox page of PostMaster Enterprise™ WebMail. WebMail enables user to send, receive and manage e-mails using a web browser instead of an e-mail client (Eudora, Outlook etc.).

 WebCal This module is currently unavailable. On installation of the module, this link will be activated. Any module, which is currently not available, is shown with a deactivated link.

 Mailing List Clicking Mailing List displays the Mailing List startup interface.

 Archive Clicking Archive displays the Archive home page.

 Lock

 Help Clicking Help displays online PostMaster Enterprise™ help.

 About Clicking About displays information about the version of PostMaster Enterprise™ installed as well as all the licensing information.

4. WEBMAIL

The WebMail module in PostMaster Enterprise™ enables users to access their e-mail from anywhere on the network by simply accessing the PostMaster Enterprise™ computer using a normal web browser like Internet Explorer or Netscape Navigator. WebMail enables users to send, receive, and manage e-mails using a web browser instead of an e-mail client.

4.1 Accessing WebMail

To access WebMail:

1. Invoke the browser. You can use any one of the browsers listed in System Requirements to work with PostMaster Enterprise™.

2. Type the IP Address of the computer on which PostMaster Enterprise™ is installed.

 If the IP address of the PostMaster Enterprise™ computer were 192.168.0.10, you would type http:// 192.168.0.10.

 If the IP address of the PostMaster Enterprise™ computer were 192.168.0.10 and the HTTP Server of PostMaster Enterprise™ is running on port other than 80 (the default HTTP port) say 8000, you would type http:// 192.168.0.10:8000.

 You can login to PostMaster Enterprise from the same machine on which PostMaster Enterprise™ is running or any other machine in the LAN. This facilitates remote access of PostMaster Enterprise WebMail.

3. Click Go or press Enter. The PostMaster Enterprise™ Login page is displayed.

4. Type the User Name and Password.

5. Click Login. If the User Name and Password are authentic, the PostMaster Enterprise™ Home page is displayed.

6. If you are logged in as Administrator then click the Swtich to User View on top right of the PostMaster Enterprise™ home page. The Webmail page is displayed (It is a default page if logged in as user). Refer Figure 4-3.

4.2 Understanding the WebMail Interface

The User interface comprises the following panes:

4.2.1 Header Pane

This pane displays the name of the User. It also has links which user can select to navigate to the desired interface:

 QuickMsg: Clicking QuickMsg on the header pane displays the PostMaster Enterprise™ QuickMsg window. Quick messaging enables users to send almost instant messages to other users on the network.

 WebMail Clicking WebMail takes the user to the Inbox page of PostMaster Enterprise™ WebMail. WebMail enables user to send, receive and manage e-mails using a web browser instead of an e-mail client (Eudora, Outlook etc.).

In addition, Header Pane also displays some menu items. These items are the most commonly used features in WebMail and hence are available from anywhere in the WebMail:

 Check Mail: Clicking Check Mail displays the Inbox on refreshing it with new e-mail received by the user.

 New Mail: Clicking New Mail displays the Compose Message page.

 Reply: Clicking Reply displays five options:

a) Reply to All – To send mails to all addresses in To and Cc fields or original mail.

b) Forward – To forward orginal mail to the intended addresses.

c) Fwd as Attachment – To save orginal mail as .eml file and send as attachment in the new mail; Subject in new mail is same as in original mail; and sent to the intended addresses.

d) Resend – The sent mail is resend as new mail with no reply (RE: ) or Forward (FW: ) indicators with orginal subject and recipients.

e) Redirect – This option is used to redirect orginal mail to a another address, with subject, To, Cc as orginal, only from will be same as orginal with re-mark of re-director or local-user, e.g From: Sharad Popli (by way of Cyrus Lentin )

 Actions: Clicking Actions displays the various actions that can be performed on the mail. The actions are Mark as Read, Mark as Unread, Flag, Unflag, Archive, Validate, Delete and Empty.

 Move To: Clicking Move To displays the various folders in which the mail can be moved from the Inbox. The folders are Drafts, Sent Items, Spam or Trash.

 On the Right hand side, the search Pane is displayed.

4.2.2 Menu Pane

This section contains a menu list. Clicking any menu item on the Menu pane, displays the corresponding page in the Content pane on right.

The Menu pane comprises:

 List of folders containing mail messages

 Personal Folders

 User level AntiSpam settings

 Options for customizing mailbox, user profile, automatic processing of mails, saving contacts etc.

 Miscellaneos options

 Address Books

4.2.3 Content Pane

The page displayed is different for each menu item selected from the menu pane.

4.3 E-mail Operations

PostMaster Enterprise™ WebMail, brings to you the complete capability for handling all mail related requirements and more. The following are salient features of the PostMaster Enterprise™ WebMail:

 Requires no installation, no data is saved locally.

 PostMaster Enterprise™ WebMail reads mail "directly" from PME- Mail server. Access is very fast.

 Allows you to access your mailbox from anywhere in the Local Area Network. If the PostMaster Enterprise™ servers are running with a machine using Internet IP Address, then WebMail can be accessed from anywhere in the world over the Internet.

 Supports multiple user-defined folders.

 Supports viewing of mail in HTML format, showing images in-line.

 Supports saving of the email or the attachments as required.

 The built-in mail editor enables you to compose and send new mail (in HTML format with later version of browsers) with or without file attachments, reply to, forward and re-direct received mail.

 The built-in address book manager allows you to easily maintain you contact database.

 Powerful search facility allows you to search any mail in a folder based on key words.

Using PostMaster Enterprise™ WebMail as an email client, we can classify operations in the following categories:

4.3.1 E-mail Folders

The Menu pane displays two types of folders as follows:

System folders

The system folders are Inbox, Sent, Drafts, Spam, and Trash. You cannot move, rename, or delete these folders. You can move the mails in these folders to some other system folder or personal folders.

System folders are always displayed at the top of your folder list, followed by any folders you create.

The System folders and their contents are as follows:

 Inbox : Contains all new messages received by a user

 Sent : Contains a copy of sent messages

 Drafts :Contains messages saved for future dispatch

 Spam :Contains messages which are tagged as Spam if the AntiSpam service is licensed and being used.

 Trash : Contains all deleted messages

Personal folders

Users can organize their messages in folders defined as personal folders. It gives a comprehensive view of all the personal folders and Managing them. Any personal folders that you create appears below the default folders. You can create new personal folders. You can also rename and delete personal folders. When you delete a personal folder, you delete all the emails in the folder.

4.3.2 Folder Operations

You can perform various actions on the different types of folders available in Webmail.

Viewing Information of All Folders

To view information about all folders:

1. Click Manage Folders on the Menu pane. The Manage Folders page is displayed. Refer Figure 4-4.

The following details are displayed:

Field Field Description

Quota Displays Enabled if the mailbox quota has been set by the administrator, else it displays N/A.

Allotted Displays the mailbox quota defined for the user if mailbox quota has been set by the administrator, else it displays N/A.

Used Displays the mailbox quota that is already utilized by

Free Displays the mailbox quota that is still available for use.

Folders This column displays the names of all the system and user defined folders.

