Tips for Parents

General Expectations By enrolling in the College, students enter a new world. They neither lose their rights nor escape the duties of citizens, but are expected to conduct their lives here in the context of mutual regard for the rights, property and privileges of others. The College has high standards of personal conduct and ethics. These standards are embodied in rules, regulations and policies which the College has adopted to maintain order on campus, to promote student safety and welfare, and to further its institutional aims and values. These rules, regulations, and policies limit some activities and prescribe behavior to ensure the orderly operation of the institution and to the pursuit of its goals. All students are charged with knowledge of these rules as stated in the Catalog and in the Student Handbook and are required to comply with them.

3 Transitions and Communication Going to college is a time of transition. Most students move from the relative security of family life, through a period of exploration and self-analysis, to the development of self-reliance and responsibility. These are important years for young adults to discover who they are and who they want to be. Your son or daughter is about to face many unknowns and to experience periods of joy, pain, disappointment, and discovery. You will experience some of their victories and defeats vicariously. Students at Flagler are treated as adults and are expected to assume responsibility for their own affairs. This includes keeping their families informed of their own progress and concerns. In accordance with the Family Educational Rights and Privacy Act of 1974, students’ academic records, including but not limited to, transcripts, class schedules, graduation information, financial aid, and discipline records, are confidential; consequently, access to student records is restricted.

4 College Offices and Services College offices and services are ready to assist students in meeting the challenges and complexities of college life. You, as parents, can assist us by encouraging students to make use of these on-campus resources. You might even provide them with specific referrals to these offices when they raise questions or concerns with you.

Academic Life “Academic Life” and “Campus Life” at Flagler College are supportive elements in a learning/living experience. The programs and resources included in this section describe the many facets of college life and the special opportunities that Flagler College affords its students.

Academic Advisement: A significant aspect of Flagler College’s strength rests on the conviction that advisement is as crucial to education as the classroom experience. First-year students are advised by a professional academic advisor, housed in the Center for Advising and Core Experience, and are also provided with a faculty mentor. After the first year, students are advised by a faculty advisor in their major. Academic advisement is a continuous rather than periodic process, and students are encouraged to visit regularly with their advisors and mentors. The student’s advisor will provide assistance in planning a program of study, connection with campus resources, and general guidance from the first year to graduation; however, it is the student’s responsibility to plan and carry out a program of study in accordance with departmental requirements. For additional information on degree requirements, see the College Catalog.

Center for Advising and Core Experience: Flagler College’s Center for Advising and Core Experience (CACE) provides advising support for all students, and full-time advising for first-year students. The Center also supports academic initiatives for new students, including the First Year Experience and Academic Orientation. Students should visit the Center on the third floor of the Proctor Library anytime during their enrollment for help with advising, degree planning, course selection, change or addition of majors or minors, or referrals to campus resources.

Academic Course Load The quantity unit of credit at Flagler College is the semester hour, defined as one hour of class work plus two hours of preparation per week for one semester. Normal full-time course load for a semester is 15 semester hours, plus related laboratory periods; a minimum of 12 semester hours is required for full-time status. Students registering for less than 12 hours are classified as part-time students. Students may not take more than 19 semester hours in any semester without the recommendation of their faculty advisor and the approval of the Registrar. Students enrolled in 20 or more semester hours are charged additional tuition per semester hour.

5 Academic Requirements for Continuation Attendance at Flagler College is a privilege granted solely by the College. Enrollment for one semester or term in no way obligates or requires the College to extend or continue a student’s enrollment beyond the semester or term. At the conclusion of any semester or term, the College is at liberty to disallow a student to continue his or her enrollment. Moreover, the College reserves the right to withdraw, dismiss, or suspend at any time a student whose conduct is judged as inconsistent with the traditions, rules, standards, and regulations of the College.

