Introduction

Foreward This manual has been created to assist customers of Vision Data Equipment Corporation in using the Vision Pagination software product. It provides a first resource for users who need assistance in the areas of operations, training materials or procedure.

To help make this guide easier to use, screen pictures were used to highlight certain explanations. Although this guide is intended for users of the Vision Pagination product operating on computers, the screen pictures were taken from the version of QuarkXPress. This is due to a limitation of the Author's computer system. The actual functionality displayed may differ from the Macintosh version, however the concepts are identical.

System Overview Vision Data's Vision Pagination is a sophisticated tool for paginating Classified advertising sections of Newspaper style publications. It provides all functions needed to create a professionally designed classified page and performs page development in a "What You See Is What You Get" (WYSIWYG) mode of operation.

Vision Pagination performs all its functions from within QuarkXPress so the layout and format are familiar to users. Because a Vision Classified page is contained within QuarkXPress, the pages can be integrated with other QuarkXPress functions your publication may be performing. It produces a postscript format file which can be directly printed to paper or film, or can be electronically transferred by a variety of different media types.

Note: All ads, including liners are paginated as postscript graphic files. Users of Vision Pagination will not experience any issues or problems commonly associated with the manipulation of text. Some of these issues resolved by this feature of Vision Pagination include problems with inappropriate hyphenation and incorrect line spacing.

Getting Started

Before you begin Before you begin using Vision Pagination, two different areas of set-up which must be performed before your system is ready to use in the pagination process. The first is Pagination Set-up, the second is any set-up needed within the Vision Classified software. Both of these set-up functions will be performed by Vision Data's staff upon your specifications.

Setup Pagination must be set-up based upon certain criteria you must define regarding the layout and appearance of your newspaper.

Templates A separate QuarkXpress template must be made for each newspaper that contains any variation of the following specifications:

• Overall Page size. • Number of Columns. • Pagination from Front-to-Back or Back-to-Front. • Flow Display Ads from Top-to-Bottom or Bottom-to-Top.

When creating the template you cannot use “Text Box” option or facing pages. Both features must be turned off.

Each template must be only be a single page in length.

Classified Classified must be set-up based upon certain criteria you must define regarding each of your publications. Some of the determinations you must make include:

Customer preparation in Classified System: • Definition of Publications. • Definition of Class codes. • Ad width (determined by page width divided by number of columns minus total space between columns. • Create Section Headers. • Create Filler Ads.

These and other specifications are further detailed within the Vision Classified Users Guide.

Vision Display Advertising System Display A/R must be set-up based upon certain criteria you must define regarding each of your publications. Some of the determinations you must make include:

Customer preparation in Display Advertising System (if applicable): • Create House Ads.

Preparation / Ad Transfer

Before you begin paginating, you must transfer your ads from Vision Classified to Vision Pagination for this particular publication run. This procedure is perfromed through a number of different steps including the daily dump procedure and file transfer to the Macintosh.

The daily dump procedure is part of the Vision Classified Software and is detailed with in the manual for that product. A daily dump must be performed for each run of each publication you are paginating.

The classified software determines which ads are to be run in a certain issue of a certain publication, which classification each ad belongs to, and the order in which they are initially provided to the pagination software.

Tutorial

Preparing to Paginate There are a number of steps to perform in the Vision Pagination system as part of the process to creating a completed classified section. The following steps will guide you through the Pagination process. These steps include:

Start QuarkXPress All functions of Vision Pagination are performed within QuarkXPress. This provides you with all the advantages of the QuarkXPress product while developing your pages.

To run the Vision Ad Creation system:

 Locate the QuarkXPress Icon and double-click on it.

The system will go through a process of loading QuarkXPress in front of you. This may take a few moments. You are now ready to begin pagination.

Create a New Document A new document will be used to create every classified section. The document will need to be set-up to match the specifications of the pages you are preparing to paginate.

To create a new document:

From the File Menu choose New Document.

You should now see a menu which contains a number of choices for the settings associated with your classified section.

If needed, change all measurements to the size of one (1) classified page.

You should in particular verify the settings for Width, Heighth, Number of Columns, Gutter Width, and any necessary Guides.

When all the settings are correct:

Click the “OK” Button.

You will now see a blank page being presented to you. The blank page was created using the settings you specified. You cannot see the entire page at the moment, as you are “zoomed” into a portion of the page.

