We are pleased that you have chosen to take learning outside of the classroom and the country. Over the course of the upcoming school year we are looking forward to assisting you with preparations for your trip as well as providing support for you while you are abroad.

This handbook is a guide for you to refer to over the next year. It contains valuable information that should prove useful through the different phases of your program. Please take time to read everything carefully. This handbook can answer many of your questions and contains suggestions for running a successful program.

If at any point you have questions, concerns or are not sure what to do next please contact us. We will be your point people throughout this process.

Requirements for Wake Forest University Faculty Leading Credit-bearing Undergraduate Study Abroad/Away Programs – Adopted by the Committee on Study Away on December 9, 2011 [Amended December 4, 2018]

Purpose: As the number of study abroad/away programs increases and as new faculty become involved in study abroad/away programs, this document is intended to: 1. Set expectations for faculty planning to lead a study abroad/away program in terms of budgeting, safety, planning, reporting, program coordination, and evaluation 2. Safeguard the quality of the academic and co-curricular aspects of programs abroad/away 3. Provide a forum for coaching and mentoring faculty who have an active role in leading or coordinating study abroad/away programs 4. Convey best practices

Requirements: Wake Forest University faculty who lead credit-bearing undergraduate study abroad/away programs, either for a semester, summer, or short-term program, are required to perform the following duties as part of their service teaching abroad/away.

1. Establish and manage a program budget that is in keeping with university policies and procedures, and submit receipts for program expenses in a timely manner; 2. Recruit students for the program, in collaboration with the staff in the Center for Global Programs & Studies (GPS) and the Program Director (where applicable); 3. Review and follow the student and faculty handbooks for the study abroad/away program; 4. Hold pre-departure and on-site orientations for students on the program, in collaboration with GPS staff, the Program Director (where applicable), and on-site administrators (where applicable); 5. Attend required training orientations on health, safety, security, crisis management and mental health conducted by the Assistant Dean of Global Study Away Programs t prior to departure; 6. Submit all required international travel forms (where applicable) for faculty, and verify with GPS that students have submitted all their required forms and information; 7. Interact regularly with students while abroad/away and assist in watching after their health and well-being; where appropriate, advise students regarding problem behaviors and assist with disciplinary measures specified in university policies and procedures; 8. Participate in the crisis management process on-site; review and follow university policies and procedures for managing crises abroad/away; 9. For programs at Worrell House, Flow House, Casa Artom and Salamanca: work with the Program Director to review responsibilities associated with the property and fulfill duties assigned to resident professors and summer faculty directors; 10. Ensure students have the opportunity to complete course evaluations for your courses; 11. Submit two (2) written end-of-program reports. One report will be for the Program Director and one report will be the Study Away Committee. Reports are to be submitted within six weeks after the end of the program.

APPENDIX 3

Definitions: Resident Professor: A Wake Forest University faculty member who leads a credit-bearing study abroad/away program for undergraduates for a semester.

Summer Faculty Director: A Wake Forest University faculty member who leads a credit bearing study abroad/away programs for undergraduates in the summer.

Program Director: A Wake Forest University faculty member appointed to oversee academics and logistics at certain Wake Forest-administered programs. At the present time (Fall 2018), the following programs have a Program Director: Dijon, London (Worrell House), Salamanca, Southern Cone (), Venice (Casa Artom), Vienna (Flow House), and Washington, D.C (Wake Washington).

1. Establish and manage a program budget Each study abroad/away program must establish and manage a program budget that conforms with university policies and procedures. Semester programs have a budget system that is different from summer or other short-term programs. Program budgets have already been established for semester programs, and resident professors will obtain information about the budget system and financial expectations from the Program Director and office of the Associate Provost for Global Affairs. Summer faculty directors must use the budget template and process set by GPS and other offices. Resident professors and summer faculty directors must follow FAS and other university policies and procedures, especially with regard to travel advances and submitting receipts in a timely manner.

2. Recruit students for the program Resident professors and summer faculty directors must be actively involved in publicizing their program, meeting with students regarding the program, and selecting them for the program. Program Directors and staff in GPS are available to assist with publicity efforts. Many faculty find students for their program among their own majors and minors. GPS staff have examples of what others have used in the past and can give additional suggestions about effective strategies and time lines. Resident professors and summer faculty directors are encouraged to recruit at Study Abroad/Away Fairs held each semester.

3. Review and follow student and faculty handbooks Resident professors may obtain program-specific faculty handbooks and guidelines from the Program Director or GPS; student handbooks for semester and summer programs are available from GPS.

4. Hold pre-departure and on-site orientation sessions for students Pre-departure orientations (PDO) are important for getting to know students and helping them meet each other. These in-person meetings are the best way to provide detailed information about the program, including expectations and schedules. GPS staff must lead at least one PDO in order to cover a range of topics, such as a health, safety, security, money and banking, and culture shock and cultural adjustment. Program Ambassadors or other students recommended by GPS staff can provide additional suggestions for students. Many faculty find that multiple PDO meetings are useful. PDOs run by GPS staff are typically held in November for spring programs and in March or April for fall and summer programs. On-site orientations should be coordinated with the Program Director and relevant on-site administrators or staff.

5. Attend required orientation on health, safety, security and crisis management 4

The Assistant Dean of Global Study Away Progams conducts required training orientation meetings on health, safety, security and crisis management for faculty who serve as resident professors or summer faculty directors. Inforomation on mental health and study abroad is provided by Counseling Center staff. Resident professors and summer faculty directors who are unable to attend such training meetings must schedule a time to meet with the Assistant Dean of Global Study Away Programs to cover the necessary material and information.

6. Submit all required international travel forms (where applicable) University policy requires all faculty, staff and students traveling outside the U.S. to submit international travel forms. Resident professors and summer faculty directors must submit travel forms required for groups traveling abroad for credit, including the “Guidelines for Wake Forest University Faculty/Staff Directors.” Travel to countries where the U.S. Department of State has travel advisories of Level 3 (Reconsider Travel) and Level 4 (Do Not Travel) requires separate application and approval.

7. Interact regularly with students while abroad/away Among the greatest benefits of Wake Forest-administered study abroad/away is the possibility of close interaction between students and faculty. Many faculty members find that getting to know students during a study abroad/away program is one of the highlights of the experience, and even one of the highlights of their time at Wake Forest. It is expected that resident professors and summer faculty directors will find ways to spend meaningful time with students outside the classroom, during both planned excursions as well as unplanned free time.

8. Participate in the crisis management process Resident professors and summer faculty directors play an important role in assisting with on-site emergencies and the health, safety, and security of Wake Forest students, faculty and staff, as well as emergencies involving Wake Forest property. An Overseas Crisis Management Plan is in place, and resident professors have a defined role in that plan. A copy of the plan is available from the Assistant Dean of Global Study Away Programs. This plan will be discussed during the orientation meetings on health, safety, security and crisis management (see #5 above).

9. Management of Wake Forest Properties (London, Venice, Vienna, and Salamanca) Program Directors for Worrell House (London), Casa Artom (Venice), Flow House (Vienna) and Salamanca are responsible for overseeing the local staff and coordinating administration of the academic programs and physical facilities. Where appropriate, resident professors and summer faculty directors may have a role in administering the day-to-day affairs of the house (in coordination with the on-site administrator) and collaborating with the Program Director regarding routine and emergency repairs and upkeep.

10. Ensure students have an opportunity to complete course evaluations Wake Forest University requires that students have the opportunity to submit course evaluations for each course they take. In programs where some courses are taught by regular WFU faculty abroad/away and other courses are taught by locally-hired faculty, the method of conducting course evaluations may vary between paper forms completed in class and an online survey completed while the students are still on the program. Resident professors and summer faculty directors are expected to assist in distributing course evaluation forms or instructions to students and ensuring that a confidential process is followed for collecting and returning course evaluations to the Program Director and relevant department chair.