Students are required to maintain a cumulative grade point average of 2.0 or better to remain in good academic standing. Warning: An academic warning is issued to students whose semester grade point average is below 2.0 and/or whose academic standing is in jeopardy. Probation: A student whose cumulative grade point average is below 2.0, or whose academic performance is judged to be of poor quality, will be placed on academic probation. Dismissal: Academic dismissal is the involuntary separation of the student from the College. Dismissal may or may not be a permanent separation. Additional information may be found in the College Catalog. Academic Withdrawal A student who finds it necessary to withdraw from the College must complete an official withdrawal form which can be obtained from the Office of the Registrar. The withdrawal form requires the student to obtain signatures from administrative officers to ensure that the student’s record is cleared before leaving the campus. Intent to Graduate Interview During the junior year, students must meet with a staff member in the Office of the Registrar to certify the completion of all general education requirements. Once a student earns 60 semester hours, he or she is responsible for scheduling the interview. All graduating seniors are required to participate in the commencement ceremony. Exceptions to this requirement must be approved, in advance, by the Office of Academic Affairs.

Business Services 20 Valencia, (904) 819-6230 The Office of Business Services is responsible for maintaining the student’s financial record with the college. Students are provided with information concerning account balances, tuition and other charges. Student account statements can be viewed at my.flagler.edu after July 10 for the Fall term and after October 31 for the Spring term. After the drop/add period of each semester, refunds of credit balances will be processed and delivered directly to your chosen bank account through the CASHNet Payment site. The fastest and safest way to receive your refund is to choose a direct deposit to the bank account of your choice by providing your bank routing and personal checking account number. Entering incorrect account information or failing to enroll in the eRefund process will delay the receipt of funds. The refund selection is not only for financial aid disbursements; therefore, all new and returning students are REQUIRED to complete the enrollment process to ensure the quick release of any excess funds that you may be entitled to receive. If the student does not provide this information, a paper check will be processed and mailed to the legal home permanent address on file with the Office of the Registrar. It is imperative that your current address is kept up to date. Paper checks are NOT available for distribution through the Office of Student Accounts.

Campus Recreation Intramurals-Ringhaver Student Center, (904) 819-6352 All Flagler students are encouraged to participate in some phase of the Intramural Sports Program. There are team and individual sports activities, which may include flag football, floor hockey, billiards, table , bowling, mini , , soccer, , swimming, tennis and . Also, there are a number of game nights that include bingo, poker and contests to pick winners in the Oscars, sporting events, etc. The Intramural Program also provides Tai Chi, Zumba, yoga, and pilates classes. Students interested in participating in the intramural program may contact the Director of Intramurals.

Career Development Center Alumni House at Anderson Cottage, (904) 819-6286 The Career Development Center is dedicated to offering programs that provide your student with information, education, and assistance in choosing a major, developing attainable career goals, and making a successful transition from college to their professional future.

College Counseling Services 65 Valencia Street, (904) 819-6305 The Counseling Center is located in Tinlin Cottage at 65 Valencia Street, next to the Tennis Center. Students may schedule an appointment in person, or by either 7 emailing [email protected], or calling the Counseling Center. The College offers counseling to help students deal with concerns that may inter- fere with their personal well-being, social adjustment, and/or academic progress. Counseling services are confidential to the degree allowed by law, and are not part of a student’s educational records. The Counseling Center’s professional staff provide counseling for a broad range of reasons, ranging from personal growth to crisis intervention, as well as consultation and referral services. Counseling is free to all currently enrolled students.

There are numerous concerns students may address through counseling. These include, but are not limited to: adjusting to college life, relationships, roommate conflicts, family issues, identity challenges, time management, anxiety, eating disorders, substance abuse, grief, stress, depression, anger issues, social isolation, study skills and test anxiety. Often students want to feel more satisfied with their lives, become more effective in dealing with problems, increase their self-awareness, improve their self-esteem, or enhance communication and/or conflict resolution skills.

The Disability Resource Center (DRC) provides information and assistance to students who have qualifying disabilities and are in need of reasonable accommodations to ensure equal access to education as intended by Section 504 of the Rehabilitation Act and the Americans with Disabilities Act. Services are varied depending on individual needs and include counseling and referrals, classroom accommodations, test accommodations, special registration, the services of a scribe, note-taker, interpreter, reader, and the use of specialized equipment and adaptive technology. Please contact the office for documentation requirements. We encourage early inquiry for additional and/or specific information. Our goal is to provide students with disabilities an equal opportunity to participate in all programs and courses at Flagler.