 Click on a folder name to view messages within that folder.

Size This column displays the total size of messages of all the messages contained in each folder.

Total This column displays the number of messages that the respective folders contain

Unread This column displays the number of unread messages that the respective folders contain.

Creating a New Folder

In addition to the system defined folders you may want to create new folders for personal use.

To create a new folder:

1. Type a name for the folder in the text box next to Create New Folder on the Folders page. Refer Figure 4-4.

2. Click Create. The folder name is displayed in the Folders column.

Renaming a Folder

To rename a folder:

1. Select a folder name from the Folders list in the Rename Folder section on the Folders page. Refer Figure 4-4.

2. Type a new name for the folder in the To text box.

3. Click Rename. The new name of the folder is displayed in the Folders column.

 Only user defined folders can be renamed. The Inbox, Drafts, Trash, Sent and Spam folders cannot be renamed.

Deleting a Folder

To delete a folder:

1. Select a folder name from the Folders list in the Delete Folder section on the Folders page. Refer Figure 4-4.

2. Click Delete. The folder details are removed from the Folders page.

 Only user defined folders can be deleted. The Inbox, Drafts, Trash, Sent and Spam folders cannot be deleted.

Viewing Information of Personal Folders

In addition to the system folders, users can create personal folders.

To view information of personal folders:

1. Click Personal on the menu pane.

2. Click Manage Folders. The Folders page is displayed. Refer Figure 4-5.

The following details are displayed:

Field Field Description

Folders Displays the entire list of user-defined folders.

 Click on a folder name to view messages within that folder.

Size This column displays the total size of all the messages contained in each folder.

Total This column displays the number of messages that the respective folders contain

Unread This column displays the number of unread messages that the respective folders contain.

 You can also create, rename, and delete personal folders on the Personal Folders page.for respective tasks.

4.3.3 Message Operations

Inbox, Drafts, Sent, Spam and Trash all these folders contain messages. The Content pane displays list of messages when you click any of the folder name from Menu pane. Refer Figure 4-6.

Understanding Displayed Information

The information about messages in any folder is presented in four columns.

Field Field Description

From/ To Displays the name and e-mail address of sender.

For the Sent folder this column displays the name of the Recipient/s

Date Displays the date on which the message was sent.

Subject Displays subject of the mail.

Size Displays Size of the mail.

The Inbox page may display the following icons:

This icon indicates an unread message.

This icon indicates the message has an attachment.

This icon appears when the subject line of a message is too long for the Subject column. To view the entire subject, place your mouse over this icon.

 You can sort the list by any of the column heading in ascending or descending order. The arrowhead at column heading indicates that messages are sorted by that heading. The upward arrow near column heading indicates the list is in ascending order and downward arrow indicates the descending order. Click on the column heading to sort the list by column heading or to toggle the order

Navigating on a Page

If the list of messages fits on more than one page, then a page navigator is displayed to the top right corner.

To navigate on a page:

1. Click the arrow icons as indicated.

2. Type the page you want to navigate to in the Go to page text box and click -> icon.

Composing a Message

To compose a message:

1. Click the New Mail icon and select New Mail on the Header pane. The Compose Message page is displayed.

The PostMaster Enterprise™ WebMail supports two modes for composing mail:

 Text Mode: Allows only plain text while composing mails

 HTML Mode: Allows rich text and image inserts while composing mails

 For two different modes two different Compose Message pages are displayed.

 You can set the Compose Mail Format in Preferences. Refer Configuring User level Preferences. If Text Mode is selected, New Mail page is always in Text mode.

However, if HTML is selected then your browser needs to support HTML editing (for IE - 5.5 and above). If browser supports HTML mode and you have selected HTML mode, then New Mail page is in HTML else it will be Text.

Field Field Description

From Select an e-mail address from this list.

 The From list may display multiple e-mail addresses if your account is mapped to multiple email addressed. In this case, select the required e-mail address.

To Type the e-mail address of the recipient/s in this text box.

 You cannot send a message if the To field is left empty.

Cc Type the e-mail address of the other recipient/s to whom (Carbon you want to send a carbon copy of the message in this copy) text box.

Bcc Type the e-mail address of the other recipient/s to whom (Blank carbon you want to send a blank carbon copy of the message in copy) this text box.

 The e-mail address typed in this text box will not appear to the other recipients of the e-mail when they receive it.

Subject Type an appropriate subject for the message here.

Address Book Click on the Address Book link to pop-up the Address Window. The Address window shows three address books: All, Global, Local, and Personal. Click any one to view the addresses in it. You can then select an address and click To, Cc or Bcc to add it to the required field.

 Whenever you click Address List, Personal address book is displayed by default in the window

Save a copy Select this check box if you want to save a copy of the in Sent folder message in the Sent folder.

4. The options for formatting the text are similar to those in any standard text editor

5. Format the text by clicking any desired option from Formatting Bar. Select the text before using any formatting option. For selecting text use options available in path at the bottom of text box.

 When you are composing a mail in TEXT mode, the formatting bar is NOT visible.

6. If you want to send the message instantly click Send.

7. Click SEND LATER if you want to save the message in the Drafts folder and send the message later.

8. Click Discard if you want to delete the message.

Adding Attachments to a Message

To add attachments to a message:

1. On the Compose Message page, click Attach a File. The Attachments window is displayed. Refer Figure 4-10.

3. Select a file.

4. Click Open on the Choose File dialog.

5. Click Add. The attached file is displayed on the Attachments page.

6. Click Confirm if you don’t want to attach any more files and return to the Compose Message page.

Viewing a Message

To view message from any folder:

1. Double-click the appropriate message. Refer Figure 4-11.

On the View Message page you can:

 Navigate to an earlier message by clicking Previous.

 Reply to the sender of the message by clicking Reply.

 Forward the message to one or more recipients by clicking Forward.

 Send a reply to everyone in the To and Cc lists by clicking ReplyAll.

 More Actions a) Fwd as Attachment – To save orginal mail as .eml file and send as attachment in the new mail; Subject in new mail is same as in original mail; and sent to the intended addresses. b) Resend – The sent mail is resend as new mail with no reply (RE: ) or Forward (FW: ) indicators with orginal subject and recipients. c) Redirect – This option is used to redirect orginal mail to a another address, with subject, To, Cc as orginal, only from will be same as orginal with re-mark of re-director or local-user, e.g From: Sharad Popli (by way of Cyrus Lentin )

 Delete the message by clicking Delete.

 Navigate to the next message by clicking Next.

The View Message page also displays a set of icons in the top right corner of the page. Refer Figure 4-12. They are as follows:

This icon is displayed only to the administrator. Clicking it adds the sender’s address to the Global address book.

Clicking this icon adds the sender’s address to the user’s Personal address book.

Clicking this icon displays the message in a printable format.

Clicking this icon allows you the save the message in .eml format.

Clicking this icon shows the message with all the mail headers.

Deleting a Message

To delete a message:

1. Select the check box corresponding to the message.

2. Click the Actions icon and select Delete.

Deleting a Message as Spam

Sometimes users may want to delete e-mail they receive after indicating that the e-mail they are deleting is Spam.

