Introduction

The real estate, facility and infrastructure professions are advancing quickly. To ensure that the professionals who depend on ARCHIBUS have state-of-the-art tools, the ARCHIBUS product is continuing with an aggressive development plan. In addition to the new features listed below, the teams have processed well over 1,000 enhancements and "fit and finish" changes across the product suite. These changes deliver performance improvements that speed your work, analyses that deliver new insights, and modernized infrastructure that keep the products moving with the speed of modern technology.

That said, if you have been feeling a bit outpaced by the rapid advances in recent ARCHIBUS releases -- such as mobile, metrics, and page navigation -- you will be pleased to know that the changes from V.21.2 to V.21.3 are evolutionary. All your existing skills and training still apply. The new features operate in the same UI, framework, and platforms. If you deployed application features or personalized features such as home pages with V.21.2, all your personalizations will all work unchanged in V.21.3.

In fact the entire theme of the V.21.3 revision is "Your Work … Simplified."

Your BIM models ... simplified . New buildings are documented in BIM. ARCHIBUS connects that rich BIM model data directly to your central ARCHIBUS enterprise database, combines it with the CAD data you already own, and lets you use it everywhere you need it -- in Revit, over the Web, or on your mobile devices.

Your portfolio ... simplified. Users of existing Web Central applications will find a wealth of new features and productivity enhancements for managing your real estate and facilities portfolio. In particular, you will find that ARCHIBUS has extended its new integrated "one-stop shop" UI's for consoles thoroughout the product. New "all-in-one" consoles for leases, capital projects, invoices, energy and forecasting make it easy to manage your process, from end-to-end, without switching views.

New Features at a Glance These are the key advances in this release for each of the practice areas that are driving organizational change in today's business.

Mobile . With an explosion of new devices in use in the workplace, mobile is essential to every organization's productivity and future strategy. And mobile devices, capabilities, and operating systems advance markedly every six months. For this reason, ARCHIBUS continues to aggressively improve the suite of mobile apps, with significant additions throughout all applications as well as the ARCHIBUS Mobile Framework in which they operate. For many new application features, ARCHIBUS has adopted a "mobile first" strategy to provide these features earliest at the point of activity.

Real Estate Portfolio Management . A new Lease Portfolio Console provides all search, oversight, details, and actions that a portfolio manager needs to handle both reactive issues and proactive planning from a single interface.

Capital Project Management . Any realistic portfolio plan ties directly to the capital cycle and the missions that the capital spend supports. This release sees powerful new integration of invoicing data to provide insight on actual project progress and spend as well as integrated capital project consoles that can summarize financial and schedule status at-a-glance.

Space Planning & Management. This release continues a strong development program with VPA support for Space Transactions and improved Space Transaction editing on mobile.

Asset Management . Mobile devices are triggering a renaissance in asset management as field intelligence makes it practical to track disposition of a wide range of assets and equipment. Towards that end, ARCHIBUS has taken a "mobile first" approach to new asset management features, adding barcoding, floor plan redlining, photo redlining, swipe navigation, and UI improvements to its already strong Asset & Equipment Survey app.

Building Operations . This release deepens the building operations suite with a powerful set of features for supervising the end-to-end maintenance process -- entirely from your mobile device. This release also adds work team support and self-assignement features to both mobile and desktop environments for sites that assign work to teams or shops rather than to individual craftspersons.

Workplace Services . A powerful driver to employee productivity is workplace services, and the services applications in ARCHIBUS have made significant leaps in this release. The mobile Workplace Services Portal App received a facelift and new features, the Reservations Plug-in for Outlook sports a number of improvements, and the Web Central Reservations application has significant new features -- including multiple simultaneous conference room reservations to schedule Web events and video conferences at multiple sites.

Enterprise Integration . This release integrates the ARCHIBUS Connectors into the standard Web Central schema and product. Many of the world’s largest organizations depend on ARCHIBUS as a critical extension to their ERP suite. The ARCHIBUS Connectors allow these organizations to reuse information that already exists in their “gold-standard” data sources as well as share ARCHIBUS data in

their Microsoft, Oracle, Sage, SAP, UFIDA, and other enterprise systems. The ARCHIBUS Connectors enable rapid integration using industry-standard transfer formats, such as OSCRE, COBIE, and buildingSmart IFCs.