Emergency Notifications – LiveSafe LiveSafe is an app that connects students with campus security in real-time. It uses text, picture, video and audio to help create a safer environment on campus. Students and parents are strongly encouraged to download and use LiveSafe. Through the app students can: • Receive safety/emergency notifications • Submit safety tips anonymously • Request help in an emergency • View where they are in relation to safe places on campus • Invite friends and family to watch them travel to their destination

To get started with LiveSafe, follow these easy steps: 1. Download LiveSafe app from iTunes or Google Play app stores 2. Sign up with your Flagler email and verify your account. Once it’s verified, fill out your profile and create a password 3. Allow LiveSafe to access your location then search for and select Flagler College. The logo should appear at the top once selected.

8 We recommend allowing LiveSafe to send push notifications on your phone so that you can receive emergency announcements as soon as possible.

Saints/Family Weekend Saints Weekend is designed for you, as well as other members of your family, to visit your student’s home-away-from-home. Saints Weekend is held in the Fall and incorporates several fun-filled events. Activities may include athletic events, a theatre production, games, a barbecue, tours, and time with college administrators. This is an excellent opportunity to spend some time on campus. Fees 20 Valencia, (904) 819-6230 If you have any questions concerning fees, a list is provided in the annual Flagler College Catalog and on our website. Failure to meet financial obligations in a reasonable manner can result in the cancellation of a student’s enrollment. Students with balances on their financial account will NOT be awarded a diploma or issued transcripts. Fall payments due by August 1 Spring payments due by December 1 Payments must be made in accordance with the deadlines before a student is permitted to register or attend classes. Advance Deposit - New On-Campus Resident New on-campus resident students are required to submit an advance deposit as a confirmation of their intention to live on campus at Flagler College. This deposit is non-refundable and will be applied to the student’s tuition and fees for the fall semester. For new students (freshmen and transfers), advance deposits are due within three weeks following the date of acceptance. New Resident advance deposits reserve an enrollment space as well as a residence hall room. Advance Deposit - Returning On-Campus Resident The College has limited housing for returning students and cannot guarantee that housing will be available. A limited number of housing contracts for returning students are offered on a first come, first serve basis during Housing Week (advertised well in advance). The completed housing contract must be submitted prior to the deadline and a non-refundable deposit of $400 is due within 1 week of an accepted housing contract. If the housing contract or the advance deposit is not submitted by the deadlines, then the housing contract is void. Payment Schedules Tuition for Room and Board Fall semester = due by August 1 Spring semester = due by December 1 Payments must be made in accordance with the deadlines before a student is permitted to register or attend classes.

Billing Procedures The Office of Business Services will send e-mail notification to all students that their e-bill is available for viewing and paying. The parent will only receive an e-bill notification if the student has designated the parent as an authorized payer. Flagler College offers a payment plan with no interest and only a $35.00 enrollment fee. Students, parents or any other responsible billing party listed on the student's account can enroll online and agree to contract requirements with an electronic signature. The monthly bills, reminders, and receipts will be set up so that they are automatically emailed and/or messaged to your cell phone. The automatic payments come out of your designated account on the 10th of each month beginning in July for fall term and November for spring term. Each term has a four-month plan.

Financial Aid Hanke Hall, (904) 819-6225, [email protected] The Office of Financial Aid conducts a comprehensive financial aid program designed to help students who need financial assistance and to recognize students on the basis of academic achievement, talent or service. The Office of Financial Aid uses all means at its disposal such as campus publications, college website, faculty notification, student email, etc to advise students of financial aid availability and application deadlines. It is the student’s responsibility to use these means to seek out and apply for financial aid. The Flagler College financial aid staff is available during regular business hours to assist students in this process. Parents and students are encouraged to contact our financial aid counselors for information and answers to any questions they may have. The recommended Financial Aid Deadline is April 1. The federal financial aid application, FAFSA, is required to qualify for student loans and/or need-based aid.

