Computer teachers in the Philippines often have difficulty demonstrating how to use a computer to a class of fifty to sixty students. Teachers addressed this issue by demonstrating the usage of the computer to one group at a time or using hand drawn visual aids.

Some schools have addressed this issue by purchasing an LCD Projector, which is useful for delivering presentations to a large group of people. For example, trainers often use LCD projectors to demonstrate how to create grade books with Microsoft Excel. LCD Projectors, however, are expensive and the light bulb is very expensive to replace.

There is another way to present material to a large group of students in the computer lab. The answer is UltraVNC!! The to do this is Open Source, which means absolutely free! There are, however, a few requirements in order to use UltraVNC in your computer lab.

Computer Lab Requirements: • Computer with 98, 2000, or XP, Mac OSX, or • Computers are Networked • At least 2 computers

*Note: is not a requirement. The computers only need to be networked.

Who should read this tutorial?

This document is intended for computer lab managers and other computer savvy teachers.

What is UltraVNC?

UltraVNC is an easy to use, fast and free software that can display the screen of another computer (via internet or network) on your own screen. The program allows you to use your mouse and keyboard to control the other PC remotely. It means that you can work on a remote computer, as if you were sitting in front of it, right from your current location.

Although UltraVNC was designed to be used for customer support, we can adapt it for use in the Philippine school setting!

Page 2 of 19 How do I use UltraVNC to teach?

Setting the Scene: Let’s imagine that a computer lab has five computers and the computers are networked. The teacher wants to teach a lesson on Microsoft Word and wishes to show the students how to start Microsoft Word and to format the text. The teacher, however, does not have an LCD Projector.

UltraVNC to the rescue!

Luckily the teacher read this handy tutorial and installed UltraVNC on the computers. He/she designated one computer as the teacher computer and the computers as student one through four. The teacher computer is setup as the VNC Server and the student computers are setup as VNC Viewers.

When the teacher opens Microsoft Word on the Teacher computer, the students will be able to see what he does on computers Student one through four. The mouse movements and opening of menus that is done on the Teachers computer can be seen by student computers!

Where do I get UltraVNC?

You can download UltraVNC from the internet at this address. http://ultravnc.sourceforge.net/

How do I install UltraVNC:

• Download UltraVNC from http://ultravnc.sourceforge.net/ • Start the setup by double clicking on the UltraVNC installer

• Choose the installation language.

• Click Next on the Welcome Screen

• Read the release notes and click Next.

Page 5 of 19 • Select the destination directory where UltraVNC should be installed. Then click Next

• Click Next on the components screen.

• Click Next on the “Select Start Menu Folder”

• Click on the checkbox next to “Associate UltraVNC Viewer with the .vnc File extension

• Click the Install button.

• Wait while UltraVNC is being installed.

• Click Finish to end the installation.

• Repeat the Installation Procedure for all computers on the network.

Page 9 of 19 Setting Up/Configuring the Teacher Computer:

1. From the “Start” Menu find the UltraVNC Folder 2. Click the “UltraVNC Server” icon

3. The first time you start the VNC Server, you will be asked to configure the server. a. Under “Authentication” type in a new password (for example: type “smart”) b. Under “File Transfer” Click “Enable” so that no checkmark appears in the box. . Under “keyboard & Mouse” Click “Disable Viewers inputs” d. Under “Multi Viewer Connections” Click “Keep Existing Connections” e. Under “Misc.” Click the “Enable blank monitor on viewer request” so that no checkmark appears in the box. f. Click the “OK” button when done.

4. Once you click ok, you will see a blue eye on the task bar like the one you see here. The task bar is located on the lower right hand corner of the screen.

5. Open Microsoft Excel on the teacher computer. 6. Now you’re ready to start the student computers as VNC viewers.

Page 11 of 19 Setting up/Configuring the Student Computers:

Before you start the viewer, you will need to know the computer name of the Teacher Computer. From the teacher computer You can do so by right clicking over the “My Computer” icon on your desktop. Then click on the “Computer Name” tab. Write the “Full Computer Name” down. In this example the full computer name is “smart-1”

Page 12 of 19 Now you are ready to start the student computer. From the student computer do the following:

• From the “Start” Menu find the UltraVNC Folder • Click the “UltraVNC Viewer” icon

• Type in the name of the teacher computer in the VNC Server box. • Then click on the “Options” button.

Page 13 of 19 • Click the “View only (inputs ignored)” option • Click the “Full-Screen mode” • Then click the “OK” button.

• Then you will be returned to the first screen and type click the “Connect” button • You will be prompted for a password. Enter the password. (for example: smart) • Then click the “Log On” button

• The student computer should now see the Microsoft Excel spreadsheet that is opened on the “teacher computer” or the VNC Server computer.

• Now try changing things on the “teacher computer” and the screen of the student computer will display the same as the teacher computer. • If you wish to close the VNC Viewer, move your mouse to the top of the screen and a black box will drop down. You can click on the “X” button to close.

Tricks & Tips

Creating a Desktop Icon for Quick Access You may find the task of connecting the student computers to the teacher computer to be tedious. You can create a shortcut on the desktop so all you have to do is double click! Here are the steps to do so:

1. Start UltraVNC Viewer as instructed in the Setting up/Configuring Student Computers section. 2. Restore the computer by moving your mouse to the top of the screen and clicking the restore button.

Page 15 of 19 3. Next move your mouse to the upper left-hand side of the screen and RIGHT- CLICK . A menu will appear. Move to the bottom and select the “Save Connection Info As”

Page 16 of 19 4. Save the file as “Demo” on the desktop.

5. Click “Yes”

6. Close UltraVNC and you will see an icon on your desktop that looks like the following. Double click on it and it will connect you to the teacher’s computer. Be sure to start the UltraVNC Server on the teacher’s computer first.

I entered the computer name of the teacher computer, and it says server not found. 1. Be sure to make sure you have started the VNC Server on the teacher computer first. Then start the UltraVNC viewer on the student computer 2. Double check your network connections. 3. If the name fails, you can try to use the IP Address. To get the IP address of the teacher computer do the following: a. Start Menu -> Run b. Type “cmd” in the box and click the “OK” button. c. At the command prompt type the following: ipconfig /all d. Read the line that says IP Address and try entering the number into the VNC Server box on the UltraVNC Viewer. Then click Connect.

How many computer can I connect to the VNC server? I do not have a definitive answer on this. I have tried up to 25 computers connected to a single server and it works pretty well.
