Livingston RoundUp Association 2022 Stock Contractor Bid Package

NOTICE TO BIDDERS

The Livingston Roundup Association (Association) seeks a PRCA- licensed stock contractor to provide PRCA-approved rough stock, timed event cattle and equipment in appropriate quality and quantity to put on the PRCA- sanctioned and premier Montana Circuit Livingston Roundup which is held annually on July 2nd, 3rd and 4th at 8 pm with timed event slack being held on June 30th and July 1st at 3 pm, and barrel slack on July 4th at 11 am. Any potential bidder shall request a bid packet via email at [email protected] or by contacting the Arena Director, Dan Nelson at 406-222-7649 (leave a message) or 406-220-0446 (cell). All bids are due on or before 5 pm MT March 15th, 2021 to the Livingston Roundup Association selection committee via e-mail or in person by appointment only.

ASSOCIATION PROVIDES --

The Association leases an arena with corrals from Park County, Montana, and has exclusive use from June 30th through July 5th.

The Association furnishes at its own expense the following: • Rodeo Judges • Rodeo grounds and rodeo office • PRCA approved Announcer • Public address system • Advertising and publicity • One (1) PRCA Barrel man • Veterinarian • Feed which is estimated upon prior performances to be ten (10) tons alfalfa hay, one-half (½) ton cob and one (1) ton oats. Any feed remaining onsite after July 5th belongs to the Association.

The Association will provide corral space adequate for the bidder, taking into consideration availability of corral space for managing livestock.

All livestock must arrive twenty-four (24) hours prior to the first event and leave by the end of the day, July 5th.

NOTE: The Association will NOT pay for any livestock not meeting PRCA Guidelines.

BIDDER PROVIDES --

The Bidder furnishes at its own expense the following:

• Two (2) PRCA-approved Pick-up Men • Two (2) PRCA-approved Timers • Two (2) PRCA-approved Bullfighters • One (1) PRCA-approved Rodeo Secretary

ESTIMATED NUMBER OF CONTESTANTS The Association cannot anticipate turnouts However, based on past performances the Association estimates the following number of contestants: (Note: Estimated numbers are figured at half +1 on the timed event cattle)

NOTE 1: The Association will require your top-ranked stock for our Rodeo.

The bidder will bid a one year contract with the option for two additional one (1) year extensions for a total of a three (3) year contract, renewed annually at the discretion of the Association.

INSURANCE

NOTE: The selected bidder will be required to provide proof of current insurance in the form of a certificate, policy statement or acceptable equivalent.

SUBMITTAL OF BID

To be considered, all bids must be received by 5 pm MT March 15th, 2021, either via email or in person by appointment.

The bid selection five step process:

• Bids received by the deadline will be reviewed by the Association’s Bid Selection Committee. • The top five (5) bidders will be personally interviewed by the Bid Selection Committee either in person or via a conference call bridge. • The top five (5) bidders will be reduced to the top three (3). • The top three (3) bids will be brought before the Association’s Directors for deliberation and a final vote. • The winner of the bid will be notified by the Association’s Bid Selection Committee by telephone and written form (email or US Mail). Bidders not selected will be notified by telephone or email. NOTE: The Bid Selection Committee and Association Directors reserve the right to determine which bid they believe, based upon their sole determination, to be in support of the Association’s the best interests. The award of the Bid is subject to a contract’s being successfully negotiated and accepted in conformance with this bid as well as other negotiated contract provisions.

ACKNOWLEDGEMENT

The Association, in seeking the best contractor for its rodeo, may make inquiries regarding prior or current rodeo associations contracted by and produced by the Bidder to ascertain the quality and quantity of the Bidder’s livestock and ability to produce a quality rodeo. The Bidder hereby authorizes such rodeo committees and personnel to provide information to the Association concerning the Bidder’s ability to produce a quality rodeo with quality livestock. Accordingly, and without fear of liability to the Bidder, the Bidder hereby releases such rodeo committees and personnel from any and all liability for truthful and factual information so disclosed to the Association.

The Bidder acknowledges that all information provided to the Bid Selection Committee and the Association is true and accurate. Bidder submits his/her bid based upon bidder’s judgement and knowledge, and not on any individual representation of the Livingston RoundUp members, officers or directors.
