Procedures Upon Arrival for Liturgy

Arrive 45 minutes before the Liturgy and sign in on the sheet in the ministry room Review mass notes in the MC binder for instructions about mass and put name tag on

Items in Commons:

• Turn on lights in hallway leading to commons (switch at door from parking lot) • Turn on lights in Stewardship center and hallway (switch on wall to your right) • Turn lights on in the commons (switch located on right at the entrance doors) • Collect mass bulletins from the stands and place them in the Usher’s closet • If vesting sacristy isn’t open, get key from the box in the usher’s closet. The code is 524 (start from the bottom dial) The key will also open the working sacristy. • Check to see if there is a baptism • Confirm the three main doors to church have been opened by the ushers • Light fireplace when outside temperature is below 42 degrees. (Black switch on Wall) • Light any seasonal candles on the oak table in the commons or above it () • Greet all Liturgy Ministers and facilitate their sign in process as needed

Set Up – Gift Table:

• In the 5” tall pitcher that is used in the gift procession, please put 1/2 cup of wine for the Presider to consecrate in his chalice. • Place some hosts for communion and one of the large host in a large bowl and take the bowl and 5” pitcher to the gift table. The large bowl will be used by the Presider. • MC’s should place any “Low Gluten Hosts” in the large bowl on the gift table. • Set up the gift table in the church as soon as possible so everyone can see the gifts as they arrive for mass. • Place the tabernacle key with the “Franciscan Cross” keychain in the tabernacle to facilitate opening during mass. The door to the tabernacle should remain closed until the is taken out for communion. You may check the number of consecrated host in the ciborium to determine the amount of reserve host you will have during mass. Communion from the tabernacle is generally not to be used except in the case when ministers have “run out.” The amount of hosts in the ciborium can be determined as follows: 250 hosts fills the ciborium to the top of the ridge on the inside of the bowl. 500 hosts will fill the ciborium to within 3/4” of the top rim. 650 host is the maximum the ciborium will hold. We would like to maintain 250 hosts to 350 hosts in the ciborium if possible after each mass. • Extra hosts are stored in the candle room in the working sacristy along with a few open boxes of wine. Set Up - Church:

• Turn ON lights (switch on wall to right inside church near back corner) There is an ON switch to press which will illuminate the lights. (OFF switch as well)

• Check to see that the Eucharistic Chapel doors are open.

• Light 4 torches or any candles that are on the altar with the igniter or snuffers located in the working sacristy in the candle room*** The Paschal Candle is the symbol of “the light of Christ, rising in glory”. Light during the , Easter season, Confirmation mass, and all baptisms.

• If there is an additional priest besides the Presider helping with the mass, take the stool on the ambo side and move it over and place a chair from the next to the Presider’s chair.

• Candle room-left side closet on the back wall of Working Sacristy. 2 Brass snuffers located in the candle room hanging on hooks on the right side. If the wick needs to be replaced please do so. The long white box containing them is located on the second shelf on the right side in the candle room.

• Check the Book of the Gospels and ensure it is set for the correct reading and day. You can find that out by looking in the workbook that the use that is on the counter to the left when you walk in the sign in room. Place on oak table in the commons. Set Up – Credence Tables:

Fill cups of wine based on the chart listed below

• Fill cups outside of box to prevent wine spills inside box. • Fill cups with varying amounts of wine based on your masses needs. (3 to 4 oz) • Place cups with more wine in them at the front of the box for the credence table EMs. • Make sure the cups slide in and out of the box easily. The base on the cups are different sizes and the cups with larger bases do not fit in all of the spaces of the box.

Fill bowls with hosts based on the chart listed below. The Presider’s bowl which is placed on the gift table is not included in the number of bowls.

• Place an amount of hosts in the bowls equal to the number of parishioners who normally receive communion at your mass. The individual bags of hosts contain 250 hosts. The Presider’s bowl may have a larger amount of hosts and contain any pyx with the low gluten hosts. • The goal is to provide everyone at the mass with a host consecrated at the mass they are attending. You will need to make any final adjustments to the number of hosts at the beginning of mass.

Note: Place the water pitcher on the far right of the baptismal side credence table and place the chalice next to the water pitcher. Procedures Before Mass:

• Greet all ministers and facilitate sign-in for all EM stations and Liturgy Ministries. Make sure that each EM knows where their station is for communion distribution.

