We left the last MASS Media edition with a difficult task ahead of us; that being to successfully promote and run the EDGE Training Residential over 9th & 10th June. Being the first time that MASS has delivered such an event, EDGE became the realisation of ideas originally floated by our clients at the 2014 User Groups. This event represented an opportunity to combine client networking with technical training and knowledge transfer, and to that extent the feedback received suggests our first session can be deemed a great success. This issue features a detailed write up of the EDGE Training Residential, which we hope will tempt more clients to sign up for the inevitable EDGE2 sessions now being scheduled for 2016. Also included in this issue is a review of the ARCHIBUS Nexus 2015 International User Conference from Chicago, kindly provided to us by Andy Stewart of the University of Edinburgh. Andy accompanied Paul and myself to the US where he presented a well attended session on the University’s Estates and Building Strategy using ARCHIBUS. Coming back to the future, two key MASS annual events on the horizon are the North and South User groups, currently scheduled for October 13th at ‘The All England Lawn Tennis Club’ and on October 15th at ‘The University of Edinburgh’. For those of you who are unaware, October 2015 has long been pencilled in as ‘Back to the Future’ day, by geeks and movie fans alike, ever since Marty and Doc bundled their way in and out of the future during the classic 1989 movie sequel. We therefore thought it would be remise to ignore such a momentous occasion and whilst we cannot promise hover-boards or Delorians, we will be straddling the timelines of BIM as well as playing one of our stylised games for delegates to compete and learn. Word from the future is that it is not one to be missed! As a final note I’d like to welcome Nitin to the MASS team. Nitin joins us from a Sales perspective and so I’m sure that most of you will have some communication and meetings booked with him over the coming 6 months. Nitin joins MASS as a Sales Account Manager at an exciting time where a lot of new Archibus, BIM and Revit related solutions are being discussed and implemented for our clients. Nitin started his professional career as a mechanical design and planning engineer in the commercial HVAC industry, where he worked on some state of the art facilities projects. He is an AutoCAD, Revit and ARCHIBUS commercial user by trade due to his previous roles. Over the years he has developed a passion for Facilities Management and BIM , which he has brought with him into his current association with MASS. We believe that he will be able to help provide FM industry related bespoke solutions to our clients by applying ARCHIBUS, BIM and Autodesk resource knowledge. He is looking forward to travelling around our many customer sites and visiting most clients over the coming months.

This June, MASS sponsored Andrew Pilbrough and Barry Elliot to complete the London to Brighton bike ride. Andy once again completed the gruelling 54 miles on a unique 2 tier bike he built himself (as seen in the photo!) This money has gone to a very worthwhile charity; the British Heart Foundation. This is a charity that has pioneered research to change the lives of those living with heart and circulatory conditions. An issue that had to be overcome was the varying levels of knowledge of ARCHIBUS, and differing versions and applications in use by the delegates in attendance. Therefore, each session had a similar format designed to give an introductory overview of the training course content, a short presentation on key functionality, followed by, wherever possible, hands-on working examples of the key features. Most sessions were an hour and a half long, with a short break between sessions for refreshments. The sessions were designed in an open format, where delegates were encouraged to ask questions and share ideas and successes. The level of furious note taking and frequent quick fire questions showed that the shorter focussed sessions were the correct delivery mechanism as opposed to structured full day, single topic courses.

The second set of courses running were Asset Portal and CAD/Revit and Compliance Module and Planned Maintenance before a (questionable) cold and hot buffet lunch and an hour’s break were served.

Whilst the food could have been improved, the networking lunch provided a brilliant sociable framework and acted as a break away from the intense hours of training. As per our usual User Groups, we were keen to ensure that plenty of networking opportunity was provided throughout the day, as feedback from all events MASS host shows that this is usually one of the highlights and most appreciated sections of the day.

After lunch on Day 1, short courses on Condition Assessment and the ARCHIBUS Mobile Framework were scheduled. As ever, the Mobile course proved popular indicating that this will continue to be a key industry focal point in the coming months. The last two sessions of the day were extended to 2 hours and these covered System Administration and Roles and Processes, and Clean Building and Asbestos Management. Day 1 drew to a close with everyone thoroughly deserving a break. Some of the attendees heading home were given their Certificate of Training Completion, and for those staying for the 2 days and had booked accommodation at the venue, there was time to wind down from the day’s activities, make use of the venues leisure facilities, or enjoy a cold drink at the hotel bar before assembling for a group dinner together at 7pm.

The evening dining group were served a 3 course meal that was well received, and was washed down with the several bottles of wine.

On the morning of the 10th, not only was it World FM Day but Sean Benson from ARCHIBUS arrived! Sean is the Technical Trainer at ARCHIBUS, and was joining us for our second and final day of EDGE. Day 2 commenced with the first training sessions at 8:30am where Sean would be based all day, with 3 sessions to cover. Mark had a slightly easier day with just the one session, whilst Martin had 2 courses to deliver.