To delete a message as spam:

1. Select the check box corresponding to the message.

2. Click the Move To icon and select Spam. The message is reclassified as Spam.

3. Select the check box corresponding to the spam mail which is to be deleted manually.

4. In the Actions drop-down list, click Delete. The message is deleted from the current folder.

Moving a Message to the Desired Folder

To move a message to the desired folder:

1. Select the check box corresponding to the message. Refer Figure 4-11.

2. Click the desired folder name from the Move To list. The selected message/s are moved to the desired folder and are removed from the list on the page.

Searching Specific Messages

You may want to list messages based on a criterion; for example, messages received from a particular sender or having a particular subject.

1. The Search dialog box is displayed.

3. Choose the desired field for searching the keyword from the fields list.

4. Click the search icon to see the search results in the top section of the page. The messages, which meet the search criteria, are displayed in the Folder List.

Emptying the Trash Folder

To empty trash:

1. On the Trash page, from the Actions list, click Empty.

Viewing Spam Mails

Unsolicited e-mail and messages with objectionable matter are termed as Spam. All such mails can be filtered and stored into Spam folder. A user can review them and reclassify as NoSpam mails if required.

To view Spam mails:

1. Click Spam on the Menu pane. The Spam folder page is displayed. Refer Figure 4-14.

3. Select the check box for any message

4. From the Actions list, Click Delete if the message is Spam. The message is removed from the list and displayed in Trash folder.

OR Click NonSpam if the message is nonspam. The message is displayed in Inbox folder.

4.4 Working with Spool

The Spool section allows you to review messages that requires moderation, or those are restricted and requires action, also to review workflow documents which requires approval or rejection such as, Leave Application, Payment Voucher, Material Requisition, Gate Pass Request, Advance Request, and Travel Booking Request.

4.5 AntiSpam Service

Unsolicited e-mail and messages with objectionable matter has become a serious problem for organizations. The PostMaster Enterprise™ AntiSpam plug-in offers comprehensive protection from spam.

t You need to procure a license for the AntiSpam plug-in, to be able to use the AntiSpam service.

4.5.1 Using the AntiSpam Service

If you are using the PostMaster Enterprise™ AntiSpam Service, then it is imperative you are aware of the facilities the AntiSpam offers you and understand the way AntiSpam maintain statistics for your account as well as the global level.

Configuring User Level AntiSpam Settings

To configure AntiSpam settings:

1. Click AntiSpam on the side panel. The AntiSpam page is displayed. Refer Figure 4-18.

Subject Line Select the check box for this field if you want a Classification spam mail to be tagged as spam by inserting the text “*SPAM*” in the subject line of the mail.

Spam Mail In POP3 This field helps you filter all the spam mails coming to your email client through the PME-Mail POP3

Field Field Description Server. Select the check box if you want to receive all mails (spam/ nonspam). Clear the check box to receive only the non-spam mails and PME-Mail will retain spam mails.

Delete Spam Mails If you have chosen not to receive spam mails through POP3 then you could optionally delete all spam mails automatically. Select the check box for this field to delete all spam mails automatically.

Delete Spam Mails Set the time interval (in days) after you want the in Interval spam mails (which were retained on the server) to be automatically deleted. The maximum period is mentioned in brackets.

3. Click Confirm to enable the settings.

Viewing AntiSpam Statistics

To view AntiSpam statistics:

1. Click AntiSpam on the menu pane. The AntiSpam page is displayed. Refer Figure 4-18.

The following fields are displayed for the user under Details for the user:

Processed This field displays the number of incoming messages processed by the AntiSpam service.

Spam This field displays the number of incoming messages tagged as spam by the AntiSpam service.

Clean This field displays the number of incoming messages tagged as non-spam by the AntiSpam service.

Errors This field displays the number of errors (False Positives/ False Negatives) or wrong classification as done by the AntiSpam service.

 False Positive error means a Spam mail is classified as NonSpam by the AntiSpam Services.

Accuracy This field displays accuracy of the AntiSpam service.

Filtered as NONSPAM Displays total number of mails that are filtered as a NonSpam for the user

Filtered as SPAM Displays total number of mails that are filtered as a spam for the user.

4.5.2 Reclassifying Mails

Reclassification provides a mechanism to inform the AntiSpam service that some mails were classified wrongly. It is possible that Spam Mails could get classified as "NonSpam" and vice-versa. It is required that the users reclassify the mails that were classified wrongly.

Reclassification is a collaborative effort. Any user who receives mail/s that were wrongly classified can reclassify those mails. In an organization many users receive the same mail. So when one user reclassifies mails, the effects of the reclassification are available to all the users. Hence, the entire organization benefits from a reclassification of a message.

Mail ™ AntiSpam maintains a history of all the mails received by the users. This facilitates reclassification of mails by an user.

Reclassification Request via WebMail

To reclassify mails via WebMail:

1. Click Reclassify on the menu pane. The Reclassify page is displayed. Refer Figure 4-19.

2. It displays the list of messages pending for reclassification. The page shows following information about each message:

Field Field Description

From Displays the name and email-ID of sender

Date Displays the date on which the message is sent

Subject Displays subject line of the message

Action Displays list of actions which you can take for the message

3. The Reclassify page may display the following icons:

- This icon indicates an unread message.

- This icon indicates a Spam message.

- This icon indicates a NonSpam message.

 You can search for the specific mail as you would for any WebMail folder. Refer



 Searching Specific Messages. You may also examine the messages displayed by viewing the message. Refer Viewing a Message.

4. Select the Action drop down list corresponding to the mail you want to reclassify. For a NonSpam Mail the following options are available

Spam Reclassify the mail as Spam

Spam+UGBL Reclassify the mail as Spam + Update Users’ Filters

Spam+GGBL Reclassify the mail as Spam + Update Global Filters

For a Spam Mail the following options are available

NoSpam Reclassify the mail as NonSpam

NoSpam+UGBL Reclassify the mail as NonSpam + Update Users’ Filters

NoSpam+GGBL Reclassify the mail as NonSpam + Update Global Filters

 GGBL Options will appear on the menu only for Trusted Users.

 When UGBL / GGBL option is selected, the Users’ Mail Filters or Global Mail Filters are updated with the sender of the mail being marked as Spam / NonSpam as the case may be.

5. Click Classify. The Classification Results page is displayed.

6. Click Back. The Reclassified mail is displayed with a changed icon (Spam / NonSpam). If you want to undo the action click Undo in the Actions column for the corresponding mail.

 If the reclassification request sender is not a trusted user, then the reclassification request mail/s are queued. Alternatively, the request mails directly undergo the reclassification process.

Reclassification Request via Email

Any email client who supports “forwarding of email as attachment” like (Outlook Express, Netscape Messenger) can be used to send a reclassification request mail.

To send a reclassification request mail using a normal email client:

1. Identify the mail that was wrongly classified.

2. “Forward As Attachment” the mail to as-learning@primary- domain. This is the email address that is specified in Reclassification Email of AntiSpam Settings. Refer Configuring User Level AntiSpam Settings.

3. Send the mail as Normal.

 If the reclassification request mail sender is not a trusted user, then the reclassification request mail/s are queued. Alternatively, the request mails directly undergo the reclassification process.

