SUMMARY This meeting discussed a social media strategy plus continuing working out the details of each event, with heavy emphasis on pit stops and vendor sponsorship.

I. Social Media Strategy a. Each unit/ student group should like “ChiBike2Campus” on facebook/ twitter and instagram to repost and retweet information. II. Pit Stops a. We need to organize the who, when, and where of each pit stop III. Sponsorship a. We need to organize how we are to reach out to vendors for donations IV. Events a. Pit stops/ maintenance checks

o Pit Stops will consist of a table with biking info and swag but also a laptop/ iPad so folks can directly log their trips. If a laptop/ tablet is not available, the host will instruct users to log their miles via their cell phone at the pit stop.

o Various UIC departments/ units will host a Pit Stop. “Hosting” means the unit will staff the table for the hours signed up. Hours are flexible and up to hosting unit but should occur in the morning.

o The maintenance check could be next to the pit stop that has an “expert” that can help with chain lube/ air in tires. Each pitstop host must contact and get their own bike maintenance expert.

o UIC Police will come to most pit stops if scheduled in advance to also register bikes. o Meetings and Conferences can provide 10’x10’ tents for the pitstops to make the pitstop more visible and to also protect us from light rain. Munchie will check how many tents can be available.

o Coffee is preferred at each Pit Stop

▪ CSRC- can give coffee at their Pit Stops. Chelsie will check if CSRC can provide coffee to other pitstops.

▪ Pete’s Coffee on Halsted and Maxwell is a supplier / coffee truck. How do all the pitstops organize? See notes below, “Sponsorships & Vendors”

Sponsorships & Vendors

The coffee discussion lead into a bigger discussion regarding sponsorship for the week. It was concluded that each individual department should not reach out to vendors, however, we as a group should ask for sponsorship. Prior to this meeting, Campus Recreation has already reached out to vendors. They have been and are contacting vendors for the Fit4Life event and can assist with coordination for the KIND bars sponsors for the pit stops.

However, regarding the other events (Fit4Life/EcoJam, etc, a coordination between the hosting units (i.e. Campus Rec and Sustainability) should occur.

We mentioned that we should contact Pepsi to donate a bike as a prize- Munchie will check. Lynne and Campus Rec will coordinate sponsorships for the pitstops.

1. Get photobooth ready for events (EcoJam, etc)

a. Reserve 10’x10’ UIC backdrop from Meetings and Conferences (double check with Munchie )

b. Get a camera & tri-pod (rent out video camera that can take pics form ITL) http://accc.uic.edu/service/itl

c. Use departmental iPad and download photobooth app

2. Prepare scavenger hunt

a. How to get swag? Shows bike key/ helmet/ asks about bike

c. Or do we add more? Current stops: Latino Cultural Center, Lincoln Hall, CMWT, SFC (Campus Rec) , Office of Sustainability. What’s left out are the Wellness Center and Urban Transportation center form East and Dorothy Bradley Atkins Medicinal Plant Garden and Dining Services (Marketplace – Freshii) from West

d. Perhaps we edit the map to include: 1) bike 2 campus logo 2) safe bike routes. Cesar mentioned using Polk street.

e. Or, how about this! (new thought form Lisa) Why don’t we use the week’s activities as stops in the scavenger hunt!

f. Need to promote bike safety quiz with scavenger hunt. Last stop on hunt is the chiptoloe coupon?

b. “ask Wanda with UIC Parking to run in April”- not to sure what this means!
