Minutes of the Proceedings of a Special Meeting of the Finance & General Purposes Committee

Held 18 TH February 2010

Present: Councillor M. D. Bryan in the Chair Councillors J. Groome, J. P. Dennis, Mrs. B. Goldspink, A. Marshall, Mrs. A. Suggit, D. Thompson and G. F. Thurston

1. Apologies for Absence

Apologies for absence were received from Cllrs. N. Black, J. Ledger, Mrs. I. Robinson and Miss D. Storr

2. Declaration of Interests

It was agreed that any declaration of interest be dealt with at the time the relevant item is discussed.

3. Yorkshire Day 2010

A list of discussion points having been circulated discussion took place as follows:-

(a) Meal – The Asst. Town Clerk informed Members that the total price for the meal would be £28.00 per head. This would include all crockery, cutlery and tableware. After various Members attended the “Dine On the Rowe” restaurant to sample the menu, with favourable reviews, it was RESOLVED to place an order with Jason Rowe to provide catering for the Yorkshire Day Luncheon. Prices to be obtained for wine/orange juice.

(b) Flowers - costs were obtained from a local florist – approximately £400 for all flowers on the day. It was RESOLVED that a further price be sought from other supplier/s as a comparison.

© Giveaways - Following discussion it was RESOLVED that a gift to commemorate Yorkshire Day be given to the local schools – Inman’s School, Ketwell Lane and Hedon Nursery on Market Hill. Rather than give the children a mug, a flag was suggested as a JI/HB/SPFGPMI022010/Page 993 Hedon Town Council

more appropriate gift. Guests on the day to be given an alternative – possibly a key ring. Cllr. Marshall to bring a catalogue for the next meeting.

(d) Timetable – Following discussion it was RESOLVED that the Order of Events be as follows:-

8.30 a.m. – Mayor of Hedon to welcome Guests on arrival at the Alexandra Hall, Hedon

10.00 a.m. – Guests assemble ready to proceed to the Church – parade to set off at 10.15 a.m. from the Market Place.

10.45 a.m. - Arrive at St. Augustine’s Church, Hedon

11.00 a.m. to 12 noon - Service of Praise and Thanksgiving (to incorporate the reading of the Yorkshire Day Declaration at 11.38 a.m.

12 noon – 12.45 p.m. – Commemorative Group Photograph to be taken on Market Hill, Hedon

1.00 p.m. - Luncheon to be served in the Alexandra Hall, Hedon

(e) Flags – Following discussion, it was RESOLVED that hand held flags be purchased according to numbers required with a view to possibly giving them to local school children as well as handing them out on the day.

(f) Luncheon – Speaker The Asst. Town Clerk informed Members that the speaker previously booked (Mr. C. Brown of The Deep, Hull) could not now speak at the Luncheon due to holidays. Therefore, following discussion, it was RESOLVED that the Asst. Town Clerk look again at previous suggestions – John Godber (local playwright) / Barry Rutter (actor).

(g) Events Booklet / Service Sheet – A copy of a page by page guide for the proposed Booklet was circulated and, following discussion, it was RESOLVED that:-

(i) The Town Clerk contact the Bishop of Hull and explain that the vicar of St. Augustine’s Church will be installed at the end of April.

(ii) Cllr. B. Goldspink to speak to Jean Gray of the “Churches Together Choir” to discuss an appropriate hymn / song. (iii) The Asst. Town Clerk to source quotes for printing of events booklet of similar standard / content to Ryedale booklet for 2009. (iv) East Riding of Yorkshire Council to be contacted with a view to borrowing / hiring safety barriers for Market Hill (v) Road Closures to be implemented according to the events schedule – a) a.m. – the parade b) evening events inc. fireworks (vi) Booklet to include format on page 14 re a retiring collection for St. Augustine’s Church, Hedon (vii) A letter to be sent from the Mayor of Hedon to local companies requesting contributions towards Yorkshire Day – suggestions were – BP Chemicals, Air Products, Nippon Goshei / SCCL / Electro Furnace / Centrica (viii) Local Hotels to be contacted with a view to a donation in return for their name to advertised in the booklet for guest accommodation (ix) Asst. Town Clerk to contact the 150th (Yorkshire) Transport Regiment Band to discuss if changing facilities will be required

(h) Yorkshire Day Cake – Following discussion it was RESOLVED that a cake be provided for Hedon Residents as part of the evening celebrations. A large (approximately 200 slice) sponge cake. The Asst. Town Clerk to approach local bakers and enquire of the possibility of a donation.

(i) Photographer / Video – an e.mail from the photographer was circulated and following discussion on the points raised by Mr. Baker it was RESOLVED that he be invited to attend the next meeting.

(j) Stalls - Following discussion it was RESOLVED that the stalls be erected on Market Hill ready to trade for 6.00 p.m. for the evening celebrations. Charge to be free for charitable organisations and £10 per stall for others with a fixed fee for other traders such as rides, coffee cabin etc. Costs to be considered.

(k) Hog Roast – following discussion it was RESOLVED that the Asst. Town Clerk approach Hot Trotters to obtain a price for the roasting of two pigs and discuss the logistics involved.
