Week 1: Collaboration with Evernote

1. Why share Notebooks or with Evernote? Evernote is great for collaboration whether you are using Evernote for personal use (managing your home life), Evernote for your workplace (Evernote premium) or as part of a business (Evernote Business).

In order to be ‘Digitally productive and efficient’ (and not just emailing notes), Evernote allows you to share your notebooks and your individual notes with others.

How to share Notebooks on Mac Desktop:

❏ Right Click on the chosen notebook (from the notebooks menu) or the icons.

❏ Choose to Share the notebook or just publish the link for the notebook to view.

1 ❏ With the ‘Sharing’ option you can ❏ Edit and invite others to the notebook ❏ Edit ❏ View

How to share Notebooks on Windows Desktop:

❏ Click on the Notebooks Menu in the Evernote sidebar. ❏ Click on the sharing icon as indicated by the image above. ❏ Two options will be listed: ❏ Invite Individuals (see image above for Mac) ❏ Create a public link.

How to share Notebooks on iOS (iPhone and iPad) ❏ Tap on ‘Notebooks menu’ within the Evernote Home Screen ❏ Tap ‘Edit’ to bring up further menus.

❏ Tap ‘ to share with ‘Individuals’. Add email addresses, a message and choose editing rights. They will receive an email to invite them to that ‘notebook’.

2 How to share Notebooks on Android: ❏ Tap ‘Notebooks’ List ❏ Tap the notebook you would like to share. ❏ (Make sure your Android phone is in Landscape Mode to view the three dots - see image below) ❏ Tap ‘Share’ ❏ Add ‘People’ with email addresses, choose ‘editing rights’ and add a message.

How to share Notebooks on Windows 8 (Touch) At the moment, there is no ability to create or share notebooks via the Windows 8 Evernote Touch app.

How to share notes on Mac Desktop: ❏ Open up an Evernote note.

❏ Click on Share Menu icon (as shown). Options include: ❏ Post to Facebook ❏ Post to ❏ Post to LinkedIn ❏ Email ❏ Share the URL. This link is copied to your clipboard, so use Command + V to paste into an email or web page. To STOP sharing the URL, click on the ‘Share Icon’ and select ‘Stop sharing’.

How to share notes on Windows Desktop: ❏ Open up an Evernote note ❏ Click on ‘Share’. Options same as Mac Desktop.

3 How to share notes on iOS (iPhone and iPad): ❏ Select the note you would like to share from the notes menu ❏ Tap the ‘three dots’ icon in the top RH Corner. ❏ Select ‘Share’ ❏ Your options include: ❏ Message (iPhone) ❏ Twitter ❏ Facebook ❏ Mail ❏ Print ❏ Copy Link to share ❏ Export Note

How to share notes on Android: ❏ Select the note you would like to share ❏ Tap the ❏ Create and Share the URL with ❏ Evernote ❏ Post to Facebook ❏ Add to Dropbox ❏ Bluetooth ❏ Copy to Clipboard ❏ Email ❏ Any other app you might have on your Android device ❏ Wi-Fi Direct

How to share notes on Windows Touch: ❏ Select the note you would like to share ❏ Swipe from the RIGHT edge of the screen to activate Windows 8 Charm Bar.

❏ Click on share with any other apps on your device.

Presenting with Evernote

Why would you present with Evernote? ❏ To share your notes full screen (rather than having to create an extra presentation) ❏ Can share via Windows and Mac Desktop, iPhone, iPod Touch and iPad. ❏ Presentation Mode is an Evernote Premium and Evernote Business feature.

How to present via Desktop (Windows/Mac): ❏ Open up an existing Note.

❏ Select the ‘Presentation’ Mode’ ❏ To have separate material on different pages use a horizontal line between each section. This will create different pages. ❏ Laser Pointer: Use Ctrl + P or Command + P to change the pointer colour or arrow. ❏ Night and Day Mode: ❏ ‘Sun’ icon is Day mode (White background with black text) ❏ ‘Night’ Icon is Night Mode (Black background with white text)

❏ Use these tools to control the presentation. ❏ up / down arrows: scroll ❏ spacebar: move to the next section ❏ shift+spacebar: return to the previous section ❏ right / left arrows: navigate between notes ❏ Present ‘Multiple Notes’ - select multiple notes in the Notes list or use Windows: Ctrl + Click, Mac: Command + Click) and select Start Presentation

How to present via IOS ❏ Open up an existing note on your iPhone or iPad. ❏ Tap the ‘three dots’ menu. ❏ Tap ‘Present’. ❏ Swipe to left and right to change the image. Tap the image to go FULL SCREEN.

5 Part 2: Searching for files (Evernote Syntax)

Why Evernote is so powerful for searching through your notes, notebooks and tags ❏ Can search for words within notes (Evernote Notes) ❏ Can search for typed text within images (OCR - Optical Character Recognition) ❏ Can search for ‘Tags’ ❏ Can search for words in handwritten notes ❏ Can search through Microsoft Office © attachments and PDF documents (only Evernote Premium and Evernote Business).

❏ Related Notes: These appear for Evernote Premium and Evernote Business as well as Evernote Clearly and Web Clipper for Chrome. These are notes that have been analysed to match a new note when created.

How to search for Notes, Notebooks and Tags on Mac/Windows Desktop: ❏ Can use ‘Type Ahead’ suggestions (predictive text) and helps you find what you are looking for. ❏ Will look for the 5 most recent searches you have used.

❏ Search Options: These include ❏ Notebook ❏ ❏ Contents - what is within the note ❏ Source - where does the note come from, iOS, Desktop, Evernote Web ❏ Created ❏ Modified ❏ To delete ‘Search Option’, just remove (backspace) like a normal search query.

Part 3: Linking notes (Windows and Mac Desktop)

Why do you need to link notes within Evernote? ❏ Linking notes (like hyperlinking) allows a note to have a hyperlink so you can click or tap on the link and it will take you to that ‘linked’ note. ❏ Can only create via Windows and Mac Desktop (but can access the links via other platforms).

How to link notes within Evernote (Mac and Windows Desktop): ❏ Right click a note to add Copy Note Link. Or go to ‘Note’ from Evernote’s Main menu to select ‘Copy Note Link’. ❏ Create a new note ❏ Paste the link > into your new or or existing note. It will appear as a hyperlink (blue text underlined). ❏ To create a table of contents, create the hyperlinks in the order you would like to view them (great for a training manual or writing a book).

How to Merge notes (Only for Windows and Mac Desktop) ❏ Select the notes you want to merge ❏ Mac: Command + Click ❏ Windows: Ctrl + Click ❏ A thumbnail view of the notes with options will appear in the Note Viewer ❏ Click the ‘Merge’ button ❏ Warning: If you have moved notes from Evernote Food, Evernote Hello or Skitch, they will no longer be accessible from these apps. To access these notes again, simply drag them from the ‘Trash’ back to their original notebooks. ❏ Can also do batch editing: ❏ add tags ❏ move them all to a different notebook ❏ email the selected notes ❏ save all the attachments within the selected notes to your computer
