Constitution for Quidditch at UCSD [2018-2019] Article I: Name of Student Organization The organization shall be called Quidditch at UCSD . In the event that it will put together a team to represent it in any type of social event or activity, the team shall be called QCSD . Article II: Statement of Purpose In 1419, the Council issued the famously worded decree that Quidditch should not be played "anywhere near any place where there is the slightest chance that a Muggle might be watching or we'll see how well you can play whilst chained to a dungeon wall." - Quidditch Through the Ages None of us got into Hogwarts, and none of us probably have magic in our blood - but that does not stop us from engaging in our passion for Quidditch and Harry Potter by having fun as a community! Article III: Nonprofit Statement Quidditch at UCSD is a non-profit student organization. Article IV: Requirements for Membership Section 1: Membership ● Membership shall be free and open to any and all enrolled students at the University of California, San Diego and any resident of the San Diego area. Members may be asked to provide some valid form of identification at events (a student identification card or any other form of identification). ● Joining is easy! Prospective members simply have to ask to become part of the organization during any of its events and complete an online registration form: https://goo.gl/forms/VjFCKD8rLpegvjBV2 . They will have to decide for themselves the House t hey desire to be sorted into - but preferably with counsel from the sorting quiz on Pottermore! Their options are Hufflepuff, Ravenclaw , Slytherin and Gryffindor. They always have the option to be sorted into a House r andomly. Although a Sorting Ceremony will be held at the beginning of fall quarter, individuals may join at any time. 1 ● Members must have an active email address on file. Since most communication will be carried through the organization’s Facebook group ( http://facebook.com/groups/QuidditchUCSD ), any members who do not actively use the website will have to keep a keener eye on their email, or add themselves to our mobile text message group (which will use a service that is to be determined from amongst GroupMe, WhatsApp, Viber, Hangouts…). ● Members who attend over 70% of activities for one year shall be considered active members . Members serving Officer roles need not meet this requirement as long as they are fulfilling the responsibilities they have undertaken. ● Members can belong to Quidditch for any period of time, and participate in the organization’s events whenever they want to. Regardless, they would ideally become actively engaged in the community and respect any commitments that they make. ● Members will have to treat each other with respect and abide by UC San Diego’s Principles of Community (h ttps://ucsd.edu/explore/about/principles.html) . Concerns about another member’s behavior should be communicated to a Principal Member (henceforth referred to as a M inister of the Wizengamot , or Minister f or short) and it would be the latter’s duty to take appropriate measures to ensure that the conflict is resolved. If a resolution is not arrived at after repeated attempts (even by other Ministers) the relevant members may be subject to suspension or removal from Quidditch [See Article IV, Section 2]. Concerns with the behavior of M inisters should either be discussed with the relevant individual/s (even via another Minister ), or be brought up during W izengamot m eetings. As a last resort, complaints/concerns may be communicated anonymously via the contact feature on the Quidditch website ( http://quidditch.ucsd.edu ). In every case, communication is key! ● Members are prohibited from smoking, abusing drugs, and consuming alcoholic beverages at any of the organization’s events. ● Members should be aware that they may be photographed or videoed at Q uidditch events for promotional purposes. However, they may request to have themselves censored or have the footage concealed from the public. ● Although not required, members are encouraged to participate in the organization’s affairs - especially by volunteering at its events. Finally, volunteering efforts from non-members will be permissible and appreciated! Section 2: Expulsion ● Expulsion or suspension from Quidditch at UCSD w ill be considered for the following undesirable r easons (this list is not exhaustive): breaches of UCSD’s Principles of Community; actions that violate the purposes of the organization; actions that make the public associate the individual’s involvement with Q uidditch negatively; and/or repetitive disorderly conduct towards other members and resources. If communication with, and 2 warnings, fail to alter a member’s u ndesirable b ehavior, a vote may be called for at a Ministry of Magic m eeting regarding their