Technological Advances . To keep delivering innovation, ARCHIBUS has upgraded many aspects of the underlying platform. This release adds a wide variety of new functionality to the ARCHIBUS Mobile Framework -- including drawing, redlining, barcoding, performance improvements, questionnaires, and document access. Web Central adds powerful new components for Web-based drawing and charting based on HTML5 -- components that can run on both desktop and mobile. This release also adds formal support for AutoCAD 2015, Revit 2015, Oracle 12c, JDK 1.7, Windows 8.1, iOS 7.0, and Internet Explorer 11.

Easier Upgrades . This release also contains a substantial improvement to the Database Upgrade Wizard, making upgrades to new versions of the ARCHIBUS database easier, even if your production database contains your own site's personalizations.

ARCHIBUS Mobile Framework

The most apparent change in the ARCHIBUS mobile Apps is the interface, which has been revamped throughout. Yet, the most important advances are "under the hood" in the Mobile Framework and in the functionality of the Apps themselves.

Mobile Framework Enhancements Performance . The Framework implements a series of performance improvements for faster download, storage, and viewing of data.

Database . There is no longer a 50MB limit to data and files. The mobile apps store all data, downloaded documents, and downloaded drawings in the sqlLite database, which can be as large as your mobile device's memory permits. The data now persists, even if you clear the cache of the Web browser on the device. (3041042, 3039900)

Encryption . The Framework now includes an option to encrypt all data stored on all mobile devices with 256-bit AES encryption. You can establish this encryption from a single, centralized location. The encyryption covers all database data downloaded to the mobile device, as well as any drawings or images.

New Mobile Client . Google Play and Apple’s App Store now have both the existing ARCHIBUS Mobile Client 1.0 for users of 21.1 and 21.2 and a new ARCHIBUS Mobile Client 2.0, for users of 21.3. The new mobile client includes all of the advanced Framework features -- from encryption to redlining and barcoding. The new mobile client also "future proofs" your deployments by including technology that will be needed for future enhancements and future mobile operating systems. If you accidentally download the wrong version of the Mobile Client for your version of Web Central, the app will apprise you of that and will present a link to install the correct version.

Android Back Button . The Framework now interprets the "Back" button as a previous page action within all ARCHIBUS apps.

New Look . This release includes an upgrade to the look and feel, making the workflows smoother and the screens easier to read and use.

Barcode Scanning . The App can use the mobile device's built-in camera to scan a wide variety of barcode formats, such as UPC, Data Matrix, or QR codes. Mobile users can use the camera on their mobile device to scan barcodes as input for new records or searching. For example, they can scan a piece of equipment and locate the corresponding assessment record or work request, or they can scan the barcode on a piece of equipment and create a new assessment record.

Redlining . Drawings and photos can be redlined and saved with survey records for Assessments, Work Requests, Space & Occupancy Surveys, and Asset & Equipment Surveys.

Maintenance App: Supervisor Features

Maintenance managers and supervisors have demanding schedules that keep them in the field -- attending meetings, conferring with craftspersons or customers on site, coordinating with service providers and vendors, and often performing their own maintenance work. Yet, at the same time, they must be able to keep the maintenance work flowing for their organization.

The Maintenance Supervisor features extend the Maintenance App in order to allow managers to control the entire end-to-end workflow from their mobile device. You can create, approve, estimate, schedule, assign, reassign, update, and complete work -- all from your mobile device.

The App adds new queues to manage requested, approved, issued, and completed work. The forms provide complete access to associated craftspersons, parts, trades, tools, schedules, estimates, and costs.

Bulk Actions . The App can perform actions on request in bulk so you can approve, schedule, estimate, issue, or complete multiple work requests at once. For instance, you can assign a craftsperson or tool to multiple requestsin a single step.

Request Forwarding. You can forward requests to another supervisor or work team -- one at a time, or in bulk. This feature lets you level the load between teams or speed resolution of work that requires different skills.

Dynamic Substitute Roles . Your site may use the substitution feature within ARCHIBUS, in which users can assume permanent or time-limited substitution for a Service Provider, Supervisor or Craftsperson role. In this case, a work request may be doubly routed to another person for workflow steps such as approval, estimation, and scheduling. The App gives the user the features needed to execute their duties. For instance, suppose a Craftsperson is the substitute for their Supervisor for an afternoon and, after a sync, 10 requests appear in the Craftsperson’s queue for approval. The App will include the Approval feature for the Craftsperson to use on those 10 requests. Once the requests are processed, the next sync will remove any features no longer needed for that user’s role.

