Thank you for your interest in our vacations. This is Able Trek Tours’ 28th year of providing vacations for people with special needs. We feel so fortunate to be a part of these positive travel experiences.

“2020 / 28th year of providing vacations for people with special needs”. This statement is almost impossible to comprehend. I’ve attached a picture of my family only to provide context. None of the boys I proudly call my sons were born in 1992 when Able Trek Tours was established. A lot has changed in the world and in all of our more intimate circles of family, work, friends and VACATIONS. What has not changed is our commitment to provide travel opportunities to the Travelers and their caregivers who entrust us with their presence. As always, our vacations are designed to enlighten and expand each Traveler’s view, to encourage Travelers to discover and pursue leisure interests, to increase Traveler’s self-confidence, and of course to HAVE FUN! Our vacations are also planned to promote independence and choice, with safety as our number one priority.

NEW this year. You will notice a few of our vacations include an “INTEGRATED VACATION – HIGH ACTIVITY LEVEL” designation. This designation is not intended to provide any barriers to these trips. However, we’ve had requests to offer opportunities for more “independent” Travelers who seek a higher degree of activity and an integrated vacation experience. We are excited to offer these trips.

Individuals who need assistance vacationing are encouraged and welcome to travel with Able Trek Tours. This includes individuals with developmental disabilities, the elderly, individuals with a mental health condition, and others. Most Travelers are individuals with mild to moderate developmental disabilities. Travelers must exhibit good social behavior, have no major medical concerns, be at least 16 years old, and display appropriate behavior toward property, themselves and others. Typical staff to Traveler ratio is 1:3 or 1:4. If a Traveler requires more assistance and/or supervision we MUST be informed of such needs ahead of time.

TRIP FEES INCLUDE Staff supervision, transportation from pick-up/drop-off sites, listed attractions, lodging, taxes, an Able Trek t-shirt or hat, a group photo, and many meals are included in the trip fee. Almost every trip includes breakfast and the evening meal each day. 1

TRAVELERS USING WHEELCHAIRS:

We have accommodations for up to two Travelers who use wheelchairs on most trips. It is our experience that nearly all Travelers who use a wheelchair require Traveler specific, “specialized” care. Their caregivers must be both physically capable of and trained in the techniques of transferring and lifting. In addition, most Travelers who utilize wheelchairs have very individual and specific personal care needs – needs that can only be properly met by a caregiver who has experience with that Traveler. In order to properly and safely accommodate Travelers who use wheelchairs, we have adopted the following policy:

1) We require that Travelers who require a wheelchair to ambulate bring their own (1:1) personal caregiver with them on trips. To help make this policy more affordable, the personal caregiver will travel at ½ the cost. The Traveler will pay the regular rate (double or single occupancy – see #2) and their aid will be 50% of that rate.

2) Travelers who require fully accessible lodging accommodations (roll-in showers, wide door entrances, grab bars in bathroom, etc.) are “generally” required to pay the “Single/ADA” rate. The reason for this policy is that most hotel’s ADA accessible rooms have only one bed. We do our best to find hotels with ADA rooms that have two beds. If a Traveler who uses a wheelchair and their own personal caregiver choose to share a bed they can base the price of the trip on the “Double” rate. On the rare occasion where we can find accessible rooms with two beds we will adjust the rate accordingly. Please contact us with any questions about this policy.

STAFFING ON TOURS All vacations are supervised by our owner, Don Douglas, and/or at least one Tour Leader employed by Able Trek Tours. Before establishing Able Trek Tours in 1992, Don was the Executive Director of Wisconsin Badger Camp, an organization that offers recreational camping/outdoor experiences to people with developmental disabilities. All other staff members are carefully screened and selected volunteers and/or qualified paid staff. Many of our staff are social workers, teachers, group home staffers, and other qualified and experienced people.

Typical staff to Traveler ratio is 1:3 or 1:4. If a Traveler requires more assistance and/or supervision we MUST be informed of this need ahead of time. Please be aware that care/supervision on vacations is typically more intensive or demanding than in the home setting. We will do our best to accommodate a Traveler’s needs in excess of our normal staff supervision. However, if a Traveler requires 1:2 or 1:1 supervision an extra fee will be required. In some instances we will require that Travelers bring their own staff. As stated previously, this is the policy with most Travelers who use a wheelchair to ambulate.

PERSONAL ESCORTS At times Travelers and caregivers simply do not feel comfortable attending a vacation without a familiar face along. This situation has been common for Travelers who may need more assistance than our normal 1:3/4 ratios and many Travelers who use wheelchairs. We welcome, encourage, and will at times require that personal caregivers join us. The cost for such an arrangement (for BOTH participants) is typically 150% or 1 ½ times the cost of the indicated rate. For example, the Branson Music Fest trip (April 24 - 29, 2019) would cost $2,017.50 ($1,345 X 1.5) for DOUBLE accommodations. Please call for guaranteed prices.