• Encourage Eucharistic Ministers to greet people at the large church doors and have them hand out the worship aids.

• Recruit ministers to sign up for the credence table and to help with clean up. Review procedures with Eucharistic Ministers.

• Assign one EM “bread position” to distribute communion to the choir/musicians. Choose one of the bread positions from the front section on the Ambo side. Instruct the EM you have chosen to return to the Altar after completing their section, as usual. The MC will make sure this person has enough hosts to distribute to the choir/ musicians before having them move into position next to the column.

• Communicate with Altar Servers. Ask them if they have any questions about the mass procedures. Find out how long they have been serving and let the Presider know if they are new. Let the servers know where you will be sitting in the church if they have any questions during mass. We want them looking to you for assistance.

• Facilitate the sign in process making sure all ministers have arrived and signed in. Wait until 15 minutes after the hour before accepting substitutes to allow sufficient time for the regularly scheduled ministers to sign in. You may take substitute immediately for the extra EM stations if you know you do not have enough EM’s on the schedule.

• When all stations have been filled, turn the "red" card to "green” on the wall outside the door of the sign-in room.

• Assist with Gathering Procession - Procession to begin as the singing for the Gathering song begins. Leave three pews between each group/person(s) walking towards the Altar. If you should have a thurifer, that person would go before cross bearer. (Cross Bearer, Altar Servers, , Presider) CLOW leaders line up between the Lector and Presider. Final adjustment to the gift bowl:

• To gauge how many unconsecrated hosts to place in the bowls, observe how full the church is and use average weekend attendance for your mass. The MC should make any adjustment right before or just after the gathering procession so they can move to their seat while everyone is standing. Add a small number of hosts to your totals for people arriving after mass starts.

• The church holds approximately 1,200 people when completely filled to capacity. During normal masses, each of the 2 side areas holds approximately 300 people. The main section of the church holds approximately 400 for a total of 1,000. Any unused hosts from a bag should be placed in the plastic container with a sealed lid in the drawer with the bags of hosts for use in a subsequent mass.

Reminder: Make final adjustment to the number of bowls / cups on credence table if you have closed stations. Please try to keep all stations open if possible. Make sure to let the ushers know if you close any stations. St. Francis of Assisi Catholic Church, Training Manual for Master of Ceremonies

Section 4 8/13/15

Procedures during Mass:

• Reserve seating for Master of Ceremonies is near ambo in first row. At least one MC should sit here to help coordinate the mass. Sitting on the side near the baptismal font is recommended for the second or third MC.

• CLOW - 9:30 mass only Make sure Presider calls the children forward after the Opening Prayer and Gloria.

• RCIA If your mass has a RCIA procession during mass, watch the Presider to make sure he calls them forward after the homily.

• Baptisms will take place immediately after the homily or the RCIA procession if there is one at your mass. Look to make sure the family is ready for the baptism and is in place in their pew. Make sure the parents have a large towel to receive their child after coming out of the baptismal font.

• The ushers will be starting the gift collection after the Prayers of the Faithful. The family bringing up the gifts should be moving to the rear of the church.

• After the Prayers of the Faithful, the altar servers place the altar cloth on the altar. As the altar servers starts the process of rolling out the altar cloth, one MC brings the purificators to the altar and oversees the altar servers. The MC will place the purificators on the altar in the center until the wine is brought to the altar and placed in position. The purificators should be divided into two equal stacks.

• A second MC should move to a position near the credence table on the baptistery side to assist the credence table EMs. The MC should also watch the two altar servers to confirm they are preparing to bring up the Roman Missal (Ambo Server) and the chalice and water cruet (Baptistery Server). The altar servers will stand with the presider until the presider is ready to come forward to receive the gifts.

• The two credence table EMs responsible for bringing the cups of wine to the altar should move to the credence table after Prayers of the Faithful. As the MC is moving to the altar, the two EM’s take the wine to the bottom of the stairs on either side of the altar and pause until the altar cloth is set and the altar servers have moved away from the altar. The EMs should walk up the steps and place their box of wine on the altar near the back side of the altar. The EM’s will remove the cups from the boxes and place them toward the front side of the altar. The MC is there to remind the EM’s to take their time while removing the cups one at a time and to confirm the placement, depending on the number of cups at each mass. Once both EM’s have finished placing the cups, they move together to take the boxes back to the credence tables and return to their seats. • The MC will then move the purificators into position next to the cups with one stack of purificators on each side. The purificators should always be positioned along side the cups so that the EM does not have to reach over the cups to get a purificator.