4.5.3 Mail Filtering Rules

Mail Filters allow you to specify rules on how a particular mail is to be treated i.e. tagged as Spam or NonSpam. If a mail matches the filters it does not go through the AntiSpam process thereby increasing the performance. The mail is marked as Spam or NonSpam based on the FIRST filter that is matched.

Adding User Level Mail Filtering Rules

To add one or more user level e-mail filtering rules:

1. Click My Filter in the menu pane. The My Filter page is displayed. Refer Figure 4-20.

3. Type the criterion for filtering in the contains text box.

4. Select Spam or NonSpam from the then tag the mail as list.

5. Type the Priority of the filter.

 Repeat the above steps to add more user level e-mail filtering criteria.

Deleting User Level Mail Filtering Rules

To delete one or more user level e-mail filtering rules:

1. Click My Filter on the side panel. The My Filter page is displayed. Refer Figure 4-20.

2. It shows a list of all the filters set along with priority number.

3. Check the box in front of the filter to be deleted

4. Click Delete. The entry is removed from the table above.

Changing the Priority of User Level Mail Filtering Rules

For e-mail that matches more than one download filter, the action to be taken on the e-mail is decided by the first rule that is matched.

To change the priority of one or more user level mail filtering rules:

1. Click My Filter on the side panel. The My Filter page is displayed. Refer Figure 4-20.

2. Select the check box of the filter whose priority you want to change.

To raise the priority, click Move Up until you get the desired priority. To lower the priority, click Move Down until you get the desired priority.

4.6 Using Options

The options menu allows the users to carry out many user specific activities. These cover:

4.6.1 Changing Password

1. User can change the password for PostMaster Enterprise™ Login.

2. Click Options and select Change Password. The Change Password page is displayed. Refer Figure 4-21.

4.6.2 Configuring User level Preferences

Every user can set certain user level preferences on the Preferences page.

To view the preferences:

1. Click Options on the side panel.

2. Click Preferences. The Preferences page is displayed. Refer Figure 4-22.

 When recipient/s of a mail, which has Reply-To header, replies to any mail, the email address from the Reply-To header is used for sending the reply.

Default Select an e-mail address from this list. If Enable Reply-To Reply-To is enabled, the email address selected here will be displayed by default in “Reply-To” dropdown list in the New Mail page.

Compose Mail Select Text / HTML as required Format  If Text is selected, New Mail page will appear always in Text Mode.

 If HTML is selected then your browser needs to support HTML editing (for IE - 5.5 and above). If browser supports HTML editing and you have selected HTML mode, Compose Mail Format is HTML else it will be Text.

Empty Trash On Select the check box if the mails in the trash folder Logout should be deleted automatically when a user logs out of the system.

Preview Pane Select the check box if the preview pane is to be displayed for the messages.

Page Size Type the maximum number of messages to be displayed on a folder view page.

Select Default Select the default folder for mails. You can select any Folder of the system folders or a personal folder from the list.

 Typically, the signature is used to append contact information.

4.6.3 Priority Inbox

Priority Inbox options allows you to view multiple folder messages in one priority inbox folder in System folders.

Setup multiple folder message view in priority inbox

To select multiple folder view for priority inbox:

1. Click Options on the side panel.

2. Click Priority Inbox. The Priority Inbox page is displayed. Refer Figure 4-22.

4.6.4 Editing Personal Info

User can view and modify his/her personal info available to other users.

1. Click Personal Info on the menu pane. The Contact Details page is displayed. Refer Figure 4-24.

 Fields marked with * are read-only and cannot be edited.

4.7 Managing Address Books

PostMaster Enterprise™ includes an Address Book feature in which you can save frequently used e-mail addresses for easy access.

There are three types of address books available to you. They are as follows:

 Personal All users can add or delete their personal contacts in this book. These contacts are exclusively available to the user who has created them.

 Local It lists all the local users / accounts defined in PostMaster Enterprise™. Only the administrator can add or delete any contact of this address book. However, all users can view and export these contacts. These contact details are available to users when they want to compose a message

 Global Global address book contains contacts, which are outside your organization/ domain. All users cannot add or delete contacts in this book. Only the user “admin” can add, edit or delete contacts in this book. However, these contacts are available (view and use in New Mail) to all WebMail users.

4.7.1 Groups

The contacts in an address book can be organized based on groups. You can create groups and classify all the contacts in the relevant group.

Add a Group

To access a group page:

1. Click Address Book on the menu pane.

2. Click Groups. The Group Management page is displayed. Refer Figure 4-25.

5. Click Confirm. The name gets added in the Group Name table.

Edit a Group

To Edit a group:

1. Click Address Book on the menu pane.

2. Click Groups. The Group Management page is displayed.

3. Select the check box corresponding to the group name which is to be modified.

4. Click the icon.

5. Make the necessary changes.

6. Click Confirm.

Delete a group

To delete a group:

1. Click Address Book on the menu pane.

2. Click Groups. The Group Management page is displayed.

3. Select the check box corresponding to the group name which is to be deleted.

4. Click the Delete icon.

4.7.2 Viewing the Contents of an Address Book

To view the contents of an address book:

1. Click Address Book on the menu pane.

2. Select the address book you want to view. The corresponding Address Book page is displayed.

4.7.3 Adding a Contact

To add any contact to address book:

1. Access the Personal or Global address book page.

2. Select the type of address book.

3. Click the Add button. Contact Details page is displayed.

 Fields marked with * are mandatory to fill.

5. Click Confirm to store the contact information, which you inserted.

 Only administrator can add any entries to the Global address book.

4.7.4 Editing a Contact

To edit any contact to address book:

1. Access the Personal or Global address book page.

2. Select the type of address book.

3. Select the contact Name provided as a link to edit the contact.

Contact Details page is displayed.

4. Edit the required information in the field.

5. Click Confirm to store the contact information, which you changed.

 Only administrator can edit any entries of the Global address book.

 Entries to Local Address book cannot be edited from here. The administrator should use the PostMaster Enterprise WebAdmin to change account / user information and the same will be reflected in the Local Address book.

4.7.5 Deleting a contact

To delete a contact:

1. Access the Personal or Global address book page.

2. Select the type of address book.

3. Select the check box corresponding to the contact Name.

4. Click Delete. The contact is removed from the respective Address Book pages.

 Only Administrator can delete entries from Global Address Book.

 Entries to Local Address book cannot be deleted from here. The administrator should use the PostMaster Enterprise WebAdmin to delete the account / user information and the same will be reflected in the Local Address book.

4.7.6 Importing Contacts

If you have a file that contains contact information, then you can import these contacts from the Personal address book.

 Only Administrator can import contacts to Global Address Book.

To import contacts:

1. Access the Personal or Global address book page.

2. Select the type of address book.

3. Click Import. The Import Address Book page is displayed.

5. Click Browse to locate the file. The Choose file dialog is displayed.

6. Select the file that you want to import to address book.

7. Click Open on the Choose file dialog.

8. Click Upload. Import Details (File Name) table is displayed in the Import Address Book page.

9. The Column Name describes the columns, which your text file may contain. For the columns that are contained in the file, select the corresponding check boxes from Import column.

