We are excited that your organization will be participating in our program this season! You will see here is a list of the 2015 BC Football home games (most times are TBA) as well as the information and guidelines that will enable your group to understand the parameters of our program. It is IMPERATIVE for the group leaders to make sure each member of their group reads and understands this information.

As we welcome you to the Athletic Concessions Program for the upcoming season we would like you to pay attention to the following sections as they are very important and require extra attention: • SCHEDULING • PARKING • DRESS CODE • RESPONSIBILITIES • AGREEMENT PAGE

Your organization is expected to recruit and provide enthusiastic, hard-working individuals with an amiable attitude to work each game with a total team service work ethic. The workers representing your organization must be competent to work their assigned concession location(s). Please remember that every individual and their participation efforts reflect on your organization. Workers must be at least eighteen years of age. Each sales location is directed by a BC appointed Stand Manager and workers are required to perform the roles and duties they assign. The most successful groups are those with strong leadership and well informed members that adhere to the Concession Department’s operating policies and procedures. REPORTING TO WORK For football, hockey, and men’s games - each worker will report for work at the Employee Check-In Entrance; located at GATE B, main entrance to , on the Beacon St side of the building. All workers are to be there THREE hours prior to kick-off. *If any part of your group is late, you risk being turned away at the check-in gate.

For hockey, basketball, and all other events – Employee Check-In is located either in the same location as football OR in the Concessions Department office on the lower level of Conte Forum (Beacon St side). All workers must be here TWO hours prior to the start of the game.

Promptness is extremely important! Tardiness poses a major problem to the efficient operation of our concession services. Please check www.bceagles.com for any updates to times as they can change without notice.

*NEW* EVERY worker MUST bring a valid photo ID with them to the check-in gate. There will be random checks throughout the check-in process to be sure only the volunteers on the team or group rosters are the people working the events. This is a security protocol within Boston College and we must adhere to this policy, there will be no exceptions.

PARKING We cannot provide parking for any of the groups and is a major concern for Boston College Football games. Parking is NOT allowed on BC property without day of game permit. Please visit www.bceagles.com for suggestions where to park should you choose this method of transportation.

Group leaders must find/provide a sufficient way for all of your workers to arrive on time. We suggest free parking along the side of Hammond Pond Parkway as it approaches Beacon Street (about a half mile walk to the stadium) but we encourage the use of the MBTA Green Line which approaches campus from several different T stops within walking distance.

Please refrain from attempting to gain access to Boston College campus parking lots. You will be turned away and risk your group being late and/or lose your eligibility for future participation in our fund-raising program. Please make sure you allow yourself sufficient time to reach Employee Check-In at the appointed time. ALL workers should be informed of this policy!

WORKER LISTS & WRISTBANDS Each worker will be issued a coded wristband when reporting for work at the Check-In Gate. NO ONE MAY WORK THE EVENT WITHOUT THAT WRISTBAND. Worker assignments will then be distributed among the group.

Please adhere to the directions of the Check-In Staff in reporting to your designated sales location. Not all will be assigned to work in the same sales area, please do not make an issue of this. All groups and teams will be given the opportunity to work on a first come-first serve basis. All other events will be coordinated with the Athletic Concessions Management Staff.

CHECK-IN TIMES For football games all volunteer workers are expected to arrive at least THREE (3) hours before kick-off. *If any part of your group is late, you risk being turned away at the check-in gate. However, some sales locations will require their staff to report earlier to be prepared in time. The Concessions Office will notify the group five (5) working days prior to the game.

Please be aware of the importance of timely arrival and proper uniform. Late arrivals pose a major problem to the efficient servicing of our operation.

All other events will require a two (2) hour check-in time prior to start time or will be determined by management.

DRESS CODE It is very important that all of your workers are informed of the required dress code. ALL WORKERS MUST FOLLOW THE DRESS CODE, if not they can be turned away. No questions asked – no accommodations will be made.

Workers are required to wear a white shirt during the warm months and a neutral colored jacket/sweatshirt during the cold months. Jeans and other appropriate casual pants are acceptable, as are sneakers. Individuals with long hair are required to wear it up and off the shoulders.

Board of Health regulations PROHIBIT the wearing of shorts, tank tops or any sleeveless shirts, and open toed shoes, including sandals or flip-flops. Sweatpants are not allowed.

Each worker will be issued a hat and apron at the check-in gate. These are expected to be worn: hat facing FORWARD and apron kept tied neatly. The apron should be returned to the Stand Manager at the end of work each game. If workers do not cooperate with the established dress code, they will not be permitted to work.

BACKPACKS and BAGS *NEW* Workers are NOT permitted to carry any backpacks or bags into the stadium. Small clutches or purses will be allowed in; however these are still subject to search. Any worker with a bag holding more than a cell phone and wallet will be turned away at the check-in gate.

GROUP SIGN-UP SHEET Enclosed at the end of this packet are Group Sign-Up Sheets to be used for the initial and final worker lists. Please make sure your initial and final worker lists are properly headed with group name or they will risk being lost.