The current view of your page is pre-set by QuarkXPress to be actual size. You will notice that you cannot see your entire page. This is because your computer monitor is smaller than the size of your newspaper page.

View the Entire Page To perform pagination effectively, you must see all of the page to visualize its composition. You can ask QuarkXPress to re-size the View of your page so that you can see the entire page on your screen. This function DOES NOT change the size of the printed page being outputted after the pagination steps are complete.

To view the entire page:

From the View Menu choose Fit in Window.

You should now see an entire blank page matching the specifications determined earlier.

Initialize the Pagination Xtension This step will initialize the Vision Pagination features within QuarkXPress.

To run the Pagination Xtension:

From the Pagination menu, choose Start Pagination.

The system will now ask you questions specific to this pagination session. This information will be used in the creation of the final printed page.

If needed, change any of the settings to the correct information.

You should in particular verify the settings for Direction of the Ad Flow, The publication name as you want it to appear in the Folio, any section or zone specification for the pages, and the Date you wish to print in ther folio for the publication date.

When all the settings are correct:

Click the “OK” Button.

After a few minutes of processing and calculation, you will see an informational display indicating the number of ad inches and the number of pages. This is determined based upon the total content of the Ad daily dump which was performed within the classified software.

Click the “OK” Button.

The Pagination menu will now show all its options as active within QuarkXPress. The correct number of pages is already set within the document. You have already been placed on the appropriate page. If you need to ad additional pages (for example, if you use many filler or house Ads) you will be able to add them as you find necessary.

Placing Ads on the Page The first step in actual pagination is to begin placing ads onto the page. Vision Pagination allows you to place ads either one section or five sections at a time. You may want to use one or the other option depending on the size of the next section or the next five. By flowing only one section at a time you are able to make manual adjustments to the page as may be necessary. You can also make adjustments while flowing 5 sections at a time, however you will have more ads on the page to work with at once.

Flowing Ads by section To place a single section of ads onto the page:

From the Pagination Menu, Select the Flow option.

The first section of display ads are placed onto your page based upon your pre- determined flow direction parameters and the best fit the system can determine for the ads it has available.

Flowing 5 sections of Ads at once To place 5 sections of ads onto the page:

From the Pagination Menu, Select the "Flow 5 Classes" option.

The next five sections of ads are placed onto your page based upon your pre- determined flow direction parameters and the best fit the system can determine for the ads it has available.

The System will not place ads that run off of the page in any direction. Any ads that do not completely fit on the current page will be placed off the page to one side so that you can place them manually. You can use the "Dump current Class" feature to put the rest of the Ads on the outside of the page.

You have the ability to move ads anywhere you choose, both on or off the page. This gives you the capability of page creation by using a "paste-up" board method of operation on your computer screen.

To be able to move an ad, you must first have the proper mouse tool for moving graphic objects. This tool is the top tool on the QuarkXPress* tool menu.

To select this tool:

Point to the top tool, and Click on it.

You may want to first move ads off the page so that you can move other ads onto the page. Your own eye for composition, combined with trial and error will enable you to become an expert at page design. To move an ad:

Using the Mouse, put the pointer anywhere on the ad you wish to move.

HOLD DOWN the mouse button.

Drag the Ad to the location you wish to move the ad to.

You will see an outline the size of the ad move as your mouse moves. This will show you precise location boundaries.

Once the ad is at the location you wish:

Release the mouse button.

The Ad becomes moved to the new location. You can move as many ads as you like, as many times as you like.

Note: If you cover an ad with another larger ad, you will not be able to see it. The ad has not been deleted or removed, it is simple underneath.

To reveal a hidden ad:

Using the Mouse, put the pointer anywhere on the ad which is covering the other ad.

HOLD DOWN the mouse button.

Drag the Ad off of the other ad.

You will see an outline the size of the ad move as your mouse moves. You will NOT YET see the other ad underneath it until the move operation is competed below.

To be sure you are un-covering an ad, it is recommended that you move the covering ad to an entirely new location. Once the ad is at the location you wish:

You should now see the ad that had become covered over.

Reorganizing your page After moving your ads to the approximate location where you think the page will work best for you, Vision Pagination will reorganize the exact spacing to fit perfectly. This means you do not have to worry about exact accuracy when using your mouse. The adjustments will be made for you.

