2014 GAT Student Assessment Timetables and Special Examination Arrangement Advice Slips

1. Student Assessment Timetables

Student Assessment Timetables should be produced from VASS using the menu STUDENT PROGRAM VCE Reports Student Assessment Timetables and distributed to students.

As of Monday 12 May 2014, Student Assessment Timetables are finalised for the General Achievement Test − GAT (Cycle 1). Student Assessment Timetables produced before Monday 12 May should be discarded.

Note: Student Assessment Timetables for the October/November examination period (Cycle 4) are not yet finalised. They will be available from Monday 8 September 2014.

Student Assessment Timetables may be printed for an individual student by selecting the radio button next to the Student Number field or for ALL students or students within a Year Level/Form Group.

If the Student Number field is enabled, the Student Number can be entered or searched for using the search function.

By selecting Cycle 1 – General Achievement Test (GAT), as in Figure 1, the Student Assessment Timetables will only display information relating to the GAT.

2. Examination venue summaries

The Examination Centre Summary Report lists the students undertaking the GAT at the centre(s) hosted by your school. This report may be produced using the menu: STUDENT PROGRAM VCE Reports Examination Centre Summary and with Cycle 1 – General Achievement Test (GAT) selected.

The Examination Venues Not at Home Report shows your home school students who are undertaking the GAT at a centre other than the associated centre for your school. This report may be produced using menu: STUDENT PROGRAM VCE Reports Examination Venues Not at Home Summary and with Cycle 1 – General Achievement Test (GAT) selected.

If ‘No examinations not at the home venue were found for school … in the year 2014’ is displayed when you select this report, none of your home school students are undertaking the GAT at a centre hosted by another school.

If Cycle 1 is not displayed in the ‘Cycle’ dropdown menu, none of your home school students are undertaking the GAT at a centre other than the associated centre for your school.

3. GAT students list

A report/extract of your home school students expected to sit the General Achievement Test (GAT) may be produced in VASS using the menu: STUDENT PROGRAM VCE Reports GAT Students.

4. Special Examination Arrangements Advice Slips and Summary Report

Special Examination Arrangements Advice Slips may be produced in VASS using the menu: STUDENT PROGRAM VCE Reports Special Examination Arrangements Advice Slips.

The Special Examination Arrangements Advice Slips can be printed for an individual student by entering the Student Number or for all students in the school with Approved Special Examination Arrangements by leaving the Student Number field blank.

By selecting Cycle 1 – General Achievement Test (GAT), as in Figure 2, the Special Examination Arrangements Advice Slips Parameters will display information relating to the GAT only.

The student copy and school copy of the advice slips list the approved Special Examination Arrangements. The student copy should be printed and given to each student.

A summary report of all approved Special Examination Arrangements may be produced in VASS using the menu: STUDENT PROGRAM VCE Reports Special Arrangements Summary.

Chief supervisors must be supplied with both the Special Examination Arrangements Summary and a copy of the student’s individual Special Examination Arrangements Advice Slip.

School personnel must ensure that chief supervisors clearly understand each student’s approved Special Examination Arrangements. Discussion should take place between school personnel, the chief supervisor, the student and approved clarifiers, readers or scribes.

If there is any uncertainty about the arrangements provided, schools should contact VCAA Special Provision immediately for clarification.

Relevant information about Special Examination Arrangements can be downloaded using the menu SYSTEM ADMIN Downloads by entering the phrase ‘Special Provision’ in the KEY WORD field. The following documents are available from Monday 26 May:

·  Application for Emergency Special Examination Arrangements*.

* The Application for Emergency Special Examination Arrangements is available to use for requests arising within two weeks of the GAT. This application will be available on VASS from Monday 26 May. The VCAA prefers that the doctor/specialist completes the VCAA template medical statement for all applications for Emergency Special Examination Arrangements.
