1 Overview

“eFlightBook” is an electronic pilot logbook for mobile devices. Pilots can conveniently log their flights, save them in a database and export them for use with spreadsheets (CSV) and send them by email. Also, airports, aircrafts and pilots can be saved and then used in flights. Additionally, users can view a detailed summary of their flight times and landings. In “eFlightBook Pro”, users can furthermore synchronize their entire database with a back office server and manage their clients and licenses. More features can be included as in-app purchases. These include a full database email export, a downloadable global airport database, a fuel converter, unlimited licenses and papers and a manager for additional duty hours.

For the most part, the Android and iPhone versions of eFlightBook share the same functionality and a comparable user interface. However, some differences are present, due to different frameworks and design philosophies of Android and iOS.

Notice: You have no guaranty that this user manual describes the functionality of the current app version you have downloaded from the store. It is possible that the app is updated and the manual is not up to date.

2 Quick Start

This quick start guide will help you through the first few important steps in using eFlightBook.

When eFlightBook first starts you will see the main menu. Follow the steps to setup eFlightBook and log your first flight. Tap each item to open them.

1 Settings

In the main menu tap Settings to open the settings page.

Login settings

Skip this if you are not using eFlightBook Pro, or if you don’t have an SQL server account to use with eFlightBook Pro. Should you need server access, contact us at [email protected] to get an corresponding offer.

Under the “Login” section, enter your login

information:  Your server URL (e.g. “remote.ph-informatik.de”)  Your user name (case sensitive)  Your password (case-sensitive)

You will get the login information if you have ordered a server account.

Other settings You might also want to go to the “More settings” section to change some other options. Most importantly, you may want to enable use flight instructor, use OEI, use AR and/or use simulator log, should you need them in your flight logs.

When you’re done, tap SAVE and return to the main menu.

2 New Flight

In the main menu tap New flight to open the new flight page. Here, fill out the form by tapping each field you want to edit. Tap on entry fields to enter a number/text, tap on switches to toggle them. To save a new flight, at least the date of flight and aircraft have to be defined. ! ! When you tap Aircraft, Departure airport, Destination airport and Client for this flight, ! you will be taken to the respective list pages to select the item you want. With Second pilot, you can either enter a name ! in the entry field or tap the list to open the pilot list. !

For example, when tapping Departure airport or Destination airport, the airport list will open. This will be empty on your first use. Tap the + icon at the top right to create a new airport. Add airport from global airport list Tap the + icon beneath the save to open the global airport database (available by in-app purchase) and select an airport from there. Fill out the airport data (the ICAO code is required) and tap SAVE. Back at the airport list, tap your new airport and it will be taken over in your flight.

This process is the same for Aircraft, Client for this flight and Second pilot.

3 Core Data

In the main menu tap Core Data to open the core data page.

Here you can save, edit and delete your airports, aircraft, pilots and clients, which can be used in your flights. Note that your client is typically your airline or company you’re flying for.

You can also enter your pilot licence and medical under Licences and papers. This will be orange or red if one of your licences is expired or will expire soon. The Global airport database can be made available by in-app purchase. With this you can easily search, view and save airports from over 40,000 ones worldwide.

Tap the core data fields (e.g. Airports) to open the respective lists. To create new airports, tap the + at the top right of the airport list. To edit existing airports, tap them. Add airport from global airport list Tap the + icon beneath the save button to open the global airport database (available by in-app purchase) and select an airport from there. To delete airports, on Android long press them, on iPhone swipe them to the left. In the New Airport/Edit Airport page, edit the airport information and tap SAVE. This process is the same for Aircrafts, Pilots and Clients.

4 Synchronisation

In the main menu tap the synchronise button to start the synchronisation.

Four conditions have to be met to use synchronisation:  You have to use eFlightBook Pro  You need an internet connection (only for synchronisation)  You need a login on an SQL server with the required phi… software, or an account on our server

 Your user login data must be saved in the settings. Contact us at [email protected] to get an offer for an account on our server or the setup software for your own SQL server.

The synchronisation will synchronise all your data you have saved in eFlightBook (flights, airports, aircraft, etc.) with the server.

3 Main Functions

3.1 Main Menu

When eFlightBook first starts it will show the main menu, which contains most of the basic features.

