3SP Region 4 Meeting Minutes: April 20, 2017

In attendance: Laureen Balducci (Foothill), Marco Tovar (Foothill), LaKisha Bradley (Monterey Peninsula), Ken Songco (Mission College), Wayne Takakuwa (), Rob Mieso (DeAnza), Erika Flores (DeAnza), Veronica Martinez (), and Margery Regalado (Cabrillo College)

 Margery shared new strategies being implemented at Cabrillo College. Described how job titles and job descriptions are outlined to fit 3SP guidelines. o Explained how certain pathways and 3SP funding will be redirected through short term and long term planning. Clarification from Michael Quiaoit was suggested.

 Rob Mieso explained campus level decisions leading to more flexibility in spending funding and the intent of the chancellor’s office to “leverage all three pots of money to be directed to supporting student success.” Rob stated that more campus wide engagement is necessary in closing the achievement gap when implementing BSI/SE/SSSP. Rob suggested that the new integrated concept is to remove the campus silos, especially during the planning process.

 More spending flexibility: Colleges will have more flexibility spending funds as long as it’s “reasonable and justifiable.” This decision will be left to the college’s to determine. However, still considering SSSP core services.

 Discussed goals, objectives, and outcomes: 1 goal that crosses all three programs. o Measurable outcomes

 Overview of teams at other colleges: Lakisha stated that she has responsibility in both SSSP and Student Equity, as well as the BSI committee. Which works as connection between the two programs to learn similarities and differences between all three. Lakisha shared that Monterey Penninsula College currently has an interim dean for BSI who is set to leave in June. Therefore next steps to determine integration of BSI are unknown.

 Determined who were the heads responsible for writing each plan for each college: o Foothill – used staff and faculty as a starting point to determine tri- chairs when plan was written. o Cabrillo College – Used two members of their Student Success committee as starting point to write the plan. Math and ESL faculty are also part of their BSI department. Plan to hire faculty during the Summer to work on plan. o Gavilan will have a retreat to work on plan o DeAnza has a joined SSSP group comprised of shared governance groups, students, stakeholders, and staff. They work together on the original framework and share it throughout the campus to make sure everyone in the group has a chance to look at the plan. Hope to have framework by the end of spring. o Mission College – They have separate groups for all three programs, Ken has been sitting in on all three committees to determine best way to integrate all three. Use a system called the “Student Life Cycle” to determine the point of contact with students and how they can break down barriers with using all three programs. (SSSP/BSI/SE). Focus around SE. o Ohlone – Have separate committees and plan to have 1 rep of each committee to come together and focus on 5 points. Scheduled to meet in May to see how all three committees can work together.

 Plans due December 1st. – Concerns about meeting the deadline, discussed strategies between colleges.

 Discussed difference in funding amount between each program and what funding is generally used for. Laureen reminded the group that we will have two years to spend the upcoming allocation.

 Block Grants: Laureen mentioned that the idea of integrating program plans is to hopefully prevent block grants for the college.

 Orientation: Foothill shared the online orientation used for students. Go2Orienation. Marco shared how orientation is given for each school visit for credit and non-credit students. Currently Foothill is working on translating the online orientation for non-credit students. o Marco will email Go2Orientaiton link to Region 4 reps.

 AskFoothill: Laureen shared how AskFoothill works and demonstrated using the Foothill website. Displayed FAQ’s. Used for: o Dates and deadlines o To provide data for reporting purposes o Events o Calendar o Enrollment priorities  Other Technology: o Gavilan College uses GradGuru – College app to push reminders through notifications on student phones. Lakisha shared that 22% of the students who used GradGuru said it changed their college life. o Shows dates and deadlines o Incentives – Students can get rewards for completing requirements.

 Covered data collecting strategies

 Outreach: Discussed possible ways to get around hiring outreach support and still stay within the states guidelines. o Position title o Lakisha shared that Monterey Peninsula College uses a position responsible for orientation, but is not labeled outreach.