To ensure that delegates could attend as many courses as possible, we purposefully duplicated some of topics that proved to be the most interesting from the pre-event research. The courses duplicated over the 2 days were:  SLA Creation and Building Operations Console  Mobile Framework Deployment  Condition Assessment

In the morning sessions, Sean covered ARCHIBUS Performance Metrics and Alerts and the Homepages Configuration, the newly released functionality as a key reporting tool in ARCHIBUS v21.3. Sean’s experience and versatility as a trainer showed through a slightly different style of training, which was well received by the delegates. A particular highlight was Sean’s method of instructing one of the delegates to deliver a recap of the first training session back to the group whilst he sat in the audience. A great training methodology and a little fun in the mix.

A lot of questions were asked during Sean’s sessions and he ensured the continuation of the hands on training philosophy set by Mark and Martin by getting delegates to answer their own questions on screen through his guidance and experience. Feedback showed that his fresh approach provided a good level of knowledge retention and understanding, and was a good way to end the 2 training days.

The final sessions of the event were Capital Budgeting and Project Management led by Sean, and a recap of the Condition Assessment from Martin…..

The delegates gathered together, and received their Certificate of Training completion whilst Mark concluded EDGE by providing an overview of all of the topics covered over the 2 days, and gave the opportunity to ask any questions, and thanked everyone for coming.

After the summary discussion, Sean Benson provided a ‘hot off the press’ presentation on the roadmap features for the upcoming release of ARCHIBUS V22.1. This gave everyone an insight as to where ARCHIBUS is heading in the near future, and was exclusive to the EDGE attendees. Further information on the impending release from ARCHIBUS will be communicated to the whole user network over the coming weeks.

As this was the first time MASS had hosted this kind of event, feedback was essential to help mould and shape future reiterations. Feedback was both constructive and informative, showing that the event was viable and would certainly be run again in the future. This has also been fed back to the hotel and going forward, MASS will ensure that the services provided by the venue will be to a high standard.

Some recommendations and ideas for future events included:

Archibus Nexus 2015 – The User Group Conference

Earlier this year I had the opportunity to both attend and present at the annual Archibus User Conference, entitled Archibus Nexus 2015, at Chicago Illinois. This was my first visit to an Archibus user conference, so what were my expectations? What did I make of it? And what did I learn? With regards my expectations, there were three; Firstly, I was eagerly anticipating seeing how other users were utilising the Archibus product suite; Secondly, getting a better understanding of Archibus road map going forward and how this might be utilised to bring greater benefit to University of Edinburgh; Thirdly, establishing some contacts with like-minded professionals.

During the 18 conference presentations that I attended, I came to realise;

 The widespread utilisation of the Archibus product across the world, with representatives being identified from Europe, North and South America, Asia and Australia.  The varied utilisation of the Archibus product suite to enable organisations to select modules that meet their specific business requirements with the flexibility to further integrate with their own core systems .  We are not alone as organisations using Archibus, we all have similar challenges to improve the data and utilisation of the system, we all experience difficulties and challenges in implementing change but through it all there was a willingness to share.  The extent in which organisations have developed Archibus led business solutions through working closely with their Archibus business development partners of space incorporating the utilisation of BIM..

I found the conference presentations to be varied, interesting and at times quite inspirational as the results of both innovative thinking and hard work to develop and implement business solutions were demonstrated on a variety of themes ranging from the finance aspect of Capital Budgeting, the increasing use of mobile technology maintaining property through to management of space incorporating the utilisation of BIM. In addition, I attended a Centre of Excellence session for the Education sector which incorporated a case study regarding the cooperation and planning that enabled the roll out of Space Management across multiple Canadian Universities combined with further discussions on best practices.

Another pleasant surprise for me was discovering that there is a community of customer led Archibus User Groups (AUG’s) which through regular meetings and teleconference calls look to share ideas and experiences. In meeting with some of the representatives made me realise the amount of effort required to continually look for new discussion topics and encourage others to participate, however, there was great enthusiasm about the group and from what I could tell, it does appear to be both worthwhile and appreciated. It was pleasing to observe that the concept of AUG’s is greatly encouraged by Archibus.

From my perspective, the benefits of attending continue and having attended the Building Operations Special Interest Group, and having registered as a member, will be joining the next scheduled webinar on 8th July.

Throughout the whole event all Archibus staff made themselves known and were very approachable at all times. It was nice to meet some old colleagues such as Ian Gelling whilst meeting new Archibus personnel for the first time. Indeed, during lunch one day, I had the opportunity to talk with Steve Segarra and present some of my thoughts on how the Archibus product could be improved by integrating the Compliance module (we installed October last year) with On—Demand module.

In summary, I am pleased to report that my expectations of the event were fully realised, I am far more aware of how other organisations use Archibus in a variety of ways, I have certainly gained a better understanding of how the product is being directed and have come away from the conference with some thoughts and ideas for the future. Finally, I should say that whilst the conference days were very busy and intense, noting that I attended 18 different presentations and events, it was not all work and there was some play. In addition to attending the Archibus gala dinner, I also enjoyed the company of Luke and Paul over a few beers at the end of the day. As a first time visitor to Chicago, I can report that the architecture is stunning both viewed from the ground or from the top of ‘Sears’ tower , the river trip lived up to Chicago’s reputation of the windy city, and the food is served most generously.

Next year, the event is being held in San Diego, California and I would thoroughly recommend the event if you have the opportunity, you will learn so much and I am sure have a great experience. Till the next time…