2 FREE WORKING VACATION OPPORTUNITY – Group home staff, caregivers, case managers, etc. if you sign three or more people up for a trip you can go for free as a chaperone. Contact Able Trek Tours for more information.

PICK-UP/DROP-OFF LOCATIONS Virtually every vacation offers pick-up and drop-off sites in Dubuque, IA, Platteville, Madison, Milwaukee, Stevens Point, Allenton, Waupaca, Appleton, Oshkosh, Fond du Lac and Wisconsin Dells. Additional common rendezvous sites include: La Crosse, Beloit, Tomah, East Troy, Johnson Creek and Rockford, IL. Pick-up/drop-off sites are indicated in italics in each tour description. Refer to the list below for a pick-up abbreviation index. Travelers can also be met at locations enroute to our destinations. Other arrangements can be made but may require an additional fee. Able Trek does its best to be flexible and accommodating with travel arrangements (see Bus/Airport Greeter section that follows).

SPECIAL PICK-UP OPTION A special pick-up of six or more people may be provided for a community or area not listed in our regular route. To arrange for this option the request MUST be made at least 45 days prior to the trip start date. This option may or may not require an additional fee (call our office) and IS NOT available for one-day tours.

BUS/AIRPORT GREETER OPTION Travel arrangements to and from the Able Trek pick-up/drop-off sites can be difficult to arrange. We will work with Travelers and caregivers to arrange for our staff to meet participants at the Madison Greyhound Depot and/or Airport or at the Wisconsin Dells Greyhound or Amtrak Depot. We may also be able to assist with accommodations and staffing the day before or the day after trips. Since all Travelers do not need these services an additional charge may be required.

TRAVEL/CANCELLATION INSURANCE COVERAGE Travel insurance, for an additional fee, is available for all tours. Contact Able Trek Tours to request travel protection information. We can send you the information via US mail, email, or you can download the information from our website. Coverage includes: trip cancellation, emergency medical/dental, and more. Rates start as low as $20.40 per trip.

PAYMENT PLANS AND PRE-PAYMENT To help make our vacations more financially feasible for Travelers, we offer interest free payment plans for most tours. At least 70% of the trip fee must be paid prior to the trip. The remaining balance can be made in monthly installments of $50 to $100. This can help make vacationing affordable for many. All payment plans must be pre-approved by Able Trek Tours. Payments can be in the form of checks, money orders or by credit card.

Let us know which trip(s) you are interested in and we will send you detailed itinerary and any necessary application materials. Reservations will be held for 10 working days. By the 10th day we require a $100 per trip deposit to confirm a spot (flight, cruise and international trips REQUIRE a minimum $500 deposit). Unless the deposit/payment has been received or other arrangements are made the “reservation” will be cancelled after 10 days. • One month prior to the trip a FINAL ITINERARY will be sent confirming all details and requesting any additional information needed. • Shortly after the vacation a Trip Report and group photo will be sent.

Trips are filled on a first-come, first-serve basis and many vacations sell out. It is important to sign-up as soon as possible. We suggest a minimum of 60 days for motor coach and a minimum of 3 months for air & international vacations.

IMPORTANT BOOKKEEPING REQUIREMENT: Many Travelers make monthly payments. Make sure to indicate the Traveler’s name and TRIP TITLE (eg. “Dude Ranch”) with all payments.

GETTING THERE IS HALF THE FUN All of Able Trek Tours’ motor coaches are equipped with TV monitors, DVD/CD player, electrical outlets, Wi-Fi, bathroom, air-conditioning and plenty of room to stretch your legs. Vans may be used for shuttling to and from our pick-up locations. All of our vehicles and Tour Leaders have cell phones. These cell numbers are indicated on the FINAL ITINERARIES. We are rarely late for the pick-up and return times.

ACCOMMODATION/SLEEPING OPTIONS Overnight accommodations on most trips are well known hotel chains. We offer an option with regard to sleeping arrangements. They are:

DOUBLE ROOM – Two people per hotel room, each person has a private bed. QUAD ROOM – Three or four people per room with Travelers likely sharing a bed. SINGLE ROOM – Private hotel room with no roommates.

Prices for each type of room are indicated in the tour descriptions. The prices indicated are per person. Travelers MUST let us know their accommodation choice when making the reservation and/or by indicating such on the Traveler application. Over 90% of the Travelers choose the DOUBLE ROOM option.

If requested, we will attempt to place a staff member in the room with a Traveler. While our staff will monitor and assist all Travelers, direct 24-hour supervision (a staff in each room) is not feasible. Travelers’ rooms are typically adjacent to a staff member’s room. We reserve the right to place a staff member in any room if we deem it necessary.

