Conference Joining Instructions Tuesday 3rd September Day 1 Registration and Social Programme Wednesday 4th September Day 2 Academic Conference and Social Programme ( Day 1) Thursday 5th September Day 3 Academic Conference and Social Programme (Day 2) Friday 6th September Day 4 Academic Conference (Day3) Conference Venue The ICEP 2019 conference will be taking place in the Roland Levinsky Building which is situated at the heart of our main campus. All delegates will be required to register on the Ground Floor of the Roland Levinsky Building to collect their conference information on arrival. Please note all keynote, oral and poster sessions will take place in the Roland Levinsky Building. Please see the campus map for the location of the Roland Levinsky Building on page 6. University of Plymouth Campus The main University of Plymouth campus is situated in the centre of the City, just a 5 minute walk from the train station and the city centre. Plymouth Hoe and Barbican are both a 15 – 20 minute walk away. Please see the map on page 7 for detailed walking distance map of the city. Registration and Information Desk Located on the Ground Floor of the Roland Levinsky Building, the Registration and Information Desk will be open throughout the conference from 08:30 – 17:30 daily. Members of the University of Plymouth Events Team will be on hand to assist with information about the conference and general information about Plymouth throughout the event. Please report to the registration desk on arrival in the Roland Levinsky Building, University of Plymouth where you will be given a name badge which you will need to wear on all days of the conference, and a conference pack. Please note that paper copies of the conference handbook and book of abstracts will not be made available to delegates. Digital copies will be readily available throughout the conference. The registration desk will be open from 17:00 on Tuesday 3rd September and then 08:30 to 17:30 on all other days of the conference. If you have specified a dietary requirement during the booking process, this will be catered for throughout the conference and any allergens will be clearly labelled. Campus Wi-Fi Unlimited free Wi-Fi will be available for all delegates throughout the conference. Simply select “Guest Wifi UoP” on your Wi-Fi enabled laptop, tablet or phone to enable you to access the internet on your devices whilst on the main University of Plymouth campus. Some delegates may be able to access the internet via their Eduroam account. Cash Machine There is a surcharge free ATM situated just outside the Roland Levinsky Building, which is available 24 hours a day. In addition there is a Santander Branch in the Smeaton Building on the first floor. Oral Presentation Guidelines and IT requirements All University of Plymouth lecture theatres and classrooms are equipped with Windows 7, running Office 2010 including PowerPoint, data projectors with a VGA connection, power point clickers, (lectern and roving/lapel microphones - lecture theatres only) and full internet access. There is also the facility to connect your own lap- top or Mac. If you wish to use your own laptop or MAC, this can only be done by prior agreement with the or- ganising committee. Please report to the Registration and Information Desk with your presentation on a USB memory stick as soon as possible where there will be a member of staff on hand to assist you upload your presentation onto a laptop. Your presentation will then be pre-loaded prior to your session. Speakers are asked to adhere to the timetable and not over-run their allotted time when presenting. Guidance for Delegates Presenting Posters Poster Presentations will be on display within the Roland Levinsky Building. On arrival please bring your poster to the Registration and Information Desk, poster boards and fixings to mount your poster will be supplied by the events team. All poster boards can mount A1 landscape and A0 portrait posters only - please adhere to these sizes when producing your poster. Your poster should be displayed as per the Conference Programme; please check the programme for details of the dedicated poster session(s). Other Practical Information Weather The September temperatures in Plymouth range on average from 11oC to 18oC. September is one of the dryer months of the year, with on average 12 days containing rain and approximately 5 hours of sunshine a day. The sea temperature is about 16oC. Electricity Electricity safety standards in the UK are higher than in many other countries. UK appliances are fitted with a three-pin plug. Wall sockets have a switch controlling power supply. Adapters are easy to find; if your country uses lower voltage than the UK average of 230v, you may also need a converter. Tax A 20% VAT tax is usually automatically added to all purchased products. All receipts will have this information specified. Tipping In restaurants it is customary to tip 10% of the total bill if it hasn’t already been added. There is no requirement to tip in bars, pubs or coffee shops. 2 Social Activities Welcome Reception- Tuesday 3rd September 18:00 - 19:00 From 17:00 registration will be open to delegates to come along to the Roland Levinsky Building to collect name badges and delegate packs. A drinks reception will follow at 18:00 giving delegates an early opportunity to network and familiarise themselves with the conference venue. Delegates are then encouraged to visit a local restaurant for dinner, we suggest that heading towards the Barbican offers plenty of choice to suit all tastes and budgets. Information regarding places to eat and drink across the city can be found here. Ice-Breaker Reception- Wednesday 4th September 19:00 - 22:00 Enjoy a visit to the National Marine Aquarium based on Plymouth’s historic Barbican. While you discover the underwater world of the Eddystone Reef, Atlantic Ocean and the Great Barrier Reef; you will also be able to enjoy the Taste of the West. Delegates will have the opportunity to sample local food and drink; while listening to Devon’s ‘original buoy band’ — The Exmouth Shanty Men. Please see the walking distance map on page 7. Conference Dinner - Thursday 5th September 19:30 - 23:00 Situated close to Plymouth’s historic Hoe area, the Crowne Plaza hotel has some of the best views across Plymouth Sound. A three-course dinner will be served in the Mariner Suite, which has its own pay bar situated in an adjacent room. Entertainment has been arranged for after dinner—wear your dancing shoes! Please see the walking distance map on page 7. Please note that this social activity is only available to those who purchased a conference package including the conference dinner. All dinner places must be purchased in advance of the conference start date. 3 Travel Information By rail Plymouth Railway Station is just a few minutes walk from the campus. The regular train service from London Paddington to Plymouth takes around three to four hours. Other direct services head to Plymouth from across the South West, South Wales, the Midlands, the North of England and Scotland. GWR are offering discounted conference rail travel to ICEP delegates, further information can be found on the GWR website. By coach Plymouth Bus and Coach Station is in the city centre, about five minutes walk from the campus. There are regular coach services from most major cities to Plymouth. A typical coach journey from London to Plymouth takes about 5 hours. Air links Rail and coach services connect Plymouth to the regional airports of Exeter, Newquay and Bristol. There are also transport links to Plymouth from London Heathrow Airport and London Gatwick Airport. By car Sat Nav ref: PL4 8AA From the North The main route is via the M5 motorway and then continuing on the A38 Expressway via Exeter. Leave the A38 at Marsh Mills interchange and take the A374 which is clearly signed for the city centre. It takes about 3.5 hours from London to Plymouth. From the West Leave the A38 at Manadon interchange and take the A386 into the city. By ferry Brittany Ferries operates car ferry services to Plymouth from Roscoff (France) and Santander (Spain). Go to www.brittany-ferries.com for details. Car Parking At the University of Plymouth we’re serious about sustainability. Parking on campus is highly restricted and is not available to delegates. However, if you are a blue badge holder we will endeavour to offer parking at all times, please contact the conference organising team by emailing [email protected] or calling 01752 586005. Your hotel may offer parking at a reduced rate, please ask your individual accommodation provider for further information. There are several Pay & Display Car Parks within walking distance of the University and all Plymouth City Council Car Parks can be found by using this link. Private car parks and alternative parking can be found here. Local Transport Plymouth is a compact city and therefore easy to walk to various destinations during your stay. Hackney Carriage taxis are available at the Train Station and around the City Centre and local buses are frequent. Please see the walking distance map on page 7.
