Our food philosophy When it comes to catering, our food philosophy is simple: fresh, local whenever possible, and simply prepared to bring out the best flavors. Most everything we serve is made from scratch in our Darden Foundation Community Kitchen – pastries, breads, pickles, pastas, even our mayo, ketchup and mustard is made from scratch.

Rental terms and conditions:

Proposals, Deposits, Fees and Cancelations:  Event proposals are valid for 15 days from the date stated on proposal. A tentative hold, pending a deposit to book and reserve event space per the proposal, will be placed on the date requested by the client. If deposit is not received within 15 days from the date on the proposal, the event space will be released and the proposal becomes invalid.  Payment must be made by corporate or personal credit card or by check. No other forms of payment are accepted.  If paying by credit card, Second Harvest requires a 25% deposit of the total rental amount at the initial contract signing to hold your requested date (the “Initial Deposit”). o Initial Deposits are nonrefundable. o The remaining balance is due in full seven (7) business days prior to your event date.  If paying by check, payment must be received in full at the initial contract signing to hold your requested date. o A returned check fee of up to 5% of the amount paid will be charged for any returned checks according to the allowable rates in the state of Florida.  Sales tax and taxable service charge will be added to all function-related charges (food, beverage, AV, rentals, etc.) where applicable. Our current service charge is 22%. Sales tax is 6.5%. Rates are subject to change without notice.  If Renter is tax exempt, a copy of their tax exemption certificate must be faxed or email to Second Harvest Events and Catering at the time of sale. Tax credit after the sale will not be applied.  A suggested 20% donation to Second Harvest Community Kitchen programs is optional and may appear on your proposal without obligation.  Cancelations must be made in writing via email or mail. Initial Deposits are nonrefundable, however any additional payments made prior to cancelation will be returned/refunded within ten (10) days of proper notification of cancellation after the deduction by Second Harvest of any costs and expenses incurred in excess of the amount of the Initial Deposit.  Renter is responsible to insure against and to pay for any damages to Second Harvest Food Bank facilities (in excess of normal wear and tear) or its furnishings, including art work. Replacement materials will be charged at cost plus 15%; Second Harvest labor at $30.00 per hour; outside contractor services, including cleaning services, will be cost plus 10%.  Renter is responsible to insure against and to pay for any breakage or loss of plates, wine glasses and/or any merchandise provided by Second Harvest. Such items will be charged at retail cost.  Should the event go longer than the agreed time, Renter will be charged an hourly rate of $100.00 per hour.

Changes/Delays  Changes to set-up, food and beverage, guest count or guaranteed numbers made within seven (7) days of the function are subject to additional fees and will be charged to the credit card on file. If paying by check, payment must be presented on the day of the event. Minimum fee: $50.00.  Reasonable accommodation will be made regarding change requests on the day of the event, and are subject to additional fees to be charged to the credit card on file. If paying by check, a check must be presented on the day of the event. Minimum fee $50.00.  If the client delays an event more than 30 minutes past the start time of the function, Second Harvest will not be responsible for the quality of the food or for preparing additional food as replacement.  The client will be responsible for the payment of any additional labor hours associated with the delayed starting time. Minimum fee is $100.00.

Catering  Second Harvest Community Kitchen offers catering services to groups and individuals renting our meeting and banquet spaces – please refer to our catering menu for selections and prices.  Menu prices are subject to change without notice.  All food items may be served or displayed for a maximum of two (2) hours. At the conclusion of a function, all food served by Second Harvest becomes the property of Second Harvest and may not be removed from the premises.  Second Harvest will make every effort to accommodate special dietary requests, with advance notice. Custom menu requests (items not on our regular menu, including substitutions) will be charged an additional 5% food and beverage fee. Kosher meal requests must be received at least twenty (20) days in advance.  All food and beverage items served in Second Harvest facilities must be provided through the Second Harvest catering office. No outside food and beverage may be brought into Second Harvest catering spaces.  In the event we are not able to meet your needs, only approved vendors may be contracted separately to provide food, event planning, and décor at Second Harvest. A list of approved vendors will be provided upon request.