These sign-up sheets look similar to the check-in sheets located at each sales location which is required to insure proper payment. It is important that they clearly write their name, the CORRECT name and GROUP ID # (see last page) of the organization they are fund-raising for on that particular day. This is how your group/team will be compensated for each volunteer working. Groups will be paid by the Boston College Accounting Department. Checks are processed every six weeks, please be patient. They will be mailed to the designated address that the group has listed on their Group Information Sheet.

GROUP INFORMATION SHEET Please return your completed Group Information Sheet to the Concessions Office as soon as possible (fax is encouraged). The tax exempt number must be included and is required to participate in the Boston College Athletic Concessions Fundraising. BC Groups need to provide their Chart String number prior to working the event.

Your organization cannot be paid without this number. Also, please be specific as to whom and where you would like the check to be sent (i.e. Boston College Athletics versus Boston College Women’s Team). ***Accuracy of your mailing address is imperative as many checks are sent to university addresses and may need to be routed differently*** No checks will be made out to any individuals; name on check must represent team or group.

GENERAL OPERATION SERVICING THE CUSTOMER IS A VITAL PART OF OUR OPERATION. Full knowledge of all product (food & beverage) available at your designated sales location is very important. Stand workers are often asked questions, so please make yourself accustomed to the location of: restrooms, souvenir stands, and first aid areas. Each location will be supervised by a Boston College Athletic Concessions Department Stand Manager. He/she is in charge of your overall operation and will assist your organization with all the tools you need to operate successfully.

All workers when reporting for duty will be trained and oriented by the Stand Manager. All workers are to follow their instructions at all times. They are the volunteers’ immediate supervisor. All workers must adhere to all rules and regulations set forth by Management. Worker responsibilities can include, but are not limited to: register operation, cooking, cleaning, inventory, and customer service.

• Breaks will be given by the Stand Manager. Each worker will be given an employee meal and beverage break. • Hands must be washed with soap and water for at least 20 seconds regularly during shifts and always after using the restrooms, breaks, and removal of gloves. • No smoking, eating, or drinking is allowed at any sales location. This is very important and needs to be enforced for the promotion of a safe and sanitary work environment. • All workers who handle food and beverages are expected to wear vinyl gloves and change them often. All sales locations will have the necessary supply available. This is a strictly enforced Concessions’ policy that protects both customers and employees.

CELL PHONE USE Cell phones AND text messaging is NOT permitted in any sales areas in either or Conte Forum. Any personal business should be conducted outside of the sales location. We ask that if you are awaiting information for a personal family matter and need to keep you phone with you that you inform the day of game manager that you have been assigned to.

When the stand or sales area is closed, all workers must help clean. It is their responsibility to make sure all trash is removed, all equipment wiped down, and floors and surfaces are cleaned and sanitized. The group will then be dismissed by the Stand Manager; workers are not to leave before then.

FAMILY MEMBERS & CHILDREN Please do not bring family members to any athletic event. All people in the building must have either a ticket on them or be working as part of the concessions program. All others run the risk of being removed from the premises by Athletics or the security company. This is strictly enforced by both authorities.

GRATUITIES (TIPPING) Concession Sales locations are NOT permitted to accept tips or gratuities. If a customer leaves change, all cashiers are expected to place the overage INTO the cash drawer. Commission is based upon the amount of cash that is taken in therefore, this is in the best interest of all workers and the groups will ultimately receive credit. The policy of the Boston College Athletic Concessions Department is: NO TIP JARS and/or SIGNS are acceptable.

COMMISSIONS BC Student Groups and Nonprofit Organizations will receive a commissionable rate of 10% based on sales earned that day. The minimum payment per worker for a football game is $50.00, for hockey and basketball it is $40.00 (if no concession sales are made).

Finally, remember that the customer receives his/her impression of our facility through their contact with all workers. It is extremely important for everyone to work together toward providing high levels of customer service. SCHEDULING GROUPS TO WORK FOOTBALL GAMES

We require that you make TWO correspondences for each time your group will work:

1. Group leaders will need to contact the office (via e-mail or phone) to find out the determined number of staff required by your organization for each individual event, starting in August as groups are scheduled on a first call, first serve basis.

2. Group leaders need to fax or email the FINAL list of volunteers (number previously agreed upon with Paul Flaherty) to the Athletic Concessions Office for confirmation on the MONDAY by 5pm prior to a Saturday home football game (FRIDAY before the Friday game).

o If you fail to submit your final list by Monday at 5pm, YOUR GROUP WILL NOT BE ALLOWED TO WORK.

o These lists should be alphabetized (last name, first name) and include a birthdate but please no social security numbers. (This is a Boston College security policy). o The final list of workers will be considered your contract with the Concessions Department. • Failure to meet your promised numbers will reflect negatively upon your organization and will result in reduced participation in our fund-raising program. • Groups should not expect to bring additional workers as this could effect your over-all commission for the day and risk the chance of being turned away at the Check-In Gate. • Groups should be staffed in numbers of 5, 10, or 15. • It is imperative that you honor your commitment of scheduled workers on game day.
