X7.2 MAC AND WINDOWS FEATURES

1. DELIVERY OF X7.2 X7.2 will be delivered to current EndNote X7 users via the auto update feature. This will appear for the user to accept and install via a dialog window when they launch X7 after the release on September 30th, 2014. Mac users can also go to under the “EndNote” menu and choose “EndNote Program Updates”. Windows users can click “Help” and choose “EndNote Program Updates”. For users at a site who do not have administrative rights to their computers, they will need to forward the instructions included in Little EndNote How To Book: http://endnote.com/kb/129310 or, in this KB Article: http://endnote.com/kb/107720 to their site administrator, or IT Department to deploy the mass update.

LIBRARY SHARING Users are now able to share their sync library with up to 14 other X7.2 users. This means that they can access their library on the desktop (on multiple desktop installs, if relevant), in EndNote online, and the iPad app. This functionality is the first of many releases to the EndNote product line to help our users with collaborative workflows. Library sharing should be recommended to users as an alternative to saving their library on a shared drive, or emailing a compressed copy around to their collaborators. It will provide their entire team with immediate real time access to the same set of references, attachments, notes and annotations. Changes are sent and received via sync, so all members of the shared library need to have updated to X7.2, the desktop activated with sync preferences completed, and a working internet connection in order to send and receive changes. Steps: 1) Initiating library sharing from the desktop can be done from one of two places: the Share button or File  Share…

2) After selecting either, the user should be presented with the Share Dialog, as below. They can begin sending invites here.

4. INVITATION ACCEPTANCE PROCESS Users invited to a shared library will receive an email with the following information: 1) Sharer’s name and email 2) That they must have X7.2 installed in order to participate 3) Link to Buy or Upgrade 4) Learn more link to http://endnote.com/library-sharing 5) Instructions to email the Sharer if they aren’t interested in joining

Once they select the Accept button in the email they are taken to a page where they can either: A) Log in with their EN online account credentials to accept and associate themselves with the library -OR- B) Create a new account There are also links to additional information

This Premium check is not visible to end-users. 3) They are given instructions on how to check and update to X7.2 ------

For everyone else (X7 user who hasn’t activated the desktop, X6 or earlier, EN basic or new EndNote user: 1) User logs in with EN Basic account or creates a new EN online account 2) Premium check occurs in the background and returns either a pre-X7 serial number or no serial number. This Premium check is not visible to end-users. 3) They are given instructions on how to either: • Buy or Upgrade • Check and update to X7.2 4) Enter their EN online account information under Sync Preferences ------

5. REMINDING AND UNINVITING A USER FROM A SHARED LIBRARY A user who shares their library can remind, and uninvite or revoke access to one or all users. They can access these features from within the sharing dialog. Reminding a user means that user will receive the initial invite again.

This library will be removed from the list of libraries shared to them when they select File Open Shared Library.

6. ACCESSING LIBRARIES SHARED TO A USER Users are able to have an unlimited number of libraries shared to them. These libraries are only accessible from within the desktop. Steps: 1) File Open Shared Library

2) Desktop will authorize the user, meaning they must have an internet connection to call up the most recent list of libraries other X7.2 users have shared to them. 3) The list of libraries shared to them, indicated by the email address of the sharer, will be presented to the user. 4) They can select a library from the list and open it here

7. WORKING WITH LIBRARIES SHARED TO A USER Libraries shared to a user work exactly the same as any other EndNote library, with a few differences. Libraries shared to a user must be opened from File  Open Shared Library Libraries shared to a user will not appear in the MRU (Most Recently Used) list A user must navigate to File Open Shared Library and be authenticated. This is to ensure a user doesn't access a library that they’ve been revoked or uninvited from.

⁄ Libraries shared to a user cannot be navigated via the Finder on Mac or the Windows Explorer. These libraries are stored as hidden files on the computer.

When they do so, the library will display, not as the email of the person sharing it to them, but as the GUID. This is controlled by the operating system, and cannot be changed by Development. COPY AND PASTE REFERENCES BETWEEN LIBRARIES SHARED TO A USER Users can copy and paste references between libraries they share with others, libraries shared to them, and non-syncing, non-sharing libraries. The library that has been shared to them will appear as the email of the sharer. See example:

UNLIMITED STORAGE Storage for X7 users has been increased to Unlimited n the desktop, online and in the iPad. This unlimited storage is tied to the Premium account state and will expire when that time is up.

X7.2 IMPROVEMENTS

11. MAC ONLY: QUICK SEARCH HIGHLIGHTING

Mac users can see their search results highlighted in their library and quick edit pane view. This was implemented in X7.1 for Windows.

12. MAC ONLY: ANNOTATIONS MADE IN OPENED 'QUICK EDIT' WINDOW ARE ALSO DISPLAYED IN LIBRARY VIEW

Edits and added annotations are viewable to the user in both the main library view, as well as the Quick Edit view. These two views can be switched between by the user, and they can access and edit the reference data as well as the PDF annotations from both.

UPDATED GETTING STARTED GUIDE The Getting Started Dialog has been updated for both Mac and Windows to show users how to set up sync, share their library, get training information, and includes a link to the Community. The new behavior is that instead of just showing for new users, it shows for new, upgraded, and updated EndNote X7.2 users.

