AMERICAN FILM INSTITUTE JOB DESCRIPTION POSITION: Office Assistant DEPARTMENT: AFI Conservatory, Registrar’s Office LOCATION: Los Angeles Campus PRINCIPAL RESPONSIBILITIES The Office Assistant provides administrative support to both the Registrar’s Office and the Financial Aid Office during peak processing times. PRINCIPAL DUTIES: • Assist with registration, including flow of Fellows and check in procedures. • Assist with data entry, copying, light phones, heavy filing and mailing projects. • Assist with Fellow contact to ensure completion of registration. • Assist Director, Financial Aid with federal student loan processing and ledger keeping. • Assist with AFI Commencement. • Perform other duties and responsibilities as assigned. EXPERIENCE/SKILLS REQUIRED: • Bachelor’s degree required. • Minimum two (2) years experience as an administrative assistant providing support to multiple individuals. • Strong general office experience including records management. • High level of proficiency on Macintosh computer with Microsoft Word, Excel and PowerPoint. • Exceptionally detail-oriented with the proven ability to handle numerous tasks with appropriate follow-up and reporting activities while not losing sight of the big picture. • Can work independently while being an integral member of a high-functioning team. • Proven project management skills with the ability to take a project from conception through completion with minimal supervision. • Excellent oral and written communication skills with the ability to convey complex concepts and procedures in simplistic terms. • Strong time management, organizational and multi-tasking skills coupled with the ability to work independently and with minimal supervision. • Strong diplomacy skills and professionalism are mandatory; this includes the ability to maintain complete confidentiality and discretion at all times. • Highly developed customer service skills with the ability to establish and maintain rapport with internal and external contacts. • Personal integrity with the ability to inspire confidence and trust. • Demonstrated knowledge and experience in the film and television community is desired. SUPERVISION: The Office Assistant performs all duties and responsibilities subject to the guidance and supervision of the Registrar and/or Director, Financial Aid.
