Position Purpose The Onboarding Specialist provides comprehensive coordination and a single point of contact of onboarding efforts used to bring on new providers into North Memorial Health Care and creates a positive onboarding experience. This position will lead the administrative functions and services for onboarding, provides individual assistance to new providers assisting them to navigate the numerous groups that interface with the physician obtaining appropriate access to systems. Essentially the individual serves as a “co-pilot” to the provider ensuring that their onboarding process is efficient and satisfying. While working closely with the individual provider, the incumbent keeps internal stakeholders, including the medical director and operational dyad, apprised of the provider’s onboarding status. The incumbent informs stakeholders of their role in the process and works collaboratively to resolve any issues as they arise. The work is self-directed. Actions are guided by physicians’ start dates, external and internal deadliness, and clear deliverables. This function requires relationship building and collaboration to meet goals.

Accountabilities:

Onboarding:  Initiates a welcome phone call and email for provider (and Confirm knowledge of Provider Orientation Internet Page and materials).  Facilitates completion of MN Uniform Application and state license application as needed, transition to Credentialing Specialist.  In collaboration with operational leader and other internal stakeholders, prepares first month onboarding/dept. schedule for new provider. Provides schedule with links to Epic and Health Stream Modules to new provider to complete. May provide assistance to provider as needed.  Coordinates and schedules Pre Boarding Day activities for new providers. Meet and escort new provider for the days’ activities. Partner with Credentialing, Business Development, Marketing, HR, photographer, Employee Health Services, Superior Wealth, operations leaders and other stakeholders to ensure completion of meetings and required activities. Assist with completion of paperwork as needed.  Tracks and manages multiple new providers’ progress through the onboarding process. Keeps stakeholders apprised of each providers status. Works collaboratively with MSO/CVO leadership, internal stakeholders, including the medical director and operational dyad to complete the onboarding activities. Keeps them apprised of the provider’s onboarding status and works with them to resolve any issues as they arise. Orientation:  Plans and executes New Provider Orientation sessions including scheduling provider meals and meet and greets with leaders. Greets new providers and facilitates transitions of Day 1 Orientation agenda including personally delivering some of the orientation content such as base technology training (Outlook – calendaring/email, MyHR, Health Stream login, navigating Intranet,

Epic login), addressing general benefit questions, escorting providers on scheduled tours, etc.  Conducts first week and post-start check-ins with department and new provider. Sends orientation evaluation and gather results.

 Assesses and revises materials, handouts, tours, technical training and other processes as needed. Coordinates with HR and other stakeholders on new materials, schedules, training and processes.  Provides coordination of Department/Clinic orientation and serves as a resource to leaders. Meets with Department/Clinic hiring/onboarding leader and medical director to customize the orientation process to meet the needs of individual sites and/or specialties without compromising on established standards and best practices. Works closely with site leaders to ensure they understand their role and provide the best possible experience for the provider.  Evaluates program effectiveness to develop improved methods; devises evaluation methodology and implements; analyzes results and recommends and/or takes appropriate action. Other Duties:  Assists with enrollment and credentialing activities as assigned by supervisor/manager.  Accepts other duties as assigned to promote the accomplishment of organizational goals.  The employee is accountable to demonstrate proficiency for the skills outlined in the appropriate position skills list.  The employee is accountable to maintain skill proficiency, including improvement where deemed necessary, and upgrading any additional or new skills on the appropriate position skills list.

Compliance  Recognizes and complies with legal regulatory, accrediting and procedural requirements related to area of responsibility.  Understands and follows principles and standards as outlined in North Memorial’s Corporate Code of Conduct.  Protects patient/employee privacy and only accesses patient/employee related information as needed to perform job duties.  Reports violations or areas of concern to supervisor or Corporate Compliance Officer via established methods of communication.

Basic Qualifications:

Education  High school diploma or equivalent required.  Associate’s or Bachelor’s degree in business or related field desired.

Experience  Previous experience with medical staff credentialing and privileging and/or payer enrollment experience required. Both highly preferred.