11. Submit an end-of-program report 5

Resident professors and summer faculty directors are required to submit a formal, written reports within six weeks after the end of their study abroad/away program. Confidential issues may be discussed separately with appropriate individuals. The audiences of this report include: • The Program Director (where applicable); • The Associate Provost for Global Affairs; • Members of the Committee on Study Away, including the Assistant Dean of Global Study Away Programs and the Director of Global Abroad Programs; • The Dean of the College or Dean of the Schools of Business (depending on where the resident professor or summer faculty director is appointed); • The Chair of the Romance Languages Department (Dijon, Salamanca, and Tours); • Future resident professors or summer faculty directors.

For Wake Forest semester and summer programs with a Program Director (i.e. Dijon, London- Worrell House, Salamanca, Southern Cone, Venice-Casa Artom, and Vienna-Flow House, Wake Washington), this report should be submitted to the Program Director who, in agreement with the Resident Professor/Summer Faculty Director, will forward to the Assistant Dean of Global Study Away Programs together with his/her comments. The Assistant Dean of Global Study Away Programs will ensure that the report is then circulated to the other individuals listed above within two weeks of receipt.

For Wake Forest summer programs that do not have a Program Director, this report should be submitted directly to the Assistant Director for Summer and Short-term Programs. Reports submitted during the summer will be sent to both out-going and in-coming members of the Committee on Study Away.

Place your name, semester/term abroad/away, and the program name and location(s) at the top of the report. Topics that should be covered in the end-of-program report include: • Description of recruiting methods, including any suggestions to aid future faculty in recruitment; • Description of the academic program (courses taught and by whom); • Description of excursions or field trips taken as part of the program, what went well and what you would change in the future; • Description of the on-site orientation activities and information presented to students; • Assessment of students’ engagement with the local environment; • Description of any critical incidents or issues (names of individuals students should not be included to ensure students’ privacy); • Recommendations for the future (for yourself or other faculty).

Failure to comply Wake Forest faculty who refuse or fail to comply with these requirements may be disqualified from serving as a resident professor or summer faculty director in a future semester or term. The Committee on Study Away may recommend disqualification to the Associate Provost for Global Affairs, Assistant Dean of Global Study Away Programs, Director of Global Abroad Programs, the Dean of the College, and/or Dean of the School of Business.

Standards of Good Practice The Forum on Education Abroad, of which Wake Forest is an active institutional member, has established standards for the field of study abroad. Faculty may obtain a copy of the Forum’s “Standards of Good Practice for Education Abroad” from the Center for Global Programs & Studies.

RECRUITING AND SELECTING STUDENTS You should begin advertising for your semester in Vienna about three/four semesters before you are scheduled to be there and actively recruit and select your students two semesters before you leave. The most effective means of advertising include visiting classes in your department and in the German Department to promote your semester program, advertising on the Flow House web page, placing posters in your department and around campus, and running notices in the Old Gold and Black or on the WakeStudent webpage.

Based on long-term experience, it is strongly recommended that you try to make brief appearances and announcements in as many of our German classes as possible. The sooner prospective students can meet the faculty member with whom they will live and study in Vienna the better. It is also important to ensure that lower division advisors are aware of your program and the opportunity for their students.

A typical sequence of events during your recruiting/ selection semester would be to begin the semester with a broad advertising campaign, host an information meeting early in the semester, have potential candidates fill out the application form (now on line on the Center for Global Programs and Studies’ webpage), and then interview each of them individually prior to selection.

The application form requires applicants to write a brief essay describing why they wish to study at the Flow House and how a semester in Vienna corresponds to their overall academic and career goals. This will give you a sense of how the students write, reflect to some extent their maturity level, and tend to discourage frivolous applications. If you have more qualified applicants than available spaces (sixteen), you should establish a wait list, since one or two students often withdraw at the last minute.

In an effort to minimize the number of students who withdraw after they are accepted into your program it is also advisable at both the information meeting and the interview to inform applicants that they should discuss their plans with their parents/guardians and get their permission to participate in this program before you accept them. Once you have finalized your roster of accepted students, please remind them that a non- refundable $1,000 deposit is required to hold their places in the group.

No doubt you will establish your own criteria for selecting your students, but, in general, you should look for mature students with successful academic records, from a wide range of disciplines and personal backgrounds. Experience has shown that students you suspect have applied to your program for the wrong reasons (to travel extensively, meet their friends, fraternity or sorority members, visit relatives living in Europe, avoid parental and university restrictions, or drink freely) should not be accepted into the group. While your fears or suspicions may, in some instances, not be justified, they generally are. As part of the application process you should ask the students for two faculty or staff references. A brief conversation with those references (in person or by phone) is probably more useful than having them write a letter of recommendation.

Before you make final acceptance decisions, you should contact the Dean’s Office to see if any of the students have academic or social violations on their record. This is something that Jessica in the GPS can help you with. The GPS will run a check of all of your students a month or so before you depart but not necessary during the application period.

One of the pleasures of a semester at the Flow House is the opportunity to get to know the students in a more personal way than is possible on campus-- and for the students to make friendships with students they might otherwise not get to know.

Previous study of German is also important, as it demonstrates commitment to and interest in the broad principles of international understanding and in Austrian culture, and in the specific academic focus of the Flow House in particular. One year of college German (or its equivalent) is strongly recommended for acceptance into the semester program.

Recruiting difficulties encountered with some of the previous Flow House groups had persuaded us that we should waive the language requirement and permit students to participate who had not studied German at all. By the same token, it is clear that many of those students who have had no prior study of German are not able to participate fully in the life of the city. Preference is given to students who have studied the language and it is strongly recommended to take 113 or through 112 prior to going abroad however it is not required (unless specified by the Resident Professor for a given semester).

It is helpful to let students know they are accepted into your program by the time they register for the semester which precedes your semester in Vienna. This will allow students who have not yet studied German to pre-register for German 113, a class which typically enrolls 10-12 students and can be added late in the pre-registration period. Depending on the target discipline of the group, you may tend to favor students who have taken additional German courses, but obviously other factors may seem more significant to you, and those criteria will be set by each Resident Professor.

All students must study German at the appropriate level while at the Flow House. Depending on your own German skills, you may also want to take German 113 (or a more advanced course) here on campus, if you can arrange it! The more German you know before you go to Vienna, the more you will enjoy your semester, especially since not a lot of English is spoken in the restaurants, grocery stores, and shops in the area where the Flow House is located. And if time permits, you should feel free to sit in on the appropriate German course while at the Flow House.

Once your students have been accepted they will be asked to complete forms in their WakeAbroad folder. The students are asked to submit a copy of their passport and a health questionnaire to the Center for Global Programs and Studies . The GPS will send you a PDF of the health forms once they have all been received. It is your responsibility to ensure that all forms are completed in WakeAbroad however Jessica and the GPS staff will help.

COURSES AND SCHEDULE You will teach two courses at the Flow House, at least one of which should fulfill a divisional or major requirement, and both of which should take full advantage of your presence in Vienna. It is important to structure your courses in ways which encourage students to explore the city and learn from their surroundings. Students also take courses taught by our Viennese faculty-- or literature, a 1.5 humanities course entitled HMN 190 Contemporary Viennese Experience (which is pass/fail) and one or two of the following courses:

1) ART 276: Austrian Art & Architecture. A study of the development of Austrian art and architecture and its relationship to European periods and styles. (3h) (D) (fall only) 2) BEM 315: Seminar in Comparative Management (3h) 3) ECN 272: International Economics (3h) (D) 4) HST 102: Formation of Europe: Hapsburg Empire and its Successor States. Each Resident Professor selects the fourth and fifth course based on compatibility with the two courses he/she will teach, divisional requirement needs of the group, and, to some extent, personal preference. You should make this course selection as early as possible so that our colleagues in Vienna can plan accordingly. Please note that non-Schools of Business students can take BEM 315 if it is offered.