1) Synchronisation eFlightBook Pro only Tap to synchronise your database with a server. For further information, see 3.8 Synchronisation. 2) Info Tap to show information about eFlightBook. You can also send us an email from there. 3) Tab bar Tap one of the tabs to navigate between screens. For further information about the different tabs, see The Other Tabs.

4) New flight Tap to open the new flight page, where you can log your flights. For further information, see New Flight. 5) List of flights Tap to show a list of all the flights in your local database. For further information see List of Flights. 6) Core data Tap to navigate to the core data menu, which contains additional database functionality, such as airports, aircraft, pilots and more. If this is red or orange, one of your licences is expired or will expire soon! For further information see Core Data. 7) Summary Tap to open the summary page, where you can create a detailed summary of your flights. For further information see Summary. 8) Additional duty hours Tap to open the list of your additional duty hours, where you can also log new ones. For further information see Additional duty hours. This feature is only available by in-app purchase for eFlightBook Pro! 9) Settings Tap to open the settings page, where you can adjust different preferences and enter your pilot information and login data. For further information see Settings. 10) Next possible start of duty eFlightBook Pro only On tap, this will show you your calculated next possible start of duty, based on your last landing time or your last duty period. This is just for your information and has no legal significance!

3.2 Settings

In the Main menu, tap Settings to open the settings page.

Here you can enter your login data, enter your pilot information and previous summaries and set various preferences. If you are using eFlightBook Pro, you may want to enter your server login settings and previous summaries first, before using other functions of the app.

1) Back button Tap to go back to the previous page 1 2 without saving any changes. 2) Save button Tap to save all changes in your settings and go back to the previous page.

3.2.1 Login settings eFlightBook Pro only In eFlightBook Pro you can synchronise your database with an SQL server. For this, enter your login settings here. For more information about synchronisation, see 3.8 Synchronisation.

1) Server Tap the entry field to enter your server 1 URL (e.g. remote.ph-informatik.de). 2 2) User name 3 Tap to enter your login user name.

3.2.2 Period for flight download eFlightBook Pro only With this setting you can determine the number of flights or the period from which flights will be downloaded onto your mobile device during synchronisation.

Tap the Period field to open the period settings page.

To define a period, tap the respective entry field and enter a number. 3.2.3 Pilot Information

Here you can enter your basic pilot information and your summaries before using eFlightBook to keep your pilot summary complete.

5) Summaries before eFlightBook

Tap to open the Previous Summaries form. Here you can enter all of your previous 1 summaries. Tap each entry field to enter a time (1) or a number of landings (2), respectively. The time entry fields (1) will automatically format your entry as a time (hours:minutes), so the last two digits you enter will be the minutes. When you’re done, click SAVE to save your summaries and return to the settings 2 page. These summaries will be taken into account when calculating your total summaries in your eFlightBook summaries page. For further information, see Fig . 11: Previous summarie s Summary.

3.2.4 More Settings

This section offers various settings that can be enabled or disabled by toggling their respective switches.

1) Flight List – Last on top When enabled, flights will be listed in 1 descending order (by flight date and time), 2 otherwise ascending. 3 2) PIC is set by default 4 When enabled, the PIC (pilot in command) option is enabled for every new flight. 5 6 3) IFR is set by default When enabled, the IFR (instrument flight 7 rules) option is enabled for every new flight. 8 9 4) Set last aircraft and airport on new flights When enabled, the selected aircraft from the 10 last flight will be set for a new flight and the last destination airport will be set as the new departure airport. 11 5) Use flight instructor Fig . 12: More settings Enable this to use the Flight instructor option in your flight logs. 6) Flight instructor by default When enabled, the flight instructor option is enabled for every new flight. 7) Use OEI (one engine inoperative) Enable this to use the Landings OEI option in your flight logs. 8) Use AR (auto rotation) used for heli flights Enable this to use the Landings AR option in your flight logs. 9) Use simulator log Enable this to use the Simulator flight option in your flight logs. Simulator flights will be excluded from your summaries. 10) Use ISO date format Android only When enabled, the app will display all dates in the ISO date format (YYYY-MM-DD), instead of your local format. 11) Global airport list including heliports When enabled, the global airport database (available as an in-app purchase) will also display heliports.

3.2.5 Flight- and Duty Time Period eFlightBook Pro only This section is used for calculating your next possible start of duty. For more information, see Next possible start of duty.