Flexible Work Routing . The Supervisor features of the Maintenance App use the same server-side SLA processing and business logic as the Building Operations Console in Web Central. The Maintenance App supports multiple craftspersons per work order and can process preventive maintenance work orders that contain multiple work requests. As with the Building Operations Console, if you create a new work request in the Maintenance App, the server-side SLA logic will automatically create a new work order for that request.

Maintenance App: Other Features

This release adds a series of new features to enhance the productivity of craftspersons in the field.

Work Teams . Craftspersons with the appropriate permissions will see a new tab on their App -- the Approved tab. This holds all work for their work team that has been approved but not assigned. Craftspersons can pull down and self-assign appropriate work -- taking advantage of their location, their particular expertise, or a gap in their schedule.

Redlining. Drawings and photos can be redlined and saved with survey records for Work Requests.

Barcode Scanning. The barcoding feature speeds work because it enables you to search for equipment by scanning the barcode on the equipment item. The App can use the mobile device's built-in camera to scan a wide variety of barcode formats, such as UPC, Data Matrix, or QR codes. You can use barcodes to quickly search by work request number, equipment ID, or room number.

Start and Stop Work Timer . The App now has a start and stop timer function to accurately record the Time Started, Time Finished, and Actual Hours field values. The craftsperson can also adjust the hours manually as needed.

Assigned Craftspersons . The labor form shows all craftspersons assigned to a work request (although each user can only edit their own time).

Attached Checklists . Supervisors working with the Web Central On Demand Work or Preventive Maintenance application can attach procedures and checklists to work requests in docx, pdf, xlsx, or ppt format. Craftspersons can view any of these document types in the Maintenance App as part of the work request.

Asset & Equipment Survey App Color-Coded Survey Plans . If the items being surveyed are within rooms, you can use floor plans to navigate to the rooms and the items within them. Selecting a room calls up a list of all items to be assessed. All rooms included in the survey project will be highlighted in yellow so you need not examine rooms that do not contain items to be assessed. The App tracks your progress and displays, in orange shading, rooms you have completed assessing so that you know which areas you have already covered.

Redlining Drawings and Photos . In addition to attaching photos, you can attach a redlined version of the floor plan to show additional information for an assessment. You can annotate locations of assets in a crowded equipment room or mark up a camera photo to highlight damaged portions of an equipment item. The App attaches a bitmap of the redlined plan to the assessment item.

Barcode Scanning . The App can use the mobile device's built-in camera to scan a wide variety of barcode formats, such as UPC, Data Matrix, or QR codes. These can quickly and accurately enter the equipment ID when adding a new asset to the survey.

Assessment App This App has the same swipe navigation, barcoding, multiple document types, drawing and redlining additions as the Asset & Equipment Survey app.

Questionnaires . The assessment manager can define a questionnaire for each assessment project type to ensure complete and consistent adherence to the assessment guidelines. The mobile app will then display the list of questions with pick lists of answers. The App stores the questionnaire answers with each assessment item.

Assessment Guidelines and Checklists . In Web Central, the assessment manager can attach documents of multiple types -- document, image, spreadsheet, etc. -- to each assessment item. The documents are often assessment guidelines or checklists to use during the assessment.

Color-Coded Assessment Plans . If the items being assessed are rooms or items within rooms, you can use floor plans to navigate to the rooms and the items within them. Redlining Floor Plans and Photos . As with the Asset & Equipment Survey App, you can redline floor plans and photos. This feature is often useful to outline the extent of damaged areas or pinpoint the location of conditions not in compliance.

Barcode Scanning . The App can use the mobile device's built-in camera to scan a wide variety of barcode formats, such as UPC, Data Matrix, or QR codes. If you need to enter a new equipment item, you can also use the barcode scan rather than manual entry eliminating typos.

Assessment Projects Type . Is now displayed in the list of assessment projects on the App's home screen.

Swipe Navigation . Swiping right to left will advance to the next item in the assessment list.

Space & Occupancy App Employee Data . You can now edit basic employee data including adding a new employee record directly from the App and sync the changes back to the inventory. You can track multiple employees per room and multiple rooms per employee (e.g. lab and office). If employees are already assigned to another space, the App asks if you want to move the employee's primary space or add the new space as a secondary location for that employee.

