3 Background Checks The link to the online Background Check Authorization Form will be availably June 1st Background Check Authorization Forms must be submitted a MINIMUM OF TWO WEEKS PRIOR TO THE START OF EACH RESPECTIVE EVENT. Forms submitted within two weeks of the event date may not receive clearance in time for the event. Any person in a working capacity present at any Little League® tournament site or event, must pass a background check in order to be allowed on-site. No exceptions will be made. Little League reserves the right to deny an individual from working at our events. This includes, but is not limited to: • Persons working any Little League event where youth will participate. • Persons working an exhibitor booth during the Little League World Series or related event (including Regional and Divisional LLWS events). • Persons assisting with load in and set-up of an exhibitor booth (including laborers pre-set prior to the official start of the tournament). • Persons requiring access to the complex prior to 7am DAILY once the games have begun (e.g. staff arriving for daily booth set-up). • Persons requiring access to the complex AFTER games have ended (e.g. staff breaking down booth).

It is critical to allow enough time to complete the online Background Check process, as this is performed by a third-party organization, and Little League cannot guarantee how long a check may take to process.

* While credentials may not be issued at Regional or Divisional tournaments, BACKGROUND CHECKS MUST STILL BE COMPLETED FOR INDIVIDULS WORKING AT THESE EVENTS.

Pin Giveaways Pins are THE most popular giveaway item at the LLWS and should be considered as part of your giveaway items. • Consider using a Little League licensed pin vendor • A list of official Little League pin licensees can be found here: https://www.littleleague.org/partnerships/licensing/pins-trophies-awards/ • When distributing pins as a giveaway, the following disclaimer must be displayed at your booth, on the back of the pin itself, on the bag the pin comes in, or on a card attached to the pin: “Warning – Choking Hazard – Small parts. Not for children under 6 years.”

Storage Facilities: On-site storage is limited, and there is no access to a loading dock or forklift. Please contact Amry Shelby to coordinate any storage needs. Rental Services: Please contact Just Ask Rental LLC at (860) 582-7166 if needed. East Electric/Internet Accessibility: Access to electricity can be arranged. A generator is recommended. WiFi is available via the press box and recreational space. Bristol, CT Sponsor Activation Area: 10’ x 10’ space available per sponsor. Additional Information: There is no reserved on-site parking. Parking is on a first come, first served basis.

Storage Facilities: There is no loading dock on-site, but a forklift is available. Please contact Jen Colvin to coordinate any storage needs. Rental Services: Please contact Macon Tent Rentals (478) 746-8269 if needed. Southeast Electric/Internet Accessibility: A standard plug-in area is available. WiFi or hard line internet access are not available on-site. Warner Robins, GA Sponsor Activation Area: Large area that can accommodate a 10’ x 10’ or 20’ x 20’ tent. Set-up should take place the day before. Additional Information: Prepare for extreme heat and thunderstorms. Sponsors are responsible for maintaining/supporting tents. Parking passes are available.

26 Stadium/Concourse Activities

On-field/In-Stadium: Any sponsor representative, including mascots, will not be permitted on the field at either stadium while a game is being played. On-site distribution at entrances to stadiums requires pre-approval (e.g. handing out pins). Access of any kind, when stadiums are not in use, needs to be approved and the sponsor should be accompanied by a Little League® representative.

Camera View: Per Little League’s policy, banners, mascots, or other branded displays will not be permitted in the outfield spectator area or in “camera” view without prior approval. This included the presence of any mascots or brand ambassadors.

Concourse: The “concourse” (outlined in yellow) or area around and between each stadium, pavilion, restrooms, and merchandise are is designated for our fans to mingle, trade pins and enjoy the event. Mascots may visit fans and sponsors may conduct activities in these areas only with prior approval.

27 Security Check Points & Prohibited Items Sponsors will be required to enter through metal detectors before accessing the complex each day. All bags and backpacks will be inspected upon arrival. 28 Credential Requests – Williamsport ONLY The online Background Check Authorization Form and the Credential Request Portal will be available June 1st

In addition to an approved Background Check (page 4), a credential is required for anyone working on-site in Williamsport. Credentials are the physical badge used to identify those authorized to work on-site and will allow you certain accesses while on-site (e.g. ability to enter the complex before it opens to prep your booth in the Family Fun Zone)

In order to receive a credential, you must: • Complete an online background check authorization form and pass your background check • The information from your background check authorization form will be used to auto-populate information on the credential request portal including name, email, phone number, and background check approval status) • Designate a main contact responsible for monitoring and updating the Credential Request Portal. This includes manually: • Confirming dates & location where for staff will be working • Adding any names who have not yet submitted a Background Check (if Background Checks are not completed by the deadline) • Removing any names who will no longer be working on-site

All background checks and credential requests must be submitted 2 weeks prior to the start of the respective event. Additional information will be available on the Sponsor Portal

While other sites may not issue a credential, it is essential that the background checks are also completed for all tournaments.

