Copy Cataloging SciFi Collection 5/09 rev. 1/10 rev 9/10 rev 3/11 ZL

Primary Goal: Process SciFi Collection books for transfer to ReCAP.

Process: Search Voyager and OCLC for matching bibliographic records. Complete Voyager record structure, assigning barcode. Complete physical processing and prepare for transfer.

Training Goal: To become familiar with Voyager record format: bibliographic, holdings and item records.

Outline: Perform entry level copy cataloging on Science Fiction Collection recently acquired by CUL. CU Science Fiction and Fantasy Club recently donated several thousand books to CUL. The majority of the titles are not represented in CLIO. Student workers search Voyager and OCLC, importing records and adding holdings as appropriate. All items will receive an offsite barcode, physical processing and be sent to ReCAP.

General Principles:  Only one, print copy of a work will be retained  Record structures must be complete and accurate  Every holding record needs a complete LC call number

Novell network log in password: micronet

Log into systems: 1. OCLC Connexion Client 2.1 a. Open icon on desktop b. Ctrl + F1 to log on c. Log on to “BasiCat” 2. Voyager Cataloging Module a. Start → Programs → Voyager → Catalog b. Operator ID: xxxxxx#, Password: [xxxxxx##]

Procedure: 1) Search title in Voyager. All searching will be done in Voyager, the staff-side database maintenance tool. Do not search CLIO online. a. Only one, print copy of a work will be retained b. Consider a different edition a match c. If title is present set aside for Zack d. If title is not present, skip to Step 2) Search title in OCLC 2) Search title in OCLC a. F2 to open search menu b. Recommend using Keyword search, by Author/Title preferably (sort by date) c. Identify matching bibliographic record i. Verify record is language (Type “a”) and print (Form “ ”) ii. Check title (245 ‡a) and author (100 ‡a) iii. Check publication publisher (260 ‡b), date (260 ‡c) and pagination (300 ‡a) iv. Look for other, identifying notes (5xx fields) d. F5 to export record. “Export-C” will display at base of window. 3) Create full record structure in Voyager a. Bibliographic record i. F8 to import record in Voyager ii. Ctrl + 1 to tag for statistics, action adds 948 field. iii. Double check data string. 1. EXAMPLE: 948 1- ‡a 20110302 ‡b c ‡c garecap1 ‡d OSMC 2. If data loads incorrectly, delete field and re-enter macro iv. Ctrl + Enter to save to DB (Sailboat) v. Check for LC call number in 050 or 090 field 1. If neither is present, set aside for Zack 2. Check i2 of 050. If i2 = 4 or if only 090 present, append letter “g” to publication date in call number in holdings record, e.g. ‡h P12.A4 ‡i B45 1975g b. Holdings record i. F6 to create new holdings record ii. Put cursor in ‡h and F5 to paste LC call number iii. Make sure 852 field is complete 1. 852 00 ‡b glx4off ‡h P12.A4 ‡i B45 1975[g] iv. Add publication date to call number if lacking and “g” if necessary, see Step 3.a.v.2 v. Ctrl + Enter to save to DB (Sailboat) c. Item record i. F6 to create new item record ii. Scan in CU1 barcode iii. Ctrl + Enter to save to DB (Sailboat) 4) Final physical processing a. Pencil call number on t.p. verso (imprint page) i. Preface call number with “Offsite” ii. One term per line b. Add tattle-tag inside rear cover near gutter/spine i. Cut tattle-tag in half to fit mass-market size books c. Property stamp inside front cover i. Center of inside front cover, careful to protect fragile binding