1) Your homebase ICAO Tap the entry field to enter the ICAO code 1 of your home base airport. 2 2) Duty minutes before block off 3 Tap the entry field to enter your duty minutes before block off. 3.3 New Flight

In the Main menu, tap New flight to open the new flight page.

To log a new flight, tap New Flight in the main menu. The flight editing form will open.

1) Save Tap to save all changes made to your flight and return to the previous page. To save a new flight, at least the date of flight and an aircraft must be set. All other fields can be left empty. 2) Back button Tap to go back to the previous page. All changes will be lost. 3) Date of flight Tap to open the date picker dialogue. Select a date and tap OK. 4) Aircraft Tap and the aircraft list will open. Tap an aircraft in the list to pick it or create a new one by tapping + at the top right of the screen. For further information see Creating and editing core data.

5) Departure/Destination airport Tap to open the airport list. Tap an airport in the list to pick it or create a new one by tapping + at the top right of the screen. For further information see Creating and editing core data. 6) Starting/Landing time (UTC) Tap to open the 24h UTC time picker dialogue. Select a time and tap OK. 7) Flight rule – IFR Toggle the switch to determine the flight rules (on: IFR, off: VFR). 8) Flight time The flight time calculated from your starting and landing times. Cannot be edited 9) Night / Night NVD / Day flight Tap one of the three switches. (NVD = night vision device) 10) Landings day/night/OEI/AR Tap the entry fields on the right and type in the respective numbers of landings. If you don’t see the Landings OEI or Landings AR fields, you can enable them in the settings. See More Settings. 11) Show route on map Tap to open a map screen that will show your flight route as a great-circle distance, provided you have set the departure and destination airport. 12) Second pilot Tap the entry field in the middle to enter a name or tap the list icon in the right to open your pilots list. Tap a pilot in the list to pick them or register a new one by tapping + at the top right of the screen. For further information see Creating and editing core data. 13) Maximum FL (flight level) Tap the entry field in the right to enter the maximum flight level of the flight. 14) PIC (pilot in command) Toggle the switch to determine whether you’re the pilot in command (on) or not (off) for this flight. 15) Simulator flight Toggle the switch to determine whether this is a simulator flight. If you don’t see this field, you can enable it in the settings. See More Settings. 16) Flight instructor Toggle the switch to determine whether you was the flight instructor of this flight. If you don’t see this field, you can enable it in the settings. See More Settings. 17) Remarks Tap the entry field to enter any remarks for your flight. 18) Client for this flight Tap to open your client list, where you can pick a client or create a new one by tapping the + icon at the top right. This is typically your airline or company you’re flying for. For further information, see Creating and editing core data.

3.4 List of Flights

In the Main menu, tap List of flights to open the list of flights.

Here you can see all your saved flights, delete or edit them, when necessary. You can determine the order of the list (ascending or descending) in the settings. For further information, see More Settings.

1) New flight 1 Tap to go to the new flight log page to create a new flight. See New Flight 2) Search field 2 Tap to enter an ICAO code to search for specific flights, containing this ICAO as 3 either the departure or destination airport. Tap the x icon to clear the search field. 3) Flight info box Fig . 15: List of flights This shows the basic information about your flights. See below.

Deleting a flight differs on Android and iOS: On Android, press and hold the flight in the list, until the DELETE option appears in the navigation bar. Tap this to delete the flight.

On iOS, you have to go to the flight log page and you will find a red button on the bottom of the page to Remove this flight.

Tap on a flight to open it in the 2 1 Edit flight page, which works the same way as the New Flight page. Here you can edit it in any way. 1) Save Tap to save your changes and return to the flights list page.

3.5 Core Data

In the Main menu, tap Core data to open the core data menu.

Your eFlightBook core data include your aircrafts, airports, pilots, clients and licences. Here you can view your core data, edit them and create new ones.

3.5.1 Creating and editing core data

Tap the items (Airports, Aircrafts, Pilots, Clients) in the core data menu to open the respective lists. All lists hold airports, aircrafts, pilots or clients the pilot has used in his flights.

1) Add new item 1 Tap to create a new item. The respective edit page will open. 2) 2 Tap to enter a search text. The list will then only show the items containing this text. Tap the x icon to clear the search 3 field. 3) Item info box This shows you all the information about the item.

Deleting an item: Android: press and hold an item and tap DELETE at the top right. iPhone: hold and swipe the item to the left and tap the delete button.

