Rotary Club of Bethel, Maine Internal Board Meeting May 10, 2017 Office of Mike Steven’s, Main St, Bethel ME

President Robin Zinchuk called the meeting to order at 7:15 am and a quorum was determined.

Members present included Ellie Andrews/Louise Rice, Michele Varuolo Cole, Mike Steven, Kathy Ruby, Scott Hynek, Steve Wight, and John Poole.

1. Secretary’s Report  The April 2017 Minutes were approved with a motion from Steve and a second by Mike.

2. Treasurer’s Report (John)  Pres Robin and Treas John reviewed the balances. The Reports were accepted as presented as moved by Steve and seconded by Scott.  Discussion ensured regarding reporting. It was the consensus to have separate reports per internal/external and to include comparisons.

3. Membership Committee Report (Scott H)  The group shared names of member prospects.

4. Public Image Committee Report (Kathy)  The Committee is working on a club brochure and updating the picture boards.

5. District 7780 Items  Michele moved and Ellie seconded for the Club to purchase one $100 reverse raffle ticket for the District Conference. It was so voted.  June 27th is the District Changeover at RYLA’s Camp Hinds. A number of members have expressed interest in attending. As the date approaches, we’ll confirm logistics.

7. Old Business  The Governance Committee has been meeting and is scheduled to meet again on May 24.  The Rotarian of the Year Committee is progressing. They will bring hard copies of the nomination sheets to club meeting.

8. New Business  Budget 17/18 - After presentation and discussion, Kathy moved with a second from Ellie the budget as presented. Scott moved for an amendment of dues to $175.00 and increase the amount transferred from Internal’s over/under account. Mike seconded the amendment. The amendment was so approved with a nay vote from S Wight. Mike moved to approve the budget with the amendment; Ellie seconded. And, it was so voted. The Internal Budget is zero-based balanced at $7,420.00 with dues at $175.00 for 2017/2018. Treas John shall have discretion over payment plans should a member request such.

 Reminder that May 30 is the 5th Tuesday in May – Meeting Social is scheduled for Farmer’s Market & Taps.

 Reminder for our June 6 meeting that the outgoing and incoming AGs (Assistant Governors) will be attending. It was the consensus that we present flowers to AG Kathy.  See the website for upcoming program schedule.  It was the consensus for Treas John to look into using the “Square” credit card processing services for this year’s Yard Sale/Auction. Future use of the service will be evaluated after the Yard Sale/Auction event.

9. Adjournment  Kathy moved and Ellie seconded to adjourn the meeting at 8:20 am. So voted.
