FREQUENTLY ASKED QUESTIONS

Q. How do I obtain a pin number?

Please contact [email protected] or telephone ICELS Support on 0116 454 4520 to obtain a pin request form. This must be completed and returned to the ICELS who will then arrange for a pin to be issued. Please note that Out of County Hospitals are issued with generic pin numbers and community based staff working out of health centres are issued with individual pins.

Q How do I place an order?

All orders must be placed by telephone – please call 0344 893 6373 (NRS Healthcare equipment provider. You will be required to provide details of the patient which includes their GP, NHS Number, Date of Birth, address and contact details.

If the order needs authorisation then the equipment provider NRS will contact the Equipment Triage Nurse to authorise the order. You do not need to contact the Triage Nurse first – unless you need to discuss a particular patient needs with a clinical member of the ICELS Team.

Q. Can I order equipment on a same day emergency service level?

Same day emergency delivery speeds will only be available if a patient is End of Life and the criteria for LLR End of Life is met:

• this means last few days of life, death imminent. Professionals are encouraged to ensure that they have discussed the ordering of equipment with the patient and/or family and that they have considered their wishes before ordering equipment

All requests for Same Day delivery speed require authorisation and will be referred to the Equipment Triage Lead by NRS.

Q. Can I order equipment on a next day urgent service level?

All requests for Next day urgent delivery speed require authorisation and will be referred to the Equipment Triage Lead by NRS and are subject to the LLR criteria being met and capacity available by the Equipment Provider.

Q. Are their restrictions on what equipment can be ordered on a same day/next day service level?

Yes, but this will be dependent on the patient circumstances and in most cases it is expected that the prescriber has a conversation with the Equipment Triage Lead, however for guidance:

• equipment critical for discharge to enable care/treatment to be provided or independence if living alone, for example: profiling bed and mattress; hoist/slings; commode; rotunda/transfer aids

It is very unlikely that requests for simple aids, such as perching stools, trollies, over bed tables, walking frames will be authorised for same day/next day delivery unless there is other qualifying equipment.

Q. Can I order equipment for a patient that has already been discharged?

No. It is expected that a patient is discharged with the equipment that is essential for the discharge. If further equipment is required then this should be referred to the relevant service in the area the patient lives. Social Care Equipment: You will need to contact the appropriate social care team when you require equipment that is solely funded by social care (please refer to the equipment list) and you are not able to access this using the pin issued to you. Q. Which service levels do not require authorisation?

Three day priority order and five day standard delivery speeds will not require authorisation if your pin number gives access to the equipment being requested. However this is only applicable if the equipment being ordered is available to prescriber without authorisation.

Q. I want to order a profiling bed and pressure care equipment

This will be entirely dependent on the circumstances that the profiling bed and pressure care equipment is needed for. Requests for profiling beds and pressure care will be referred to the Equipment Triage lead for authorisation by the equipment provider NRS Healthcare. The Equipment Triage Lead will confirm with the prescriber whether the patient meets the LLR eligibility criteria for provision before any order is authorised.

Please note: it is the responsibility of the prescriber to ensure that there is room for the equipment to be located at the delivery address, if this means other furniture needs to be moved then the family must be informed and they must make arrangements to remove and ensure that there is sufficient space for the new equipment. Bariatric beds will not be located in upstairs rooms.

Q. Can I request moving equipment within a property?

This service does provide room to room transfer; however this will not be done on a same day or next day service level. Room transfers are usually done on a 5 day service level. Requests for anything sooner than this must be authorised by the Equipment Triage Lead and will be referred by the equipment provider NRS Healthcare.
