RCC Meeting Minutes

10/19/2009

JT, JG, Cassy, Brooke, Sami, Peter

Clubs that missed Training are here to discuss why.

Disc Golf: Under the impression that it had to be an officer that had to attend the training, constitution has been change (They try really hard; they did miss a meeting last year. They do have a plan to fix the situation. They will be able to function better when they get the Zip Car. Eddie said hey are having a hard time building up their club. They will need to meet with and RCC Officer & 3 of their officers. They will discuss the changes they made to the constitution.)

Motion: JG… Write Disc Golf and tell them that they will need to have a 3 person meeting with an RCC Officer and discuss the changes to the constitution. Seconded JT. Passes 4-0-0

Rollin: Isnardo was very sick, and the other club person was new to the club and was too hesitant to go. On the roster they have 7 people, and 2 more have joined. Only 2 leaders. They are having communication problems, looking for new leaders for the club, (They are repeat offenders. This happened last year as well. They have not been doing anything in the past year. They were not budgeted money at all this past year. They only have 7 members, and 3 of them are supposed to be leaders. Rollin did not attend their 3 person meeting, which voids out their status as a club.

Motion: JT… Rollin’ will no longer be a clubs because they did not attend their 3 person meeting or the club training, and they have no safety officers. Their 2008-2009 year they fell into bad standing with the RCC. Seconded Cassy. Passes 4-0-0

Table Tennis: Communication problem with leaders, too overwhelmed, family member passed away, difficult time in his life. Have 5 leaders, not all of them are on the list serve, they just had a change of leaders

(We do recognize that losing a family member is tough. They have 4 other leaders that are in place. They are requesting rooms and funds. They possibly have an event going on in November. Wants RCC to fund personal reimbursement for paying for team membership. They do not have safety officers. This upcoming event should be canceled and they need to restructure their leadership. We are not going to cancel the event, since it is one of only two events that they do. They will need to get 2 safety officers attend the training this Thursday. They will have to get their own CPR/First Aid if they do not attend the last free training. After the training, they will need to come in and meet with an RCC officers or Eddie to discuss communication. JT will email them today)

Motion: JT… Do the above mentioned punishment….Seconded Brooke. Passes 4-0-0

All clubs right now have slipped into bad standing. The packet we passed out at the training, explains the consequences of not attending. They should expect some kind of punishment. The RCC will deliberate and will email the clubs what they can do to get back into good standing. The clubs should be hearing from us by the end of the day today.

Breakin’ was supposed to meet with Sami on Sunday. They are having issues with minors dancing with the team. This has been an ongoing problem. They had their 3 person meeting did not let Sami know about the minors. They had not filled out any paperwork. The times were confused and they weren’t able to have a meeting. Only 5 people showed up. Breakin’ no longer wants to be a club. They have emailed Sami last night letting her know that they do not share the same values as Rec Clubs. They want to support the community. Sami let them know that they would not be able to have community members in the new building. Sami is going to email them to let them know that they do have certain privileges as a club.

Sami is working on seeing what has been turned in paperwork wise by all clubs. By next Monday Sami will know what all clubs have turned in. Come next Monday if they do not have all the paperwork, then there will be consequences.

Roll Over: Clubs that are eligible are clubs that raised money over their estimated revenue. For clubs that overspent, we will subtract the amount they overspent from how much revenue they brought in and then do a percentage of what we have in roll over. Breakin’, Lacrosse, Random Select, Fencing and Cycling are the only clubs that we can ask for money. In the past clubs could only ask for either forgiveness or roll over. You can’t have both. Asking Atsu’s advice. We have 4 clubs that can ask for roll over’s and 1 club that needs forgiveness. It makes sense to us that if your have an overage then you shouldn’t be able to ask for a roll over. For clubs that are negative, when we gave them the money for this year, was their overage taken out of the allocated budget? The RCC needs to ask for forgiveness. We are going to ask if we can move around money to cover the overages. We will take money from the clubs that have left over money to help cover the overages of other clubs, and then we will ask for roll over’s. We now need to do the lines items for the presentation. JT will email the clubs.

SFC Budget Check In: Can everyone please be done with their respective sections by the end of this week. Have it loaded in the SFC spreadsheet.

Hockey was told that they could apply for a budget in the fall. Hockey should do a budget because they were told that they need to, and because it is good practice. They will use the form that Eddie created.

New Clubs will be coming to us with budgets. They will need to email the RCC to be on agenda.

Meeting Adjourned: 8:54am