10. If the columns in your text file are in different order then you can change the order of Column Name list. Select the corresponding check box in Move column and click Up or Down PostMaster Enterprise™ Manual For Users 4- 61

to move the Column Name up or down. Ensure the order finally seen here matches with the order of the columns in the selected file.

11. Click Import to add the contacts in the specified file to your address book.

4.7.7 Exporting Contacts

Users can export contacts from their address books to a specific file.

To export contacts:

1. Access the Address Book page.

2. Select the type of address book.

3. Click Export. The Export Address Book page is displayed.

5. Select the file format.

6. Select Add Column Headings box if you want the column headings to appear in the file you are exporting.

7. In the Export Details table the Column Name describes the columns, which your text file may contain. Choose the column headings, which you want to export from the

address book. Select the corresponding boxes from Export column.

8. If you want columns in your text file in a specific order then you can change the order of Column Name list. Select the corresponding check box in Move column and click Up or Down to move the Column Name up or down.

9. Click Export. File Download dialog is displayed.

10. Click Save on the File Download dialog. The Save As dialog is displayed.

11. Select the appropriate location for saving the file and Click Save to save the contacts. The contacts get downloaded in the specified file. Download Complete dialog box is displayed.

12. Click Open to have a look at the file, which you have just downloaded. Click Close to close the dialog box and go back to Export Details page.

4.7.8 Searching for a Contact

If you have a long list of contacts, you may want to search for a particular contact. You can search for contacts in the Personal, Local, or Global address books.

To search for a contact:

1. Access the Address Book.

2. Select the type of address book.

3. Enter the keyword to be searched and click the icon. The list of contacts having the keyword is displayed. OR Click on the starting alphabet of the contact name. A list of contacts whose name begins with the alphabet is displayed.

 The search is case-insensitive, i.e. you can have upper case or lower case letters in the Keyword section.

 At this point only those contact details, which match the criteria specified are seen. To see all the contacts click Address Book on the side panel.

4.7.9 Assign User to a group

To assign user to a group:

1. Access the Address Book.

2. Select the type of address book.

3. Select the check box corresponding to the contact which is to be linked with a group.

4. Select the group name from the Assign to Group drop down list.

5. WEBCAL

The WebCal module in PostMaster Enterprise™ enables you to manage tasks, day reminders, events, conferences, and invitations i.e. manage your calendar. WebCal enables you to access your calendar from anywhere on the network by simply accessing the PostMaster Enterprise computer using a web browser like Internet Explorer or Netscape Navigator.

WebCal provides a centralized storage of all the users' calendars and also enables sharing of users' calendars to check the free or busy status as per the user's preferences.

t You need to procure a license for the PostMaster Enterprise Calendar module and have permission to use WebCal, to be able to access the WebCal options.

5.1 Accessing WebCal

To access WebCal:

1. Invoke the browser. You can use any one of the browsers listed in System Requirements to work with PostMaster Enterprise™.

2. Type the IP Address of the computer on which PostMaster Enterprise™ is installed.

‚ If the IP address of the PostMaster Enterprise™ computer were 192.168.0.10, you would type http://192.168.0.10.

‚ If the IP address of the PostMaster Enterprise™ computer were 192.168.0.10 and the HTTP Server of PostMaster Enterprise™ is running on port other than 80 (the default HTTP port) say 8000, you would type http://192.168.0.10:8000.

‚ You can login to PostMaster Enterprise from the same machine on which PostMaster Enterprise™ is running or any other machine in the LAN. This facilitates remote access of PostMaster Enterprise WebCal.

3. Click Go or press Enter. The PostMaster Enterprise™ Login page is displayed.

5. Click Login. If the User Name and Password are authentic, the PostMaster Enterprise™ Home page is displayed. Refer Figure 5-2.

5.2 Activities

A number of activities, such as Todo, events, All day events and conferences can be added, edited and deleted in the Calendar menu. A Calendar menu enables the user to manage tasks, day reminders, events, conference, invitations, and view calendars.

The Calendar Menu has the following options:

5.2.1 ToDo

PostMaster Enterprise enables the user to keep track of personal or work- related activities known as ToDo. A ToDo can be set for any days including non-working hours / weekly offs / company holidays. ToDo event must be assigned a date but they do not have time settings. Reminder alerts can optionally be generated. More than one ToDo can be set for a day.

Accessing the ToDo Page

To access ToDo page:

1. Access the PostMaster Enterprise™ WebCal Page.

2. In the menu pane, expand Categories.

3. Click ToDo. The ToDo page is displayed. Refer Figure 5-5.

Adding a new ToDo

To add a new ToDo:

1. Access the ToDo Page.

2. Click icon to create a new ToDo event. The Event Entry window is displayed. Refer Figure 5-6.

Name Specify a name for the event.

Location Type the location details.

Start Date/Time Specify the start date and time for scheduling the ToDo event. Select as applicable from the calendar displayed.

Sharing Select one of the three options from the drop-down list

PUBLIC Select this option if the ToDo event scheduled may be viewed by other users when they access your calendar.

Select this option if the ToDo event scheduled may be viewed only by users belonging to your group when they access your calendar. [This option will be made available in future].

PERSONAL Select this option if the ToDo event scheduled is not to be viewed by other users when they access your calendar. If this option is selected, when other users access your calendar, they get to see "Busy" instead of the actual task name.

Reminder Select Reminder check box to receive a reminder for the scheduled ToDo event. If enabled, users' will receive one reminder per ToDo event only. The reminder will be generated either on date change (mid-night) or the first start-up of the day.

Reminder Before Select the time duration before the occurance of event for sending a reminder.

Reminder Email Select Reminder Email check box to receive a reminder via email.

Reminder Select Reminder QuickMsg check box to receive a QuickMsg reminder via QuickMsg.

Repeat Event Select the check box if the ToDo event is to be repeated until a particular date.

Repeat Mode Select the repeat mode from the drop-down list. It can be repeated on a daily basis, or weekly, monthly, or yearly basis. It can also be set on the basis of event date.

Repeat Until Date Select the date till which the ToDo event is to be repeated.

Notes Provide description if any.

4. Click Confirm to save changes.

Editing a ToDo

To edit a ToDo:

1. Access the ToDo page.

2. Click icon corresponding to the ToDo event you want to modify. The Event Entry window is displayed. Refer Figure 5-6

3. Make the necessary changes. Refer to table in Adding a new ToDo section.

4. Click Confirm to save the changes.

Deleting a ToDo

To delete a ToDo:

1. Access the ToDo page.

2. Click icon corresponding to the ToDo event you want to remove.

Searching for a Specific Task

The Search feature of PostMaster Enterprise enables you to search for specific Events. You can perform a search by providing search criteria, such as the Event name or the Event description.

To search for a specific ToDo task:

1. Access the ToDo page.

2. Select the Search From date.

3. Select the To date.

4. Click icon.

5. The events matching the search criteria are displayed in the Event List table. This will be indicated by text in the table heading. If the Searched Event List is empty it means no records have matched the search criteria.

