PARENTS WHO CARE MTG NOTES February 22, 2016 Present: Tina Wertz, Teresa Eichbaum, Cindy Bone, JoEllen Heatherly, Karen Beagle, Ann May, Stacie Shirley, Chris Guevera, Jodi Walland, Beth Hadden, Melissa Lange, Beth Hallauer Treasurer’s Report – Current balance in checking is $11,701. Concession revenue is down almost $10,000 compared to last year due to loss of Sectional and Regional basketball tournament games. Communication will be sent to the Superintendent & School Board regarding the repercussions of the loss of those games with regard to the AfterProm event. Update on Reinstatement of 501c3 Status – Tina (with assistance from accountant) applied for reinstatement 2/10/16. We are awaiting information on status. Tina will call to follow-up on this. PWC cannot accept some monetary donations until this is finalized. Concessions Update on remaining basketball concessions Games – Girls district tournament games on Saturday, 2/27/16 are the only remaining games. The OHSAA has chosen to move the Regional tournament games to another venue in the absence of an experienced site supervisor at THS. Inventory – As much as possible of any remaining inventory will be sold to baseball. Once the contact person for baseball concessions has been determined we will meet to find out what they want to purchase.

Additional Fundraising Ideas - Chipotle – Jodi/Julie – The earliest date available for this at the Troy Chipotle is April 25 from 6-9, but this is probably not an option until our 501c3 status is reinstated. Update next meeting. Chick-fil-a – Melissa – This needs to be scheduled far in advance, possibility for next year but not anymore for this spring BWs – JoEllen will put Beth Hallauer in touch with the Huber Heights BWs rep to discuss. Revenue is 10% of sales T-Shirt Sales – Jodi has contacted Jimmy Magnuson who is willing to do an all online pre-sale of T-Shirts for AfterProm. We will need to publicize this everywhere for both students and parents. Once designs are available we will put it everywhere possible – FB, Instagram, Twitter, Student Senate, morning announcements, Quick news, etc. T-shirts will be designed with the AfterProm theme in colors appropriate for black light.

 Committee Chair Reports:  Red Carpet: Ivy Jo Shank & Shawna Gotthardt  Food: Jodi Walland – Food will be cut back as a cost saving measure. We will have Chocolate fountain with all dipping items donated, Cupcakes from Sweet by Kristy, Ice Cream machine with all toppings donated, Pizza, Wings and any other donated food items and drinks. Jodi will be in touch with Tina Wick at Randall Residence for additional donations.  Decorations: Ann May – We will not use Ambience this year as a cost saving measure but will use black lights, balloons etc. Update with more solid ideas at March meeting.  Entertainment: Teresa Eichbaum and Cindy Bone – Several items were cut from those originally reserved as a cost saving measure. Final list will be approved at March meeting.  Bingo: Deb Rindler, Gingriches, Becky Jones – Bingo will remain with prizes and gift cards as in the past.  Advertising & Ticket sales: Beth Hallauer . Ticket pricing discussion – Ticket prices will be raised from $10 to $15 to provide additional revenue to support the AfterProm event. . Beth will design & print tickets or purchase wrist bands and arrange schedule & volunteers for ticket sales the week before Parom/AfterProm  Prizes: Teresa Eichbaum & Cindy Bone . Prize drawings may need to be limited as a cost saving measure. Prizes may be limited to donated items and fewer large prizes. Final revenues and donations will determine the actual number of prize drawings. There will be no college scholarship drawings this year due to lack of funds.  Donation Letters: JoEllen Heatherly & Karen Beagle . 500 letters were sent out to local businesses, vendors and junior/senior parents. Return has so far been limited. All donations will be logged and the list of businesses & vendors will be revised for next year to save on postage and envelopes. We are hopeful that parent donations will continue to come in as AfterProm is publicized.
