Teams/PGA’s are strongly encouraged to seek means to include Technical Officials in their travel budgets. This will reduce costs to Organizing Committee and will provide critical experience to your Technical Officials. Van2017 and Government of Vanuatu will NOT cover cost of special lab services, hospital stays, evacuations. Team Per Diems $50 USD per day per diem will exist for all residents of the Villages The per diem will cover – village services/3 meals tickets per day/transport etc Payments– Oct 20 30% of indicative numbers based entries Nov 05- 30% additional payment Nov 25- onwards remaining based on actual team size— must be paid 100% at DRM GAMES SERVICES Transport Host Hotel Car Rental Technology Services Opening/Closing Ceremonies/Medal Ceremonies Chef Briefings Accreditation and Registration Getting There (and Leaving with your Medals!) Airlines flying Scheduled flights to Port Vila Air Vanuatu (code share Qantas) Fiji Airways Air Niugini Virgin Australia Solomon Airlines (code Share with Air Niugini ) Teams need to provide arrival and departure information asap including the “hot bedding” ie turn over of week 1/week 2 athletes. Currently 1500 spaces for 2500 Entries Availability of commercial seats into Port Vila and likely out are limited at that time and possibly more restrictive with airport modifications underway. Charters can be accommodated– contact Van2017 for Information Transport °Teams will be issued with 1 vehicle each. This will likely be 12 seat mini bus with driver. This will be a dedicated vehicle with drivers. °Shuttle fleet of apx 60 -12 seat /20 seat buses will have continuous shuttles from village/venues and Athletes Centre and if required to Host Hotel. °Detail Schedules of Pool Transport and their routes will be provided to all teams prior to your arrival for the games in Port Vila. °Van2017 will not support pick up or drop off at any other Hotel property Host Hotel- Holiday Inn 4 star Hotel- 3 min from Korman 10,200-12,200 VT (apx 95-115 USD per night for a double including full breakfast and internet. Van2017 will offer r0 rooms for up to 18 nights for the first team(s) at 10,200 VT if the rooms are paid for in full to Van2017 by August 01 2017 and booked before June 01. In order to book at this rate a deposit of 25% of the amount needs to be paid to Van2017 at time of booking. If the rooms are cancelled before August 01, then Van2017 will refund the deposit, or will credit it against team per diems as directed by the Teams. Holiday Inn The next set rooms will be offered at 12,200 a night. They can booked through Van2017, and will be paid directly to Holiday Inn. All bookings must be paid for 30 days in advance of booking. Rooms are limited at this rate. No guarantee of availability at this rate can be given. If not booked through Van2017 then the rates are not the same and VAT will apply. Upgrade rooms are available at 18,000 per night/double Holiday Inn Van2017 will provide: Accreditation Desk Results Update PGA Support Venue /Village/Athlete Centre Shuttles No shuttles provided from any other hotel property VAT Value Added Tax of 12.5% will be charged on all services (ie Hotels/Vehicles/Internet) that Teams order directly from suppliers.
