MINUTES OF THE 40TH ANNUAL GENERAL MEETING OF HILLCREST VILLAGERS ATHLETIC CLUB HELD ON THURSDAY 9 JUNE 2016 AT 7PM AT HILLCREST VILLAGERS ATHLETIC CLUB. NOTICE OF THIS MEETING WAS WELL CIRCULATED. AGENDA AND PREVIOUS MINUTES AVAILABLE TONIGHT. WELCOME AND THANKS FOR ATTENDANCE: By Chairman, Peter Burton. ATTENDANCE: Per recorded sheet = 40 APOLOGIES: Per recorded sheet = 16 CONFIRMATION OF PREVIOUS AGM MINUTES: Proposed and Seconded MATTERS ARISING: There were NO matters arising from these Minutes.

CHAIRMAN’S REPORT: By Peter Burton. This report is attached.

FINANCIAL REPORT: By Silvia Burton. The Report is attached and the Annual Financial Statements as at 30 April 2016 are available on request.

LADIES CAPTAIN’S REPORT: By Michelle Donne. This Report is attached.

MENS CAPTAIN’S REPORT: by Derrick Weeder. This Report is attached.

FEES: HYBRID SCHEME - 2016 fees R580 with an extra R20 donation being optional. R600 Made up by R110 HVAC, R380 HSC and R110 KZNA.

The Chairman advised that there would be a possible 10% increase in the HSC fees which would be announced at their AGM in August. This would result in an increase in our fees to R630. However it was proposed that the fees be set at R600 for the coming year. All in agreement. Some questions from the floor regarding how much the club would have to absorb. It was explained that the Bar, Venue Hire and Sponsorship made it possible to absorb increase in fees. Also the fees are reduced after Comrades to R355 and fees paid to HSC were also halved.

SOCIAL MEMBERSHIP: R120 – it was agreed to remain the same.

PROPOSED HONORARY LIFE MEMBERSHIP – It was explained that the criteria is 7 years service on the Committee or the KZNA Committee, special services or athletic achievement.

GENERAL: Lionel Hardwick suggested that the Time Trial should be more structured to provide incentives and guidelines and the times should be published. This would encourage membership participation and earn points towards Villager of the Year. John Wasserfall admitted that although the barcodes are read he has not yet uploaded the results but would endeavour to update the results soon. The Chairman advised the website would be upgraded and races results would also be available. Blaine Pienaar asked if anyone ever considered the situation regarding virtual clubs such as Nedbank as opposed to real clubs like us, Westville, etc.

1 Athletes from Nedbank, Mr P, Boxer etc take all the sponsorship and all the prize money but do not put anything back into the sport and do not host races. The Chairman remarked that Vitality membership shot up to 500 and huge incentives and money involved. R100,000 spent on Vitality suite at Comrades. This problem has been brought up to KZNA by various groups representing “private” clubs and various solutions have been proposed but so far no feedback from KZNA. Scotch Parker explained a similar situation exists with virtual golf clubs taking money from conventional Golf Clubs. We can only build on the positives. Our membership is still strong. Maryanne Oliver suggested that a man run behind the ladies on the 8 km time trial for safety reasons. An appeal will be made to the gentlemen on the night. Sponsorship – can we get more than 1 Sponsor for our Race? Yes we do have secondary sponsors such as Sir Juice, Nampak etc. the more the better. We have had NOSA for 5 years and are looking for substantial main sponsor. Thanks to Julyette for monthly Newsletter. We do have some capable black runners and must integrate them into the club more. Thanks to our phenomenal Chairman – Scotch Parker advised that we would tell him when he can resign!

2 3 4 5 6 Men's captain report: The last year has certainly gone by very quickly. I can't believe that a year has gone by and that I've served for a year already as a committee member. The highlight for me over the past year was: 1) Privileged to be able to serve as a committee member. It feels good to be able to give back the club and to the sport that has done so much for me over the past five years. 2) The Hillcrest Marathon is such an awesome event and it's really amazing to be a part of organizing the event and helping on the day. I encourage all members to get involved because everyone of us has something to give. 3) Comrades Marathon is always a highlight for me every year and to be involved and to a part of the whole process and build up to the day is really amazing. It really great to see the enthusiasm of all the new runners every year and to be a part of their progress leading up to the big day. HVAC is an awesome club to be a part of and it's even better to be serving my community of fellow runners. Thank you all. Derrick Weeder
