Additional meetings prior to the originally scheduled May meeting Next Meeting Dates May 25 - Memorial Day need to reschedule July 27 September 28 November 23 Minutes Joint Powers Special Meeting February 10, 2020 4:30 pm Members Present: Karla Schultz, Mark Bartusek, Ken Ondich, Maggie Bass, Janelle Kirsch Others in Attendance: Chuck Webb, Heather Otto Janelle called the meeting to order at 4:30 ● Chuck talked about wanting to be able to host large meets with video feed in the gym. The gym is a good holding place for teams and for overflow seating. ● Rochester Rec Center has this. ● Chuck and the Neptune parents would like to use the upcoming MRC meet as a venue to sell advertising on the scoreboard for the purpose of purchasing live streaming equipment such as a video camera, projector, converter box and screen. It will be a good way to make some money and to highlight businesses in town. Businesses can purchase a $25, $50, $100 or $200 package. ● Any family with a participant in the meet can choose to purchase $10 slots as a way to encourage their swimmer. ● Chuck has been talking with NP IT department to ensure that whatever is purchased will work with the current equipment ● This meet will be used to fundraise for this equipment and we will continue to work toward these goals at future meets. Will probably take a year or more to come up with all the needed funds. ● Chuck has communicated with the HS Swim Booster Club, they are willing to put $ toward some of the upcoming projects as it would also benefit the HS team ● There is conduit going from the equipment room in the aquatic center into the gym. It comes out in the corner of the gym by the pickleball storage ● We want to get something nice...not super expensive or too cheap. We don’t want to be replacing it in a couple years. Ken Ondich made a motion to approve the Neptune Swim Club’s request to go forward with fundraising to raise money to purchase a video camera, projector, converter box and screen for the purpose of live streaming meets from the aquatic center to the gym, seconded by Mark Bartusek. Motion passed unanimously. Meeting was adjourned by Maggie at 4:50pm Agenda Joint Powers Meeting January 27, 2020 4:30-5:30 pm Members Present: Karla, Ken, Mark, Maggie, Janelle, Rik Others in Attendance: Mike Johnson, Heather Otto, Megan Giesen, Sandy Linn, Rachel Luckow, Heather Tietz, Rob Luckow, Tim Dittberner 6. Call to Order - The January meeting of the New Prague Joint Powers was called to order by Chair Maggie Bass at 4:31 7. Approval of Minutes - A motion to approve the minutes was made by Rik: seconded by Karla Schultz. Motion passed. 8. Fitness and Aquatic Center a. January Update - See handout. i. Hosted a swim meet this past weekend with approx. 200 swimmers ii. We were chosen to host a regional swim meet in March which will be very big for us. The exact numbers are not yet known as registrations are still being accepted. iii. Swimming does not have actual geographical regions, the division is created dependent upon the participation demographics for that particular meet iv. How many swimmers can we reasonably accommodate? We don’t know for sure but we will find out with the regional event in March. v. We make a decent amount of $ from concessions sales at our swim meets vi. Reviews and comments have been very positive by those in attendance, some teams seek out our meets vii. There are now 9 registered for the newly organized Masters Swim program which is for adults b. Boga Board Equipment Sale - Northfield YMCA is no longer interested in purchasing the BOGA boards from us. Heather will be offering this up to her swim group in a group email. The money that comes in from that belongs to the city. The school auction site will likely be where the boards are listed for sale. c. Aqua Cycle Class Attendance Update - The number of people attending aqua cycle classes have been tracked over the last couple weeks.Classes are offered on Monday and Friday mornings at 9:30 classes have been averaging 3.5-4 participants. The question was asked if the timing of classes affects the number of participants since it is at a time when most people who are not retired are working. We discussed having classes in the evenings or weekends but there isn’t much time for that with lessons and swim club. We discussed the possibility of having a bike or two available for people to use on their own but if people aren’t trained on how to work the bikes the guards would not be able to help them get it set up. Do we want to sell the bikes? Heather will explore options. If these are sold, the money received would also go to the city since they purchased the bikes. Key Log still gets used a handful of times during the year Climbing Walls will be put up again this summer to offer variety for kids in the pool 9. Finance - a. Monthly Finance Report - See handout b. Membership Report - See handout i. loyalty memberships have increased. ii. Silver memberships had to be re-enrolled and are starting to climb back up. BC/BS dropped Silver Sneakers. iii. Will see some silver memberships decreasing with snowbirds. iv. Operations are pretty steady v. Dec. Net losses are down, rev stable, exp. ? vi. Revenue comes in first, Expenditures follow (sometimes not in the same month). We are where we expected to be vii. Exp. running lower than 10. Miscellaneous Agenda Items/Additions to the Agenda a. FAC Custodial Support - i. Hired a weekend custodian, it is costing a bit more money but she is doing a great job. Craig is conducting a time study on custodians who have been working at the pool in the evenings to better understand what is needed. Cleanliness has been a problem in the past but is getting much better. Question: Have the lockers been fixed in the boys locker room? Answer: Not sure if they have been fixed or not but will check into it. b. Parking for Seniors i. Will be adding spaces this spring. There was discussion as to if it should be handicapped parking, senior parking, disability parking, special needs parking as there are times when people of all ages and abilities may need to park closer to the building i.e. moms with 3 small children ii. Elevator access Rik made a motion to adjourn at 5:35, seconded by Mark. Motion passed. Fitness and Aquatic Center a. Update - Heather highlighted the items on their November handout i. Like the member onboarding option b. Boga Board and Aqua Cycle Equipment - i. Feel that the classes are not well attended enough to continue to support ii. Will discontinue the Boga classes iii. Would like to sell the boards iv. Funds would be reserved by the City for other Board determined needs v. Motion made by Maggie, seconded by Mark vi. Aqua bikes are not getting very many users 1. Not sure about the timing 2. Not a hard workout for many people 3. Will continue to monitor this class 14. Finance - Sandy took us through the report a. Monthly Finance Report i. Net loss, better than Sept which was higher due to a large equipment purchase ii. Rev. is running higher than budget, Exp running lower than budget, Net losses are lower than budget iii. Operational budget increased slightly due to adding a personal trainer iv. Approve revised budget - motion by Mark, second by Karla v. Projected actual will be presented in April or May b. Membership Report i. Silvers - a dip because the individuals are required to sign up again, they come and go. BC/BS Medicare has dropped Silver and Fit and will take over Silver Sneakers ii. BlueCross/BlueShield is dropping their fitness reimbursement program iii. Month to month hasn’t changed much iv. Total memberships are down slightly 15. Miscellaneous Agenda Items/Additions to the Agenda - Chuck and Heather addressed a. Availability of Swim Lessons - i. switched to SwimAmerica lessons last spring. ii. Very goal oriented. iii. Give licenses to communities at least 30 miles apart iv. Infants through Adults v. Lessons are 35 minutes/once a week for 8 weeks vi. Generally 2 goals per level vii. Easy transition to swim team b. Saturday Childcare Option - not an option at this time c. Looking Forward - Goal Setting (2, 3, 5 year goals) Megan can start collecting data on equipment options Survey of current members? Focus Group? d.