14. ALL ENDNOTE ICONS HAVE BEEN UPDATED The app launch icons, those associated with various file types have all been replaced and are exactly the same for both Mac and Windows.

15. SUPPORT UTILITY IMPROVEMENTS FOR SHARED LIBRARY CUSTOMER CASES Go to: http://tsenwqa01.int.westgroup.com:4444/enwservices/supportutility/ You can look up information on shared libraries by: 1. Customer e-mail address. 2. By the library ID that can be found in the EndNote application data directory. Information available: • Libraries (currently 1 and only 1) shared by the owner. • By clicking the "Show" hyperlink, one should be able to see:

o Owner's information (name, library ID) o Consumed seat count (total of invitees and members)

o List of invitees (have not accepted the invitation)

o Members (have accepted the invitation)

o History of revoked members o Libraries shared to the owner of that library.

DEMO VERSION During the trial 30 day period, the EndNote demo will provide users with full EndNote X7.2 functionality, with the ability to share their library and have multiple libraries shared to them. After 30 days, the EndNote demo will go into reader mode and there is no library Sync and no form of the sharing features (sharing/ being shared to). Prior to expiration, it is entirely upon the demo user that shared their library to disable the sharing of the library (if that is what they want) by removing all the participants. See Appendix chart for Account States after X7.2 release for more information.

17. COPYRIGHT INFRINGEMENT REPORTING PROCESS We have spent an extensive amount of time ensuring that X7.2 allows users to share entire EndNote libraries while also being mindful of copyright laws.

EndNote X7.2 provides sharing capabilities that allow team members and colleagues to share information with each other. The content—whether references or attachments—is only being shared with those who have been granted access to the shared library, thereby helping to protect end-users and institutions from inadvertently sharing copyright protected content with the public. Prior to uploading any materials to the shared library, end-users should ensure that they have obtained permission of the copyright owner (if applicable) and that they have reviewed EndNote’s End-User License agreement. Thomson Reuters takes copyright infringement seriously and we want to be able to act quickly if a copyright holder reports that there has been an accidental or purposeful sharing of material that a user does not hold the rights to. Any account found to be in violation will have their sharing capabilities disabled.

Procedure:

1) A Copyright owner who has identified the unlicensed sharing of their materials could contact us in one of three ways: - Through http://thomsonreuters.com/copyright/ - Via the instructions provided in the Community for the take down notice: https://community- sso.thomsonreuters.com/SSOModule/static/science_takedown.html - Through http://endnote.com/support

2) If this happens, you can ask them to follow the procedure highlighted in the https://community- sso.thomsonreuters.com/SSOModule/static/science_takedown.html

3) Once the Copyright owner has followed this procedure and it is confirmed by a member of the development team that the user they report is sharing the reported item, then a member of the Product Management team will use the support utility to turn off that 17.2 users ability to share. Having the ability to share turned off means that all members of their library will be uninvited, and they will be unable to reinvite them until they have contacted us and removed the item. Their library will still sync to EndNote online and the iPad app, and they will still be able to add, edit, delete the contents of the library.

5) When the sharing feature is turned off, the user see the following message in the EndNote desktop: “In accordance with our terms of use and internal policies, we have disabled your sharing functionality because we have received notification from the copyright owner that you are not

You will receive an email from us, identifying the content in question and explaining the steps that you can take to have your sharing functionality restored. If you have any questions, please contact us at http://endnote.com/contact”

5) Abby Swartz, the designated Copyright Agent, will then email them the following message: “In accordance with our terms of use and internal policies, we have disabled your EndNote sharing functionality because we have received notification from the copyright owner of ______that you are not authorized to share such content with other users. Please either contact us pursuant to the procedures outlined in our takedown policy https://community- sso.thomsonreuters.com/SSOModule/static/science_takedown.html if you believe you have the appropriate rights to share the content, or remove such content from your shared library.”

6) When the user contacts the support desk, please forward them to me and cc the entire Product Management team: [email protected]; [email protected]; erik.baker@thom sonreuters.com: We will make sure that the item is removed and have their sharing turned back on for them via the support utility.

18. EXPIRATION DATES We are currently in discussions about extending the expiration dates of X7 users, who will expire on August 31, 2015. The expiration dates are controlled by the server, so we can extend them without a release to the desktop.

19. NEW EULA The EULA has been updated to account for the new library sharing capabilities. This new EULA is in place on the desktop, online, as well as for the demo version. Here is the new section: (ii) End User may not upload, share or otherwise transmit any content that (A) End User does not have a right to upload, share or transmit under any law or under contractual or fiduciary relationships; or (B) violates anyone’s copyright, trademark or other proprietary right. Thomson Reuters (Scientific) LLC responds to notices of alleged infringement that comply with the Digital Millennium Copyright Act. End User acknowledges and agrees that in addition to any other rights or remedies that Thomson Reuters (Scientific) LLC may have hereunder, Thomson Reuters (Scientific) LLC may remove or disable access to allegedly infringing content, or disable certain functionality, such as sharing, in the event of an alleged infringement.