29 Credential Access • A sponsor credential permits early access to the complex, along with the following areas: • Public Concourse • Sponsor Area • Additional media credentials* will be required for content capture: • Filming • Photography • Credentials, of any type, do not serve as a substitute for a stadium ticket • Minors will not be issued a credential unless they receive the proper parental consent • Otherwise, they should be accompanied by an adult who has been issued a credential

31 Parking & Museum Passes Parking • Two (2) parking passes will be distributed per sponsor • If you have special guests or VIPs attending specific days of the tournament, please make Little League® aware – we may be able to provide additional day passes in such cases • Parking passes are valid throughout the tournament, unless dates are specifically noted on the pass • Please reference the specific lot designation on your parking pass and park only in that designated area • Parking maps will be available on LittleLeague.org in the summer • Parking is available on a first-come, first-served basis – a pass does NOT guarantee a spot • Should complex lots become full, public parking is available • Passes are intended for sponsor use, but can be allocated to on-site staff

Museum Passes • Little League credentials can be used to gain access to the museum by displaying the badge to the staff at the counter • Passes are available for sponsor guests who are not credentialed

Content Capture Overviews*

Content Capture Overviews are due July 10th and should include the following: • Social Media Plans • A general overview of the type of content you plan to post during the LLWS (both on your brand’s and Little League’s channels) and approximate dates if possible, particularly if you would like Little League® to post or share on our channels • Your brand’s preferred handles, hashtags, and platforms • Please ensure that you have approved @LittleLeague to utilize your brand’s handles using the Branded Content Tool • If you anticipate requesting images from Little League, particularly images from games, Little League will require 24 hours notice, so we can prepare to pull the images for you • All copy and creative must have prior approval from Little League Marketing before going live. Little League requires a minimum of 4 hours to approve posts during LLWS, but more advanced notice is appreciated • Video/Filming plans & needs • All game footage requests must be coordinated through ESPN/ABC licensing (requires advance notice and planning) • IMPORTANT: Posting or capturing game footage is strictly prohibited and is in violation of our agreement with ESPN • Video and film crews require additional credentials and approval from Little League communications and security teams and are subject to access guidelines. • Your plans must include the dates you plan to film onsite, as well as the location and content you plan to capture (e.g. B-roll shots of complex player interaction, etc.) • If you would like to utilize non-game footage captured by our Little League team, please share these requests with us prior to the start of the LLWS • Little League will have video teams capturing content at both the LLBWS and LLSWS • Photography plans & needs • Anyone taking photographs of in-game action must be a credentialed member of the media. 37 Content Capture Guidelines It is the responsibility of each sponsor to obtain permission attendees if posting photographs and/or video from their booth locations. A waiver form should be obtained for image/likeness use • If attendees are participating in the LLBWS RFID program (wearing a wristband from Thuzi), they have likely met this requirement via Thuzi registration process • Additional Resources • Players, coaches, and umpires in photos must be equipped to Little League® safety standards. Please pay attention to rules for safe play such as correct standards for patches, helmets, etc. For example, a player at bat should not be photographed without a helmet • Full guidelines can be found at https://www.littleleague.org/media/ under the “Appearance of Little Leaguers in the Media” section as well as on the Sponsor Portal. Please indicate any plans to work with players in your Content Capture Overview and Little League Marketing will contact you to discuss whether plans can be accommodated. 47 Hotel Accommodations • It is extremely important to arrange your hotel needs as soon as possible. We have room blocks at several hotels in the area, but space is limited, especially during weekend of the tournament. • While we fully understand that your finalized plans will not be complete for a few months, we ask that you please share estimates with Grace Christenson ([email protected]) as soon as possible. • Please be aware many hotels in the area have deposit cut off dates as early as May, due to the high demand for rooms during that time. Little League® cannot hold any rooms in our name past the deposit cut off dates. • Rooms will need to be under your company name and all payments must be completed through your own billing processes. Please ensure that you fully understand hotel policies and procedures when completing your reservations. • If you generally make your own arrangements, we encourage you to confirm your blocks with your contacts now. If you plan to lower the number of rooms you typically use, please notify Little League Marketing. Little League may be able to utilize the rooms and will ensure that your room numbers are not lowered in subsequent years. • A complete list of hotels in Williamsport and the surrounding area are available on the Sponsor Portal.
