FACULTY APPOINTMENT PROCESS FOR ADJUNCT FACULTY APPOINTMENTS (NON-TENURE TRACK)

IMPORTANT REMINDER: A) Georgia State University (GSU) Adjunct Faculty appointments are title only positions. B) The purpose of an Adjunct Faculty appointment is to indicate that the selected eligible candidate is “qualified to teach”. C) The appointed Adjunct Faculty are not employees of GSU; not on any faculty payroll; and do not receive separate or additional compensation for instruction.

1. Only AYSPS Academic Departments may request an Adjunct Faculty appointment. 2. The AYSPS Academic Department: a. Identifies an eligible candidate for an AYSPS Adjunct Faculty appointment. b. Confers with the AYSPS Dean to receive the Dean’s informal approval. c. Advise external adjunct faculty candidate they will receive no compensation for instruction. d. Advise internal (staff personnel) adjunct faculty candidate they receive no additional compensation for instruction. 3. The AYSPS Academic Department a. Obtains a Personal Data Form (PDF) and Security Questionnaire (SQ) from GSU Human Resource (HR) Payroll Office. b. Submits a request to the candidate: i. To have an official transcript from the University of their highest-degree forwarded directly to the AYSPS Human Resource Officer (HRO). ii. Requests his/her current Vita or Resume be forwarded to the AYSPS Academic Department. iii. To complete the PDF and SQ being forwarded to him/her and returning it to the AYSPS HRO. c. Contacts GSU Staff Recruitment and Retention Services (SR&RS) Employment Assistant personnel giving him/her the candidate’s contact information so he/she can forward the candidate his/her necessary ‘background check’ forms. d. Will retain all appointment related materials for at least three years after the appointment approval. 4. The AYSPS Academic Department Chair writes a letter of recommendation to the AYSPS Dean. 5. The AYSPS Academic Department forwards the candidate’s Adjunct Faculty appointment packet which includes: a. Candidate’s Vita. b. Completed PDF and SQ c. The AYSPS Academic Department Chair’s letter of recommendation. 6. The AYSPS HRO completes the Adjunct Faculty appointment packet: d. Checks documents submitted by the AYSPS Academic Department for completeness and accuracy. e. Includes copy of the official transcript f. Includes letter of recommendation from the AYSPS Academic Department Chair to the AYSPS Dean. g. Obtains approval from the Associate Dean and Dean. 8. The AYSPS HRO will then enter the necessary information in the BOR Manage Faculty Events (MFE) system and forward all MFE information that is necessary including the Adjunct Faculty appointment packet to the Provost’s Office. 9. The Provost’s Office reviews the Adjunct Faculty appointment information and notifies to the AYSPS HRO of approval. 10. Receipt of the Provost’s approval is the formal confirmation, ‘Adjunct Faculty appointment approved’. BOR approval is no longer required for Adjunct Faculty appointments. 11. The AYSPS HRO notifies the AYSPS Dean and the AYSPS Academic Department Chair and copies the Dean’s Assistant and the Department Administrative Manager of the Provost’s approval. 12. The AYSPS HRO notifies (Adjunct Faculty Appointment Appendix J, Basic Letter Template) the candidate of approval copying the AYSPS Dean and AYSPS Academic Department Chair. Also copy, where applicable, the AYSPS Center Director. 15. If new Adjunct Faculty requires an on-site office and work area accommodation, it is the AYSPS Academic Department is responsible for getting the set-up (computer, e-mail/Novel id, mailbox allocation, business cards, etc.).
