POSITION Membership & Administrative Assistant REPORTS TO Manager, Membership Services RESPONSIBILITY Provide administrative support to the Membership department by maintaining the membership database and assisting members in resolving questions. START DATE mid-March SPECIFIC RESPONSIBILITIES Membership  Coordinate the annual membership dues process, including updating the database, sending email and paper invoices, processing payments and answering questions from members  Ensures accuracy and timeliness of demographic and other information within membership database  Applies CPS policy to requests for changes to categories and fees  Process new applications for and resignations from membership  Provides regular updates to Board members on changes to membership roster  Communicate with current and new members with welcome and congratulatory letters  Coordinate annual resident update, including contacting paediatric programs for current information and moving members through the graduated billing cycle  Develop material and coordinate mailing of new member packages to first-year residents  Maintain up-to-date information on Royal College new certificants in paediatrics  Assist Manager, Membership with recruitment & retention program and other projects as needed Administration  Provide support to CPS bookstore and Healthy Generations (Canadian Paediatric Foundation)  Manage reception area, including greeting callers, members and guests  Other assigned duties as required QUALIFICATIONS  Bilingual essential – English / French – oral and written  Post-secondary diploma / degree in related field or 2 to 3 years related experience (not- for-profit experience preferred)  Experience with association management system, CRM or similar database  Strong English / French writing and verbal communication skills  Excellent customer service, interpersonal, written and oral communication skills  Superior organizational skills and ability to effectively prioritize work flow and meet deadlines  Detail-oriented, exercises good judgment, shows initiative and is proactive  Advanced knowledge of Microsoft Outlook, Word, Excel and PowerPoint
