Finance Officer
PURPOSE OF THE JOB:
Administration of the Society’s finances Support the Finance Manager
DUTIES & RESPONSIBILITIES:
Run Creditors Ledger System for sterling invoices – enter invoices on Access, obtain authorisation, set up payment (electronic or cheque), send cheque/notify electronic payment and file.
Process Foreign Currency payments – obtain invoice authorisation, set up payment, notify electronic payment and file.
Collect Annual Membership fees from Members – agree rates for each subscription element and member type, maintain up to date database of member status/contact details, collect fees by direct debit, manual credit card, issue reminders to late payers, record invoices and receipts on Enterprise, maintain Excel spreadsheet of dedicated bank account for receipts and payments for BPAS, reconcile spreadsheet to bank statement twice a year. Liaise with BPC over updated members details.
Monthly payroll processing including payment of overtime, payment of net pay electronically, payment of deductions to HMRC/pension providers/ Student Loans Co./GAYE/CSA using Access payroll software package. Prepare annual payroll monthly rates of pay for approval by Finance Manager
Petty Cash payments and round sum replenishments (not imprest calculation, which is calculated by Finance Manager), file.
Document and record cheque and cash receipts and arrange for a courier to deliver them to the main bank/ post odd cheques to CAF Bank.
Raise invoices on sundry debtors for room hire, recharges etc and chase up payment. Input invoice totals on Access NL quarterly.
Take cash deposits and petty cash/ cash cheques for cashing to RBS Westbourne Park and obtain signature for receipt of advances from recipient.
Collect termly student training fees using schedule supplied by Education Officer.

Retain 6 complete years payroll, membership and payments records for HMRC purposes.
Write up main sterling bank account on Excel, input receipts and payments on Access NL and reconcile monthly to bank statement.
Write up 11 quarterly restricted fund and 2 foreign currency bank accounts on Excel and input receipts and payments on Access NL. Reconcile each quarterly.
Maintain Strachey Bank Account including Student Loan repayment administration, insurance of loans, input on Access NL and reconciliation of bank account.
Write up, code and input journals for Petty Cash expenditure on an imprest basis each time the float needs to be topped up to £300.
Analyse daily manual credit card BACS receipts on main bank accounts by event type.
Deputise for the Finance Manager, in their absence
SKILLS & EXPERIENCE Qualities: Numerate, enthusiastic self-starter to maintain and enhance our systems
Ideally AAT qualified, but skills and potential will be more important than formal qualifications
Significant experience of complex bank and nominal ledger account reconciliations
Strong spreadsheet skills, capable of preparing audit schedules and can work accurately under pressure
Payroll experience
Sound grasp of VAT accounting
Not For Profit sector experience is helpful but not required