6. You may perform any standard operation (edit / delete) on the Event being displayed in the Searched Event List.

7. Click Clear Search to see all the ToDo events.

5.2.2 Event

An event is an activity scheduled on a specific date and time or for time duration. An annual event, such as a birthday or anniversary, occurs yearly on a specific date, while a standard event occurs once and can last for one day or several days. An event cannot be repetitive but can be set for any days including weekly offs / company holidays. Events must be assigned a date and time. Reminder alerts can be set for events, which are generated prior to the events scheduled. More than one event can share the same time span.

Accessing the Events Page

To access event:

1. Access the PostMaster Enterprise™ WebCal Page.

2. In the Menu Pane, expand Categories.

3. Click Events. The Events page is displayed. Refer Figure 5-7.

For example, if the Category selected is Meeting, [Filter Category is Meeting] is displayed in the table heading. If the Filtered DayRem List is empty it means no records have matched the filter criteria.

5. You may perform any standard operation (edit / delete) on the event being displayed in the Filtered Event List.

6. Click Clear to see all the events.

If the Searched Event List is empty it means no records have matched the search criteria.

6. You may perform any standard operation (edit / delete) on the Event being displayed in the Searched Event List.

7. Click Clear to see all the events.

5.2.3 All Day Events

PostMaster Enterprise enables the user to set day reminders for important tasks, meetings, birthdays, anniversaries, etc. A reminder can be repetitive and can be set for any days including weekly offs / company holidays. Day reminders must be assigned a date but they do not have time settings. Reminder alerts can optionally be generated. More than one Day Reminder can be set for a day.

Accessing the All Day Events Page

To access All Day Events Page:

1. Access the PostMaster Enterprise™ WebCal Page.

2. In the Menu Pane, expand Categories.

3. Click All Day Events. The All Day Events page is displayed. Refer Figure 5-9.

6. You may perform any standard operation (edit / delete) on the all day event being displayed in the Searched All Day Events List.

5.2.4 Invitations

Invitation is used to inform users that they are a part of a conference. On receiving an invitation, the invitees can check out the date / time of the scheduled conference and can "Accept" or "Reject" the invitation.

Accessing the Invitation List Page

To access invitation:

1. Access the PostMaster Enterprise™ WebCal Page.

2. In the Menu Pane, expand Categories.

3. Click Invitations. The Invitations page is displayed. Refer Figure 5-11.

Create a new Invitations

5.2.5 Check Free Busy

Check Free Busy is used to check if a particular user(s) are free or busy on a particular date and time.

Viewing the Free Busy Status of a User

To view the free busy status:

5.2.6 View Calendars

View Calendar displays the schedule of a particular user(s) for a selected date.

To access calendar:

1. Access the PostMaster Enterprise™ WebCal Page.

2. In the Menu Pane, expand Actions.

To view calendar of other users:

This page enables users to change current password for PostMaster Enterprise™ Login. Passwords are changed to maintain security.

3. Click Change Password. The Change Password page is displayed. Refer Figure 5-17.

Editing Preferences

To edit Preferences:

Display Hours From Specify the starting hour for a daily view.

Display Hours Till Specify the ending hour for a daily view.

Display Duration Specify the display duration.

Category

All Day Events Specify the all day event.

Events Specify the event.

Conference Specify the conference type.

Sharing Mode

All Day Events Select one of the sharing modes from the drop- down list:

Events Select one of the sharing modes from the drop- down list:

WebCal allows you to export a file. You can extract all events for a date range. You can export data based on type of event also.

Accessing Export Page

To access the export page:

1. Access the PostMaster Enterprise™ WebCal Page.

2. In the Menu Pane, expand Options.

3. Click Export. The Export page is displayed.

To export a file:

1. Access the Export page. The Export page is displayed.

2. Select the start date from which the data needs to be exported.

3. Select the end date till which the data needs to be exported.

4. Select the export type from the drop-down list.

7. Type the file name.

6. MAILINGLIST

PME™ allows you to execute mass mailing together at a time using PME™-MailingList.

PME™-MailingList allows you to create List and map Recipient/s to these lists. The groups of recipients are defined as List in PME™-Mail List. You can schedule and send mails to a recipient or group of recipients or multiple groups together at a time by mapping them to a single or multiple lists. You can also create a Campaign and assign this list/s to it. You can also add message to be sent in a campaign. In addition, these campaigns can also be scheduled and send at a specific time as per your requirements. Following are the few features of PME™-Mail List:

6.1 Accessing the MailingList

To access MailingList page:

1. Invoke the browser. You can use any one of the browsers listed in System Requirements to work with PostMaster Enterprise™.

2. Type the IP Address of the computer on which PostMaster Enterprise™ is installed.

‚ If the IP address of the PostMaster Enterprise™ computer were 192.168.0.10, you would type http://192.168.0.10.

‚ If the IP address of the PostMaster Enterprise™ computer were 192.168.0.10 and the HTTP Server of PostMaster Enterprise™ is running on port other than 80 (the default HTTP port) say 8000, you would type http://192.168.0.10:8000.

‚ You can login to PostMaster Enterprise from the same machine on which PostMaster Enterprise™ is running or any other machine in the LAN. This facilitates remote access of PostMaster Enterprise WebCal.

3. Click Go or press Enter. The PostMaster Enterprise™ Login page is displayed.

Import Recipients

To import the recipients:

1. Access the Recipient Manager tab.

3. Click the Browse button next the File Name box. The Choose file dialog box is displayed. Refer: Figure 6-20

4. Locate and select the appropriate file.

 NOTE: The file should be in .csv format only.

5. Click the Open button.

6. To map the imported recipients with the existing list/s, select the check box/es next to the appropriate List Name/s.

‚ TIP: To select all the List Names together, click on the ‘#’ icon next to List Name column.

7. To change the sequence of column, select the check box next to appropriate Column Name, and click the Up or Down button as per the requirements.

 If the sequence of column name in the file you are importing is opposite of the sequence in Import Mailing List, then you need to change the sequence in-Mail List according the csv file. Also note that the sequence of columns should be changed before specifying file name or mapping list names.

Export Recipients

To export the recipients:

3. In the Campaign Information section, in the Campaign Name box, enter the appropriate name.

4. In the Campaign Description box, enter the appropriate description.

5. From the EML (e-mail) Mode drop-down list, select the appropriate option.

6. To enable URL redirect, select the URL Redirect Enabled check box.

7. From the Status drop-down list, select the appropriate option.

8. To enable campaign scheduling, select the Schedule Enabled check box.

7.1 Accessing

To access MailingList page:

1. Invoke the browser. You can use any one of the browsers listed in System Requirements to work with PostMaster Enterprise™.

2. Type the IP Address of the computer on which PostMaster Enterprise™ is installed.

‚ If the IP address of the PostMaster Enterprise™ computer were 192.168.0.10, you would type http://192.168.0.10.

‚ If the IP address of the PostMaster Enterprise™ computer were 192.168.0.10 and the HTTP Server of PostMaster Enterprise™ is running on port other than 80 (the default HTTP port) say 8000, you would type http://192.168.0.10:8000.