• The two credence table EM’s responsible for bringing the bowls of hosts to the altar should move to the credence table after Prayers of the Faithful and wait at the credence tables until the two credence table EM’s with the wine boxes move up onto the altar. As soon as the boxes of wine are placed on the altar, they move into position at the bottom of the stairs and wait for the altar to clear. After the two EM’s remove the wine boxes and walk down the steps, the two EM’s with the bread trays walk up to the altar and hold the trays next to the side of altar. The MC will then remove the bowls from the trays and place them on the altar. The EM’s stay at the altar until both trays have been emptied and then, at the same time, return the trays to the credence tables. The EM’s will return to their seats. The MC will make any final adjustments to the cups or bowls to assure there is room for the Roman Missal, chalice, and large bowl at the altar. The MC should then return to their seat.

• After setting the altar cloth, the ambo server retrieves the Roman Missal while the baptistery server moves to the credence table for the chalice, purificator and water cruet. The two altar server will stand back near the Presider’s chair while the credence table EM’s are placing the wine and bowls. The altar servers will walk forward with the Presider to place their items on the altar and proceed down the steps to assist the Presider with the gifts.

• The MC positioned on the Baptistery side should confirm that the altar server is moving to bring up the wash bowl and purificator after placing the gifts on the altar. The MC who has returned to their seat should make sure the ambo server stays near the altar to remove the 5” pitcher when the presider has poured the wine into the chalice. Once both altar servers have complete duties, the MCs return to their seats.

• At the conclusion of “The sign of Peace”, the credence table EM’s will line up near the side pews to receive communion from the priest. The MCs and other EM’s will line up near the front pews. The altar server should remove the Roman Missal from the altar.

• Lead Eucharistic Ministers to receive communion: After the “Sign of Peace,” stand in the middle of the front pews in the center aisle to be the first to receive communion. After receiving communion, one MC will go to the tabernacle to retrieve the ciborium with the reserve hosts. Leave the tabernacle door open and leave the key in the lock. Place the ciborium on the altar as the EM’s are receiving communion. Remove the lid. A second MC will retrieve two additional small bowls from the counter behind the ambo credence table. Place hosts from the ciborium into the two bowls so they are ready to take to the EMs when needed. The ciborium should remain towards the center of the altar to prevent hosts from falling to the floor while you are removing hosts or while EMs are returning hosts left from communion. Procedure for replenishing hosts

• Stand behind the altar and just off to the side to watch for stations that may need extra hosts.

• The faithful are to receive that was consecrated at the mass they are attending. Exchange bowls only when an EM signals that more bread is needed (5 hosts remaining).

• When exchanging bowls, take the bowl from the EM first and then hand them your bowl.

• Do not pour remaining host from their bowl into the new bowl.

• Return to the altar and place more hosts in the bowl you have just taken from the EM. You will use this bowl for the next EM who runs low on hosts.

• The MCs does not exchange bowls with the three bread stations in the rear (9:30 / 11:30 masses). These EMs should close their stations once they run out of hosts.

• After communion, consolidate hosts into the ciborium on the altar in preparation for returning the ciborium to the tabernacle. Ask an EM to remove the Presider’s bowl, the bowls used for replenishing hosts, and the extra purificator.

• One MC will assist the EM assigned to serve communion to the music ministry and . Leave 3 to 6 hosts in the EM’s bowl. The MC should check to see if the members of the choir or other musicians have received communion before determining the amount of hosts to take from the ciborium. The ciborium will be returned to the tabernacle prior to the music ministry receiving communion.

• One EM will be needed to stay behind and distribute wine to the music ministry. St. Francis of Assisi Catholic Church, Training Manual for Master of Ceremonies

Procession Candle

• One MC should light the Procession Candle when they are retrieving the two bowls to refill hosts for communion.

• Near the end of communion, one MC will walk to the Ambo side ledge to retrieve the Processional Candle. The MC should wait near the credence table until the last parishioners have received communion.

