AZA Institutional Records-Keeping Course 1998-2017 Karin R. Schwartz, PhD Founder and Co-Administrator

The Association of and Aquariums (AZA) Institutional Records-Keeping Course (IRK) was first conceived in 1996 by Karin Schwartz, Registrar at the Milwaukee County and Chair of the Zoological Registrars Association (ZRA) Training Committee. This was in response to a need to provide standardized training in the use of the International Species Information System (ISIS; now Species360) records-keeping program for animals maintained under human care in zoological institutions. The rationale and need for the program was that AZA institutions required accurate records-keeping as per the accreditation standards for scientific management of the animals in their care. Only careful scientific management of these populations would preserve the genetic and demographic diversity essential for their successful maintenance, at the institutional, regional, and global level. As ISIS offered a global information system that was accessible to international institution animal data, training needed to be standardized such that all ISIS members were entering data in the same manner. At the time, ISIS was able to provide technical support for members yet could not offer training. IRK would serve the needs of AZA member institutions by providing a standard for records collection and recording at the institutional level, thereby facilitating efficient and effective sharing of information in support of animal management, conservation, research, and education.

During 1996, Co-Administrators Karin Schwartz and Lucy Greer led the IRK Proposal Curriculum Committee, made up of Midwest Registrars Group members, ISIS staff, and representatives from AZA’s Board of Regents (BOR) to develop the curriculum of IRK (see Table 1).

In December 1996, the proposal was complete and ready to be presented to the BOR for inclusion in the curriculum for the (then) AZA Conservation Academy. ZRA supported Karin to travel to Wheeling and present a formal proposal to the BOR at the February 1997 session of the AZA Conservation Academy at Oglebay Resort in Wheeling, WV for approval to initiate the course at the February 1998 session. The BOR unanimously approved the IRK proposal and the course was set to begin at the February 1998 session of the AZA Conservation Academy with Karin and Lucy Greer as Co-Administrators and Mary Healy, Director, Sacramento Zoo, as Regent Liaison. Glenous Favata stepped up to take Lucy Greer’s position as Co-Administrator prior to the first running of the course when Lucy decided she did not have the time needed to commit to leading IRK.

Summary

IRK, held as part of the AZA Professional Training Schools, has made a significant impact on the effectiveness of records-keeping throughout AZA institutions and extending to international institutions that sent staff to attend the course. Through 19 sessions of IRK (1998 through 2017, with two classes in 2007 and no classes in 2008 and 2010), 440 students completed the course, including 31 international students from 14 countries (see Table 2, Table 3). Academic credit was offered from North Carolina State University from the first IRK session in 1998 and there was one student that took IRK for graduate credit and three that gained Continuing Education Units (CEU). In 2004, academic credit became available through George Mason University (GMU) and IRK became one of four AZA core courses for a Master’s degree in Zoo and Aquarium Leadership through GMU. Since 2004, 75 students earned graduate credit, 1 with undergraduate credit, and 8 with CEUs. With the addition of students taking IRK for graduate credit, the IRK curriculum was enhanced to offer more in-depth discussion of importance of records-keeping and relevance to global animal management and connection to conservation. All the IRK sessions were held at Oglebay Resort in Wheeling, WV except for the sessions in 2004 and 2005 when the AZA Schools held Traveling Training sessions at hotels in Houston and Sacramento, respectively.

Karin Schwartz and Glenous Favata (who took over for Lucy Greer who was an initial Co-Administrator) started as Co-Administrators to screen and select the instructors for the first year of instruction. We had 20 instructors involved in IRK over the years as well as eight who contributed as Guest Instructors (see Table 4). In the early years, we invited Guest Instructors to present content in areas of their own expertise such as Genetics and Taxonomy, Demography and Population Management. We also included a panel of zoo administrators who discussed the importance of records for animal management and care. After 2005, our guest instructors were limited to one each year and after 2009, we covered the same topics on our own. Karin and Glenous acted as Co-Administrators until Glenous’ retirement in 2013 and Lynn McDuffie stepped in to continue in that role.

There were 234 institutions in various categories represented by IRK students (see Table 5 and Table 6). Zoos dominated with 145 institutions sending 305 students to IRK. Aquariums sent 33 students from 20 institutions. The reason for the dominance of zoos was that until 2012 when the Zoological Information Management System (ZIMS) was deployed, ISIS’ (now Species360) ARKS applications did not offer an effective information system for aquariums. There were six institutions that sent six students to IRK, and 13 institutions that sent 5 students to IRK (see Table 7). Some of these students may have taken IRK as a required course for the GMU Master’s program and may not necessarily been in a records-keeping role at their institution. The Zoological Registrars Association (ZRA) awarded a ZRA Training Scholarship each year starting in 2001 that covered the tuition for the course (see Table 8 for recipients).

The initial scope for IRK was to target zoological records-keepers, registrars, collection managers, data managers, and information specialists. When the course became a required core course for the GMU Master’s program, students filling other animal-related roles in their institutions attended. This was a very positive step as they gained an understanding of the importance of records-keeping in animal management and health even though they may not have that role at their institutions. With the deployment of ZIMS in 2012 (the first version in 2011 had many issues), records-keeping became important for those other than the registrar as it opened the opportunity for multiple users (keepers, curators, animal managers) to be involved in data entry as well as directly accessing the ZIMS reports for their charges. Thus, even though those involved with records-keeping at their institution (132 students) represented the role of many students within each class, this was only 30% of the total number of student roles overall (see Tables 9 and 10). Management (89 students) and Animal Care (78 students) roles together comprised 38% of the total number of students and adding those having a combination of roles (42 students), these roles represented 48% of the total number of IRK students. Thus, IRK became a course that was important beyond the scope of only records-keepers and registrars.

IRK has evolved from a course that was developed to fill a basic training need but limited by the functionality of ISIS’ early applications (ARKS and CMS) and lack of standardization in records-keeping twenty years ago, to a course offering theory, mechanics, and best practices of animal records-keeping using ZIMS, the most widely used animal information system that brings together the global zoo and aquarium community. The impact of IRK has been substantial as students in many roles at their institutions benefit from learning about many aspects of records- keeping and animal management that affect husbandry and health care, population management for maintaining

2 genetically diverse and demographically stable populations, facilitation of animal transfers, and exchange of information that is so critical in today’s world where species are disappearing at an unprecedented rate.

The 2017 session of IRK was held 6-11.February.2017 at Oglebay Resort in Wheeling, WV and turned out to be the last year for Karin Schwartz as Co-Administrator. Although this was not technically the 20th year of teaching IRK (actually it was the 19th session), the development had begun in 1996 and the course was approved at the Board of Regents meeting in February, 1997. Thus, this was considered the 20th anniversary of the beginning of IRK. In celebration of 20 years, lyrics were written to Michael Jackson’s song “Heal the World” to acknowledge IRK’s role in contributing to conservation of . The song was performed as the Finale of the IRK course. The sing-along was led by Karin Schwartz and IRK students Anabel Kühn from Spain and Paula Gonzalez from Argentina. The lyrics follow:
