Job Title: Human Resources Systems Trainer

Department/Division: Human Resources

Key Working Relationships (internal): Human Resources staff, Imperial College database (ICIS) users; Finance staff (particularly Payroll), Information and Communication Technologies Division staff (ICT), Research Services staff; academic departments, divisions and faculties.

The Purpose of the Post: The post holder will be responsible for developing and delivering user training for all users of the HR functions within the Imperial College Information System (ICIS). She/he will be expected to use an imaginative mix of training techniques including courses, workshops, one-to-one coaching and web based materials. She/he will create their own materials and exploit a range of training methods to increase the level of user expertise in ICIS systems across the whole College. The HR Policy, Systems & Information team is responsible for the production and analysis of management and statistical information and optimising the use and benefits of the HR system and the postholder will be expected to contribute towards this aim. This post is based at South Kensington campus, but will be required to travel regularly to other sites.

Imperial College uses Oracle Human Resource Management System (HRMS) and Oracle Financials for human resource management, payroll, financial management and accounting functions. These are grouped together under the title ICIS. There are currently around 350 professional users with update or enquiry access to HR systems working in Human Resources, faculties, divisions and departments. All Imperial College employees have access via self service applications to update their details and book training.

Key Responsibilities:

 To develop and deliver a range of training and coaching activity to all ICIS HR users, including formal training courses, one-to-one coaching and web-based learning  To undertake all related HR administration and user support including participation in relevant meetings. This will include running termly OLM (Oracle Learning Management) User Group meetings and acting as a central point of contact for fault logging and ensuring that User Group members are up to date on current issues.  To create, maintain and publish a range of documentation including user manuals and training materials  To provide first line system support/helpdesk service queries on a daily basis, referring more complex queries to the Deputy HR Systems Manager and the HR Manager (Policy and Service Development) as required.  To assist with regular User Acceptance Testing (UAT) of the HR aspects of ICIS, including core HR, iRecruitment and OLM as assigned by the Deputy HR Systems Manager  To be responsible for communication of tips, fixes and changes to all ICIS HR users  To carry out regular skills audit of ICIS HR users  To develop a good working knowledge of the Discoverer reporting tool and train staff in the use of Discoverer Viewer  To develop a good working knowledge of Divisional processes and procedures  To be actively involved as a team member in projects introducing new HR functions in ICIS  To work closely with colleagues in ICT to provide training for new functions as they are introduced  To contribute towards the development of a College-wide ICIS training strategy  To evaluate training activities and report feedback on a regular basis  To promote the use of Employee Self Service and iRecruitment  To work with colleagues in the Learning and Development Centre to ensure all ICIS HR training provision conforms to College standards, including recording, evaluating and the reporting of training activities  To ensure the confidentiality and integrity of all HR information in accordance with the Data Protection Act and other relevant legislation and codes of practice.  To work with other ICIS trainers to maintain the currency of the ICIS training database  To provide cover for other members of the team, and to assist other team members during busy periods.

Education and Qualifications

 A degree or equivalent experience  Ideally a qualification in teaching or training

Knowledge

Essential

 In-depth understanding of how database applications work; gained as either an end user or super user  Working knowledge of Data Protection Legislation

Desirable

 Working knowledge of Oracle HR applications (HRMS, Learning Management, i-recruitment) would be useful but not essential, as detailed use of these applications can be learnt once in post  Working knowledge of HR, Higher Education and/or the NHS would be useful but not essential

Competencies, Skills and Abilities

 IT literate with proven experience of MicroSoft Office applications.  Proven ability to learn new IT applications quickly  Experience of interacting effectively with staff at all levels of seniority  Proven experience of providing a high-quality, responsive, customer-focused service  Ability to adapt communication and training approach to suit the needs of the individual(s)  Experience of explaining complex processes and procedures  Proven ability to work towards a goal or objective  Ability to exercise initiative and work independently  Experience of making effective presentations  Experience of producing clear and concise written materials using Microsoft Word.  Proven ability to influence and persuade  Experience of working as part of a team and ensuring team goals are met  Ability to work flexibly and well under pressure with good personal organisation and time management  Experience of Oracle User Productivity Kit (UPK) would be useful but not essential

Miscellaneous

 Experience in a training, teaching, or IT support role would be useful but not essential  Experience in working as a member of a project team which may have involved problem- solving, communication, planning and implementation would be desirable