Courses taught by the accompanying WFU Resident Professor are taught in English. German language (110 or 150) and literature (214) courses are taught in German. The elective courses are all taught in English. On-site learning is an integral part of all courses, especially those taught by Viennese instructors. Field trips in the city, museum visits, tours, cultural events, and performances are often included in the course syllabi. Longer excursions to other cities are also part of each semester’s schedule of events. Past, groups have visited Prague, Budapest, Jena, Dresden, Leipzig, Weimar, Bonn, and Salzburg.

Students on the Flow House program must take one of the two Resident Professor taught courses, a German language course (for a grade) and the HMN 190 Contemporary Viennese Experience course. The rest of their course schedule is made up of the locally taught elective courses and the Resident Professors other course. Students must enroll in a minimum of 13.5 hours on this program.

At the time of the resident professor’s appointment, he or she should arrange to meet with the Program Director to decide the courses to be taught. In some cases, it may be necessary to seek approval for course numbers and titles and credits. As course offerings often play a large role in student recruitment it is recommended that you settle your courses as soon as possible.

Courses taken on Wake Forest programs must be a regular course, i.e. they must have been approved with WFU number (not 500 numbers) and they must be current courses (not expired, or cancelled). If you would like to teach a course that does not fit these parameters, the best option is to find a suitable “special topics” number. Individual Studies or Directed Readings can work as well, but some departments have minimum requirements for those, such as being a major, or being a junior with a particular minimum g.p.a.

Please note it is your responsibly to confirm with the Program Director and the Center for Global Programs and Studies at the start of the semester preceding your semester your full course offerings.

You will be asked to submit the course number, credit hours, full title and any cross-listings of the courses you are teaching to the Center for Global Programs and Studies before your application can be opened in WakeAbroad. Please confirm in the most current bulletin that your course is listed before sending it to the GPS.

In the semester preceding your semester abroad you should contact Rebecca and Gunter to set the course schedule and your course meeting times. You are asked to submit your preferred meeting times but please note we may not be able to accommodate them. Since we hire outside faculty to only teach one or two courses we often need to set their class times first so they can maintain their other work schedules.

FINANCIAL AID Four types of financial assistance are available to help students defray some of the costs of travel to, and study in, Vienna. The most significant of these grants are the Wake Forest Study Abroad Scholarships administered through the Center for Global Programs and Studies in varying amounts. Deadlines for application are mid-October (for the spring semester) and mid-March for the summer and fall. These are merit scholarships with a minimum GPA requirement of around 3.0. Applications for this scholarships and other national scholarships are available on the GPS webpage.

Another source of financial aid for the Flow House is the Humphrey Fund, need and merit-based grants made available through the Office of Scholarships and Financial Aid and administered by the Center for Global Programs and Studies and the application can be found on their webpage.

In addition, one work-related scholarship is available to your students, a computer assistant. The student is a member of the group and is awarded up to $1,000 for the semester. The award is administered by Flow House and the student is expected to assist throughout the semester in all matters related to house computer facilities. You will be asked to identify a student in your group to fulfill this position.

Students’ traditional financial aid is available for them when they study abroad. Since their cost of attendance (what financial aid is based on) is adjusted it is recommended that students speak to Elizabeth Sandy. She is the Financial Aid representative that works with students studying abroad.

CALENDAR The Flow House follows essentially the same academic calendar as the campus. Your students should arrive ten days before classes begin, to allow jet lag to pass and to participate in important orientation activities, which are held during the ten days before classes begin.

Students are usually given one full week of vacation (fall and spring semester) depending on the amount of time devoted to group excursions and beginning and end dates of your term. Since final exams usually require only two or three days, the last day of classes can extend into what would be finals week on the home campus. In addition, you may elect to start classes a day or two earlier than on campus in order to maintain the full number of instruction days. Classes are normally held through Thursday, leaving free for travel.

Make sure students know they MUST vacate the Flow House no later than the day after finals are over and, in any case, at least one day before you leave. Students frequently ask to stay on longer, but it is imperative that the local staff have full access to the house as early as possible for cleaning and repair.

You should plan to arrive in Vienna a couple of days before the students and stay on a couple of days after they leave, if you wish, but it is critical that you not leave until all your students have departed. It is crucial that you require your group to dispose of all unwanted food and belongings before they leave.

Some groups have left the house in a state of confusion, with debris, food, clothing, and other articles left behind. It is crucial that you require your group to dispose of all unwanted food and belongings before they leave, and to that end it has worked out well for the Resident Professor to hold students’ passports until they demonstrate that their room and the kitchen are in a clean and orderly state.

Let our staff in Vienna (especially Günter) know when you will be arriving, the dates of your recess, and dates for group excursions as soon as you know them. We recommend that you speak with Günter and 10

Rebecca Thomas to set your semester schedule. They can provide valuable insight on the timing of excursions.

As soon as the program dates have been set please share them with the Center for Global Programs and Studies and your accepted students. The sooner this information is shared the better. Once students start buying plane tickets you know that they are fully committed to the program.

The Flow House is located in the 19th district of Vienna. It houses sixteen students on the top floor, features a classroom (with standard technology), spacious kitchen, library, dining room, and living room on the middle floor, and faculty apartment on the lower level.

DIRECTIONS TO THE FLOW HOUSE When you, your students, or guests arrive at the airport or train station, it is probably simplest to take a cab to the Flow House (especially from the airport). When you give the address to the cab driver, indicate that the house is located at the intersection of Gustav Tschermak-Gasse and Hasenauerstrasse, one block from the Türkenschanz Park. The cab drivers are familiar with Hasenauerstrasse and the Türkenschanz Park, but not with Gustav Tschermak-Gasse. THE NEIGHBORHOOD This is a delightful area, peaceful and quiet, with numerous parks, elegant homes, university buildings (School of Agriculture), embassies, and other diverse occupants. The house is located in the 19th district in the northwest of Vienna, approximately 15-20 minutes from the center of town. It is situated three minutes from the stop for the 40A bus, whose route extends to the Schottentor station on the Ring, or to other subway lines along the way. It is only a 10-12 minute walk from the U6 subway stop and two commuter train stops (Krottenbachstrasse and Gersthof), and tram lines run nearby on parallel streets.

Shopping facilities and restaurants are about a 10-15 minute walk away, either in the direction of Gymnasiumstrasse and Billrothstrasse, or further northwest to Gersthof and Gentzgasse. The latter area is larger, with more types of stores and shops; the former includes four or five smaller local restaurants and a brewery with restaurant. Banks are located in both areas.

Perhaps the most inviting aspect of the area is that we are only one block from the Türkenschanzpark, a lovely, spacious area with numerous facilities, including grassy areas, jogging and walking paths, playgrounds, basketball goals, a fountain, and a small cafe.

In general, Vienna is a remarkably safe city and, with common sense precautions, we feel no need for worry or concern about our safety. Obviously, students should avoid certain areas of town late at night (around the train stations, for example) and should not be out and about alone late at night in these areas. The 19th district, where the Flow House is located, is an upscale neighborhood, and consequently an appealing target for thieves; for this reason you will see bars on all windows in the neighborhood and will need to caution your students repeatedly to lock the House gate and door, especially in the evening.