Beverage Service  We offer a variety of beverage services. Please refer to our catering menu for options and pricing.  Beverage prices and selections are subject to change without notice and availability. Special orders/requests will require a minimum order/purchase amount.  All alcohol must be purchased through Second Harvest and served by Second Harvest bartenders. Second Harvest requires minimum sales of $200.00 per bar.  One bartender (and cashier when applicable) is required for every 50 guests. Bartenders, cocktail servers and cashiers (for cash bars) are billed at $30.00 per hour, 2 hours minimum.  Persons under the age of 21 will not be served alcoholic beverages; ID’s will be checked at the beverage station. In accordance with state law, Second Harvest will not serve any guest who in our sole judgment appears to be intoxicated, nor will we allow any alcoholic beverages to be served to minors who may be in your group.  Beverage service will end 30 minutes prior to the end of your event.

Guarantees  The final guaranteed attendance for food and beverage functions is due seven (7) business days (Monday thru Friday, 8:00 AM -5:00 PM) prior to the scheduled event. The guarantee is to be called into the catering office no later than 10:00 AM. If updated information is not received, the catering office will consider the last number given as the guarantee.  Second Harvest will prepare for 3% over the guaranteed number.  The client is financially responsible for the guaranteed number of guests or the actual number of guests in attendance, whichever is greater. There will be a 10% surcharge assessed for any guests in attendance more than 3% over the guarantee.

Staffing  Second Harvest provides minimum staffing at no charge for your events based on the following: o 1 server up to 50 guests for buffet or boxed lunch, 4 hours maximum. o 1 server up to 20 guests for plated meals, 4 hours maximum.  Additional banquet servers, staff or attendants will be charged at a rate of $20.00 per hour, 2 hour minimum. Chef attendants/carvers are $35.00 each (for 2 hour event) based on the following: o 1 server for each additional 50 guests for buffet or boxed lunch. o 1 server for each additional 20 guests for plated meals. Audio Visual  The use of audio-visual equipment is available at no charge.  Computers, phones, iPads, iPods, microphones, or other devices may not be plugged into any of Second Harvest’s AV equipment. Personal laptops can be used with advanced notice. Files may be transferred by CD, DVD or flash drives only.  AV room attendant may be scheduled for a fee of $20.00 per hour with a minimum of 4 hours.

Music and Entertainment  Bands are not permitted. Second Harvest, in its sole discretion, may approve a DJ, subject to play list approval and appropriate volume control. Renter may also bring in a CD or MP3 player to play, subject to Second Harvest approval and volume control.  Orchestras, harpists, violinists or other non-amplified instruments are permitted.

Decorations:  The use of nails, tacks, staples, pins or tape that damages the walls in any way is not permitted to hang signs or decorations.  Decorations that leave residue of any kind, including but not limited to confetti, silly-string, etc., inside or outside our facility are not permitted. Decorations of this nature are allowed only if the remnants can be completely removed.  Only traditional birthday cake candles and flameless candles are permitted. Sparklers, bottle rockets, firecrackers, or open flames of any kind not permitted.  Decorations must be kept within the agreed upon rental space.  Any artwork located on the walls may not be removed or covered.  Flowers must be arranged prior to arriving at Second Harvest. Second Harvest can hold pre-arranged flowers overnight in our Warehouse area, but arrangement of the flowers will not be allowed on the premises.  We reserve the right to remove or to modify any aspect of decorations or entertainment which we feel in our sole judgment poses a safety risk, or which we believe to be inappropriate.  It is the responsibility of Renter to remove all decorations after the event. If you are not able to meet this requirement, Second Harvest reserves the right to remove the decorations and charge Renter for reasonable labor costs.

Smoking policy: Second Harvest is a smoke free facility. Smoking is prohibited anywhere on property, including the entryways, picnic areas and parking lots. This policy is strictly enforced.

Lost and Found: Any items left on the premises after your event will be held for at least 24 hours.

Liability: Second Harvest Food Bank will not be held liable and Renter shall immediately indemnify, insure and hold harmless Second Harvest for injuries or property damage/loss to others during this function, including, but not limited to: death, personal injury, property damage, or any other incidents that may occur to any person(s) by use of the building and premises during the term of this agreement. The term of the agreement starts when the first representative of Renter or guest arrives on the property and concludes when the last person leaves the property.

Additional Information:  Absolutely no weapons or firearms are allowed on Second Harvest property.  Second Harvest staff members have the authority to contact law enforcement officials, if necessary, to protect Second Harvest and personnel.