expulsion or suspension; the M inister of Magic’ s has authority to break ties. Article V: Frequency of Organization Meetings Section 1: General Body Meetings ( GBMs ) ● As with most of the organization’s events, GBMs w ill be open to all individuals irrespective of their membership status. GBMs w ill occur 1-3 times every quarter and relay the activities Q uidditch h as planned for the future, along with general information about the organization. Section 2: Wizengamot Meetings ● Only members of the M inistry of Magic [ see Article VI, Section 2, i)] will be allowed to attend Ministry Meetings u nless they are an invited-member or invited-liaison from a different organization. These will be led by the Minister of Magic a nd/or another M inister as designated by the M inister of Magic; and occur at a frequency deemed necessary by them, or per the suggestion of another member of the M inistry : approximately 1-3 times every 1-2 weeks depending on the events scheduled for the future. ● Ministry of Magic Meetings must have at least 40-50% attendance in order to occur, unless a lower attendance is deemed agreeable by all Ministers i n advance. Notes taken during M inistry Meetings w ill be made available on the organization’s Google Drive. Those in the Ministry of Magic m ay have meetings in smaller groups to coordinate specific tasks/projects. Section 3: Sub-Department Meetings ● Each M inister o f the Ministry of Magic i s allowed to enlist non-M inistry members into a sub-department committee to aid in their affairs. Those enlisted will be referred to as Interim Ministers for the duration of their service [see Article VI, Section 2, ii)]. The frequency of these meetings will be determined by each Department. Section 4: Socializing ● At a time determined at the beginning of each quarter, all members will be able to meet weekly to socialize and share in their love for Quidditch. Socializing entails various activities inspired by the Harry Potter universe ranging from fantasizing about gameplay tactics and official Quidditch regulations (as determined by US Quidditch https://www.usquidditch.org/) , to wand-making and other magic-based events. Attendance is not required, but encouraged… strongly - for socializing is most effective when there are many. 3 Non-members are encouraged to socialize in order to gauge what Q uidditch is all about, and to have fun doing so! Article VI: Qualifications for Holding Office and Methods of Selecting and Replacing Officers Section 1: Eligibility ● Only a ctive members a nd registered UCSD students may hold office in the organization (i.e. as Ministers of the Ministry of Magic o r as I nterim Ministers) . Only registered UCSD students may vote in elections for the selection of the organization’s officers. Section 2: Structural Organization ● Quidditch will have three tiers of members: i) M inisters of the M inistry of Magic The Ministry of Magic i s Quidditch’ s standing committee and comprises the organization’s Principal Members and key, long-term administrative Officers ( i.e. Ministers of the Ministry of Magic ). See Article V, Section 2 for information about Ministry of Magic m eetings. At the start of each academic quarter, Ministers of the Ministry of Magic w ill take on responsibilities from various d epartments that will focus on handling specific tasks that involve brainstorming, planning events, managing funds, managing the member base, outreach, media, social media, advertising and more. It should be stressed that departments m erely serve to offer some sense of structure - thus, the tasks taken up by Ministers may not necessarily pertain to a role expected of their d epartment . All departments will collaborate; and it is very likely that Ministers may take on individual projects and serve the roles expected of all departments. Ministers of the Ministry of Magic m ay recruit members of the Wizarding a nd Muggle p opulations for aid with their responsibilities. ii) Interim Ministers Interim Ministers will participate in short-term administrative tasks, and in sub-department committee s. See Article V, Section 3 for information about sub-department committee meetings. iii) Wizarding Population The Wizarding Population comprises all members of Quidditch a t UCSD . It should be noted that members of the general UC San Diego student body who do not indulge in Q uidditch’ s affairs will be referred to as the M uggle Population (without condescension). 4 Section 3: Everything Else ● Officers ( i.e. M inisters ) w ill be responsible for keeping Q uidditch functional and active, and this would involve engaging in administrative tasks such as those listed in i ) Ministers of the Ministry of Magic i n Section 2 above. One of the key goals of the Minister r ole is to work together with their peers in order to explore their leadership skills.
