JOB TITLE: Accounts Payable Clerk DEPARTMENT: Administration REPORTS TO: Controller SUPERVISES: N/A FLSA STATUS: Non-exempt WORK STATUS: 0.60 PTE

JOB OVERVIEW: Completes vendor payments and controls expenses by receiving, processing, verifying and reconciling invoices. Acts with a high level of accuracy, confidentiality and fiduciary responsibility on behalf of the company.

ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO:

Under minimal supervision:

1. Review and audit all invoices for appropriate documentation and approval prior to payment, or obtain same if needed; 2. Process 3-way PO matching to invoices; 3. Code all expenses to appropriate G/L expense accounts; 4. Prioritize invoices according to cash discount potential and payment terms; 5. Process manual check requests; 6. Audit and process credit card bills; 7. Issue vendor payment checks; 8. Match invoices to checks, obtain needed check signatures, and distribute checks accordingly; 9. Maintain vendor files and issue vendor 1099s when needed; 10. Reconcile vendor statements, research and correct discrepancies; 11. Assist in month-end financial closing; 12. Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices; 13. Assist with other finance department projects as needed; 14. Participate in best practices and maintain education opportunities/training classes as required; 15. Maintain strictest confidentiality and HIPPA compliance;

The job holder must demonstrate current competencies applicable to the position MINIMUM JOB REQUIREMENTS:

Education: High school diploma or equivalent required; high school or college accounting coursework preferred.

Experience: A minimum of two years’ accounts payable experience strongly preferred; an equivalent amount of other finance experience may be substituted. Keyboarding ability of 12,000 KPH.

KNOWLEDGE, SKILLS, & ABILITIES:

1. Proficiency in Excel, Word, 10-key by touch, and at least one Accounting System (Mas90, Oracle, QuickBooks, etc.) 2. Strong organizational, problem-solving and time management skills. 3. Ability to comply with, and suggest improvements to, detailed polices. 4. Thorough knowledge of accounts payable / general ledger systems and procedures, financial chart of accounts, and corporate procedures. 5. Strong problem-solving skills; research and resolution skills; data analysis and multi-tasking skills. 6. Ability to perform mathematical computations such as percentages, fractions, addition, subtraction, multiplication and division. 7. Ability to communicate effectively, both verbally and in writing. 8. Ability to work both independently and with a team, in a high-volume environment while maintaining accuracy and timeliness. 9. Ability to establish and maintain courteous and professional working relationships with vendors and other outside parties, as well as with the practice’s owner-physicians, staff members, and patients.

PHYSICAL/MENTAL DEMANDS:

1. Prolonged standing; infrequent bending, twisting and stooping. 2. Manually dexterity in order to work with regular office equipment. 3. Occasional stress from work, task volume, or from working within a normal office environment during emergency situations. 4. Regular and acceptable attendance is required per company policy and is a critical function of this position. 5. May lift up to 10lbs.