4 MEALS AND SPENDING MONEY Most multi-day trips include all breakfasts and all evening meals. The number of meals included is stated in each tour description in this booklet. Meals not included will be paid for with the Traveler’s personal spending money. If needed, our staff will assist Travelers with their spending money. The amount of suggested personal spending money for each trip is indicated on the detailed itinerary.

WHAT TO PACK We strongly request that Travelers bring only one suitcase and one carry-on bag. A large plastic garbage bag is helpful to use for dirty clothes. Following is a suggested packing list:

PRIVATE AND CUSTOM DESIGNED VACATIONS If there is a group of Travelers interested in a vacation that we do not offer, or your group would like to arrange a private tour, give Able Trek Tours a call. We can custom plan a vacation for your group while working within your budget and staffing desires.

2019 ONE DAY VACATIONS

Our one-day tours differ slightly from our overnight vacations in the following ways: 1) Day trips require only two pieces of paperwork - Application and Waiver. 2) The full price of the trip MUST accompany the reservation. 3) Staff to Traveler ratio will be approximately 1:4. 4) Reservations must be made at least 30 days prior to the trip 5) Typical itineraries will have pick-ups in early to mid-morning and returns in the evening (normally no later than 9:30 PM). 6) No T-shirts, hats or group photos are included in the price. Able Trek T-shirts and hats can be purchased for an additional $8.00 each.

It’s February and it may be cold outside but Chicago has many fascinating indoor attractions. We’ll take in some of them during this middle of the winter escape. Our adventure begins by welcoming a step-on guide for a very entertaining and enlightening motor coach tour of the city. A day at the amazing Shedd Aquarium will include the “ultimate package” with admission to the 4-D Movie Experience, the Sting Ray Touch, the Aquatic Show, and the Oceanarium. A visit to the world- renowned of Science and Industry includes a theater show, numerous interactive displays and some unbelievable exhibits. We’ll shrug off the cold and be transported to Hawaii for an evening at the Tiki Terrace in Des Plaines, IL. An experienced Tour Escort leads all of Able Trek Tours vacations. Other staff members are volunteers. Each volunteer chaperone assists a group of three to four Travelers. With the assistance of the Tour Leader, chaperones provide supervision to ensure a safe and enjoyable experience for each Traveler. In exchange, volunteer chaperones go on the vacation FREE and receive meal money.

PASSPORT REQUIREMENTS A PASSPORT is REQUIRED to travel anywhere outside the United States - this includes Canada and Mexico. A PASSPORT BOOK (about $145) allows you to travel internationally via any means (air, land, water). A PASSPORT CARD (about $115) allows travel internationally by LAND ONLY. If you have any plans to travel outside the United States we suggest you start the process of securing a passport. The process is easy, but it will take up to 6 weeks, so don’t delay. To apply for either type of passport log on to www.travel.state.gov or call 1- 877-487-2778. Passports are valid for 10 years.

TRAVEL & TRIP CANCELLATION INSURANCE Although insurance is not required to attend a vacation, we recommend that Travelers consider purchasing Travel/Cancellation Insurance. We especially encourage Travel Insurance for any trip including air, cruise, train or international travel. These particular vacations have very restrictive and expensive financial cancellation penalties. Cancellation insurance can protect your travel investment from unforeseeable events such as sickness, injury, or death of you, an immediate family member, or that of your traveling companion. In these cases your trip payments can be fully refunded, minus the cost of the insurance. This can be great peace of mind and save you hundreds or thousands of dollars. Without Travel Insurance you will be subject to the cancellation penalties indicated on page 26 of this booklet. The insurance also includes limited medical and emergency medical evacuation coverage during your vacation.

The cost of the Travel Insurance varies depending upon which plan you choose, but ranges between 5-10% of the total trip cost. To purchase or to receive more detailed information about the Travel and Cancellation coverage please contact Able Trek Tours. For coverage of any pre-existing medical conditions the insurance MUST be purchased within 14 days of your initial trip deposit or payment.

24 POLICIES & INFORMATION

SMOKING POLICY Participants may smoke only on planned rest stops and during designated free times in allowable areas. There is absolutely no smoking in vehicles or in hotel/motel rooms. Most attractions we visit have no smoking policies.

ALCOHOL POLICY The consumption of alcoholic beverages is strictly prohibited by participants, unless it states otherwise on the Traveler application. Only moderate consumption will be allowed.

ILLNESS / INJURY If a participant becomes ill or injured and cannot continue to travel with the group, and requires transportation home, the participant will be responsible for such transportation costs. Able Trek offers travel insurance for an additional fee. Contact Able Trek for more information.

PROPERTY DAMAGE OR DESTRUCTION Participants who, intentionally or unintentionally damage or destroy property not belonging to themselves, are financially responsible for repair or replacement of the property. Able Trek Tours, our staff and volunteers accept no financial responsibility for damaged or destroyed property.

