Communication 99-16 SAMS Communication Update Supervisor Workspace: Bulk Case Reassignment Location Security Error May 26, 2016 This message is intended for ODSP, ACSD, Ontario Works staff and managers. Units & Positions updated March 15, 2016 Background In the April 2016 SAMS release, a new validation was introduced through Bulk Case Reassignment to prevent case transfers between programs. For example, an ODSP case cannot be transferred to an Ontario Works Organization. Since this release, users have been receiving the following error message “The case XXX cannot be assigned to this assignee as the location program mismatched”, when trying to bulk case reassign to a new owner. This error message is occurring for Additional Benefits’ Product Delivery Cases (PDCs) which were converted with the incorrect benefit type. These PDC cases were suspended at go-live as they were converted with no determination results. To determine program association: 1. Navigate to the evidence tab of the Additional Benefit PDC 2. Toggle down from the additional benefit hyperlink 3. View program details under the Benefit Type Bulk case reassign all main Program PDCs, Integrated cases and all other active case types first to isolate the cases which receive the Action location program mismatch error. Required Once all those cases are reassigned, review the remaining cases to identify the suspended additional benefits with a start date prior to November 2014. When cases have been identified, the following steps should be taken to facilitate bulk case reassignment until a permanent fix is implemented in a future release of SAMS. Step 1: Create a New Child Organization with the opposite program type your office delivers. 1. The New Child Organization Unit modal opens; complete the Name of the Child Organization Unit you wish to add Note: A naming convention should be followed to easily identify the new organization unit. For example, ODSP OFFICE 123 -Ontario Works Case Transfers 3. From the drop-down list in the Type field, select the opposite business type which your office serves and Save. For example, an ODSP office will create an organization unit with program type OW; an ACSD office will create an organization unit with program type OW; OW will create an organization unit with type ODSP. Step 2: Once the New Child Organization Unit is created it must be assigned to a default location. To associate it with a location: 1. Navigate to the New Child Organization Unit created above 2. From the Actions menu on the top right hand corner of the Organization Unit workspace, select Assign Default Location 3. The Assign Default Location modal window displays, search for their current location and Save Step 3: Bulk case reassign the identified cases which received the location program mismatch error message to the new organization unit. 1. Click the Cases tab from the User’s Workspace 2. Select Reassign Cases… 3. Reassign Cases modal dialog window opens where the supervisor can choose to use the Reassign or the Search Criteria to select cases. 4. Select the New Owner from the drop down list and search for the newly created organization unit. 5. Enter the search criteria and click Search 7. Click Select next to your choice 8. If a new owner was chosen, you will now be redirected to the Reassign Cases modal dialog with the name of the owner populated in the search field. 9. In the Search Criteria, the supervisor can search by Case Name or Status and check each case reference number they wish to reassign, OR the supervisor may choose to select all by checking the List all cases assigned to the user box. 10.