• The MC will walk with the candle to the front of the steps and face the altar. The candle should be held with two hands at the lower third portion of the candle. The candle does not have to be elevated during the walk to the front steps or while waiting in front.

• Once the consecrated hosts have been returned and the lid is placed on the ciborium, the MC carrying the candle will turn around and start walking up the center aisle at a normal walking speed (NOT slow) to the tabernacle. (Note: we no longer bring the candle up the steps to the altar.) The MC carrying the ciborium should follow the MC carrying the candle and place the ciborium in the tabernacle.

• The Processional Candle AND ciborium should be carried at about chest/neck level as the MCs walk to the tabernacle. Once the ciborium is place in the tabernacle, the key is removed and the candle is extinguished.

• Both MCs should walk back towards their seats with the candle. The candle should be placed on the ledge until mass is over. The procession to the tabernacle with the Processional candle is a beautiful, reverent and simple addition to our communion rite.

• Return to your seats for the conclusion of Mass. Do Not begin the cleaning up process until after the procession has exited the church.

• The Processional Candle should be moved back to the working sacristy counter once mass is over. Do not leave it on the ledge between masses. St. Francis of Assisi Catholic Church, Training Manual for Master of Ceremonies

Procedures after Mass: • Clean up the credence tables by taking the cups and bowls to the working sacristy after the Mass is over. All bowls, cups, and decanters should also be washed and stored in cabinets. The Processional candle should stored in the working sacristy on the counter under the right window. • Complete purification of cups by placing a small amount of water in the cups to remove all of the precious blood. Once the cups have been purified, you may consume the precious blood and then wash them completely. • Put purificators inside the cabinet for laundering. • The bowls and cups are stored in the upper cabinets on either side of the sink. • Place all towels into basket. • Return Sacred Chrism and candle holder/follower to cabinet.

Church: • Roll up altar cloth making sure that it is right side up • Remove any ‘Reserve Signs’ and place back in Working Sacristy in drawer • ENSURE BAPTISMAL FONT IS TURNED OFF

After 5:30 Saturday and 11:30 Masses: Commons: • Lock the Vesting Sacristy • Turn OFF Fireplace (if applicable) • Extinguish all candles (if applicable) • Turn OFF lights in Commons

Church: • Extinguish all altar Candles • Roll up altar cloth making sure that it is right side up • Lock Working Sacristy • ENSURE BAPTISMAL FONT IS TURNED OFF • Leave light on above tabernacle in Eucharistic Chapel and close doors • Turn OFF lights in Church • Leave doors to church open

Church: • Extinguish all altar candles • Roll up altar cloth making sure that it is right side up • Lock working sacristy • ENSURE BAPTISMAL FONT IS TURNED OFF • Leave light on above tabernacle and close doors in the Eucharistic Chapel • Turn OFF lights in church • Close all three sets of wooden doors

General Thoughts

• Place left over wedding flowers in Flower room • The Pashcal Candle should be lit during the Easter Vigil, Easter Season, Pentecost Sunday, and at all Baptisms. It is also lit during some special masses. • We do not light Paschal candle during Lent • Cloth room is located in right side closet on back wall of Working Sacristy. • Flower room is located in middle of hallway between Music room and Working Sacristy, (where any wedding flowers or wood stands used are to be put) • Candle room is located in left side closet on the back wall of Working Sacristy. • Information about speciality masses or changes to normal procedures can be found in the MC notes on the counter in the Vesting Sacristy. • Lighters are located in the cabinet in the Working Sacristy where the extra charcoal and are stored. • When SPRINKLING is required you will need: 3 glass bowls and three , one in each bowl. Ask two people (one woman and one man) to help the Presider sprinkle. There are instruction sheets in the top left drawer in the sign in ministry room or on top of counter next to sign in book. Hand out sheets if the volunteers aren’t sure on the correct procedure to sprinkle. Fr. David doesn’t sprinkle so you will need to get a third person. The glass bowls are located in the cabinet next to the cloth room. Place on the back ledge of the baptismal font. Instruct the persons sprinkling to return the excess water to the font and take back to ledge beside credence table next to altar cloth. • If thurifer is present, please help him/her in lighting the charcoal at least 10-15 minutes before start of mass. • Incense, , bowl, and charcoal with lighter are located in the bathroom of the Vesting Sacristy. Extra charcoal and incense can be found in the far right upper cabinet on the left wall of the Working Sacristy. Make sure that the lid on the charcoal container is always closed when finished removing charcoal. • Check the mass notes for the season we are in and observe the color the Presider is to wear. If you notice the Presider is wearing the wrong color you should bring it to his attention.