3.5.2 Airport

Here you can enter/change the information of airports. Airports can then be used in new flights. For information about how to create, edit or delete airports, see Creating and editing core data. 1) Save 2 3 1 Tap to save your changes. 2) Back button Tap to close without saving your changes. 3) Add airport from global airport list Tap to open the global airport database (available by in-app purchase) and select an 4 airport from there. 4) Airport information Tap the entry fields to enter the name, 5 ICAO code, IATA code and country of the airport. 3.5.3 Aircraft

Here you can enter/change the information of your aircraft. Aircrafts can then be used in new flights. For information about how to create, edit or delete aircraft, see Creating and editing core data.

1) Save 2 1 Tap to save your changes. 2) Back button Tap to return to the aircraft list without saving your changes. 3) Aircraft information 3 Tap the entry fields to enter the call sign, type and a description of the aircraft. 4 4) Engine 5 Tap to select the engine type (piston, turbine, glider) from a list. 3.5.4 Pilots and Clients

Here you can enter/change the information of your pilots and clients. These can then be used in new flights. Your client for a flight is typically your airline or company you’re flying for.

For information about how to create, edit or delete aircraft, see Creating and editing core data.

3.5.5 Licences and papers

In the Core Data menu, tap Licences and papers.

Licences and papers list 1 1) Add new licence or paper Tap to create a new licence or paper. 2 See below. Note that by default the number of licences or papers you can create is limited to 1. You can unlock unlimited licences and papers by in-app purchase. Just tap the + icon to get a purchase message.

2) Licence info box This shows you all the information about a licence or paper. Note the coloured indicator that shows the validity status of the licence.

6) For licences that are valid for more Fig . 26: Licences and papers list than 90 days the text is green. 7) For licences that will expire in less than 90 days the text is orange. 8) For licences that have already expired the text is red. Tap to open the licence for editing.

Deleting a licence or paper: Android: press and hold a licence and tap DELETE at the top right. iPhone: hold and swipe the licence to the left and tap the delete button, or open the licence and press the delete button at the bottom of the page.

Tap OK to confirm the date.

3.5.6 Global airport database

The global airport database is available by in-app purchase. It is a comprehensive library of over 40,000 airports and heliports worldwide. In the settings you can enable or disable heliports in the list. In the Core Data menu, tap Global airport database.

1) Download 1 Tap to download the global airport database. The download will take several minutes (on Android up to 30). 2

2) Airports Tap an airport to open it and view its details. These include detail data, runways Fig . 28: Global airport list and frequencies, as shown below.

3.6 Summary

Here you can get a detailed summary of your flights

1) Calculate/refresh Tap to calculate/refresh your summary. This will take all the flight times and landings of your saved flights, evaluate them based on the different configurations and add them to your previous summary information, if you have saved any (see Pilot Information settings). All flight times are displayed as total hours and minutes (h:mm). Note that in eFlightBook Pro with server connection activated it will create the summary from your flights on the server, including of your locally saved flights. Thus, it will first perform a full server synchronisation before updating your summary. This requires you to have an internet connection, an account on an SQL server and you have saved valid login data in your settings. Otherwise, your locally saved flights will be used.

2) Back button Tap to return to the previous page. Your summary will be saved for later viewing until you tap the calculate/refresh button (1) again.

3) Type of AC (aircraft) This will show you your flight time with a specified type of aircraft. Tap the entry field to manually enter a type of aircraft, or tap on the aircraft symbol to open a list of types of aircraft used in your flights. There, tap on an aircraft to select it.

4) Total since Tap this field to select a date. After tapping calculate/refresh (1), this field will display the total flight time from the selected date on. 5) Simulator total since Tap this field to select a date. After tapping calculate/refresh (1), this field will display the total simulator flight time from the selected date on . Note that all the other summary fields ignore simulator flights.

3.7 Additional duty hours

In the Main menu, tap Additional duty hours to open the list of duty times.

Here you can see all your saved additional duty hours, delete or edit them, when necessary.

3.7.1 List of duty times

1) Add new duty time 1 Tap to create a new duty time log. The New Duty page will open. See below. 2) Search field 2 Tap to enter a search text. You can search for either duty types or info/remarks text. 3 Tap the x symbol to clear the search field. 3) Duty time info box This shows you all the information about your duty times. 3.7.2 New duty / Edit duty

By tapping the + icon at the top right of the list of duty times page, you open the New Duty page, where you can create a new duty time log. If you edit an existing duty time, this will be called Edit Duty. Here you can make changes to your duty time and save them.

