To this end, Canada Post is actively pursuing new methods, approaches, and services to assist our customers in getting the maximum return on investment from using Canada Post products and services as a marketing channel to support their market offerings. In line with this approach, Canada Post (the Corporation) is looking to expand its role in the following areas: The Corporation wishes to explore the concept of using electronic paper (e-paper) or digital technology to replace existing paper signage in their mail plant and depot operations. The existing signage consists of staging lane and specific sorting information. The Corporation is looking for a durable, low energy, digital solution(s) to reduce the effort required to update and maintain sort information. In order to achieve its objectives, the Corporation is looking for RFI Respondents(s) that are able to provide the goods and/or services described in this RFI (Request For Information). The RFI Respondents must be capable of providing for the business needs of the Corporation now and in the future, be adaptable to scale up to meet increasing volume demands, support new product or new service introductions, demonstrate competitive advantages, and provide vision for evolving their current product and offerings to meet future needs. Based on the information submitted pursuant to this RFI and other factors, the Corporation may consider, at its sole discretion, issuing a Request for Proposal (“RFP”) to select a supplier for a supply agreement. For the purposes of this RFI, a Standard Purchase Agreement is considered one wherein a supplier provides the Corporation goods and services for a prescribed cost negotiated by both parties under a mutually agreed to contract containing terms and conditions addressing costs, quality, delivery, insurance, protection of intellectual property of both parties, and other issues. RFI Process This RFI is not to be construed as a solicitation for tenders or proposals. This RFI is not considered as authorization by the Corporation to undertake any work that could result in costs to the Corporation. The Corporation will not reimburse any RFI Respondent for any costs incurred in the preparation of a response to this RFI. Canada Post Corporation 3 of 9 RFI # ------------ Nothing in this RFI shall be construed as a commitment from the Corporation to issue an RFP for this project and responding to this RFI is not a prerequisite to receiving or being eligible to bid on any potential RFP issued by the Corporation for this requirement. All responses will be held by Canada Post on a confidential basis (subject to applicable federal legislation) and remain the property of the Corporation once they have been received. The Corporation may reproduce, photocopy, or transcribe the RFI responses and any non-proprietary supporting documentation for the purposes of its review and/or inclusion in any internal business case or a resulting RFP. The Corporation will not publish any Respondents clearly identified confidential or proprietary information. The Corporation will not announce or publish any findings of this RFI. The Corporation reserves the right to change at any time, any part or all parts of the requirement, as it deems necessary. 2.0 CORPORATE PROFILE Canada Post is a Crown Corporation with business activities across Canada. The Sourcing Management representative will accept written questions by letter, courier, or e-mail received no later than the date and time indicated in the RFI Timetable. All communication concerning this RFI are to be sent to the Sourcing Management representative by signature required delivery (Xpresspost, Priority Next A.M.) or hand delivery at the above noted address, or by e-mail at the above noted e-mail address. Regardless on the delivery method chosen (including Canada Post) a communication will not be deemed received until delivered in the hands of the Sourcing Management representative. The Corporation strongly recommends the RFI Respondent confirms receipt of all communications with the Sourcing Management representative. 4.0 RFI TIMETABLE AND PROCESS The estimated schedule for the RFI process is as follows: Activity Date Required RFI provided to RFI Respondents June 17, 2013 Deadline for Receipt of Questions July 8, 2013 @ 2:00:00 PM EST RFI Closing Date July 10, 2013 @ 2:00:00 PM EST It is the responsibility of the RFI Respondent to ensure that responses are received by the Sourcing Management representative on or before the RFI Closing Date. The Corporation accepts no responsibility for delivery failures resulting in responses received after the Closing Date. Such late responses may or may not be accepted at the Corporation’s sole discretion. Canada Post Corporation 5 of 9 RFI # ------------ The Corporation does not accept or consider RFI Responses transmitted by facsimile, or sent by any other electronic means, or delivered to an address other than the address set out above. Responses should be on 8 ½ x 11-inch paper. An original and three (3) copies for a total of four (3+1) of the complete response must be received no later than the Closing Date and Time. The Proposer is requested to submit one softcopy of their response. The response shall be on a CD in Microsoft Word except for price submission spreadsheets which shall be in Microsoft Excel. If the Proposer does not have compatible software, please communicate with the Contracting Authority. The original and all copies are to be in binders with easily removable sections, and are to be submitted in a package stating on the outside, the Proposer’s name, address, telephone number, the RFI title identification, RFI number and the Closing Date and Time. The soft copy of the Proposal should be secured within the original Proposal. All information regarding the terms and conditions, financial and/or technical aspects of the Proposer’s offer, that in the Proposer's opinion, are of a proprietary or confidential nature should be clearly marked "PROPRIETARY" or "CONFIDENTIAL" at each relevant item or page or in a statement covering the entire offer(s). Canada Post or any third party acting on behalf of Canada Post will treat such information as confidential, unless disclosure is required pursuant to any legislative or other legal requirement or any order of a court or other tribunal having jurisdiction. 5.0 INFORMATION REQUIREMENTS RFI Respondents are requested to provide the following information as part of your RFI submission. 5.1 Organization Information: a) Full Legal name and address of the Company b) Jurisdiction under which the company is incorporated