Section 6 8/13/15 BAPTISMAL FONT INSTRUCTIONS

Instructions for Baptism:

The baptismal font consists of an upper and lower section. Heated water flows into the upper font through a hole in the center of the font when the valve is opened. The upper font fill completely before water flows down into the lower font. Water drains from both fonts through a small outlet hole in each of the fonts. There is no recirculation of the water used in the font.

When filling the fonts, you must first place the circular piece of rubber over the outlet hole in the upper font to restrict water from draining from the upper font (Do not cover the supply hole in the center). Next, install the section of pipe in the lower font to prevent water from draining until the water level reaches the top of the pipe. Both fonts will hold their water levels when the supply valve is turned off between masses. After Baptismal Masses (masses that have a baptism), the section of pipe and rubber cap must be removed to allow the font to drain completely.

The top font is used for baptisms of infants and the lower font is used for children and adults who walk down into the font.

The baptismal font is turned on only for a mass with a baptism. We do not run the font during masses without a baptism.

The controls for the font are located in the wall cabinet across from the working sacristy.

Note: The flow of water into the font must remain high enough to maintain the operation of the mixing valve with hot and cold water. Running the font at too low a level will cause the hot side of the mixing valve to shut off and allow only cold water to enter the font. Always check the temperature gauge to make sure reading stays in the range around the green/red dividing line on the gauge. Use your hand to test the water to confirm it is at the proper temperature for a baptism.

Instructions for Mass with Baptism

Before Mass: place the rubber cap in the upper font and pipe in the lower font to restrict the flow through the drains and turn the handle down full to allow water to flow into the top font.

Check after a few minutes to make sure the water is warm and the upper font is full and then turn the handle up to a 45 degree angle (Red line).

After Mass turn the handle up to shut the water off and remove the rubber cap and pipe over the drains. The font should be drained after the Saturday mass or after the last baptism that takes place during the Sunday masses.

The font should be turned off and left full of water when there is a second baptism after the conclusion of your mass on Sunday.

Special Masses: Follow instructions for Mass listed in MC instruction Binder.

BAPTISMAL PROCEDURES:

The schedule for baptisms is located on the counter in the vesting sacristy. This is where you will find the white sheets of paper containing the script for the baptism that the Presider uses. If there is a baptism, please introduce yourself to the family and take them to the working sacristy for a review of the procedures.

Working Sacristy: • Set out two large towels (not adult towels) located in upper left cabinet along the left wall. One to wrap baby for baptism and second to be spread out as a “changing area” • One small towel for the Presider to use* • Sacred Chrism in glass bowl* • Baptismal candle holder/follower and candle take from the box* • Brass shell* • Reserve Signs (4) • Leave box for the candle next to the changing are so family can put the candle in after mass All these things are located in the upper cabinet along the left wall. Additional chrism if needed can be found in the Ambry on the right hand side of the rear of the church, near the Eucharistic Chapel in a glass marked “SC”. Church: • Insure the Font is ON • Place Reserve signs on the first two rows (one on each end) on the side of the font • Place small towel on the font ledge, right side • Place Sacred Chrism on the font ledge, left side • Place brass shell on the font ledge, left side • Place Baptismal Candle holder, wax holder and candle on font ledge, front left side. • Light Paschal Candle • Ten minutes prior to start of mass. Light baptismal candle from the paschal candle

Meet with Parents: • Meet with parents, ask if they have any questions, make them comfortable, obtain the Baptismal garment and place on stool (obtained from the working sacristy if one isn’t there) next to the Font • The parents have a choice of a purple T-shirt or a swim diaper (kept in the drawers under the counter used for the changing table). • Let the parents know that the Presider will be meeting with them to review the procedures and answer any questions • Inform the parents that an usher will be down to ask members of their family to bring up the gifts • Remind the family that they should only take pictures from their seats during the baptism.