Food Service Ponce Hall, (904) 819-6212 Meals are served to students, faculty and guests in the college Dining Hall, an attractive, high-domed structure with frescoed ceilings. Well-balanced meals with a variety of selections are served; the food service is catered by ARAMARK. Students may also purchase sandwiches, salads, Chick-fil-A, Starbucks coffee, and more at The Bistro in the Ringhaver Student Center and the POD located the in FEC Commons Building. All incoming resident students are required to purchase the full meal plan. Upper-class resident students and commuting students may purchase one of three meal plan options through the Office of Business Services or a modified meal plan through ARAMARK.

Grades - Students may access their final grades through my.flagler.edu.

Hurricane Information http://emergency.flagler.edu, (904) 829-6481 In the event of a hurricane, the College has a disaster plan in place that will be implemented as soon as necessary. Students, both on campus and off campus, 10 will receive notice through campus mail, email and LiveSafe Notifications (providing the student has signed up for this service). See LiveSafe Emergency Notifications section of this handbook. In addition, the college radio station, WFCF 88.5FM, will broadcast information of what is expected. All students should inform college personnel of their intentions and follow the guidelines distributed. For those without transportation, the College will have the ability to transport to local shelters once the shelters have been identified. Information Technology Services Proctor Library, (904) 819-6293 The Office of Information Technology Services provides academic and administrative computing support to the College. Specific resources available to students include Internet/e-mail access, library computer access, as well as answers to general questions regarding the use of a personal computer. International Center, Study Abroad/Study Away International Center, Wiley Hall, (904) 819-6351 Flagler offers an array of opportunities for students to study abroad. This office is responsible for overseeing and coordinating all approved study abroad/away programs, for providing students and faculty with information on such programs, and for conducting a mandatory study abroad orientation. Opportunities for studying abroad/away are available throughout the academic year, including the summer semester. The office also works with all incoming F-1 and J-1 international students attending Flagler College Learning Resources Breezeway, Ponce de Leon Hall, (904) 819-8548 The Learning Resource Center is a space where Flagler students can come, free of charge, to obtain assistance from their peers and College faculty members in math, accounting, writing, science, Spanish, and reading or study skills. The LRC is located at the east end of the south breezeway near the Ponce classrooms. During the fall and spring semesters, the LRC is open from 9:00 am to 5:00 pm Monday through Thursday, and from 9:00 am to noon on Fridays. Some Labs (primarily the Writing Center) provide evening hours in the Proctor Library. To check individual lab times, visit at www.flagler.edu/lrc Accounting Lab: provides assistance in the field of accountancy—in particular, financial and managerial accounting. Students can obtain assistance with their homework, test prep, and general material review. Math Lab: offers peer tutoring for all Flagler math courses including algebra, geometry, statistics, and business calculus. GRE and LSAT prep, and Course Compass and calculator setup are also available. Reading and Study Skills Center: helps students develop effective test-taking, content reading, time management, stress management, speaking, listening strategies, and help with critical thinking skills and memorization techniques. 11 Science Learning Lab: provides specialized peer tutoring in the natural sciences to help students understand scientific principles, solve problems, and write lab reports. Spanish Lab: allows students to work individually with experienced Spanish tutors to sharpen their writing and speaking skills. Tutors can also provide tips for learning new vocabulary, remembering verb conjugations, and studying new grammar topics. Writing Center: provides an opportunity for students to work one-on-one with either a peer tutor or a member of the English department faculty. Students are encouraged to bring any type of writing assignment for help with all parts of the writing process from brainstorming to final editing. The Writing Center also offers evening hours in the Proctor Library.

The facility’s first and second floors include the Library’s reference, audio-visual, and circulating collections, together with an Internet Research Lab, two general Internet labs, four group study rooms, and a variety of other seating and privacy options supporting academic work. The third floor offers a large open-access computer lab, the graphic design lab/studio, four technology-equipped labs/classrooms, and several faculty and administrative offices. The PLC helps to develop resources that support the Flagler experience for our students. Council members network with other parents, welcoming them to the Flagler family and educate fellow parents on the importance of giving to the Flagler Fund. The PLC facilitates opportunities for parents to become involved in the life of the College by hosting events, com- municating via a Parents E-Newsletter, building relationships, providing a conduit for parents to communicate and help other parents. Members of the PLC have an important impact on parent engagement at the College through annual Presi- dent’s Society gifts, volunteer, and thoughtful counsel to administration and staff.