LIVING CONDITIONS You will occupy a basement suite consisting of three bedrooms, two baths, office, kitchen, living/dining room, laundry room, and foyer. This area is completely separate from the student quarters. There is a phone, network access, printer, and fax machine in the faculty office. The entire house is also equipped for wireless network and email access. The faculty laundry room is spacious, with a washer, dryer, sink, iron and ironing board, and lots of cabinet space. Some of the cleaning supplies and utensils are stored here, but the students have a separate laundry room on another level. The faculty living space is tastefully furnished and more than adequate in size.

STAFF IN VIENNA Our colleagues in Vienna are highly qualified professors who have worked with American students for decades. Their classroom is sometimes in the Flow House, but often scattered throughout the varied venues of Vienna. And even when a given professor is not teaching for us, he/ she can be used to provide specific lectures or tours.

Mag. Günter Haika, Onsite Administrator and Language Instructor. Günter is your liaison and is always accessible. He spends three or four hours in the house on Monday through Thursday mornings and can be reached at all times via his cell phone. INTERNATIONAL PROGRAM ASSISTANT The International Program Assistant (IPA) serves for the entire semester and at times the academic year and is generally a recent WFU graduate, alumni of the Flow House program, with good German skills, of great maturity and reliability. The IPA functions as kind of a buffer between the professor and the students, deals with minor problems as they arise, organizes kitchen and household cleanup crews, as well as social activities in the house and around Vienna.

They are essentially an RA, helping the students get the most out of their experience and assisting the Resident Professor and the onsite Administrator and staff in a wide range of activities. Because of their special role at Flow House, IPA must maintain a reasonable critical distance and objectivity in dealing with resident students. Wake Forest provides the IPA with round trip airfare to Vienna, a free place to stay, and a modest per diem that covers their food and other expenses for the year. The International Program Assistant is chosen by the Program Director.

Please encourage capable students that you know to consider applying for the position. Preference is given to students that have studied at the Flow House previously. Please note that the IPA does not

13 obtain a work visa for this position so they are unable to seek additional work or volunteer while they are in Vienna.

Prior to departure for the semester abroad the IPA undergoes a small amount of training lead by the Center for Global Programs and Studies and will have continued training throughout the semester via email and phone meetings. Please meet regularly with your IPA to ensure that you are aware of their impressions and thoughts regarding the group and the semester. If you are having any trouble with your IPA please speak with Rebecca and Jessica.

HOUSE RULES AND ORIENTATION During the first ten days of the program the students participate in an onsite orientation program. These orientation activities include a bus tour of the city and several “hands on” tours and lectures provided by Günter Haika, the House Manager and German language teacher. Viennese customs and attitudes will be discussed and students will be introduced to affordable shopping opportunities, use of mass transit, and the location of other institutions and places of interest within the city. Most of these tours are conducted in German. It is also advisable for the Resident Professor (and spouse) to participate in as many of these opportunities as possible.

During one of the orientation sessions Günter and the Resident Professor will address the house rules and conduct expectation for the semester. Some of the topics covered will be: • An introduction to the staff • An introduction to the house, and how it has been maintained and run over the years • An introduction to the area • Health Care • Fire and Safety Rules • Responsibilities of those on the weekly House Duty Rotation

During this meeting you may want to set additional rules in conjunction with the group related to group living and respecting each other.

It is important that the Resident Professor be acutely aware of these requirements and communicates them to the students in the group. Personally, I would advise that Resident Professors make this list available to each student in the group upon their arrival in Vienna.

NO SMOKING: smoking is not permitted anywhere in the house!!!

1) Do not run in the house, especially upstairs or on the steps. Sound carries all too well in this house. Throughout the week 10pm is the curfew hour for the patio and yard area outside the house and 11pm is the curfew hour inside the house–no loud noise after that time. This is important for keeping peace with the neighbors and the Resident Professor.

2) Please take care not to scratch the wood floors throughout the house. Remove your shoes when you enter the house and clean off your shoes carefully in bad weather. You may want to wear bedroom shoes when the weather turns colder.

3) Please clean up your mess in the kitchen IMMEDIATELY. Place dirty dishes in the Dishwasher and if it is full turn it on. BUT before you try to use the dish washer, please check with the Resident Professor, house keeper, or Resident Assistant to make sure you know how to use it properly

14 and safely. Clean and stack dirty dishes, which cannot be placed in the dishwasher at that time. Do not pour any greasy substance down the sink drains.

4) Empty the “Bio” and kitchen trash cans frequently. Take glass and plastic bottles and metal trash to the nearest street receptacles (Türkenschanz Park) when they are full. Don’t wait for someone else to do it.

5) Please keep your rooms “picked up.” Do not leave your clothes strewn throughout the room. The housekeeper will not clean your room if she cannot see the floor; thus, you need to straighten up the room especially prior to her every weekday. In addition, do not leave personal objects scattered throughout the house—keep them in your room.

6) Do not leave wet towels or clothes on the furniture. Do not take laundry baskets, iron, or ironing board out of the laundry room. Also, do not leave chairs on the balconies.

7) Shower etiquette: please do not take long showers. This is wasteful and often causes the water to leak out of the stall. After your shower please clean the hair out of the drain. Failure to do so causes the shower drain line to become stopped up and necessitates an expensive visit from the plumber.

8) Do not take food or drinks out of the kitchen. The only exception is that you may take food or drink into the dining room and out on the patio. Do not leave glasses strewn throughout the house. Use coasters under glasses on wood surfaces.

9) No keg parties: no kegs may be brought into the house or onto the property. There are no exceptions to this policy. Please be considerate and moderate in your use of alcohol in the Flow House. In particular, loud, boisterous activities after 11pm, which often result from over-use of alcohol, will not be tolerated by our neighbors and can lead to police intervention and sanctions. Further abuses of alcohol in the house could force the university administration to impose tight restrictions on alcohol consumption in the Flow House.

10) No overnight guests are permitted in the house—no family members, no friends, no fellow students visiting you, no new Austrian friends—nobody! This is a strict university rule based on insurance and liability concerns. Do not ask for any exceptions to this policy.

11) Laundry day is Monday: please have your dirty linens ready early Monday morning and give them to Resident Assistant so that he/she can place them in the container in the garage.

12) Please turn off lights when you leave a room.

13) When you leave the house, do not leave your room windows or doors open. Strong winds have broken windows and rain often blows in to damage the wooden floors. 14) Please close the front door and gate when you enter and leave the house and do not give the entrance code to anyone who does not live here. Also, please lock the two doors from the patio. This is critical for your protection and to guard against theft.

15) Make sure you empty your clothes pockets of any metal objects which might damage the washer or dryer. In the past such objects (coins, earrings, rings) have caused extensive damage and expensive repair bills. Please clean the lint filters in the dryer after each use.

16) Please “check out” library books when you remove them from the library.

17) Also, you will have to check out any CD’s you wish to use. Several CD’s have been taken (by mistake or not) and we have had to replace them. So now our check-out procedures have to be thorough and restrictive.

18) Please empty water out of the iron after each use. This water contains no chlorine and if left in the iron it causes the clothes you iron to smell like mildew.

19) No pets are permitted in the house.

TECHNOLOGY EQUIPMENT The Flow House has two “loaner” ThinkPads, a printer, and a photocopy machine for use by the students. The Resident Professor’s office and the House manager’s office are equipped with printer, fax machine, and internet hookup. You and your students should plan to bring your own personal ThinkPad.

For further information on computing abroad please visit the Center for Global Programs and Studies webpage and read the information under the While Abroad tab, Computing Abroad section. The GPS will provide a handout to the students during pre-departure orientation regarding computing abroad. While you will have an IT Assistant there is minimal training provided, meaning that it is important to ensure that your computer is in good shape before taking it abroad. If you do encounter problems while abroad your IT Assistant will act as the liaison with the Flow House and the Bridge.