1) Date of duty Tap to open a date picker where you can select a date. Tap OK to confirm. 2) Duty type Tap the entry field to type in any duty 1 type, or tap the list icon to choose from a list of predefined duty types. 2 3 3) Begin time Tap to open a time picker where you can 4 select a time. Tap OK to confirm. 5 4) End time 6 Tap to open a time picker where you can select a time. Tap OK to confirm. When you’re done, tap SAVE at the top right to save your changes and return to the list of duty times.

3.8 Synchronisation eFlightBook Pro offers you a full synchronisation of your data with an SQL Server.

To use synchronisation, four conditions have to be met:  You have to use eFlightBook Pro.  You need an internet connection. Note that you can otherwise use eFlightBook without an internet connection. On synchronisation it will synchronise any offline changes, too.  You need a login on an SQL Server with the required phi… software, or an account on our server.  Your user login data must be saved in the settings.

If you wish to use synchronisation but don’t have an SQL Server, you can request an account on our server. Contact us by email at [email protected] to request an offer. To use your own SQL server for synchronisation, you need additional phi… software for setup. In this case, also contact us to request an offer.

Once you have your account login data, either for our SQL Server or your own, you have to enter them in your eFlightBook Pro settings. From the main menu, tap settings. Enter your login data in the “Login” section and tap SAVE at the top right to save your settings. For more information, see Login settings.

Finally, tap the synchronisation button (1) in the main menu to perform the 1 synchronisation (on Android, tap OK on the appearing message box). All your data (flights, airports, aircrafts, etc.) will be synchronized with the server.

4 The Menu Tabs

The user interface of eFlightBook is split into four tabs you can switch between at any time.

The tab bar on Android is at the On iPhone the tab bar is located at top of the screen, below the the very bottom of the screen. navigation bar. Switch tabs by tapping on them. You can switch tabs either by tapping them, or by swiping the screen left and right.

4.1 Main tab

The Main tab contains most of the main functionality of eFlightBook and is discussed in depth in Main Functions.

4.2 Fuel converter

The Tools tab contains a handy fuel converter and calculator.

1) Fuel type and unit Tap the switches to select your own fuel type and unit.

1 2) Fuel in tank Tap the entry field to enter the fuel in your tank in the selected unit. 2 3) Fuel desired 3 Tap the entry field to enter your desired fuel amount in the selected unit. 4) Results 44 Tap CALCULATE at the top right to calculate the amount of fuel to add. This section will show you how much fuel to add in the different units.

4.3 Export functions

The Export tab contains functionality to export your logged flights as csv file or to backup your complete eFlightBook database. The backup can also be re-imported to restore your database.

4.3.1 Export and backup

On Android, it is required to grant the permission to access your external phone storage to use the export and backup functions. Once you tap one of the functions, a message box will appear. Tap OK and then ALLOW. eFlightBook will only access your external storage to save the CSV export file and save and load the database backup file!

1) Export to Excel file (CSV) Tap this to export all your saved flights as a CSV file and attach this file to an email to send it from your email app. You can send it e.g. to yourself to keep 1 records of your flights in a convenient table format to open in Excel or other spreadsheets. 2

2) Backup eFlightBook database This feature is available by in-app purchase. Tap this to backup your complete eFlightBook database (flights, airports, aircraft, etc.) and attach it as a database file to an email to send it from your email app.

4.3.2 Restore backup

The database backup file can be re-imported into eFlightBook to restore your database. But note that this will irreversibly replace your current data. So don’t restore a newer database with an older one, if you’re not sure! To restore the database, you need a compatible database file exported from eFlightBook. Load it onto your mobile device (e.g. by sending it to yourself as an email attachment) and tap it. eFlightBook should open and import the file. On Android, you will be asked if you really want to restore the database. Tap Proceed and restore to do the restore.

4.4 Time Calculator

This tab contains a handy time calculator.

Tap the number buttons to enter numbers. The colon separates hours and minutes (hours:minutes).

Tap + and – to add or subtract times.

Tap = to get the result. Tap AC to clear all and backspace to delete the last input.
