End of Season Party/ Coaches Gifts 1 Welcome to the Brentsville District Youth Baseball League and congratulations on being your team’s Team Mom. We hope that you will find your role as a Team Mom a rewarding experience of a life time. This playbook has many tips and pointers to help you along the way. If you have any questions just reach out to the Team Mom coordinator at any time. Have a fun season! 1. What does a Team Mom do? The team mom serves as the team’s coordinator. Team Mom’s work closely with their Head Coach. Your main job is organizing functions for the team which allows the coach to stick to his duties and coach the team! 2. Gerneral Information Field Information – 703-792-3294 Nokesville Park Lost and Found is located at the Snack Bar. 3. First things to do The first steps 1. Collect all hats and put first and last names inside the hat with permentant marker 2. Put names on baseball gloves with perment marker 3. Put names on batting gloves with perment marker 2 * These are items that are always in the lost and found located at the snack bar. 4. Recruit Help Team Moms need the following volunteers to help: * A parent to do score keeping * A parent to help the players with the batting order. The batting order will be on a clip board hanging on the fence in the dug out area. 5. Equipment 1. Help the players keep the equipment organized in the dugout. 6. Keep the team informed A key responsibility is to ensure that parents and players are kept informed. Occasionally, practice schedules/locations may change, practices or games may be cancelled, postponed or locations changed because of inclement weather, this information must be communicated in a timely manner. The Team Mom should set up contact information for each parent and prepare an e-mail distribution list for such communications. A Master Team Roster should be created during the first week of practice- see Team Mom Roster on website (down load to use) The Roster should have all the contact information for all players, guardian, coaches, and the Team Mom. Also, reminding your parents for snack bar duty. 7. Assigning Volunteer Responsibilities 3 Volunteers are needed for every game. Score keeper- needed every game! Snack bar – when it is your assigned turn please arrives on time! The people working before you want to be able to leave and see their own child’s game. End of game snack – each player/coach/umpire will get a free soda from the snack bar at the pick up window. Some teams like to have an optional team snack. If your team chooses to do a team snack Team Mom will need to do a Snack Schedule. 8. Pictures for the end of the season slide show The Team Moms are responsible for having a parent take photos of their team during the season. Each team will be assigned a memory stick to put their team photos on. Please supply at least 20 really great pictures to be used at the end of the season slide show. There is a drop off box at the snack bar for the memory sticks and they need to be turned in the first week of June. Please do not wait till the last minute to turn them in or your players will not be on the closing day video. All the kids love seeing the slide show!!! 9. Opening Day All players need to dress in their uniforms even if they are not scheduled for a game. All teams will be introduced on opening day. 10. Once the season starts The BDYB website will send out game reminders to the players, prior to each game. Please send a reminder email to the parent that has snack duty for the upcoming game. 4 11. Names on Jerseys and Socks The head coach will get the jerseys from the league and assign the jerseys to the players. Your team may elect to put player’s last names on the back of each jersey. The cost is $5.00 from Slopers. The Team Mom collects all the jerseys and drops and picks them back up. It only takes 1 or 2 days to have the names added. Team Moms collect the money from the players and purchase socks from a local sporting goods store such as Dicks, Modell’s, and Sports Authority. 12. Nokesville Day and Parade We will have a BDYB booth and we will need volunteers to work the booth. Parade- Players need to be at the High School at a certain time to ride on the BDYB float or team float. (Teams can make their own floats for the parade) 13. Team Bonding The BDYB encourages Social activities for the players. This could be the players socializing at the snack bar after games. The players love reflecting on the games with one another. 14. Closing Ceremonies Keep your team informed about the closing ceremonies schedule of events. 15. End of Season Party/Coaches Gifts 5 A fun way to end the season is to have a party! You should start planning it a few weeks before the end of the season. Talk with you coach to see what he has in mind. Examples of team parties; Local Restaurant or Bowling party. You can even have a team party at the baseball field (Pizza, cake, drinks) and play a child vs. parent game of baseball. Many teams get their coaches gifts at the end of the season. Generally a budget is selected and the Team Mom collects donations from each family (minus the coach’s family of course). Some gift ideas Gift certificate to a restaurant or a favorite store (ask coaches wife what he likes). 6 .