There are three TVs, two VCRs, and two DVD players in the house. Specifically, the classroom is equipped with document camera, two slide projectors, DVD and VCR player, computer projector, a pull-down screen, and CD/ cassette player. In the living room there is an excellent Steinway baby grand piano. This instrument is to be treated with the respect it deserves. Absolutely no food or drink is to placed on the piano!

SECURITY The US Government constantly updates its advice to US citizens on its Embassy website regarding safety and security. When the group is away from the House and abroad, the Resident Professor takes the House cell phone and gives the number to the entire group. Most students will purchase a mobile phone or bring one with them so staying in touch in the case of any major event is possible and any change of plan by group members can be coordinated. Inexpensive phones may be purchased in Vienna and “topped off” with minutes. All students should to have a cell phone for security reasons but it is not a requirement of the program.

There is now a Flow House Crisis Plan, a copy of which is located in the Resident Professor’s office. It contains numbers for contacting the University Police.

On a more mundane note, occasionally a student will want to bring congenial people back to socialize at Flow House. This only works if EVERYONE feels ‘at home’ with the invitee, as Flow House is their home for 4 months. So in general, this sort of contact is discouraged, and needless to say, the invitee may not spend the night.

PACKING LIST Clothing and luggage: keep baggage to a minimum. Please check with your airline regarding luggage restrictions. It is important to plan ahead and leave space, in case you acquire souvenirs. Choose a kind of luggage which best suits your needs; students generally recommend soft luggage plus a sturdy back pack.

Select clothes which will mix and match well. a. Stay-pressed garments and ones which wash easily help reduce laundry needs. b. Carry one outfit which is “dressy.” A nice suit or conservative sport coat for men and a “dressy” garment for women will be appropriate for theatre, opera, or formal party. c. Take a good pair of walking shoes. Choose shoes which are comfortable and somewhat water- resistant and which offer good support. d. Pack some items for special circumstances: umbrella and raincoat, swimming suit, kick-a-rounds for sports and lounging, and possibly long underwear for colder days and excursions. e. Choose some garments you will discard after one semester. You will thus have more space on the return trip for newly-acquired items. f. Women should carry a large, sturdy handbag and men might take a knapsack or tote. This is a handy way to transport camera, tickets, guide books, and personal items on the frequent excursions g. Whichever semester you are there, carry clothing for three seasons--summer, brisk autumn, cold winter or cold winter, spring, and early summer.

Additional articles you may need: Glasses (and prescription for lenses in case you need a replacement), razor, toilet articles, sunglasses, travel alarm clock, wash cloths, sewing kit, cookbook and favorite recipes, duffel bag, backpack, ballpoint pen, digital camera, and prescription medications.

This last item cannot be stressed too much: please get vacation overrides on all prescription drugs and take a sufficient supply for the entire semester. Austrian apothecaries may or may not provide the prescription you need, and even if they do it may or may not be identical with you specific prescription. Also, it is not a good idea to have people mail prescriptions to you, as custom duties and transport fees are exorbitant. If you do have any items mailed to you, you will have to pay the substantial customs taxes and transport fees before we permit them to be delivered. It is important to remember that all of your medicine needs to be in its original packaging and you should bring along a copy of all of your prescription to accompany the medicine that you are bring along.

Towels, linens, and pillows are supplied at the Flow House. Do not carry these with you. Since clotheslines, washing machines, and dryers are shared, it is very helpful to label all your clothes.

Carry-on items: 1. Passport, international student ID, and copies of each 2. Numbers from passport and insurance policy 3. Airline tickets, itinerary, and schedule 4. Eurail pass 5. Travelers checks and packet of Austrian currency 6. Certificates of vaccination 7 Certification of any special health problems and medical needs 8. Airsickness pills, gum 9. Declaration of student status 10. Separate inventory of everything you pack or carry

SHIPPING If you are considering shipping a box of teaching materials or books ahead, note that many previous efforts to ship (personal and institutional materials) have been extremely frustrating and expensive, both for individuals and the Flow House. Whole boxes have been permanently lost in the shipping process.

Students are responsible for purchasing and bringing textbooks with them (for the two courses you teach) to Vienna. You should arrange for the texts to be available at the College Book Store well ahead of departure. Some students will prefer to purchase their books online so share the required texts with them as soon as possible. Textbooks and materials for the local courses will be purchased or made available to the students once they arrive at the Flow House.

Students are informed that they cannot ship any personal belongings to the Flow House from the United States.

WEATHER IN VIENNA I have always found it difficult to discuss typical weather patterns in a foreign country, since they can be so changeable; but faculty who are planning to spend a semester in Vienna need some guidelines, so here goes.

In general, the daily high temperatures in Vienna are about 10-15 degrees cooler than here in Winston- Salem. Rainfall amounts are higher and it rains more often than here, but when it is not raining the relative humidity is lower and more pleasant than here. Weather patterns seem to change more frequently and drastically than here, and it is never advisable to leave home without an umbrella or some type of rain gear.

CHILDREN If you have school-age children who are accompanying you, you should begin immediately to look into the steps necessary to continue their education while in Vienna. There are many considerations (linguistic, pedagogical, and financial), which will require time and careful planning. To this point Michael Hughes, Christy Buchanan, Rebecca Thomas, and Sue Rupp are our most experienced Resident Professors in this matter and would be glad to share their experiences with you. The obvious options are local Austrian schools, private schools (international or American), and home schooling. However, it should be noted that with the present budgetary constraints and the unfavorable exchange rate, the university is unable to help families who elect to send their children to private schools in Vienna.

STUDENT LIFE ABROAD Conversations with your predecessors will prepare you in many ways for what is essentially life in an undergraduate dormitory. There will be an adjustment to sharing your personal life and private living arrangements with students. On the bright side, there have been groups that still shine in the eyes and minds of various professors; yours could turn out like one of those. Some attention to basic housekeeping arrangements can save you some headaches:

1) Entrance Keypad. Students are given a code to the gate and a code for the door. The codes are periodically changed by the onsite administrator. It goes without saying that the code should never be lent to non-Flow House participants.

2) Security. Wake Forest has been relatively lucky in the experiences of its students abroad. However, students should be cautious about inviting chance acquaintances back to the house. They should be further cautioned about advertising their comings and goings, particularly on weekends or breaks when the house is relatively empty. Students should not flaunt their spending power; this will give rise to resentment.

3) Kitchen. As you might imagine, the kitchen can become the focus of tension as neat students pick up after sloppy ones and thoughtless students intrude with their bad habits in the lives of more thoughtful ones. Each student should be assigned some shelf space and refrigerator space. Meal preparation might be balanced in such a way that the entire group or small groups prepare meals together once or twice a week. One plan that has worked well is to assign each room a week- long stint as supervisors. Every night that group is responsible for seeing that unwashed dishes are washed, counters wiped, trash carried out, floor swept, etc.

4) Relationships This is an excellent time to develop a deeper relationships with your students as you spend the semester together. However it is important to remember that you are still the faculty member and need to be the authority figure. It is better to set the tone early then try and be their best friend. As long as the students respect you and you respect them it should be a successful semester.

5) Studies Students have adequate study space upstairs and in most rooms on the middle level. Often times the students convert the dinning room into a study room.

GROUP EXCURSIONS Each group at the Flow House has a budget for up to two excursions. Typically each group travels to Prague for a long weekend and then to another location that supplement’s the Resident Professor’s courses. Please speak with the Program Director about your options.