Parking for Visitors on Campus Visitors are always welcome at Flagler College. When visiting on the Flagler College campus, please contact the Office of Safety and Security at 170 Malaga Street for parking instructions and a temporary parking permit. Authorized visitors receiving a parking ticket should contact the Parking Office as soon as possible, and report the violation number of the ticket issued (904) 826-8571.

Registrar Ringhaver Student Center, (904) 819-6204 The Office of the Registrar maintains the permanent academic records for all students who enroll at Flagler. This Office evaluates transfer credits from other accredited institutions and coordinates course registration. The office also prepares enrollment verifications on written request (e.g., for insurance purposes, loans, etc.) and prepares and sends transcripts (only the student may request release of his or her transcript). The Office of the Registrar also coordinates the collection of final grades. Students may access their final grades at my.flagler.edu.

Residence Life Ringhaver Student Center, (904) 819-6307 All new freshmen must reside on campus, unless they live at home with their parents or if they are over 20 years of age. For students who enroll for the fall semester, housing contracts are for the full academic year; thus, the student is responsible for the yearly room and board charges, as specified in the Flagler College Catalog. Students entering Flagler in January will contract for housing for the spring term only. The residence life program is designed to enhance the academic and social objectives of the College. Most rooms are arranged for two or three students; however, there are rooms that may accommodate four or more students. All rooms are furnished with beds, dressers, desks and chairs, high-speed internet connection, and a microwave/fridge combination. The student must provide linens, bedding and pillows, shower curtain and cleaning supplies. 13 There are set times and dates that the residence halls open and close. The residence halls are open during the Thanksgiving and Spring Break holidays; however, they are closed during the winter break period between the fall and spring semesters. There is also housing available during summer term.

Security 170 Malaga Street, (904) 819-6200 Security personnel are on duty 24 hours a day, seven days a week. The Office of Campus Safety and Security, under the supervision of the Vice President of Student Affairs, is responsible for the safety and security of all persons while on campus and of all College property and equipment. Campus Security is also responsible for enforcing college regulations. Security personnel cooperate and work with the Dean of Students in all matters involving students and their guests. Unauthorized persons are not allowed on campus at any time. Additionally, security officers will be alert to prevent any unauthorized items from being brought on or taken off campus. In order to keep out unauthorized persons, and for the security of resident students, all doors to the outside are locked at specified times. Any incident of theft/vandalism or injury is to be reported immediately to the Office of Campus Safety and Security, and a detailed incident report must be completed.

Student Health Center Ponce de Leon Hall, Breezeway, (904) 819-6211 Services provided by Health Services are free to full-time students. There is one registered nurse and one nurse practitioner available weekdays to provide assessment, consultation, referrals, limited prescriptions, and over-the-counter medications when appropriate. A physician provides care for an hour each morn- ing (first-come, first-served). Some prescription antibiotics are available in Health Services for a fee; crutches and heating pads are available on a loan basis. All health care provided outside Flagler College Health Services is at the student’s expense and all insurance claims are to be filed by the student. Please notify Health Services if a student is hospitalized or treated in the emergency room.

