The Ells-Dran Filing System

RECORD GROUP 127 RECORDS OF THE UNITED STATES MARINE CORPS THE ELLS-DRAN FILING SYSTEM ARCHIVIST NOTE: The description of the ELLS-DRAN filing system included in this finding aid is an abridged and revised version of the text originally created by the Marine Corps. This original text addresses arcane variations of ELLS-DRAN that would be rarely encountered, and have therefore been omitted from this abridged/revised version. The complete text may be seen in Appendix 1 of the RG 127 Inventory No. 2 compiled by Maizie Johnson and published in 1970. The listing of ELLS-DRAN headings that follows this introductory text has also been revised to make the information more easily readable, and omits some erroneous cross-references and other information that would rarely be utilized. Information added to the ELLS-DRAN headings appears in [brackets]. For addenda mentioned in the body of ELLS-DRAN, see page Keep in mind that ELLS-DRAN is not an index to Marine Corps records. It was developed to provide guidance to Marine Corps personnel maintaining records as they were originally created, gathered and received. As such, the system was open to varying interpretation; therefore not every Marine Corps record series will contain records under every heading listed, and documents related to a particular subject filed in one series of records may have been filed differently in another series. The ELLS-DRAN system derives its name from first four letters of the surname of its creator (Captain Harry A. Ellsworth), and the acronym that comes from the phrase “Direct Reference, Alphabetical, Numerical.” The ELLS-DRAN system is subject based, with very broad or “Major” subjects appearing in alphabetic order. Each Major subject (or heading) is assigned a 4-digit numeric designation. Each Major subject are usually divided further into three subcategories (or subheadings), known (in descending order), as “Primary,” “Secondary,” and “Minor.” These subheadings never consist of more than 3 digits. As an example, the Major heading for Education is “1520.” Marine Corps schools are identified by the Primary heading “30,” which reads “1520-30.” The Marine Corps schools for officers are then identified by the Secondary heading “120,” which reads “1520-30-120.” The Marine Corps Basic School for officers is then identified by the Minor heading, “10,” or “1520-30-120-10.” This sequence is well illustrated in outline form: Major Subject 1520 Education Primary Subject 1520-30 Marine Corps Schools Secondary Subject 1520-30-120 Officers Minor Subject 1520-30-120-10 Basic School For the addendums mentioned in the main body of ELLS-DRAN below, see the Appendix, Page 64.