Redlining . In addition to attaching photos and textual notes in a survey, you can add redlined versions of the floor plan. This feature is useful for illustrating changes to the plan that are not in the as-built drawings -- such as rooms that have been joined or split.

With or Without Workspace Transactions . You can use the app with or without workspace transactions enabled. If you do not have transactions enabled the app presents simpler forms that do not have the features for splitting department ownership or for splitting categories and types.

Survey Forms . The Survey Room form, the Space Transaction List form, and the Space Transaction edit form have a series of improvements and more intuitive picklists that will speed data entry and reduce errors.

Workspace Transactions . The App provides access to all active transaction changes for a space. You can swipe your way through the transasctions and edit them.

Info Buttons . The info or "i" buttons on the forms call up more detailed information on the space, standard, or person referred to in that workspace transaction.

Space Book App

The improved search, info buttons, and UI features available in the Space & Occupancy mobile app are also available in the Space Book mobile app. Of particular note is the "Search" button in the floor plans, which can jump directly to the entered room.

Workplace Services Portal App

Hoteling and Reservations, Check-ins . Hotelled and reserved rooms now have a check-in feature that you can deploy to have staff verify that they are actually using the room they reserved. For hotelled rooms, the check-in feature specifies the required check-in time.

Reservations and Hoteling, UI Improvements . Better color-coding for confirmed and cancelled reservations, filters for today/next hour, sort controls, and cleaner "Info" button detail screens are among the UI improvements.

Reservations, Search . You can now filter on room resources (e.g. just rooms with teleconferencing, executive chairs, cold catering available, etc.) as well as filter for rooms suitable for external guests.

Reservations, Multiple Attendees . You can now invite multiple attendees directly from the mobile app. Invitees can come from either the Employees list or the Contacts list.

Reservations, Info Buttons . Info buttons give more detailed information on rooms and invitees.

Incidents Reporting App

The new UI improvements are available inside the Incidents Reporting app.

Mobile Executive Reporting HTML5 Charts . You can now add views with a wide variety of charts -- pie charts, bar charts, stacked bar charts, column/line charts, etc. -- to reports accessible from the Executive Reporting mobile Navigation Pages.

ARCHIBUS Geospatial Additions

The geospatial world is evolving quickly, and ARCHIBUS has added a range of features to provide appropriate geospatial functionality for different needs.

Map Views ARCHIBUS continues to support Map Views. These are views that combine GIS content -- such as satellite views, street map views, and demographic maps -- with your portfolio data. A multitude of off- the-shelf ARCHIBUS views use Map Views to visualize property holdings and their value, hazardous material evacuation radius, intensity of energy use, and a wealth of other information

In this release, we have upgraded the Map Views to use a new version of the ARCHIBUS Map control that features enhanced capabilities like thematic color and size marker renderers and proportional marker symbols. We have also replaced Flash-based map functionality throughout the ARCHIBUS applications with more modern, HTML5-based map views.

The Map Views depend on an embedded service from Esri, the ArcGIS Online Map Services. Currently, ARCHIBUS, Inc. arranges for these service feeds, and intends to leave them bundled with Web Central at no extra charge as long as ARCHIBUS, Inc. can continue to arrange the service.

Enhanced Map Views

In this release, ARCHIBUS has also included an updated version of the ARCHIBUS Geospatial Extensions for Esri. As part of this update, ARCHIBUS has added an Enhanced Map Views feature.

The Enhanced Map Views enable ARCHIBUS customers to visualize their own assets in GIS. Rather than just displaying themed markers and geocoded assets, as the standard Map Views can, the Enhanced Map Views can display parcel, building, suite, room and other boundaries and extents.

Using the Enhanced Map Views, Add-in Managers who have familiarity with GIS and ARCHIBUS configuration can create their own ARCHIBUS Web Central views that include customer-specific GIS data. These views can interact with ARCHIBUS panels and controls and can show increasing levels of detail as you zoom into the map. Whether inside or outside a building--at national, campus, or floor plan scale--ARCHIBUS allows you to have a single, consistent, common operating picture that can move seamlessly between geographic contexts.

To use the Enhanced Map Views, your site must purchase a separate license for the ARCHIBUS Geospatial Extensions for Esri. You must also have your own ArcGIS Online Organizational Subscription or your own copy of ArcGIS for Server to hold your site-specific geospatial data.

