MINUTES OF CHESTERFIELD MEWS COMMUNITY ASSOCIATION Regular Meeting of the Board of Directors Date: June 18, 2009

Call to Order: A regular meeting of the Board of Directors for the Chesterfield Mews Community Association was held at the home of Candace Baker, located at 3133 Readsborough Court, Fairfax, Virginia on June 18, 2009. The meeting convened at 7:34 p.m. with President Ginny Howden presiding. Margaret Kerr-McKown took minutes as Secretary.

John Miller arrived at 1935.

Members Open Forum:

Approval of Minutes: A motion was made and passed unanimously to defer approval the Minutes of the 04 June 2009 Board meeting to the July meeting.

REPORT OF OFFICERS

President’s Report: Ginny Howden reported that the membership of the Architectural Control Committee has come to the end of its term and three community members have offered to serve: Joanne Andren, Nancy Minter, and Tracy Thompson. Candace Baker moved to accept the roster as presented and the vote passed unanimously.

Communications Committee will continue as currently formed.

Treasurer’s Report: Bruce Pincus reported that he and Brian Saal are still researching the many options of CD and Money Market accounts and will report their findings at a future time.

Unfinished Business:

Grounds Committee:

Drainage related issues: (1) Action item: obtain pricing for underground drainage instead of proposed swale behind lower Readsborough Court and Eakin Park; (2) Sink hole and runoff behind 3165 Readsborough: TruGreen has not yet applied mulch to this area. There is an exposed PVC pipe in this area, the situation is still being monitored; (3) Mike Epley made a motion to vote to connect the two rock swales at the top of upper Eakin Park. John Miller seconded and the motion was unanimously approved.

Proposed path between Colchester Brook and Route 50: TruGreen has proposed using irregular flagstone and a grey stone dust. Dominion Paving’s estimate for an asphalt path was $3,000 and for one of concrete was $1900. Ginny Howden made a motion that a flagstone path be placed in that area. Margaret Kerr-McKown seconded and the motion was unanimously approved.

Tree removal and replacement: Ginny made a motion to vote to proceed with Phase One of the tree work (removal of dead and too closely planted trees, judicious pruning, and removal of Bradford Pear trees.) John Miller seconded and the motion was unanimously approved.

Dominion Paving has provided a revised proposal including: sidewalk, curb and gutter repair, replacement of the steps between the retaining walls on Colchester Brook and the sidewalk to the tennis court. Following discussion, the proposal will be adjusted to include some mailbox bases (where repairs are needed) and shorten the tennis court sidewalk to square off the sidewalk at the bottom corner of Readsborough Court. Ginny Howden made a motion to vote to proceed with the proposal including above adjustments. Mike Epley seconded and the motion was unanimously approved.

Retaining wall on Colchester Brook: A proposal to replace the disintegrating structure with a timber wall was presented. Action item: Ginny Howden will talk with the abutting homeowners who were interested in a stonewall replacement.

Mike Epley made a motion to adjourn at 9:47 p.m. Motion was approved unanimously.
