One thing I never hear is the need for more administrators! Replies from the administrators . We need more physicians . Okay, that’s great. But our transplant volume is increasing at 4% per year. We will need to generate a margin to cover the incremental salary/benefits. . We need more midlevels . Typically occurs when spikes. For every midlevel, we need to generate enough net revenue to maintain at least a net zero effect on the margin. . We need more data managers . Very few hard funded. STAFFING JUSTIFICATIONS

Writing with a purpose . If data is to be meaningful then it is essential to find meaning in the data (numbers) . Always find a story to tell

The story text frames the critical data in the context of short and longer term trends. . Story text should explore relationships, causes and effects to the extent that they can be supported by statistical data.

TELLING THE STORY

Utilize the journalistic writing style of the inverted pyramid

. This focuses the reader on the end result first

. Find the elements that are the most important or compelling to the story

. Avoid starting the story text with methodology i.e. the current staffing ratio of patients to midlevel practitioner is 10-13 to one (10-13 patients per midlevel provider)

. The lead is the most important element of the text. It should tell the story about the data.

. It summarizes the story line concisely, clearly, and simply sets the story in context.

. It should concentrate on one message or theme and contain a minimum of data.

The Inverted Triangle for Story Telling

Primary Lead (25-40 words: keep it short and to the point) 1. Summary of who, what, why, when, where, and how (or as many available for use without cluttering the lead). 2. Single outstanding fact.

Seconday Lead

1. Continue outline of story began in primary lead: a summary of important facts.

Review (if continuing story) 1. Condensed statement on outline of story written so far.

Details 1. Identify or further identify all people, titles, program aspect. Be sure Details information is (a) accurate, (b) concise, (c) objective, (d) timely, (e) pertinent, and (f) interesting. 2. Attribute both direct and indirect quotes if applicable. 3. Begin chronological story if telling Background of staffing history. 1. This is pertinent information not directly related to the immediate story, but useful information in understanding the story.

• Clear and simple writing tips for clear messages:

• Use short sentences;

This request is to create an incremental APN position to staff a half inpatient attending team is prompted by a continued upward trend in the inpatient average daily census (ADC) for the Stem Cell Transplantation and Cellular Therapy (SCT/CT) program.

For FY13, the program had a sustained ADC that averaged from 80 to 106. The program currently has four inpatient attending teams whereby inpatients are assigned as equally as possible. An inpatient team is comprised of an attending physician, PharmD, and one APN for each 10 patients.

We can safely manage 20 patients per inpatient service team. It is necessary to establish an additional inpatient service to keep up with the volume of appropriate transplant candidates.

The creation of the 5th inpatient team is required to maintain optimal patient care for our high acuity transplant patients. The requested incremental APN position will provide the requisite midlevel staffing to this newly created inpatient team. ESSENTIAL METRICS TO TELL THE STORY

. MS Excel contains over 70 chart types plus customizable charts. Just because there is a chart type doesn’t you have to use it.

. Following is a description of the major chart types available in Excel, with some simple guidelines on when to use each type. THE RIGHT CHART

. Column charts: A column chart, unlike a to which it is often compared, emphasizes variation over a period of time. In a column chart, categories appear horizontally and values appear vertically, whereas in a bar chart, categories appear vertically. Variations include the cylinder, cone, and pyramid chart subtypes.

. Line charts: A line chart shows the relationship of the changes in the data over a period of time. Although similar to an area chart, which shows the relative importance of values, the line chart emphasizes trends rather than the amount of change.

. Pie charts: Pie charts contain just one chart data series. A pie chart shows the relationship of the parts to the whole. To emphasize the importance of one slice of the pie, choose one of the exploded 2-D or 3-D pie charts.

. Bar charts: A bar chart (horizontal bars) emphasizes the comparison between items at a fixed period of time. This chart type also includes cylinder, cone, and pyramid subtypes.

. Area charts: An area chart shows the relative importance of values over time. An area chart is similar to a line chart, but because the area between lines is filled in, the area chart emphasizes the magnitude of values more than the line chart does.

. XY (Scatter) charts: Scatter charts are useful for showing a correlation among the data points that may not be easy to see from data alone. An XY (Scatter) chart uses numeric values along both axes instead of values along the vertical axis and categories along the horizontal axis. THE RIGHT CHART

. Stock charts: Stock charts are used to stock quotes over a certain time period, such as a single business day or week. Stock charts show nearly any combination of a stock's highest and lowest values, its open and close values, and the volume of trade for that stock.

. Surface charts: Surface charts plot trends in values across two dimensions in a continuous curve. In order to use a surface chart, you need at least two data series, both of which are numeric as with an XY (Scatter) chart.

. Doughnut charts: A doughnut chart is similar to a pie chart except for its ability to display more than one data series (pie charts always graph just a single data series).

. Bubble charts: Bubble charts compare sets of three values as kind of a combination of an XY (Scatter) chart with an Area chart. When you build a bubble chart, the size of each bubble represented on the x-y grid represents the third set of values being charted.

. Radar charts: A radar chart shows changes in data relative both to a center point and to each other. This chart type is useful for making relative comparisons among items. THE RIGHT CHART OR NOT

. A chart may not always be the most appropriate tool to present statistical data or information. Sometimes text and/or a data table may provide a better explanation (and save you time and effort).

. Reconsider using charts when your data:

. are very dispersed;

. have too few values;

. have too many values;

. There are two types of tables used in the presentation of statistical data.

. The first type is the presentation (or demonstration) table. They can be used to highlight key figures typically utilized in a staffing justification, a business case or justification.

. The second type consists of larger tables, called reference tables. They are increasingly being replaced with interactive databases that allow users to generate their own tables online.

. Tables should be able to stand alone, whether published within a report, article, publication or web page. Each table should contain enough metadata, such as a descriptive title and indication of source, to allow it to be copied and pasted into another document and still make sense. If you ensure that your tables can stand alone, they are more likely to be understood correctly, within or outside their original context.