These destinations will depend upon the individual programmatic needs of the Resident Professor and pertinent events, museums, institutions, and performances accessible at each site. During the past eight years, the following destinations have proven especially interesting and worthwhile for previous groups at the Flow House: • Prague: with its Jewish community, synagogues, and cemeteries; the numerous houses in which Franz Kafka lived and wrote; its rich musical heritage; and numerous sites of historical significance. • Day trip to areas on outskirts of Vienna: Klosterneuburg, Castle Kreuzenstein, Mauthausen, and the Regner vineyard/ winery at Traunfeld. • Weekend trip to the Alpine village of Moenichkirchen. • Salzburg and surrounding area: mostly for students of music, although the fortress above the city is of great interest for literary and cultural historians. • Budapest: with its rich heritage and twin cities.

LAWS It is worth noting to your students that they and you are guests in Austria and subject to its laws. That goes for things as seemingly insignificant as cheating on fares, to disturbing the peace with loud parties at the house, to the more serious offense, such as drug violations. The University can neither afford nor be particularly effective at intervening on behalf of students who offend Austrian sensibilities or statutes. Students are expected to be thoughtful of others and of their positions as strangers in another land. They are expected to read, understand, and abide by the policies in the published student handbook for the Flow House.

VISAS Our legal staff in Vienna advises us that you, your family, and your students need to secure visas for your semester (three months or longer) in Vienna. The process continues to become more bureaucratic and convoluted than it was before, apparently at least partially in response to heightened security requirements for visitors to the USA.

There is good news and bad news for you in this on-going bureaucratic tangle: the good news is that the Center for Global Programs and Studies now administers the visa acquisition process for each Resident Professor and his/her students. The bad news is that the process itself continues to become more complicated and time-consuming.

The process is long and complicated, especially if students do not secure passports in a timely fashion. Consequently, you should require that all accepted students in your program who do not have valid passports, begin the application process at least six months before departure.

The Center for Global Programs and Studies will maintain up to date information on the visa process for your group. It is your responsibility to attend necessary visa meetings. Jessica will work with the students and with you and your family for the faculty visa.

All Austrian Consulates in the United States now require an in person appearance by anyone applying for a visa. This means that you and your family will need to make a trip to Washington, DC to apply for your visa. Your students may go to Washington, New York or Los Angles depending on their state of residency.

PERSONAL EXPENDITURES In addition to the resident professor’s airfare, per diem allowances to help defray living expenses are calculated each semester based on the current exchange rates. Spousal/partner/family travel are not directly reimbursed as per FAS policy, however, resident professors find their per diem is sufficient to cover travel costs for the spouse/partner/family. The total per diem for the semester will be dispersed in the form of a travel advance prior to departure, with the resident professor completing a Spend Authorization transaction on Workday (instructions will be provided). No receipts will have to be retained or submitted for reimbursement. Resident Professors will have the travel advance deposited directly into their personal checking accounts prior to departure and use their own ATM cards for withdrawals during their semester abroad. As part of their allowance, $50 is included to cover fees associated with these ATM transactions.

Guidelines for completing the Spend Authorization will be provided by Silvia Correa, Assistant to the Associate Provost for Global Affairs. You must set up a time to meet with Silvia early in the semester preceding your semester abroad.

The per diem amount is based on:

• Transportation costs • Cost of living allowance • ATM fees • Miscellaneous expenses

Details regarding the calculation of per diem for your semester and location will be provided by Silvia.

HOUSE BANK ACCOUNT This account is maintained with the Hypo Vorarlberger Bank (located in the first district in Vienna), where our lawyer, Dr. Wurmbrand also manages the other Flow House account. Allmayer-Beck and Stockert, lawyers, pay most of the monthly bills for the house (salaries for Onsite Administrator, Vienna professors, housekeeper, taxes, repair bills, etc.) and serves as liaison with government or official agencies in the city. Dr. Wurmbrand is our contact.

REGISTRATION WITH THE MAGISTRATE Upon arrival Resident Professors, dependents, and all students must register with the local magistrate. The registration forms (Meldezettel) are on line and may be downloaded and printed out or filled out on line.

Our Onsite Administrator, Günter Haika, registers the Resident Professor, and assists the Resident Professor in registering his/ her family and all students in the group. Günter of the RA will accompany you when you register your family and your students. This process has gotten much easier and quicker than it was in the first five years of the program’s existence. Upon departure from Vienna, all students

21 and faculty must similarly unregister at the Magistrate’s office. Original passports are required for both registering (Anmeldung) and departure (Abmeldung).

YOUR WINSTON SALEM HOME To consider before leaving: • If possible, arrange a meeting with the person who will rent your house and clarify all responsibilities in writing. • Pet sitting arrangements may replace rent if you will be leaving your pets at home. • Consider a formal lease, with a deposit, if you will be away for a few months. • Make an inventory of the household articles that you will leave at your house and give a copy to the tenant. • Move all valuable or irreplaceable things from your home to a friend’s or relative’s home or to a safety deposit box. • Due to rapidly increasing costs for utilities, it is advisable to exclude these expenses from the rent. Let the tenants pay for utilities. • Make arrangements with a bank for your mortgage payments and/or for receipt of rental payments. • Give the name of your homeowner’s insurance agent to your tenant and notify the agent of your plans. • Provide the tenant with your foreign address and telephone number as soon as possible.

CAR Check with your insurance company to determine if you want to continue comprehensive coverage. You must continue license fees to get valid plates.

GENERAL COMMENTS • Make a good class schedule in coordination with the Vienna-based faculty. This is vital because they have other teaching and professional obligations. Get everyone up for class at 9:00am or 9:15. Try to stick to your schedule so students can efficiently plan their own time. • Get to know the students you’ve brought. • Weekly dinner in the flat for one or two students is one technique. • Regular dinners in the dining room for everyone with the students cooking can work well. • One dinner a week hosted by a different room (plus faculty) each week in the dining room or outside in the grill area is enjoyable. • Single professors sometimes encounter other problems- real or imagined- as social leaders, but weekly dinners with you in a local restaurant/diner can be a good solution. • Have an ‘open time’ down in the flat, (with an open door) when students can come and raise an issue/question and know this will be welcome. • Do not court popularity with students and start bending the House Rules. They may be young adults, but the emphasis is on ‘young’. If the foregoing systems are in place, you will have good relationships developing. • The faculty expects that students dress appropriately and do not wear sleepwear to class.

Each semester and summer the Center for Global Programs and Studies meets with and assists students with their plans to go abroad. We firmly believe that every student that wants to spend time learning abroad should be given that opportunity. Therefore we hope that we are able to help you create the best possible program and experience for our students.

RECRUITMENT AND MARKETING YOU, as the Resident Professor, are responsible for recruiting students to your program, however, the Center for Global Programs and Studies is available to help and assist you with the recruiting process. The GPS recommends that resident professors begin to recruit for their program at least eight months to a year in advance.

Students at Wake Forest are able to apply for multiple programs and therefore you may find your students have applied to study with you or on an affiliate program. Our advantage is that we are able to accept students for a program up to a year in advance while affiliates tend to wait until the semester before a student goes abroad. Affiliate programs, however, have entire staff members dedicated to 23

nurturing student applications, this means we have to work hard to stay in touch with students throughout the whole application process.

At the end of this handbook there is an example of a semester specific flyer. We suggest that you have two flyers, one attention grabbing with colors and pictures and a second with longer course descriptions and activities that are unique to your program. I am happy to assist you with the creation of these flyers. In addition we can help post the flyers if you do not have access to a student worker. An example of a course flyer can be found in appendix B of this handbook. An example of an eye catching flyer can be found in appendix C of this handbook.

You should plan on hold a few information sessions. Depending on the day/time that you offer the session can determine the number of students that attend. We have some sessions that only two students come to, but if both those students apply then it should be considered a success. Please keep the GPS abreast of any meetings you are holding, we will attend as many as we can to field questions regarding scholarships, application process, financial aid and other general questions.