Also you may want to perform this adjustment before you have completed your layout. This may help you to more clearly see the spacing that you still have available to place more ads. The reorganization can be performed at any time that you want, as much as you want.

To reorganize the ads you have placed on the page:

From the Pagination Menu, Select the Flow option.

The display ads are re-adjusted to fit properly on your page. If any liner ads were previously placed, they have been removed. At this , you can perform more adjustment of the ads, or you can bring the next section of ads onto the page.

Placing the next section Vision Pagination places your ads one section at a time. This is the best method to allow you to perform manual adjustments. After each section is adjusted, you are ready to place the next section.

To Place the next section:

From the Pagination Menu, Select the Go option.

The next section will flow onto your page.

You can continue to flow sections and adjust them over and over again until the page has been filled. You will know when the page is completely filled when the "Go" option no longer performs any action.

Note: Any ads left on the sides will be carried over to the next page.

View an Ad (Show Picture)

At any time you can view the entire ad in detail. This will allow you to obtain a better visual representation of the page or section you are creating. This can also be used to verify ads and their relative location to confirm appropriate relationships.

To view an ad you must first select which ad you wish to view.

To select an ad for viewing:

Using the Mouse, put the pointer anywhere on the ad.

Click the mouse button.

The ad should now be selected. You will see an indication of this by small characters which highlight the border of the ad. You are now ready to select the viewing option.

To view the ad:

From the Pagination Menu, select the Show Picture Option.

The entire ad should display graphically.

Switch Headers on & off This function is available only for display Ads. The system will automatically place headers on the top of every column of any ad which represents a classification change. This is to insure that all of your ads are properly classified. At times you may feel that for appearances sake, that it is overkill. You can remove individual headers from any display (Multi-column ad) location that you choose.

Switch Headers off To remove an ad header you must first select the ad which has the header above it.

To select an ad for header removal:

Using the Mouse, put the pointer anywhere on the ad.

Click the mouse button.

The ad should now be selected. You will see an indication of this by small characters which highlight the border of the ad. You are now ready to select the header removal option.

To remove the header(s):

From the Pagination Menu, select the Headers Off Option.

All Headers should be removed from that Ad.

Switch Headers on Sometimes, you may feel that the removal of certain headers has made the page more obscure than you had planned, and you may wish to put the header back on. To place an ad header back on an Ad you must first select the ad.

To select an ad for header restoration:

Using the Mouse, put the pointer anywhere on the ad.

Click the mouse button.

The ad should now be selected. You will see an indication of this by small characters which highlight the border of the ad. You are now ready to select the header restoration option.

To restore the header(s):

From the Pagination Menu, select the Headers On Option.

All Headers should be restored back onto that Ad.

Draw House Ads Any ad that you manually draw and place onto your page will be determined to be a House Ad. It will not have any headers so it can be drawn into any class region to assimilate into that class. If you have house ads to place, you can put them anywhere on your page at any time that you want. You will need to first draw the location of the ad, and the open the ad into that location. The location is referred to as a graphic or picture box.

Draw a Picture Box To create a Picture Box:

Using the Mouse, select the Object Drawing tool

Using the Mouse, Draw a box exactly where you want the House Ad to appear.

A box will exist where you drew it and will be selected.

From the Pagination Menu, Select the Show House Ads Option.

A list of available ads will appear.

You should now see a menu which contains a listing of files available to be opened. If the House Ad File you are looking for does not immediately appear, it may be necessary to scroll the list downward until the file name is found.

To scroll the file list:

Using the Mouse, put the pointer on the down arrow of the scroll section to the right of the file names.

Click or hold down the mouse button to control the scrolling action.

Once you locate the file name of the House Ad you wish to use, you must select it to be opened.

To select the House Ad:

Using the Mouse, put the pointer on the file name, and click on it.

Once the House Ad has been selected correctly on this menu, you can accept the action of opening it.

To open the selected House Ad:

Using the Mouse, put the pointer on the OK Button, and click on it.

Your House Ad will now appear within the box you have drawn.

Re-size the Ad Box The ad may not fit the box exactly, but you can change the size of the box to make it fit.

To change the size of the house ad box:

Using the Mouse, select the Selection tool

Using the Mouse, put the pointer of the mouse on the corner of the box that needs re-adjustment.

(Usually the lower-right corner).

HOLD Down the mouse button.

Move the mouse until the box covers the proper region.