Publishing Inside‐building Information to GIS

To provide data to the Enhanced Map Views, the ARCHIBUS Extensions for AutoCAD and Revit contain features for publishing room boundaries, parcel boundaries, equipment locations, network device locations and other ARCHIBUS assets in geospatial format. You provide ARCHIBUS the geographic position of a corner of each building, and ARCHIBUS uses that information to geolocate every asset within the building according to your chosen GIS coordinate system (e.g. Mercator, State Plane, etc.).

The result is that you can georeference every suite, room, equipment item, jack, or any other asset inside of ARCHIBUS and make it available within your geospatial data. The ARCHIBUS data is available for use within the Enhanced Map Views. The ARCHIBUS data is also available for any other geospatial query or analysis you may wish to do -- you can include ARCHIBUS data when you publish geospatial map views and include them in any Esri geospatial analysis.

To use the GIS publishing features, your site must purchase a separate license for the ARCHIBUS Geospatial Extensions for Esri. You must also have your own ArcGIS Online Organizational Subscription or your own copy of ArcGIS for Server to hold your site-specific geospatial data.

Integration with Google GIS

The ARCHIBUS Extensions for AutoCAD and Revit can also publish direct to KML or KMZ format from the ARCHIBUS Enterprise Graphics Publishing command. You can theme the output by room category or department and group layers by nominal elevation (for space planning studies on campuses) or building (for studies on single buildings or high-rises).

KML and KMZ formats are international standards for geographic annotation and visualization defined by the Open Geospatial Consortium and have many uses; however, one of the most significant is for integrating your ARCHIBUS information with Google GIS products and Web-based services. For instance, you can visualize your ARCHIBUS facilities in 3D within Google Earth.

As another example, you can drag-and-drop the KML format directly into the Google My Maps product.

From within My Maps, you can share your map in a manner similar to how you share documents in Google Docs, and you can share the link via Google Plus, Facebook, or Twitter.

This feature is added as an unsupported tool, since the KML features will be expanding quickly in upcoming releases of ARCHIBUS, and this feature will change form as it evolves.

Web Central Applications

Lease Administration Lease Portfolio Console . A simplified console now is your "one-stop shop" for management of your portfolio of leases. Portfolio managers can move directly to leases and options coming due, respond to alerts, look up specific leases instantly, and take action on any lease, option, alert, or amendment.

A quick filter lets you drill directly to the leases and tasks needing immediate attention.

As needed, you can expand the filter to search on advanced criteria for cases in which you need a highly personalized ad hoc report on specialized criteria. This expanded filter gives you direct access to the information you need with the speed required to inform decisions.

The console presents aspects of your lease -- from options and amendments, to costs, documents, and suites. The console accesses all information entered by all lease administrators over the life of the lease. Exports to Microsoft Word and Excel let you continue to work with the data in any way you wish.

The console’s “Complete” display format offers all lease details in a single tab view.

Portfolio Forecasting Portfolio Forecasting Wizard . Has been reworked to make it easier to visualize forecast scenarios of lease expirations and renewals, growth or shrinkage of departments and divisions, and department moves. An events navigator lets you move through time to see the impact of events, such as moves or lease changes, on the stack plan. You can also navigate by building or by organizational unit. An option to create scenarios from existing inventory as of a certain date speeds scenario creation.

The wizard now includes the Space Gap analysis, which visually illustrates surplus or shortfall of space over time and the space planning events that trigger this space glut or space crunch.

The stack chart still includes drag-and-drop functionality for easy reallocation within scenarios and "what if's". However, in this release it can also display data for multiple buildings and can perform drag-and- drop reallocation between buildings.

Rentable, usable or manual areas can now come from either the Floors table (to derive them from your space inventory) or from lease Suite areas (to obtain your lease administration information).

Capital Budgeting

Capital Planners can quickly upload capital budgets for past years, and financial year end feeds for budget versus actual spend analysis.

On Ramp for Capital Projects and Invoices . As the Capital Planner, you know exactly what funding has been allocated to which approved capital project each and every fiscal year. For Capital Planners, the missing piece of the puzzle is how much is actually spent over the life of those projects. Getting invoicing paid numbers from your finance system is a real concern, especially in a “timely” manner.

The on ramp provides you with the answers you need. This set of templates and connectors speeds integration of enterprise data, such as invoice data for both past and present projects. The on ramp mproves capital project planning by benchmarking current and future projects against the actual costs.