One of the benefits of students attending this program is the close relationship that they can develop with you as their Resident Professor. Use this to your advantage and start getting to know your students as they apply. Once as student begins an application in WakeAbroad I send them an email and copy you on it. I would encourage you to then also contact the student and encourage them to complete their application.

It is important that you maintain contact with your students and hold meetings in the semester prior to departure. The GPS will host one meeting in the semester before you go abroad to run a pre-departure orientation. We suggest you hold at least two other meetings with your full group so the students can start to get to know each other and you. If you are bringing family members with you this is a great time to introduce them to the students.

SUGGESTIONS FOR MARKETING/RECRUITMENT FOR YOUR PROGRAM 1. The GPS has created general marketing material for the Flow House, and can send you some material to post in your department and give to interested students along with your personal flyers 2. Hold interest sessions and let the GPS staff know the date and time so we can post the information on our website and event’s page 3. Attend the biannual Study Abroad Fair in the Fall and Spring semesters 4. Post handouts for your program around campus and in your department 5. Provide the GPS with program dates, course information and types of highlights, excursions, or group trips so they can be showcased to interested students 6. Send an email to all majors and minors in your department altering them to your semester abroad 7. Ensure that lower division advisors and the Office of Academic Advising are aware of the courses you are offering and any prerequisites 8. If you are teaching a divisional course and a major course have a cross listing for the divisional so that majors can take it and still receive major credit (such as an individual study) 9. Stay in touch! Plan on emailing all interested students at least once a month and respond to student emails as quickly as possible 10. Plan excursions and highlight them in your flyers 11. Speak to the GPS about their upcoming events and see if it would be appropriate for you to have a table at them with information for your program.

The Center for Global Programs and Studies meets with all students interested in going abroad and will share information about your program to relevant students. This is why it is important to send updated information as soon as possible to Jessica so she can ensure the advising team has the details for your semester.

STUDY ABROAD FAIR Each semester the Center for Global Programs and Studies holds a fair that is open to Wake Forest programs and Affiliate programs.

The Flow House will have a table for all upcoming faculty going abroad. You should work with your program director to determine what times you can staff the table. The GPS will provide a black tablecloth, general Flow House handouts and sign-up sheets for each upcoming semester.

You should bring any supplemental information that is specific to your semester abroad (course information, itineraries for any planned excursions or activities), as well as your contact information.

Photographs of your location or famous sites in the country and local souvenirs will help attract students to your table. Please let the Program director know if you would like to bring anything to put on the table.

UNDERSTANDING WAKEABROAD http://studyaroad.wfu.edu

The Center for Global Programs and Studies uses a website, WakeAbroad, to inform students of their study abroad options, and track their applications. The students applying to study on your program must complete the WakeAbroad online application.

Flow House has its own page within the WakeAbroad website. All program pages have the same format; however you are responsible for providing the GPS with information that is specific to your semester abroad, including course descriptions and any additional excursions you will be taking your students on.

As the resident professor, you will need to be trained on the WakeAbroad system and set up as a “administrator.” As an administrator, you will be able to log into the system, review student files, check off submitted materials, and make decisions about acceptance. Resident Professors are responsible for ensuring that each student application is complete. The students have two main sections in their WakeAbroad folder; pre-acceptance and accepted.

In the pre-accepted phase students are promoted to complete a general application and set up a meeting with you. Students are also asked to submit a copy of their transcript and a professor recommendation.

In the accepted phase students are prompted to complete forms and sign documents electronically. Your students will be asked to submit a copy of their passport, a health questionnaire, program deposit, and complete other steps. They will also be asked to sign electronically several documents, including a risk and release form, and a financial and accounting services forms.

A quick reference guide for using WakeAbroad is in the appendix below.

DEPOSITS 25

The Wake Forest House semester programs require a $1000.00 non-refundable program deposit. This deposit must be paid in full by April 1st or December 1st or within two weeks of the student’s acceptance (if after previous deadline). Accepted students should submit the deposit and their Intent to Participate form (found in their WakeAbroad folder) to the Center for Global Programs and Studies.

You can see if students have paid their deposit by checking in WakeAbroad. You can either conduct a progress audit (post-decision  intent to participate form and deposit) or check in individual student folders under the material tab.

The GPS will record the deposit in WakeAbroad and submit deposits to the WFU Cashier. The students are made aware that these deposits are nonrefundable and non-transferable and are necessary to secure their spot on the program (through an electronic signature document in their WakeAbroad folder, and on the Intent to Participate form). If a student informs you that they cannot pay the deposit please direct them to speak to Jessica Francis. We do have a deposit waiver process so the deposit should not be a deterrent for any student. If they have financial concerns please encourage them to set up a time to meet with Jessica to discuss the deposits and their options.

If after the deposit is made the student decides not to participate on the program, it is the Resident Professor’s responsibility to immediately notify the Program Director and Jessica. The Program Director will then contact Kim Widener in Student Financial Services (SFS), who will begin the process of keeping the deposit in the house account. Timing in this process is critical and Kim will need the student name, WFU id #, amount of the deposit to be forfeited and the department number (budget code) for the funds to be credited. It is the Resident Professors’ responsibility to contact the Program Director as soon as possible should a student withdraw after submitting the deposit.

If the Program Director feels that the student has a valid reason for not being able to participate and that it warrants an exception, then the Program Director can recommend for the student’s $1000.00 deposit to be credited to their student account to be applied toward Reynolda Campus charges for the same term. According to NC State law, under no circumstances can a nonrefundable deposit be refunded to a student. The only exception is to allow the deposit to be credited to the WFU student account for the same term (as the original abroad semester) on the Reynolda Campus.

DATES Here are some important dates that you should be aware of:

March 15th or October 15th The GPS deadline for study abroad applications to be submitted. Please inform Jessica if you would like to extend the deadline for your program.

Mid-March or Mid-October The Wake Forest Study Abroad Scholarship applications are due to the GPS. The students can complete the application form on our website. Students are also reminded about this in their WakeAbroad folders. Actual due dates will be posted on the GPS website.

April 1st or December 1st The $1,000.00 non-refundable deposit is due to the GPS. All deposits must be submitted to the GPS. Resident Professors should not accept deposits (or any monies) from the students at any point in the process.

March 20th or October 15th Registration information for your semester must be sent to the Center for Global Programs and Studies. Jessica will provide you with a template to complete for the registration process.

COURSES AND REGISTRATION Once you have decided on the courses you will be teaching please send the GPS the course number, title, whether it can be taken for divisional credit (please note that the course must have the same type of credit that it would have if it were being offered on campus) and a brief description. We will post this information on WakeAbroad. If at any point your courses change or a new course is added please contact the GPS.

Students need to be registered by March 20h in order for tuition and program costs to be billed accurately for the Fall semester and by October 15th for the Spring Semester.

Student names can be added once basic registration is complete and changes can be made however it is important that by the dates listed above the majority of your students are correctly registered. Once the students have been registered the students must confirm that their registration in WIN is correct. You are responsible for ensuring that students confirm with the GPS, however the GPS will take the lead on this step.

The Center for Global Programs and Studies will send you a spreadsheet that you will need to complete. It is your responsibility to work with the Program Director to confirm that correct course numbers and credit hours for the other courses being offered during your semester abroad.

Currently all campus rules regarding registration are valid for being abroad with regards to pass/fail, full time enrollment etc.

FACULTY TRAVEL FORMS As a member of the Wake Forest community you are required to complete specific travel forms for your self and any dependents that will be traveling with you.

PLEASE NOTE: ALL international travel forms must be submitted to the Center for Global Programs and Studies and Accounts Payable before ANY reimbursements can be issued.

Required Faculty and Dependent International Travel Forms Forms are available on the GPS website, https://global.wfu.edu/global-abroad/international-travel- forms/. Select “International Travel Forms” on the left-hand side of the screen. Please contact Tina Deloglos ([email protected]) in the Center for Global Programs and Studies if you have any questions about these forms or how to complete them.