‚ You can login to PostMaster Enterprise from the same machine on which PostMaster Enterprise™ is running or any other machine in the LAN. This facilitates remote access of PostMaster Enterprise WebCal.

3. Click Go or press Enter. The PostMaster Enterprise™ Login page is displayed.

1. Access the Retrieve menu.

2. In the Search Archived Mails section, from the Date Range drop-down lists, select the appropriate From and To date in dd- month-yyyy format.

3. To search mails with respect to a particular field, such as From, To, Cc, Subject, and Body, from the Search Where drop-down list, select the appropriate option.

4. To specify position of the text, such as Starts With, Contains, and EndsWith in the required mails, from the Search How drop- down list, select the appropriate option.

5. In the Search What box, enter the appropriate text which exists in the required archived mails.

6. To specify more conditions for searching archived mails, repeat Step 3 to Step 5.

7. To search mails based on all the three conditions as true, from the Condition drop-down list, select AND.

8. To search mails based on at least one of the conditions as true, from the Condition drop-down list, select OR.

9. To search mails based on the different combinations of all the three conditions:

A

Access Control List A feature in PostMaster Enterprise™, that provides primary protection for your server against intruders and from misuse of services. The list acts as a first level firewall for security.

Administrator A “superuser” who maintains PostMaster Enterprise™ by executing tasks including adding and deleting users, scheduling dialups, and so on. The Administrator has rights and privileges that other users do not.

Ad Busters

A feature that restricts the downloading of certain image files used for advertisement purposes.

Alias user (account) A virtual account where e-mail messages received are simply forwarded to a preset list of regular user (accounts).

AntiSpam engine database

A set of files used by PME-Mail used to identify spam mail.

Archiving A method of maintaining copies of messages sent or received by users in PostMaster Enterprise™.

Attachment A file that a user may want to send along with an e-mail message.

Auto handle request queue

A feature enabling any reclassification carried out by a trusted user to be accepted directly without sending it to the request queue.

Bandwidth Manager

Bandwidth Manager provides a way to ensure that an application does not use more than the specified bandwidth. Hence ensuring the applications with priority gets sufficient bandwidth.

Block This service blocks users from whom you do not wish to receive a message.

 The senders will be blocked from sending mail as long they are in the blocked entries list.

Certificate It functions as a key for encrypting and decrypting data, which is required for the operation of secure servers.

Clean e-mail

E-mail classified as non-spam by the AntiSpam service.

Control all users

A feature that allows or restricts the external transfer of e-mail for the default domain.

Canonical Canonical means conforming to well established patterns or rules. The term is typically used to describe a method to follow an established standard.

D

Direct Delivery

As a rule, you would send e-mail via the SMTP server of your ISP. Should you wish to bypass this route however, PME-Mail now lets you do so by delivering e-mail directly to the recipient instead of routing it through the ISP. You are most likely to use this feature under 2 circumstances: (a) When your ISP’s SMTP server is down and you need to send out e-mail urgently (b) If you access the Internet via a cable connection, which doesn’t use an SMTP server.

 Direct Delivery requires a large bandwidth to function efficiently.

Domain A name that identifies one or more IP addresses. For example, the domain name microsoft.com represents many IP addresses. Domain names, being easier to remember than IP addresses, are used in to identify websites or computer, which hosts the sites. For example, in the URL http://www.qlcomm.com/, qlcomm.com is the domain name for QuantumLink Communications. Since the Internet is based on IP addresses, not domain names, every Web server requires a Domain Name Server (DNS) server to translate domain names into IP addresses. Your ISP generally provides the DNS service.

Domain name

It identifies an IP address. For example, the domain name vsnl.com identifies the IP address 202.54.117.24. A domain name being easier to remember than an IP address is used in URLs to identify websites.

Email Mapping

Email Mapping is a service that helps to locate the emails mapped to any user.

Exception List

A list of IP addresses that are either allowed or disallowed (based on the ACL Rule Type) the use of a service.

External transfer of e-mail

Transfer of e-mail over the Internet.

F

File filters

Filters that restrict users from surfing or accessing specific websites based on the file name. File filters can also restrict users from downloading specific files from the Internet. For example, a file filter of the type *.exe prevents users from downloading any executable files.

File Based Archiving

In addition to archiving mails by delivering it to a specified mail account, it can also be stored in a file stored on the hard drive. This feature is useful when you don’t want to rely on an archive mail account.

Flexi Archiving

Flexi Mail Archive is an advanced e-mail archiving feature in PostMaster Enterprise™. You can set up special archives for storing messages from and to pre-selected user accounts. You can also specify which user account should be used for archiving the messages.

FTP ()

A protocol used on the Internet for exchanging files. FTP is most commonly used to download a file from a server using the Internet or to upload a file to a server, for example, uploading web pages to a server. FTP uses TCP/IP to enable data transfer.

FTPS (File Transfer Protocol over SSL)

PostMaster Enterprise™ User Manual 8-186

A protocol used on the Internet for exchanging files through a secure server. FTP is most commonly used to download a file from a server using the Internet or to upload a file to a server, for example, uploading web pages to a server over a secure connection. FTP uses TCP/IP to enable data transfer.

G

Gateway A plug-in that enables Lotus or Exchange based networks (which basically do not have the capability to download e-mails from POP3 accounts) to access e-mail using an ISP based POP3 e-mail account.

Generated Certificate

Organization/s can create their own security certificates using the utility provided by PostMaster Enterprise™.

Global address book

A list containing e-mail addresses (along with the contact name) saved by the administrator. It is available on the WebMail interface for all PME-Mail users when composing a message.

H

Host (name)

An identifier for a computer in a network. For example, 202.54.1.18 or giasbm01.vsnl.net.in.

HTTP (Hyper Text Transfer Protocol)

A set of rules used by the web servers to define how files (including graphics, web pages, sound, video etc.) be transferred and presented in a web browser.

HTTPS (Hyper Text Transfer Protocol over SSL)

A set of rules used by the web servers to define how files (including graphics, web pages, sound, video etc.) be transferred and presented in a web browser over a secure connection.

I

Ignore word list

A list of all words, which are to be overlooked by the AntiSpam service while classifying mail as spam or non-spam. These words can be system generated or user defined.

Incoming e-mail

E-mail received - over the Internet - from an e-mail address not defined in PME-Mail.

Internal e-mail

E-mail messages sent to and received by users defined in PME-Mail.

IMAP A mail server that allows the users the added functionality of multiple mail folders and the ability to synchronize the folders across multiple access points.

IMAPS Is a secure IMAP mail server that allows the users to send and receive encrypted messages using the IMAP protocol.

IP address

A 32-bit identifier for a computer or device on a network. It has the format #.#.#.# where each # is a number between 0 and 255.

ISP (Internet Service Provider)

It is a company that provides you the Internet connection.

LDAP (Lightweight Directory Access Protocol)

Lightweight Directory Access Protocol (LDAP) is a set of protocols for accessing information directories (e-mail addresses, user lists etc).

LDAPS (Lightweight Directory Access Protocol over SSL)

Lightweight Directory Access Protocol (LDAP) is a set of protocols for accessing information directories (e-mail addresses, user lists etc) over a secure connection.