Student Records - Privacy The College enforces the provisions of the Family Educational Rights and Privacy Act (FERPA) of 1974. This regulation, as it applies to institutions of higher learning, ensures that students have access to certain records that pertain to them. It prohibits others, except faculty members or administrators who have “a need to know” and parents who claim their student as a dependent for tax 14 purposes, from access to the student’s records, unless the student signs a waiver. This waiver, the "FERPA Release of Student Information Request" form, may be obtained from the Office of the Registrar or found on-line at http://my.flagler.edu/ics/Academics/Registrar. The "FERPA Release of Student Information" form remains in effect until the student rescinds it in writing. In accordance with the FERPA, Flagler College affords students certain rights with respect to their student records. They are: 1. The right to inspect and review the student’s educational records within 45 days from the College receiving the request for access. Students should submit to the Registrar, the Assistant Dean of Academic Affairs, the Dean of Academic Affairs, the Dean of Student Services, the Vice President of Business Services, the Director of Financial Aid, the head of the academic department, or other appropriate official, written requests that identify the record(s) they wish to Inspect and purpose(s) for inspection. If the College official to whom the request was submitted does not maintain the records, that official shall advise the student of the correct official to whom the request should be addressed. The appropriate College official will make arrangements for access and notify the student of the time and place where the records may be inspected. A "Request to Review Student Education Record" form is available in and must be submitted to the Office of the Registrar. 2. The right to request the amendment of the student’s educational records that the student believes are inaccurate or misleading. Students may ask the College to amend a record that they believe is inaccurate or misleading. They should write the College official who is responsible for the record, clearly identify the part of the record they want changed, and specify why it is inaccurate or misleading. If the College decides not to amend the record as requested, the College will notify the student of the decision and advise the student of his or her right to a hearing regarding the request for amendment. Additional information regarding the hearing procedures will be provided to the student when notified of the right to a hearing. 3. The right to consent to disclosures of personally identifiable information contained in the student’s educational records, except to the extent that FERPA authorizes disclosure without consent. One exception that permits disclosure without consent is disclosure to school officials with legitimate educational interests. A school official may be considered a person employed by the College in an administrative, supervisory, academic or research, or support staff position (including campus safety and security personnel and health services staff); contractors, consultants, volunteers or other parties; a person serving on the Board of Trustees; or a student serving on an official committee, such as a disciplinary or grievance committee, or assisting another school official in performing his or her tasks. A school official has a legitimate educational interest, if the official needs to review an education record in order to fulfill his or her professional responsibility. 4. The right to file a complaint with the U.S. Department of Education concerning alleged failures by the College to comply with the requirements of FERPA. 15 U.S. Department of Education, 400 Maryland Avenue, SW, Washington, D.C. 20202-4605. The College may release directory information without the student’s written consent. Directory information may include student name, address, telephone number, date of birth, dates of attendance, degrees and awards received, the most recent previous educational institution attended, photographs, participation in officially recognized activities and sports, and the height and weight of athletes. A student has the right to refuse permission to release any or all directory Information without the student’s prior written consent. The student, at the time of registration, must request in writing that the directory information not be released. A "Request for Non-Disclosure of Information" form is available in the Office of the Registrar. The student must notify the Registrar in writing each academic year of enrollment to deny the release of this information. To deny the release of information, including photographs, pertaining to participation in recognized activities, programs, services, and sports, the student must notify, in writing, the Office of Admissions, the Office of the Registrar, the Office of Academic Affairs, the Dean of Student Services, the Director of Intercollegiate Athletics, and the Office of Marketing Communications each academic year.

Student Affairs Ringhaver Student Center, (904) 819-6238 The Office of Student Affairs is responsible for the staffing, planning, leadership and coordination of a variety of departments and service areas. The various departments in Student Affairs support the mission of Flagler College through the provision of a number of out-of-class learning experiences that facilitate the growth and development of Flagler students. The Office of Student Affairs has primary responsibility for student conduct. The office responds to reports of misconduct and violations of the Student Conduct Code. The office also responds to student needs and concerns. Parents are encouraged to call if they have questions. Student Affairs program and service areas include Intramurals, Residence Life, Student Health Center, Counseling Center, Student Activities, Career Development Center, The Ringhaver Student Center, Safety and Security, Title IX, orientation, student clubs and organizations, activities, and food service.

Veterans Educational Benefits Some armed service veterans and their dependents are eligible to receive educational benefits from the United States Department of Veterans Affairs. The application for VA Education Benefits or survivors’ and dependents’ Educa- tional Assistance is available at http://vabenefits.vba.va/gov/vonapp/main.asp. The completed paper application and enrollment certification will be sent to the Department of Veterans Affairs, Regional Processing Office, Decatur, Georgia. Subsequent certifications will be processed by the Office of the Registrar, (904) 819-6204, on notification from the student of their intention to re-enroll.
