End Status for students transferring to Cirrus Academy is ‘T’. .  Verify Permit Codes Verify Retained Students and Grade Levels – This is extremely important for middle school!! Must correct in 17-18. Verify Staff and Assignments   Full Legal Name  SSN  Email** primary address must be district email  School Assignments  Title – must have Title  Certificate number for Certified Employees Master Schedules   Course Number Guidelines  RunGrading Grading Task Summary and notify Campus Support for any missing or incorrect data.

 Scheduling Verify Courses are valid courses according to the State  Board Rule guide. ES – all students scheduled for HR by 08/28/2017.  Students should have a complete scheduled by August 18 – Academic and specials. HS – All courses are semester courses. Students must  have parts A and B of a course. Each part is ½ credit. MS – Year long classes end in ‘0’. Semester classes  end in ‘5’ Verify all students scheduled in .8 or .9 class has a  Primary Area entered. Verify all students in a .2 class is gifted qualified. IF not,  MS/HS should schedule for a .0 class. FLP classes  CIS classes   Progress and Report Card Date –  FY18 State Reporting Transmission Dates  FTE/Student Class State Count – Oct 3, 2017  10 days prior date – Sept 19, 2017  School Signoff – Oct 19, 2017  FTETrack  Opens for 17-18 August 14  Schools expected to begin clearing errors and discrepancies.  Schools not allowed to “carry” errors/discrepancies all year.  Enrollment Procedures:  Withdrawal end status –  If a student is transferring from one Bibb County School to another Bibb County School you should use the end status of W:’Transferred to another school in district’ NOT T:’Transferred to another GA public school  If student does not show the first day of school and you do not know where they are, you must no show them using U-‘Unknown’.  School Overrides – All programs should put the student’s home school in the school override field.  Census – Required student data at time of enrollment  Demographics  Full name as on Birth Certificate From GaBOE Rule 160-5-1-.28 and O .C.G.A. § 20-2-150 A student shall be identified in the local Student Information System (SIS) and in the Georgia Statewide Student Information System (GSSIS) by the student 's legal name as it appears on the documentation submitted for age verification as delineated in paragraph (2) (a) 3 , or in a court order changing the student's name.  Verify Middle Name – scroll to bottom of Demographics tab, click the Student Middle Name Verification and select appropriate code: o 0: Not verified against birth certificate o 1: Verified one letter long against birth certificate o 2: Verified 2 or more letters long against birth certificate o 3: Verified no middle name or initial against birth certificate.  Birthdate  SSN – Please ask for the SSN card. If the parent does not have the SSN card with them when registering a student, ask if you can use the SSN to help positively identify their student if you find it in the student’s history (GUIDE). If they say no, have them sign the district objection form. Email Theresa Beckum and a Psuedo-SSN will be assigned Pursuant to O.C.G.A. § 20-2-150, before the final enrollment of a student to a publicly-funded Georgia school is complete, a parent, guardian, or other person shall provide a copy of the enrolling student’s social security number to the proper school authorities or shall complete and sign a form stating the individual does not wish to provide the social security number.  A block of 999#’s will be distributed to each school to use for students that have a signed objection form.  Birth Country/Birth Place (should be the same)  If student born outside the US, District of Columbia, or Puerto Rico then the student’s Primary Language must be entered  If student born outside the US, District of Columbia, or Puerto Rico then the Date Entered US School must be entered.  When a student enrolls, look for the GTID on the withdrawal papers and/or transcripts. If the GTID is there, enter it in the State ID field. Relationships  Relationship to student must be entered  Guardian box must be checked for the student’s ‘legal’  guardian. Household   Make sure you have checked the ‘mailing’ box for the address  Never, never, ever, ever end date an address without adding a new address for the household.  Never, never, ever, ever take a student out of a household without putting them into another household NEW Scanning Records   All, PK, KK, 06 and 09 students must have their records scanned and uploaded into Infinite Campus.  All New students must have their records scanned and uploaded into Infinite Campus Enrollment Waivers   If you provisionally enroll a student with a missing document(s) you must complete the Enrollment Waivers tab with the requested data. Graduation - Update the date the student first attended 9th  grade in the Graduation Tab no later than Aug 25.

 Guide (GTID) - Please begin claiming GTIDs Monday, August GUIDE7 Data requirements:  Full Legal Name  SSN  Gender  DOB  Parent/Guardian  Race/Ethnicity  Pictures in Infinite Campus (LifeTouch…)  FERPA – Student Privacy  Personally Identifying Information PII  Do not put GTID and/or SSN in an email with the student’s name. You can include the last 4 digits of the SSN.  ESOL  Transportation  Monthly Meetings  Questions/Concerns
