POSITION TITLE: Intercollegiate Marketing and Administration Officer (ICMAO)

POSITION OVERVIEW: The ICMAO is responsible for the coordination of the joint marketing for the Residential Colleges of the University of : , St Mary’s College, Newman College, Queen’s College, St Hilda’s College, Ormond College, University House, International House, Janet Clark Hall and Trinity College. Reporting to the Chair of the Heads of Colleges, he/she will assist in the management and development of the intercollegiate marketing strategy, will coordinate its delivery and manage the joint aspects of the student recruitment and admissions processes that follow, at all times working co-operatively with the Colleges. He/she will also be responsible for administrative duties for the collective Heads of Colleges and Deans and Deputies groups, and represent these groups where appropriate.

KEY RESPONSIBILITIES:

Marketing communications and recruitment

All colleges have their own individual marketing. The inter-collegiate marketing and recruitment program complements and enhances these individual college operations through advocating the inter-collegiate marketing strategy – Colleges, . The ICMAO is responsible for:

. Managing the development and regular review of an intercollegiate marketing and recruitment strategy . Managing the development and distribution of communications collateral including print and electronic marketing materials . Maintaining the Colleges’ web and multimedia presence in conjunction with their web developer and the University . Representing the Colleges at marketing events such as visits to schools, expos, information sessions etc. in and interstate . Coordinating representatives from Colleges at marketing events . Assisting with the facilitation of college tours for prospective students and school groups . Working closely with the University’s marketing operation for the effective delivery of the intercollegiate marketing strategy . Providing the University with content for all relevant marketing materials . Establishing, implementing and maintaining a social media strategy for the colleges

Intercollegiate Office

The Intercollegiate Office is normally situated in the college where the Chair of Heads is situated. (The Chair position rotates every two years.) The ICMAO will:

. Respond to all enquiries directed to the Intercollegiate Office via email, phone and in person, including enquiries from prospective students, those interested in casual accommodation, and the University . Manage the administration of the Intercollegiate Office including organization of travel for marketing and recruitment strategy, processing of stationery orders etc.

Admissions

. Assist in overseeing the admissions process prior to commencement of each semester ensuring the efficient use of electronic administrative and data management system . Manage the Intercollegiate Pool Office in January and early February with assistance of the Pool Officer . Manage data collection, evaluation and distribution from admissions process . Act as a liaison between different Colleges and between Colleges and University during admissions process . Work with IC IT facilitator to develop more efficient admissions process and liaise with all college stakeholders to achieve this goal.

Administrative Support

. Manage administrative tasks relating to Heads of Colleges and Deans and Deputies meetings including writing of minutes, agendas and related documents . Coordinate Heads of Colleges’ meeting calendar and annual retreat . Provide general administrative support to Heads of Colleges and Deans and Deputies group on an ad hoc basis . Represent the Heads of Colleges on University committees as required . Coordinate other Heads of Colleges group’s and intercollegiate-related meetings and events

Relationship Managements

. Manage relationships with schools and intercollegiate partners . Manage relationships with universities (primarily the University of Melbourne) including Graduate Schools . Facilitate, where necessary, relationships between prospective students and their families and colleges to which they apply

Other

. Work within the colleges’ various inter-collegiate policies

KEY SELECTION CRITERIA

. Undergraduate or higher degree . Experience in marketing/communications is desirable . Knowledge of Colleges and tertiary education is highly desirable . Excellent time management and organization skills . Excellent written and oral communication skills . An ability to work cooperatively with a wide range of stakeholders from across the spectrum of the Colleges’ marketing communications and recruitment procedures, including secondary students, teachers, college and university staff . Strong data management and evaluation skills . Advanced computer application skills . The capacity to work autonomously and deliver outcomes on time and within budget . Capacity to be flexible and work effectively in a changing work environment . Driver’s license and/or own car also desirable