MEDICATION DISPENSING All non-self medicating participant’s medications and prescriptions must be individually pre- packaged according to the time and date of each dispensing. The guardian/parents/care staff/are responsible for making sure this is completed accurately. Medications should not be packed in a Traveler’s suitcase. An extra day’s supply of medications must be sent in case of emergency or trip delay. All medications will be surrendered to the Tour Director or person responsible for dispensing the medications at the time of check-in. Travelers who normally self medicate can continue this practice on trips and package their medications in the way they are familiar with.

APPLICATION PROCESS & ACCURACY POLICY Each Traveler is required to have an up-to-date Application, Medical Evaluation/Physical, Waiver, and Medical Consent completed prior to attending any trip. All information provided to Able Trek Tours must be complete and accurate. Failure to provide accurate or complete information may result in immediate dismissal from any travel program. In the event that Travelers information is incomplete or inaccurate such that the safety of the Traveler or others is compromised, the Traveler will be sent home at his/her own expense. NO REFUND will be granted for any portion of the remaining trip. The Medical Evaluation (Physical form) must be received by Able Trek Tours no later than 21 days prior to each trip. It must be completed and signed by a physician or physician’s assistant. Medical Evaluations/Physical must be completed within 12 months of the trip.

If documented health and/or documented behavioral issues result in safety concerns for the participant, staff, other Travelers or persons in the community, the parent, guardian, care staff, etc. in cooperation with Able Trek Tours will provide/arrange to provide transportation home for the participant. In this case partial refunds or credits to account may be available but are not guaranteed.

All consent and waiver signatures must be those of the legal guardian. The application will not be processed with unauthorized signatures. Participants should sign where indicated whether they are self-guardians or not.

TRAVEL INSURANCE Travel/Cancellation insurance can be purchased through Able Trek Tours to protect you if you are forced to cancel for a variety of reasons. It also includes coverage for some accidents and illnesses. We strongly encourage Travel Insurance, especially for any trip including air, cruise, train or international travel. See more information on page 15 or contact Able Trek Tours.

PAYMENTS A minimum deposit of $100/motor is required within two weeks of signing up for each trip. Air, cruise and international trips REQUIRE a minimum $500 deposit. Tours requiring a larger deposit will be indicated as such in the tour description. Do not mail application without deposit unless prior arrangements have been made with Able Trek Tours.

CANCELLED TRIPS Able Trek reserves the right to cancel any session (trip) due to insufficient registration. In the event of cancellation, Travelers will be offered first choice of available trips, or their fees will be refunded in full.

25 TRIP FEE POLICIES A deposit, normally $100 per trip, is due to firmly “hold” a spot on a vacation. The remaining trip fee balance is due 45 days prior to the trip start date for motor coach tours and 65 days prior to departure for international, rail, cruise or air travel vacations. Interest free payment plans are available with Able Trek Tours approval.

FUEL SURCHARGE & TRIP ALTERATIONS In the event of rising fuel costs, and/or airfares, Able Trek Tours, Inc. reserves the right to add a surcharge, not to exceed 10% of the trip cost. Because of ever-changing attractions, shows, schedules, etc., Able Trek Tours reserves the right to make substitutions and changes in the trips when necessary.

REFUNDS AND CANCELLATIONS Please note: Some vacations may have more restrictive cancellation policies and penalties. If this is the case it will be indicated on the trip itinerary. Travelers who are “no shows” on the day of departure receive no refund whatsoever. Travelers who are “late” on the day of departure are considered no shows.

- Motor coach/land tours – All monies paid will be refunded if notice of cancellation is received by Able Trek Tours 45 days or more prior to each trip start date. If notice of cancellation is received by Able Trek 44 days to 8 days prior to the trip start date, Able Trek will retain $100 plus any monies Able Trek Tours is not able to get refunded from its suppliers. Cancellations received 7 days or less prior to the trip start date will not receive a refund. - Air, Rail, Cruise, and International tours – All monies paid will be refunded if notice of cancellation is received by Able Trek Tours 90 days or more prior to each trip start date. Cancellations received 89 days or less prior to the trip start date will be charged 20% of the total trip fee plus any monies Able Trek is not able to get refunded from its suppliers.

TRAVELER IDENTIFICATION REQUIREMENTS All Travelers should have a CURRENT (check expiration date) photo I.D. for every trip. Additional identification will be REQUIRED for trips that include air, rail, cruise or international travel. Specific I.D. requirements will be sent with each trip itinerary. Travelers who are refused boarding on any vacation due to lack of proper and current identification will not receive a refund whatsoever. Any travel outside the United States, even Canada and Mexico, will require a passport – NO EXCEPTIONS!!

We strongly suggest you contact us prior to completing your paperwork to check on trip availability. A deposit of $100 per trip is required to save a spot on most trip(s).