PRE-DEPARTURE STEPS We ask that you periodically review the progress of your students in the WakeAbroad system to ensure fulfillment of all requirements.

We recommend that you hold meetings with your students once they have been accepted so that they have the opportunity to get to know you, and the other participants prior to departure. This will also be an excellent opportunity to invite past participants to come and speak to current students about what to

expect and to answer any questions. Ideally you should be meeting with your students at least once a month in the semester preceding your term abroad.

As part of the pre-departure process in the GPS we have each student complete a Dean of the College Clearance form. This form is submitted to the Office of Academic Adivsing to see if any students planning to participate on the program are on social probation or have been suspended. Students on social probation or who have been suspended are not permitted to study abroad without going through a judicial appeal.

As a Resident Professor, you are responsible for ensuring that all students are aware that they must obtain a visa. The GPS is happy to assist students with their visa applications. At this time United States citizens do need a visa to spend one semester in Vienna.

Please inform your students about the Pre-Departure Orientation (PDO). Marcia will work with you to find a date and time for this to take place. It is mandatory for your students to attend pre-departure orientation.

You will be required to attend your own pre-departure orientation for faculty held by the Center for Global Programs and Studies. This meeting will cover crisis management and other important information. The GPS will send you the date of this orientation prior to the start of the semester preceding your semester abroad.

CARE TEAM Please note that the campus CARE Team (Campus Assessment, Response and Evaluation) is an important resource that you should use when necessary while you are abroad. The CARE Team assessing, responding to, and evaluating disruptive, troubling or threatening behaviors brought to the attention of the Team. The CARE Team is authorized by the University President to make decisions to safeguard the campus community. The Vice President for Student Affairs provides administrative oversight for the Team, including membership appointment.

• Date/time of incident(s) • Name, age, relationship to university, and current location of person of concern and of victim/target • Description of behaviors of concern/acts committed • Names of witnesses • Location where incident occurred • Related documentation (email, text, Facebook, blogs or other electronic communications, saved voice mails, photos, videos, etc.)

Upon receipt of concerning information, Team members consult to ensure thorough assessment and follow up.

GPS SERVICES TO WFU RESIDENT PROFESSORS: 28

1. The GPS will help with the marketing of the program and recruitment of students, please refer to the marketing section on pages 6 & 19 for more detail. 2. The GPS will receive and check off in the WakeAbroad system: i) Health questionnaires ii) Passport copies iii) Deposits 3. Upon request the GPS can provide resident professors with copies of all student passports prior to departure. 4. Visa advice and services- we can create visa support letters if needed as well as help students complete their visa applications 5. Answer any questions you may have or direct you to the correct person 6. The GPS can be consulted for any other programmatic issues.

UPON ARRIVAL When you are in country please make sure to stay in contact with the GPS. If a student is sick or if something unexpected happens please contact Rebecca Thomas, David Taylor and Jessica or another member of the GPS staff. It important for us to know and we may be able to offer advice or assistance.

GEOBLUE The Center for Global Programs and Studies will purchase international health insurance for you and the students on your program. The insurance is called GeoBlue and additional information will be provided by the director for crisis management.

RETURNING HOME When you return to campus ensure that you complete all of your financial forms and submit necessary advance forms.

You will also need to submit grades for your students and ensure that your students have completed course evaluations for the courses that you taught.

Students will be asked by the GPS to complete a program evaluation. Summaries of student evaluations are usually ready a few weeks after the program is completed and will be sent to you by the Director of the Center for Global Programs and Studies.

You will need to write up a brief report of your time abroad and submit it to the appropriate people. Additional information about this step can be found in the Requirements for Wake Forest University Faculty Leading Credit-bearing Undergraduate Study Abroad Programs at the beginning of this document.

Wake Forest in London Fall 2012

HST 101 Western Civilization to 1715 \At light speed (in one class period) we will traverse the prehistory of our species and then set about a more intensive review of the next 5200 years (3500 B.C.E to 1700 C.E). Our journey will carry us from Sumeria to the eve of industrialization and political revolution in Western Europe. To remind ourselves what was going on in the single spot we occupy as we proceed, we will read concurrently Jeremy Black’s A Short History of Britain. Early in the course there will be weekly visits to the British Museum where you will examine a collection of your choice that derives from one of the ancient or classical cultures we are studying. We will also visit the National Portrait Gallery, the Victoria and Albert Museum, the London Historical Museum, the Royal Observatory at Greenwich, and either Oxford or Cambridge.

HMN 366 Travel: Evasion, Consumption, or Education? The purpose of this course is to oblige you to think seriously— beyond platitudes—about the place travel may have in your education. In doing so, it will demand careful reflection not only on the nature of travel but also on the 31

meaning of education. Each week we will be reading a number of classic pieces of travel writing, a number of which will come from the Norton collection of travel writing; and, you will be producing a record of your experiences while traveling—a record that should, given its nature, improve your writing and help you preserve memories that would otherwise be lost. To see to it that you formulate clearly your thoughts on the relationship, if any, between travel and education, you will produce a final paper on this subject.

APPENDIX C Guidelines for Family Accompanying Faculty Leading Credit-bearing Undergraduate Study Abroad Programs

Waiver and Release: Family members are expected to abide by the same WFU policies as participants on the program. Family members should be aware that their personal behavior must not in any way affect the quality of the program. All family members are expected to sign a risk and release form.

Minor Children Given the duties and responsibilities of the resident professor (RP), children under the age of 18 cannot be left unsupervised during class time, advisory sessions, crises, etc., when the RP will be inaccessible to the child(ren). Therefore, the RP must insure that there is someone (local or from home) who can provide childcare other than the RP. This may include childcare from within country or someone from the U.S. accompanying her/him for the purposes of childcare. In the latter case, the accompanying individual may reside in the faculty apartment/suite at no cost to that individual. Please note that it is not acceptable for student participants or WFU onsite staff to provide childcare during the program. Student or staff should not be put in any position (even voluntary) that might unintentionally create risk or ill will for them with the resident professor. Per Diem In addition to the resident professor’s airfare, per diem allowances to help defray living expenses are calculated each semester based on the current exchange rates. The calculation of the per diem will be discussed during your meeting with administrative assistant for the Provost Office of Global Affairs. The total per diem for the semester will be dispersed in the form of a travel advance prior to departure, with the resident professor completing an expense voucher upon return for the corresponding amount of the advance. No receipts will have to be retained or submitted for reimbursement. Resident Professors should deposit their travel advance in their personal checking accounts prior to departure and use their own ATM cards for withdrawals during their semester away. As part of their allowance, $50 is included to cover fees associated with these personal transactions. International Insurance WFU will provide GeoBlue international health insurance for you for the duration of your program. Additional information about the policy can be found here: GeoBlue. WFU will provide iNext Travel Health Insurance for all family members traveling with the program. Information on what is covered by the iNext Travel Health Insurance basic plan can be found here: 32

iNext Basic Plan. If you would like to purchase a comprehensive international health insurance plan for your family members through GeoBlue please contact the Center for Global Programs and Studies. Travel Within the Program Your family members are welcome to join you and the program participants on any activities and trips within the program; however, you are responsible for the additional costs. Please speak with the onsite staff administrator to determine what those costs would be. Passport and Visa Fees Any fees associated with obtaining a passport is not covered by the program; however, any fees associated with obtaining a visa for your family members will be covered by the program. Schooling Unfortunately, there isn’t any funding available to help with the cost of local schooling abroad. Our onsite team is available to help answer questions and guide you in the right direction if you are interested in enrolling your children in a local school. In some locations, it may not be possible, and you will have to plan on home-schooling your children.
