<p> Ventura College Student Services Portal Redesign Title V Cooperative Grant Meeting Minutes Wednesday, May 22, 2013 2:00 pm – 3:00 pm MCE 218</p><p>Welcome and Introductions (Dan Walsh) Attendees: Gwendolyn Lewis-Huddleston, Dean, Social Sciences, Humanities, Distance Education, Professional Development Eileen Crump, Title V Cooperative Grant Bill Hart, Title V-Velocidad Steve Turner, EAC Alma Rodriquez, Financial Aid Kathy Scott, Institutional Effectiveness Tim Harrison, Dean, Communication, Kinesiology & Off-Site Programs</p><p>Ventura College Student Portal Redesign</p><p> Online Orientation still in testing stage; Testing stage is lengthy because there are many stakeholders </p><p> Online Orientation is planned to go live by end of this month</p><p> Oxnard College and Moorpark College will use Ventura College online orientation as a template to develop their own online orientations; Using Ventura College template will help keep consistency between the three colleges</p><p> Online orientation is not limited to Ventura College students, guests may use the orientation</p><p> The student online orientation has five different sections</p><p> Pre and post information surveys are available on the student online orientation</p><p> All students featured on the online orientation are Ventura College students </p><p> Pre and Post survey saves answers if you cannot complete survey due to time constraints</p><p> Working out a way to notify the college when student completes online orientation</p><p> Data will eventually be collected on how many students took the online orientation Every section opens with an introductory video In-person orientations are now available for students before seeing a counselor or registering for school; planning to incorporate videos use on the online orientation</p><p> The online orientation can be done anytime by students</p><p> The online orientation is not time sensitive</p><p> There is a tracking bar that tracks the student’s progress as they move through the orientation</p><p> Steve Turner will review the online orientation for accessibility for disabled students</p><p> Portal Redesign will include </p><p> 1.Retention/Intervention Early Alert Probation Workshop Dismissal Letter revision 2. Academic Calendar 3. Campus Announcements 4. Student Records 5. My Quick Links 6. Online Orientation</p><p> Student Resource Sheet handout will be available for students</p><p> Student Resource Sheet for Faculty will also be available </p><p> Tutorials will be in the Student Success Tab</p><p> The new student portal should include a list of student clubs </p><p> Ventura College IT department will be able to update and manage student portal</p><p> Ventura College counselor Marian Carrasco-Nungary gave a Transferring Student presentation at SITE 2012 that helps bridge the gap between student services department and the faculty</p><p> Student Services provides Ventura College tablecloths, banners, and sandwich boards for outreach presentations </p><p> Student handbook will eventually be revised, and copies will be placed inside new Ventura College pocket folders Would like to have a counseling department give presentations in classrooms at the beginning of each semester.</p>