You will be able to see an outline of the box re-shape as you move the mouse.

Release the mouse button.

Your box will be reshaped to the new fit you have determined.

Re-organize your Page After finishing the placement of the house Ad(s), you will need to re-organize the page.

To reorganize the ads you have placed on the page:

From the Pagination Menu, Select the Go option.

The display ads are re-adjusted to fit properly on your page. If any liner ads were previously placed, they have been removed. At this point, you can perform more adjustment of the ads, or you can bring the next section of ads back onto the page.

Completing a Page There are two steps to finalizing your page to give it a professional appearance. The first step is to place any filler ads that will fit and the second step is to fill the gaps between each individual ad so that you produce an even page bottom.

Placing Filler Ads

Filler ads are placed to fill in the larger gaps which may occur on your page. These gaps may occur because of varied lengths between display ads of multiple column width, and the relative length of the liner ads which are placed underneath those display ads.

The system will automatically determine the minimum and maximum sized filler ads to provide the most complete filling possible.

To place filler ads:

From the Pagination Menu, Select the Place Fillers option.

The maximum filler placement has been completed.

Filling Gaps Additional gaps of a smaller size will probably still exist because of the variety of ad lengths on your page. Vision Pagination will insert even micro-spacing between each individual ad on a page to line up the bottom of the ads on the bottom of the page. This will give your overall page a square, professional appearance.

The system will automatically determine the spacing needed between ads.

To fill gaps:

From the Pagination Menu, Select the Fill Gaps option.

The page has now been completed.

Continuing on the next page

Go to the page The next page will be the previous page if we are paginating from Back-to-Front. This is because it is the next logical page in our "backwards" logic. When the section is output, page first will be page last for a Back-to-Front pagination.

To go to the next page:

From the Page Menu, Select the Prev option.

You should now be viewing your next blank page.

Select the page As before, to place ads on the page, you must first tell QuarkXPress which page the ads are to be placed upon. Again we will want ads to be placed on the current page. This can be done by simple selecting the page.

To select the page:

Using the Mouse, put the pointer anywhere on the visible page, and click.

The page is now selected for ad placement.

Continuing Pagination

You are now ready to perform ad placement and adjustment as outlined before.

Any ads left over from the previous page on the sides will be carried forward when you choose the Go option. You should manually place these ads before you continue to flow the next section.

Continue the Pagination and Previous Page processes until all pages have been completed and all ads for this issue have been placed.

Creating an additional page

If you use a large number of House ads, you may need to create an additional page. YOU CAN ONLY ADD ADDITIONAL PAGES BEFORE YOU BEGIN PAGINATION!

To create a new page:

From the Page Menu, Select the New option.

A new page has been created. You will not see any change on the screen in front of you except for the number of pages at the bottom. This is because creating a new page does not bring you to that new page. This is a separate step.

Go to the new page The new page will be the previous page if we are paginating from Back-to-Front. This is because it is the next logical page in our "backwards" logic. When the section is output, page first will be page last for a Back-to-Front pagination.

To go to the next page:

From the Page Menu, Select the Prev option.

You should now be viewing your next blank page.

Continuing Pagination

You are now ready to perform ad placement and adjustment as outlined before. Any ads left over from the previous page on the sides will be carried forward when you choose the Go option. You should manually place these ads before you continue to flow the next section.

Create a Banner

If your page ends with extra space left on the final page, you may want to even it out with a banner. This will allow you to reserve the space above the banner for other things. A banner can be created with a picture box.

Draw a Picture Box To create a Picture Box:

Using the Mouse, select the Object Drawing tool

Using the Mouse, Draw a box exactly where you want the House Ad to appear.

A box will exist where you drew it and will be selected.

Set the box as a banner To set the picture box as a banner:

From the pagination menu, select the Put Banner Option.

Your banner will be complete.

Re-organize your Page Your ads will need to be re-arraigned to be drawn underneath the banner.

To reorganize the ads you have placed on the page:

From the Pagination Menu, Select the Go option.

The display ads are re-adjusted to fit properly on your page. If any liner ads were previously placed, they have been removed. At this point, you can perform more adjustment of the ads, or you can bring the next section of ads back onto the page.

When you have completed all pages

Upon completion of your pagination process, you should save your work and output the classified section. These steps may vary in description based upon your individual computer system and the method of output you have chosen.