Live Alert

This is information that is regularly updated from the PME-Mail home page and covers a range of topics from latest developments to recent virus outbreaks.

Local address book

A list of e-mail addresses of all users defined in PME-Mail.

Local forward

The process of forwarding of e-mail messages from one PME-Mail user to another.

Logs A detailed technical information that is used for debugging, trouble- shooting, and in general ensuring that service works properly.

Mail header

Mail Headers are the top few lines of any email message. The lines in the header tell who the message is from, who received copies of the message, when the message was sent, and what the topic or subject of the message is. Sometimes you can even see the route taken by the message during delivery of the e-mail.

Mail Transfer

The service not only optimizes the usage of a scarce and expensive bandwidth, but also minimizes idle connections and prevents delays in the transmission of important e-mail.

Message spool

A queue of messages ready for transfer over the Internet.

Moderation Moderation is a facility to allow or block email address and mail accounts at the server level.

No domain scenario

It a situation when a company does not have its own domain. In such a situation, PostMaster Enterprise™ can be configured to allow users to share a common e-mail address.

Outgoing e-mail

E-mail sent, over the Internet, to an e-mail address not defined in PME- Mail.

PBS (POP Before SMTP)

A means of sender authentication for the outgoing server.

Personal address book

A list containing e-mail addresses (along with the contact name) saved by the user on the WebMail interface. Every user has a different Personal address book.

POP3 (Post Office Protocol)

A protocol used to retrieve e-mail from an e-mail server.

Most e-mail applications (sometimes called an e-mail client) use the POP protocol, although some can use the newer IMAP (Internet Message Access Protocol). There are two versions of POP. The first, called POP2, became a standard in the mid-80's and requires SMTP to send messages. The newer version, POP3, can be used with or without SMTP.

POP3S It is the secure version of the POP3 server. It performs the same functions as the POP3 server but uses security certificates and encryption to enhance the integrity of the data transmission.

Port The end point to a logical connection on the Internet. A port number identifies the kind of connection the port is used for. For example, port number 25 is used for sending e-mail.

Primary domain

The default domain used by PME-Mail to send and receive e-mail.

Protocol A set of rules for communication between two computers or applications.

The protocol determines the following: The type of error checking to be used Data compression method, if any How the sending device will indicate that it has finished sending a message How the receiving device will indicate that it has received a message

Protocols are software standards. Software programs that strictly follow the protocols ensure reliable data transfer without error loss.

ProxyDefs A set of files used by PME-Mail to identify restricted URLS in e-mail.

Proxy server

A local computer on the LAN between a client application such as a Web browser, and a server on the Internet. It intercepts all requests to the server from the Internet to see if it can fulfill the requests itself. If it

cannot fulfill the request, it forwards the request to the server on the Internet.

Purge Purge is a process through which old and unneeded information can be deleted permanently.

Q

QLC Dialer

The QLC Dialer is an independent application, which intelligently manages the connection requests from multiple client applications.

Quarantine queue

A queue of messages that are detected or suspected as virus-infected. It may also contain corrupt mails that the PostMaster EnterpriseTM AntiVirus could not process properly.

Queue-based mail transfer scheduling

A method of scheduling that activates e-mail transfer when the number of messages in the message spool reaches a specified limit.

Quick Messaging

A service that enables users to send almost instant messages to other users on the network.

RAV (RealAudio and RealVideo)

Is a standard for accessing streaming audio and video data on the Internet.

RBL Archiving (Real-time Black List)

These are servers, which keep track of domains, which are a source of harmful messages. PME-Mail can be configured to connect to RBL servers and update itself with the list of defaulters. The RBLs can be used to decide allowable e-mail servers.

Reclassification A mechanism to inform the AntiSpam service that some mails were classified wrongly.

Regular user (account)

A user defined in PME-Mail who is allotted disk space on an e-mail server, for storing messages sent and received.

Remote forward

The forwarding of e-mail messages from a PME-Mail user to an e-mail account on the Internet.

Remote e-mail

A message sent to or received from an e-mail address not defined in PME- Mail.

Remote spool

Repetitive mail transfer scheduling

A method of scheduling that activates e-mail transfer at intervals specified by the administrator.

Request Queue

When a user reclassifies a mail, the reclassification request is queued. The administrator (or a trusted user) can examine the queue, view the message and actually "Accept" or "Reject" the re-classification request

Robot Services

Provides a function whereby a company can have user defined auto process / response function for the e-mail/s.

RuleSet A RuleSet is a combination of filter rules and actions.

Secondary domain

An alternate domain used by PostMaster Enterprise™ to send e-mail.

Self-Generated Certificate

Server A software program, or a computer running the program, that allows other computers, called clients, to share its resources. Signature The text appended at the end of an e-mail message. It usually includes the name of the sender and the contact information.

A feature in PME-Mail, that when enabled, tags a message as non-spam if it has been received from an address present in the Global address book.

Smart Domain Filtering

A feature in PME-Mail, which when enabled, tags a message as non-spam if it has been received from a domain configured in PME-Mail.

SMTP (Simple Mail Transfer Protocol)

A protocol used for sending e-mail messages over the Internet or from an e-mail client to an e-mail server.

SMTPS (Secure Simple Mail Transfer Protocol)

A protocol used for sending encrypted e-mail. In addition, SMTPS is used to send secure messages from an e-mail client to an e-mail server.

SOCKS A protocol handling TCP traffic through a proxy server. It is most commonly used by popular packages such as Yahoo Messenger and Microsoft Messenger.

Spam Unsolicited e-mail or messages containing objectionable text or images. Spam, which can be thought of as electronic junk mail, is generally used to refer to advertising messages sent to users, mailing lists or newsgroups that have not expressed any desire to actually receive such messages. Users dislike Spam because they pay to download it, and spend time deleting it. Administrators dislike Spam because it eats up bandwidth.

Subject line classification

A feature that modifies the subject line of e-mail suspected to be spam to always start with "*SPAM*".

TCP/IP (Transmission Control Protocol / Internet Protocol)

A basic communication language or a set of rules used for communication over the Internet. It comprises of a suite of protocols.

Trusted Certificate

They are third party security certificates, which are provided by trusted establishments like VeriSign.

TPM (TCP/IP Port Mapping)

A method used to access Internet servers using proprietary TCP/IP protocols.

UDP (User Datagram Protocol)

A communication protocol used as an alternate to the Transmission Control Protocol.

Unknown recipient

A user not defined in PME-Mail is termed an unknown recipient.

URL (Uniform Resource Locator)

The format service://domain:port/something/something, where service could be ‘ftp’, ‘’, ‘’, or ‘http’. The part between the ‘//’ and the next slash is the name of the host you should connect to, sometimes with a specific port specified.

URL Filters

Filters that restrict users from surfing or accessing specific websites based on the URLs.

User Id

User Id is an identification number to locate users with distinct logins or emails. A user can be located with the specific User ID assigned.

VirusDefs A set of files used by PME-Mail used to identify viruses in e-mail.

W

White List

A collection of email address of trusted users, who will not indulge in spamming.
